Overview

What the MarcomGather Zapier integration does for you

The MarcomGather Zapier integration watches your MarcomGather library and account for four kinds of new items (assets, groups, lightboxes, users) and lets other tools react to them. In the other direction, it can push files into your library with one action, Create Assets. It cannot look anything up in MarcomGather.

Three results people build with it. A team that hears about new files: New Asset starts a Zap when an asset is uploaded, and a message goes to the channel where your designers and marketers talk. A library fed from elsewhere: a file saved in another tool reaches MarcomGather through Create Assets, with its name, size and link mapped in. A record of who joined: New User writes each new account into a shared sheet, which gives whoever runs the library a list to review.

What Zapier does not do here matters too. There is no search step for MarcomGather, so a Zap cannot check whether an asset is already there before it acts; when it is, the action's Override Existing Asset setting decides between updating it and adding a duplicate. There is no action to delete, move or share an asset. And none of the four triggers is instant: Zapier checks MarcomGather on a timer, so a new asset appears in your Zap after the next check, not the moment it is uploaded.

On the free plan that check runs every 15 minutes, so plan your Zaps for that pace. If you are still sizing up Zapier as a tool, see our Zapier review.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the rest of this page. Here is each one, once, in plain terms.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier keeps watching for it without you.
Action
What the Zap does after it starts: the step that writes, sends or creates something in an app for you.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only the unseen ones.
Instant trigger
A trigger the app reports itself, the moment the event happens. None of MarcomGather's four triggers works this way.
Filter
A step that lets the Zap carry on only when the data meets a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes one, and it needs a paid plan.
Cost

What a MarcomGather Zap really costs

The trigger costs nothing, however often Zapier checks MarcomGather. Only an action that succeeds is billed, and a failed one is not counted against your plan.

  • Any MarcomGather trigger0 tasks
  • Each successful Create Assets1 task
  • Free plan100 tasks a month, two-step Zaps
  • MarcomGather on the free planYes

MarcomGather is not one of the apps Zapier keeps for paid plans, so it runs on the free plan: 100 tasks a month, unlimited Zaps, two steps each. New Asset plus one message fits. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. All four triggers are polling triggers, so the grid below sets how often Zapier looks for new items on each plan, and on paid plans that pace can be changed.

Connect

Connect MarcomGather to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a MarcomGather account, plus read or write access on anything you do not own and want the Zap to touch.

  2. 02

    Pick MarcomGather

Type MarcomGather in the search box of the dialog, choose it, then click Add connection. A new browser tab opens on the MarcomGather side, where you finish the link.

  3. 03

    Sign in and grant access

Log in to MarcomGather in that tab and let Zapier use the account. The connection then sits on the Apps page and serves every MarcomGather step in every Zap.

First Zap

Your first Zap: only the right new assets reach the team

GoalWhen a new asset lands in MarcomGather, keep only the ones that match your condition and post a message about them in your team chat.

  1. 01

    Set the trigger

Build a new Zap and pick MarcomGather as the starting app, with New Asset as the event. Choose your MarcomGather connection so Zapier knows which library to watch.

  2. 02

Test it on a real asset

Run the test. Zapier brings back the three most recent assets of the connected account, so you map the next steps on a real upload rather than on a guess.

  3. 03

    Add the filter

Add a Filter step from the plus icon and set the field to look at, the rule and the value. Pick a text rule for text and a number rule for numbers, or it never passes.

  4. 04

    Add the message

Add the action of your team chat and write the message from what the test returned for the asset. Check in the test result which fields MarcomGather actually sends.

  5. 05

    Test and publish

Test each step, read what came back, then click Publish. The filter makes this a multi-step Zap, so it runs on a paid plan. For guided practice, see our Zapier training.

Triggers

The four MarcomGather triggers

4 events start a Zap when something happens in MarcomGather. Zapier checks for them at the interval your plan allows.

1

New Asset

Polling trigger

In Zapier“Triggers when a new asset has been uploaded in MarcomGather.”

Starts your Zap each time someone uploads a fresh asset to your MarcomGather library, and passes that asset to the steps that follow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
your designers drop final files into the library and the marketers who use them should hear about each one without checking.
Watch out
if the same Zap also runs Create Assets in that library, it may set itself off again, so keep the two apart.
2

New Group

Polling trigger

In Zapier“Triggers when a new group is created in MarcomGather.”

Your Zap runs when a group is created in MarcomGather, so another tool can log it or tell someone about it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
whoever looks after the library keeps a list of groups in a spreadsheet and wants each new one added there with no copying by hand.
Watch out
groups created before the Zap goes live are never picked up, so start the sheet from the existing list.
3

New Lightbox

Polling trigger

In Zapier“Triggers when a new lightbox is created in MarcomGather.”

