What the Markate Zapier integration covers

The Markate Zapier integration reads ten kinds of new events from your Markate account (calls logged by its AI receptionist, customers, groups, sources, estimates, invoices, leads, lead labels, and work orders scheduled or completed) and lets other tools act on them. It writes back in three ways: a new customer, a new lead, a new customer source.

Three results people build with it. A follow-up that goes out after the job: Work Order Completed starts a Zap when a job is marked completed or invoiced, and your email tool sends the next message. Leads that never sit unseen: New Lead picks up each lead and a message reaches the team, so nobody has to open Markate to spot it. Contacts that arrive without retyping: a form or another CRM sends people to Markate through Create Lead or Create Customer.

What Zapier does not do for Markate is just as useful to know. There is no search step, so a Zap cannot check whether a customer already exists before Create Customer runs. There is no action to update, delete or schedule anything: the writing side stops at three create actions. And all ten triggers are polling triggers, so Zapier finds new items on a timer set by your plan, never the instant they appear.

    In your Zapier account, go to Apps and click + Add connection. You need a Markate account first, plus read or write access on anything you do not own and want the Zap to touch.

    Type Markate in the search box of the dialog, choose it from the results, then click Add connection. A new browser tab opens on the Markate side to finish the link.

First Zap

    Run the test. Zapier brings back the three most recent work orders of the connected account, so you map the next steps on a real job rather than on a guess.

    Add the filter

    Add a Filter step from the plus icon and set the field, the rule and the value. Pick a text rule for text and a number rule for numbers, or the filter never passes.

    Write the email

    Add the action of your email tool and build the message from the work order the test returned. Check in the test result which customer details Markate actually sends.

    Test and publish

    A Zap only reacts to what happens after you switch it on. Leads, invoices or jobs created before that are not picked up; moving the backlog is a separate job.
  • A Zap that keeps restarting

    A Zap that writes into the place its own trigger watches, like New Lead with Create Lead, can set itself off again and again and burn through tasks.
  • A bulk import held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration into Markate, Zapier's flood protection can hold those runs back.
  • No double start on one item

    On a polling trigger, Zapier keeps track of what it has already seen, so the same lead or invoice does not start the Zap a second time.

Markate and Zapier: your questions

01Is the Markate Zapier integration free?
Yes, it works on Zapier's free plan. Markate is not one of the apps Zapier reserves for paid plans. The free plan gives 100 tasks a month and unlimited Zaps, each capped at two steps: one trigger, one action. New Lead followed by one chat message fits. So does a form entry followed by Create Lead. The Zap on this page adds a filter, which makes it multi-step and moves it to a paid plan.
02How many tasks does a Markate Zap use?
One task per action that succeeds, nothing for the trigger. Zapier can check Markate for new leads, estimates and invoices all day without charging; only a completed action counts. A Zap where Work Order Completed sends one email costs one task per finished job that passes the filter. Create Lead, Create Customer and Create Customer Source count once each time they succeed, and a failed attempt is not counted. Zapier notes that a few apps and actions use more than one task, so check your usage early.
03Do Markate triggers fire in real time?
No. All ten are polling triggers: Zapier asks Markate for new items at a fixed interval and keeps only the ones it has not seen. On the free plan that check happens every 15 minutes, on Professional every 2, on Team and Enterprise every minute. The type comes from Markate's own integration and cannot be switched in the editor. On paid plans you can change how often a polling trigger checks, and run a check by hand from the editor when you need it.
04What do you need to connect Markate to Zapier?
A Markate account, plus read or write access on anything you do not own and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for Markate and pick it, then click Add connection. Sign in to Markate in the tab that opens and grant Zapier access. That one connection then serves every Markate step in every Zap, whether it watches leads or creates customers, so you only set it up once per account.
05What do the Markate create actions need before they run?
A few required values, and they differ by action. Create Lead needs a Customer Type and a Name. Create Customer needs a Customer Type and a First Name. Create Customer Source only needs a Name. Customer Type deserves a check before you build: the value you map has to match one of the customer types your Markate account uses. Check that the app starting your Zap carries such a value, then run the test and read what Markate sends back.
06What if the Markate operation you want is not listed?
Then Zapier does not offer it today. The editor shows ten triggers and three create actions for Markate, with no search and nothing to update, schedule or delete. Keep those steps inside Markate and automate what surrounds them: a lead coming in, a job finishing, an invoice going out, a call to return. Before you plan a new Zap, open the Markate page on Zapier: it shows the current list of operations.
