What Manychat and Zapier do together

Manychat runs chat automation for marketing, sales and support, starting with Messenger bots. Zapier links it to the rest of your tools. The integration lets a conversation in Manychat start work elsewhere, and lets events elsewhere tag, message or update a Manychat subscriber.

A subscriber list that leaves the chat. New Subscriber fires when someone subscribes to your page. Send that person to a spreadsheet or another app so the chat audience stops living only inside Manychat.

A follow-up that knows the context. New Tagged User and New or Updated Custom Field fire on what the bot learned. Behind them, Send Content to User or Subscribe User to Sequence picks the next message.

A paid order that leaves the chat too. New Order Paid starts a Zap when a user has purchased, and Find Order by ID can fetch the order again later in a longer Zap.

What Zapier does not do here: there is no find-or-create variant, so a search that misses never creates the subscriber. The sequence action only works on someone who is already a Manychat subscriber. Every action that targets a person needs a User ID, which has to come from a Manychat trigger or your own data. All six triggers are instant, so no polling interval applies. Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and reacts to it.
Action
What the Zap does after it starts: the step that writes, sends or changes something in an app for you.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts those.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap go on only when the data that arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.

Each action that works counts as one task, and each counts on its own: tagging a subscriber and then sending a text message uses two tasks per run. A failed action is not billed. Manychat is not a premium app, so the free plan accepts it, with 100 tasks a month and unlimited two-step Zaps. A filter, a second action or any of the four searches makes the Zap multi-step, and that needs a paid plan.

The grid below sets how often Zapier checks a polling trigger. It does not apply to Manychat, whose six triggers are all instant.

Connect your Manychat account to Zapier

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need a Manychat account, plus access to any page or data you do not own yourself and want the Zap to touch.

    Pick Manychat

    Search for Manychat in the dialog, select it, then click Add connection. A new tab opens on the Manychat side, where you sign in with the account your Zaps will run on.

    Grant access

    Sign in to Manychat in that tab and grant Zapier access to the account. Every Manychat step of every Zap then reuses that connection, so you only do this once, however many Zaps you build.

First Zap

Your first Zap: tag new subscribers and log them

GoalEach new subscriber to your page gets a starting tag in Manychat, and a row lands in your spreadsheet so the audience is visible outside the chat.

    Create the Zap and set the trigger

    Start a new Zap, pick Manychat and New Subscriber. Test it: Zapier brings back the three most recent items of the connected account, so you map from a real subscriber.

    Add Add Tag to User

    Add Manychat as the action and choose Add Tag to User. In User, pick Use a Custom Value and map the User ID the trigger returned, then choose the Tag.

    Log the subscriber

    Add your spreadsheet as the third step and map the subscriber details the test returned into its columns. Three steps make this a multi-step Zap, so it needs a paid plan.

    Test every step

    Run each step once and read what came back before moving on. Check in Manychat that the test subscriber really carries the tag, and in the sheet that the row is right.

    Publish

    Click Publish to switch the Zap on. It only handles people who subscribe from now on: the subscribers you already had are not tagged by it.

Manychat searches in Zapier

4 search steps look for data that already exists in Manychat, so a later step can use it.

Searches sit at the bottom of the action-event list, under SEARCH. They fetch a user or an order that already exists, which is how a Zap that did not start in Manychat gets a User ID. Three settings decide what happens when the result is not exactly one item.

User ID is required; it is the same ID every action needs in its User field.

Find User by Name

Search

In Zapier“Finds a user by name.”

Searches subscribers by their name, the fallback when no ID or custom field links the two tools.

When to use it
a one-off lookup where only the person's name came through.
Watch out
names repeat, so set the multiple-results option on purpose rather than trusting the first match.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Manychat exposes no such variant on Zapier, so its four searches only look things up.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When a Manychat Zap breaks

Zapier attaches one help article to Manychat, How to get started with Manychat on Zapier. No limit specific to the app is on record, so what breaks is mostly what breaks on any Zap.

  • The action has no User ID

    Every person-level action requires User as a custom value. A Zap that started outside Manychat needs a search first, or the step has nobody to act on.
  • Existing subscribers are skipped

    A Zap only reacts to what happens after you publish it. People who subscribed or got tagged before are never replayed; moving them is a separate job.
  • The Zap keeps setting itself off

    A Zap that writes where its own trigger watches can start itself again and burn through your tasks. Test any such Zap on one subscriber before you publish.
  • A sudden batch is held back

    When a trigger returns a huge batch at once, after a bulk import or a migration, Zapier's flood protection can hold those runs back.

Yes, on Zapier's side. Manychat is not a premium app, so the free plan accepts it, with 100 tasks a month and unlimited Zaps. The limit is shape: two steps, one trigger and one action. New Subscriber followed by Add Tag to User fits. Add a spreadsheet row, a filter on chats, or a search to find the User ID, and the Zap becomes multi-step, which needs a paid plan. Sketch the Zap before you decide on the plan.
02How many tasks does a Manychat Zap use?

04What do you need to connect Manychat to Zapier?
A Manychat account, plus access to anything you do not own yourself and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Manychat, click Add connection, then sign in to Manychat in the tab that opens and grant access. The connection is reused by every Manychat step. Before testing actions, keep a test subscriber in the account, since every action that targets a person needs a User ID.
05Why does the User field ask for a custom value?
Because Manychat actions act on one precise subscriber, identified by a User ID. In the User drop-down, pick Use a Custom Value, then map a User ID from an earlier Manychat trigger step or from your own data. In a Zap that starts in Manychat, the trigger may provide it; check at test. In a Zap that starts elsewhere, add Find User by ID, by Custom Field or by Name first, so the action gets an ID to work with.
06What if the Manychat operation you need is missing?
Look at the nineteen visible operations first: six triggers, nine actions and four searches. A missing step is often a combination. Find User by Custom Field plus Set Custom Field updates a known person; New Tagged User plus Subscribe User to Sequence starts a series from a tag. Each extra step makes the Zap multi-step. If no combination covers the need, Zapier cannot do it for Manychat today, and another automation tool is worth checking.
07Zapier, Make or n8n for Manychat?
Pick by criteria, not by reputation. Coverage first: list the Manychat operations your flow needs and check each tool offers them. Billing second: on Zapier every successful action is a task, so a chat-heavy page with several actions per run adds up fast.