Picks up every lightbox someone creates in MarcomGather and hands it to the next step of the Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a colleague assembles a lightbox for a campaign and the person who will review it should get a task in your project tool.
Watch out
Zapier remembers the lightboxes it has already seen, so editing one later does not start the Zap a second time.
4

New User

Polling trigger

In Zapier“Triggers when a new user is created in MarcomGather.”

Fires a Zap for each user added to your MarcomGather account, which turns an account change into something your other tools can follow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want a running list of who has access to the brand library, kept in a sheet the rest of the team can read.
Watch out
the test brings back the three most recent users, so read them to see which details MarcomGather sends before you map anything.
Actions

The MarcomGather action

MarcomGather gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Assets

Action

In Zapier“Creates assets in my MarcomGather library.”

Puts a file into your MarcomGather library from a link, a name and a size that an earlier step provides.

When to use it
finished files land in another storage tool and should reach the brand library without a manual upload.
Watch out
the name needs its extension and the size must be in bytes. Override Existing Asset set to Yes updates an existing asset; No creates a duplicate.
When it breaks

When a MarcomGather Zap breaks

Zapier links no help article to MarcomGather, so these are the failures every Zap can run into.

Most of them come from how Zaps work, not from MarcomGather. If a run still looks wrong after these checks, read our Zapier troubleshooting guide.

  • Last month's assets never show up

A Zap only reacts to what happens after you switch it on. Assets uploaded before that are not picked up, and moving that backlog is a separate job.
  • A library that feeds itself

A Zap that writes into the very place its own trigger watches, like New Asset with Create Assets, can set itself off again and again and burn through tasks.
  • A bulk upload held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.
  • No double start on one asset

On a polling trigger, Zapier keeps track of what it has already seen, so the same asset does not start the Zap a second time.

FAQ

MarcomGather and Zapier: your questions

01Is the MarcomGather Zapier integration free?
Yes, it runs on Zapier's free plan. MarcomGather is not one of the apps Zapier keeps for paid plans. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. New Asset followed by one chat message fits. So does a file from another tool sent to Create Assets. As soon as you add a filter, like the one in the Zap on this page, or a second action, the Zap becomes multi-step and moves to a paid plan.
02How many tasks does a MarcomGather Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier can check MarcomGather for new assets all day without charging you; it only bills when an action completes. So a Zap where New Asset posts one message costs one task per new asset. Create Assets counts once per file it adds successfully, and a failed upload is not counted. Zapier notes that a few apps and actions take more than one task, so check your usage after the first real runs.
03Do MarcomGather triggers fire in real time?
No. All four are polling triggers: Zapier asks MarcomGather for new items at a fixed interval, then keeps only what it has not seen yet. On the free plan that check runs every 15 minutes, on Professional every 2, on Team and Enterprise every minute. The type comes from MarcomGather's own integration and cannot be changed in the editor. On paid plans you can adjust how often a polling trigger checks, and run a check by hand from the editor.
04What do you need to connect MarcomGather to Zapier?
A MarcomGather account, plus read or write access on anything you do not own and want the Zap to touch. Then open the Apps page in Zapier, click + Add connection, search for MarcomGather and pick it, and click Add connection. Sign in to MarcomGather in the tab that opens and grant access. That single connection is reused by every MarcomGather step in every Zap, so you set it up once per account.
05What file size format does Create Assets expect?
Bytes. The File Size field is required, and MarcomGather asks for the size in bytes, not in KB or MB, when you set up the Zap. File Name is just as strict: it must carry the extension, MyFile.jpg rather than MyFile. File URL is the third required field. Map all three from the source step, then run the test on a real file and read what MarcomGather sends back before you publish.
06What if the MarcomGather operation you want is missing?
Then Zapier does not offer it today. The editor shows four triggers (New Asset, New Group, New Lightbox, New User) and one action, Create Assets, with no search and no way to delete or move an asset. Handle that part inside MarcomGather and automate around it with what exists, such as announcing a new asset or feeding the library from another tool. Before you plan a new Zap, open the MarcomGather page on Zapier: it shows the current list.
07Zapier, Make or n8n for MarcomGather?
Decide on criteria, not on a ranking. Speed: on Zapier, every MarcomGather trigger is polled, so check how each platform starts a flow from the library. Coverage: Zapier offers four triggers and one action here; see whether the other tools list the operation your process depends on. Cost: Zapier bills successful actions and keeps the free plan to two steps, so count your monthly uploads and decide whether you need filters. Put those three answers side by side.
