The FundraisingBox Zapier integration links your FundraisingBox account to Zapier, so each new donation can set off work in your other tools, and so those tools can keep your donor records current without retyping. FundraisingBox is not a premium app: the free Zapier plan can run it.

Three results come up for nonprofits. A donor history that writes itself: Create Communication Entry adds a message to a contact's record, so a thank-you email sent from another tool shows up where your fundraisers look. Contacts kept in sync: Create Contact and Update Contact bring supporters signed up elsewhere into FundraisingBox, and keep their details current. Every gift noticed: New Donation hands each fresh donation to the next step, so the team that thanks donors hears about it right after Zapier's check.

What Zapier does not do here: there is no trigger for a new contact or an updated donation, only for a new donation. Nothing deletes a record, and nothing creates or refunds a donation. The trigger is a polling one, so a gift reaches your Zap at the next check, every 15 minutes on the free plan.     Open your Zapier apps

    Go to the Apps page of your Zapier account and click + Add connection. A connection is your FundraisingBox account linked to Zapier once, then reused by every Zap that touches it.

    Pick FundraisingBox

    Type FundraisingBox in the dialog's search box, select it, then click Add connection. You need a FundraisingBox account, plus access to any record you do not own and want a Zap to change.

First Zap

Your first Zap: each donation logged on the donor's record

    Build: set the trigger

    Create a Zap, choose FundraisingBox as the app and New Donation as the event, then pick your connection. This is the event that wakes the Zap for each gift.

    Test the trigger

    Run the test. Zapier brings back the three most recent donations of the account, so the next steps are mapped on a real gift instead of on guesswork.

    Find the donor

    Add FundraisingBox, then Find Contact under SEARCH. Map in the value that identifies the donor, as the trigger test shows it. The search makes the Zap multi-step.

    Log the message

    Add Create Communication Entry. Map the Contact ID found by the search, then write the message, with values from the donation mapped in. HTML is accepted.

    Test, then Publish

    Test each step, open the contact in FundraisingBox to check the entry, then click Publish. Only donations made after that moment are handled.

When to use it

Retrieves one precise donation from its ID, so later steps can read it when the trigger is not the one that brought it.

When to use it
a donor writes in about a specific gift, and a Zap pulls that donation up to attach it to the support ticket.
Watch out
the Donation ID is mandatory; this search cannot find a gift by amount or by name.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap goes on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Neither FundraisingBox search offers it, so you will not see it here.
  3. If multiple search results are found?
    Three ways out: keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When a FundraisingBox Zap breaks

Zapier ties no help article to FundraisingBox, so the traps below are the ones any Zap can meet.

  • Past donations are not picked up

    A Zap only reacts to what happens after you publish it. Donations already in FundraisingBox are never processed; moving that backlog is a separate job.
  • A Zap that sets itself off

    A Zap that writes into the very place its own trigger watches starts itself again and again, and drains your monthly tasks fast.
  • A campaign rush held back

    After a bulk import or a migration, the trigger can suddenly return a huge batch of donations. Zapier's flood protection may hold that batch rather than run it.
  • Each donation counted once

    Zapier keeps track of the donations it has already seen on this polling trigger, so the same gift never starts the Zap twice.

01Is the FundraisingBox Zapier integration free?
Yes, it can run on the free Zapier plan. FundraisingBox is not a premium app, so the free plan accepts it with 100 tasks a month and unlimited Zaps. The limit is the shape: two steps only, one trigger and one action, with a check every 15 minutes. A Zap that uses Find Contact, a filter or a second action becomes multi-step and needs a paid plan. Keep that in mind before you sketch the Zap.
02How many tasks does a FundraisingBox Zap use?
One task per action that succeeds. The New Donation trigger is free, and so are the checks Zapier runs to find new gifts. A Zap that logs one communication entry per donation costs one task per donation. Add a second action and it costs two. An action that fails is not counted, so a broken step does not drain your monthly allowance while you fix it. Size the plan on your busiest month of giving.
03Does FundraisingBox trigger Zaps in real time?
No. New Donation is a polling trigger: Zapier asks FundraisingBox for new donations on a timer. That is every 15 minutes on the free plan, every 2 minutes on Professional, and every minute on Team and Enterprise. A gift therefore reaches your Zap at the next check, not the instant it is made. On paid plans, you can also run a check by hand from the editor while testing. For thank-you notes, that delay is rarely a problem.
04What does it take to connect FundraisingBox to Zapier?
A FundraisingBox account, and access to any record you do not own but want a Zap to change. The connection is three moves: add it from the Apps page of Zapier, sign in to FundraisingBox in the tab that opens, and grant access. Then check what each step needs, for example a Contact ID for Update Contact and Create Communication Entry, which a Find Contact step can supply. Test the trigger once afterwards to confirm the right account is connected.
05Why does Update Contact ask for a Contact ID?
Because it changes a record that already exists and has to know which one. Update Contact and Create Communication Entry both require the Contact ID. If the Zap only knows the donor's email, put a Find Contact step first: it looks the supporter up by ID or email and hands the ID on. Then decide what happens when no contact matches, so the Zap does not stop silently at the search.
06What if the FundraisingBox operation that fits is missing?
Then the job needs another route. On Zapier, FundraisingBox exposes one trigger, three actions and two searches: no deletion, no donation creation, no trigger for new contacts. Sometimes the fix is to let FundraisingBox start the Zap and do the rest in the tool that receives the data. If that is not enough, write the missing step down and compare what other automation platforms offer for FundraisingBox. A precise list makes the comparison quick.
