Mailtoon Zapier integrationAutomate Mailtoon with Zapier.
The Mailtoon Zapier integration gives you 7 triggers and 1 action, with 0 searches. Six of those triggers are instant, one is polling, and the single action builds a personalized video for a lead. Here is what each one does, what it costs and where it trips.

What the Mailtoon Zapier integration actually does
Mailtoon takes one generic video and a list of leads, then turns out a personalized copy for each lead. Hooking it to Zapier means two things: what happens to those videos (created, opened, played, clicked) can start work in your other tools, and a new lead elsewhere can ask Mailtoon for a new video.
A click becomes a row. The CTA Clicked trigger fires when a viewer presses the call-to-action button of a video. Point it at a spreadsheet and you get a running list of the leads who acted, not just the ones who watched.
A first view becomes an alert. Video First Time Opened fires once per video, on its first open. That is the signal a lead finally looked, and it is cleaner than Video Opened, which fires on every single open.
A lead elsewhere becomes a video. Create a New Video adds a lead to a campaign from its website address, and Mailtoon renders the personalized copy. Feed it from whatever tool collects your leads.
What Zapier does not do here: there is no search, so a Zap cannot look up an existing video or campaign by itself, and the only action creates. Nothing updates, moves or deletes a video. Six of the seven triggers are instant, so everything a lead does reaches Zapier without waiting, even on the free plan. If you are still weighing the tool itself, read the Zapier review.
Zapier words, in plain English
Eight words carry the whole page. Each one in a sentence.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it, here a video being opened, played or clicked.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, like adding a row.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling trigger
- A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only what it has not seen yet.
- Instant trigger
- A trigger the app reports itself. Mailtoon calls Zapier as soon as the event happens, so nothing waits for the next check.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and stops it quietly otherwise.
- Connection
- Your Mailtoon account linked to Zapier once, then reused by every step in every Zap that touches Mailtoon.
What a Mailtoon Zap costs you
Mailtoon is not a premium app, so it works on the free plan. The bill is counted in tasks, and only on actions.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, two-step Zaps
- Trigger cost0 tasks
- Filter or second actionMulti-step Zap, paid plan
The trigger never costs a task, and neither does Zapier checking for new data. Each action that succeeds counts once, so a Zap with three actions burns three times what a one-action Zap does. An action that fails is not counted. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter or a second action and the Zap becomes a multi-step Zap, which needs a paid plan. The interval grid below only concerns Get Campaigns, the one polling trigger here: the six instant triggers ignore it.
Connect your Mailtoon account
- 01
Open your apps
In Zapier, go to the Apps page of your account. You need a Mailtoon account first, plus access to any campaign you did not create yourself but want the Zap to use.
- 02
Add the connection
Click + Add connection, type Mailtoon in the dialog and pick it from the list. Then click Add connection in that same dialog to start the sign-in, which opens Mailtoon in a separate browser tab.
- 03
Sign in and allow access
A new tab opens on Mailtoon. Sign in, then grant Zapier access to the account. The connection now shows up in your list and every Mailtoon step can reuse it.
Your first Mailtoon Zap: log every button click
GoalEach time a viewer clicks the call-to-action button of a Mailtoon video, add a row to your spreadsheet, but only for the clicks that match the condition you choose.
- 01
Pick the trigger
Create a Zap, choose Mailtoon as the app and CTA Clicked as the event. Select the Mailtoon connection you added earlier.
- 02
Test the trigger
Click test. Zapier brings back the three most recent clicks from your account, so you map fields on a real click instead of a made-up one.
- 03
Add the filter
From the plus icon, add a Filter step. Set the field to look at, the rule and the value. A text rule only works on text, so match the rule to the field.
- 04
Add the action
Add your spreadsheet as the next step, pick the event that adds a row, and drag the fields from the Mailtoon step into the columns you want filled.
- 05
Test, then publish
Run the action test and check the row that appears. Then hit Publish. The filter makes this a multi-step Zap, so it needs a paid plan.
Mailtoon triggers
7 events start a Zap when something happens in Mailtoon, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.
CTA Clicked
Instant triggerIn Zapier“Triggers when a user clicks the Call to Action button of any video.”
Starts the Zap when a viewer presses the call-to-action button of any of your videos. The lead did not just watch: they acted on what you asked.
Video First Time Opened
Instant triggerIn Zapier“Triggers when a video is opened by any user for the first time.”
Fires once per video, the first time anyone opens it. Later opens of the same video do not start it again, which keeps your other tools from filling up with repeats.
Video First Time Started
Instant triggerIn Zapier“Triggers when a video is played by any user for the first time.”
Runs the first time a video is played by anyone. Where the opened trigger counts an open, this one counts a play.
Get Campaigns
Polling triggerIn Zapier“Triggers when i need campaigns data for CREATE_VIDEO action.”
The only trigger here that Zapier has to go and ask for. Its own description ties it to the campaign data the Create a New Video action needs.
Video Created
Instant triggerIn Zapier“Triggers when a new video is created from any campaign.”
Kicks in when Mailtoon finishes a new video in any campaign. Each personalized copy counts as its own event, so a campaign with many leads sends many of them.
Video Opened
Instant triggerIn Zapier“Triggers when a video is opened by any user.”
Reacts to every open of every video, not just the first. A lead who comes back three times sends three events, which is exactly what you want when repeat interest matters.
Video Started
Instant triggerIn Zapier“Triggers when a video is played by any user.”
Goes off each time a video is played, every play and every viewer. It is the repeat-play twin of the first-time trigger, built for tracking ongoing attention.
Mailtoon action
Mailtoon gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create a New Video
ActionIn Zapier“Create a new video in a campaign.”
Adds a lead to one of your campaigns so Mailtoon builds their personalized video. You give it the website address of the lead and choose the campaign, both required.
When a Mailtoon Zap breaks
Zapier attaches no help article to Mailtoon, so the traps below are the general ones. They still bite hard on an app with this many instant triggers.
Most problems here are not errors. They are Zaps doing exactly what you told them, too often or too late. If one does misbehave, the Zapier troubleshooting guide is the place to start.
Old views are never picked up
A Zap only reacts to what happens after you switch it on. Videos opened or clicked before that stay where they are, and moving that history is a separate job.The Zap that restarts itself
A Zap that writes into the place its own trigger watches sets itself off again and again. Be careful when one Zap both watches your videos and creates them: each round costs a task.A campaign burst gets held back
When a big batch arrives at once, for example many videos created together, Zapier's flood protection can hold the batch back instead of running it all.No double runs on campaigns
On the polling Get Campaigns trigger, Zapier remembers what it has already seen, so the same campaign never starts the Zap twice.
