Mailvio Zapier integrationAutomate Mailvio with Zapier.
The Mailvio Zapier integration gives you 3 triggers and 4 actions, with 0 searches. One trigger is instant, two are polling, and the actions add, remove and delete subscribers or send a single email. Here is what each one does, what it costs and where it trips.

What the Mailvio Zapier integration actually does
Mailvio is an email marketing platform built around subscribers sorted into groups. Plugging it into Zapier lets new subscribers, unsubscribes and new campaigns start work in your other tools, and lets those tools add or remove subscribers and send an email through Mailvio.
An unsubscribe that travels fast. Of the three triggers, New Unsubscribes is the only instant one. It reacts straight away even on the free plan, while the two others wait for your plan's interval. If you only need one Mailvio event to be quick, build on this one.
A welcome email for each new subscriber. New Subscriber followed by Send Email sends one message to the person who just joined a group, with the sender, reply address, subject and content you set.
A deletion that follows the request. When someone asks to be removed in another tool, Delete Subscriber takes their address out of the Mailvio account, so the two tools stay fully in step.
What Zapier does not do here: there is no search, so a Zap cannot look up a subscriber first, and no action edits an existing subscriber or a campaign. The same app also has a Mailvio Make integration, and you can weigh the two tools in Make vs Zapier.
Zapier words, in plain English
Eight words carry the whole page. Each one in a sentence.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a subscriber, an unsubscribe or a campaign.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, like adding a subscriber.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling trigger
- A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only what it has not seen yet.
- Instant trigger
- A trigger the app reports itself. Mailvio calls Zapier as soon as the event happens, so nothing waits for the next check.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and stops it quietly otherwise.
- Connection
- Your Mailvio account linked to Zapier once, then reused by every Mailvio step in every Zap you build.
What a Mailvio Zap costs you
Mailvio is not a premium app, so it works on the free plan. The bill is counted in tasks, and only on actions.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, two-step Zaps
- Trigger cost0 tasks
- Instant triggerNew Unsubscribes only
The trigger never costs a task, and neither do Zapier's checks for new data. Each action that succeeds counts once, so a Zap with three actions burns three times what a one-action Zap does. An action that fails is not counted. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. A filter or a second action makes a multi-step Zap, which needs a paid plan. The interval grid below applies to New Campaign and New Subscriber, the two polling triggers; New Unsubscribes is instant and ignores it.
Connect your Mailvio account
- 01
Open your apps
In Zapier, go to the Apps page of your account. You need a Mailvio account first, plus access to any group you did not create yourself but want the Zap to read or change.
- 02
Add the connection
Click + Add connection, type Mailvio in the dialog and pick it. Then click Add connection in that same dialog, which opens Mailvio in a separate browser tab.
- 03
Sign in and allow access
In the new tab, sign in to Mailvio and grant Zapier access to the account. The connection now shows in your list, and every Mailvio trigger and action can reuse it.
Your first Mailvio Zap: a welcome email per subscriber
GoalEach time someone joins your Mailvio group and matches the condition you choose, send them one welcome email through Mailvio.
- 01
Pick the trigger
Create a Zap, choose Mailvio and New Subscriber as the event, then select your connection and the group to watch, which is required.
- 02
Test the trigger
Click test. Zapier brings back the three most recent subscribers of that group, so you map fields on a real person rather than a placeholder.
- 03
Add the filter
From the plus icon, add a Filter step and set the field to look at, the rule and the value. A text rule only works on text, so match it to the field.
- 04
Add Send Email
Add Mailvio, pick Send Email, then fill the five required fields: sender, reply address, recipient, subject and content. Map the recipient from the subscriber's email.
- 05
Test, then publish
Run the action test with your own address as the recipient, check the message, then hit Publish. The filter makes this a paid-plan Zap.
Mailvio triggers
3 events start a Zap when something happens in Mailvio, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Campaign
Polling triggerIn Zapier“Triggers when a new support campaign is created.”
Starts the Zap when a new campaign is created in your Mailvio account. It reacts to the campaign being created, not to it being sent.
New Subscriber
Polling triggerIn Zapier“Triggers when a new Subscriber is created.”
Fires when a new subscriber is created in the group you pick. Since the group is required, one Zap follows one group, which keeps each Zap focused.
New Unsubscribes
Instant triggerIn Zapier“Triggered when user unsubscribe from a group”
Reacts when someone leaves a Mailvio group. You choose the group to watch, and each person who drops out of it starts the Zap.
Mailvio actions
Mailvio gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Subscriber
ActionIn Zapier“Add Subscriber to list”
Puts an email address into a Mailvio group as a new subscriber. The group and the address are the two required fields.
Delete Subscriber
ActionIn Zapier“Delete Subscriber from a mailvio account.”
Removes a subscriber from the whole Mailvio account, found by email address. It is the heaviest of the four actions.
Delete Subscriber From Group
ActionIn Zapier“Delete a subscriber from a group.”
Takes a subscriber out of one group, using their email address. Email and group are required.
Send Email
ActionIn Zapier“Send Transactional Eamil”
Sends one email to one address through Mailvio. You set the sender, the reply address, the recipient, the subject and the content, all five required.
When a Mailvio Zap breaks
Zapier attaches no help article to Mailvio, so the traps below are the general ones, applied to an app that mixes one instant trigger with two polling ones.
Most failures are not error messages but Zaps that loop, wait or miss history. When one misbehaves, the Zapier troubleshooting guide is the first place to look.
History is never picked up
A Zap only reacts to what happens after you switch it on. Subscribers, unsubscribes and campaigns from before stay put, and moving them is a separate job.The Zap that restarts itself
A Zap that writes into the place its own trigger watches, such as the group it monitors, can set itself off again and again and burn through tasks fast.A bulk import gets held back
After a bulk import of subscribers, a trigger can suddenly return a huge batch. Zapier's flood protection may hold that batch back.No double runs on polling
On New Campaign and New Subscriber, Zapier remembers what it has already seen, so the same item never starts the Zap twice.
