What the Mautic Zapier integration is good at
Zapier links apps without code. Mautic, the open-source marketing automation tool, plugs into it mostly as a source: a contact is created, opens an email, fills a form, visits a page or gains points, and a Zap starts right away. On the way back in, one action creates or updates a contact.
Three outcomes that rely on real operations. Hot leads flagged on the spot: Contact Points Changed fires the moment a contact's score moves, so a Zap can react right away. Form answers that reach your other tools: New Form Entry watches one Mautic form and hands every submission to the next step. A cleaner contact base: Create or Update Contact writes a contact without creating a duplicate when the person already exists.
What Zapier does not do for Mautic: there is no search step, so a Zap cannot look up a contact or a segment before acting. There is no action to send an email, add a tag or move someone between segments either. The one action handles contacts, nothing else.
The good news is speed. All six triggers are instant, so the polling grid of the plans never slows them down, even on the free plan. If you are weighing platforms, the Mautic n8n integration and the Mautic Make integration list what the other two offer for the same app.
Zapier words in one minute
Seven words come back on this page. Here they are in plain English, once each.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, for example a new Mautic form entry.
- Action
- What the Zap does once it has started: the step that writes or sends something for you, such as updating a contact.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger, like all six of Mautic's, is reported by the app as it happens.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Connection
- Your Mautic account linked to Zapier once, then reused by every Mautic step of every Zap you build.
What a Mautic Zap really costs
Mautic is not a premium app, so it runs on the free plan. Zapier bills in tasks, and the triggers here cost nothing.
- Free plan100 tasks per month
- Free plan limit2 steps per Zap
- Premium appNo
- Instant triggers6 of 6
A trigger never costs a task, so a Zap that fires on every email view only spends when an action completes. Each successful action is one task; a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. Add a filter, to react only to scores above a threshold for example, and the Zap becomes multi-step and needs a paid plan. The interval grid below applies to polling triggers only, and Mautic has none.
Connect Mautic to Zapier in 3 steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. Search for Mautic in the dialog and pick it from the results. Check the name before you confirm.
- 02
Sign in to Mautic
Click Add connection. A new tab opens on your Mautic instance. Sign in with an account that can see the contacts, forms and emails you want your Zaps to use.
- 03
Grant access
Approve the access Zapier asks for. The connection is stored under Apps and reused by every Mautic step, so each Zap you build later skips this part entirely.
Your first Mautic Zap: event signups written onto the contact
GoalEach time someone fills your event signup form, create or update the matching Mautic contact.
- 01
Pick the trigger
Create a Zap, choose Mautic and
New Form Entry, then pick your event signup form. Test it: Zapier brings back the three most recent entries so you map a real one. - 02
Add a filter
Click the plus icon, choose Filter, then set the field (email), the rule and the value. Entries without an address stop here. The Zap becomes multi-step.
- 03
Add Create or Update Contact
Pick Mautic as the action app and
Create or Update Contact. Map the email and the answers from the form onto the contact fields you want filled. - 04
Test the action
Run the test once and open the contact in Mautic. If it already existed, it should be updated, not duplicated. That is the point of this action.
- 05
Publish
Click Publish to switch the Zap on. Only entries submitted after that click go through: earlier signups stay as they are.
Mautic triggers on Zapier
6 events start a Zap when something happens in Mautic, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.
New Contact
Instant triggerIn Zapier“Triggers when a new contact is created.”
Starts a Zap each time a contact is created in Mautic, whatever brought them in. It is the cleanest entry point when every new person in your base should also exist in another tool.
Updated Contact
Instant triggerIn Zapier“Triggers when an existing contact is updated.”
Fires when an existing contact changes in Mautic. Any edit counts, so it catches what your campaigns and your team modify on a contact over time.
Email Viewed
Instant triggerIn Zapier“Triggers when a contact views a specific email.”
Reacts when a contact views a specific email you sent from Mautic. You choose the email, and the Zap hears about each person who opens it.
New Form Entry
Instant triggerIn Zapier“Triggers when a form is submitted.”
Picks up each submission of a Mautic form and passes the answers to the next steps. It is the natural starting point when Mautic hosts your forms.
New Page Hit
Instant triggerIn Zapier“Triggers when a landing page is visited by a contact.”
Signals that a known contact has visited one of your Mautic landing pages. You learn who looked, not just how many people did.
Contact Points Changed
Instant triggerIn Zapier“Triggers on a contact points change.”
Goes off whenever a contact's points change in Mautic, up or down. Since scoring is how Mautic rates interest, this is the trigger for lead qualification.
The Mautic action on Zapier
Mautic gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Create or Update Contact
ActionIn Zapier“Creates a new contact or updates and existing contact.”
Writes a contact into Mautic: it creates a new one, or updates the existing record when the person is already there. One step covers both cases, which keeps duplicates out.
When a Mautic Zap breaks
Zapier attaches no help article to Mautic and documents no rate limit specific to it. What breaks comes from the triggers' own logic and from rules that apply to every Zap.
Most cases show up in the first days, when real traffic hits the Zap. Here is what to rule out; the Zapier troubleshooting page covers the wider picture.
The update loop
Create or Update Contact changes a contact, which fires Updated Contact. A Zap that does both sets itself off again and again and burns tasks fast.Empty form list
New Form Entry requires a Form. If the form does not exist yet, or the connected account cannot see it, there is nothing to pick.Nothing from before the Zap
A Zap only reacts to events after it is switched on. Past form entries, views or score changes are never replayed; moving them is a separate job.Flood after an import
A bulk import fires New Contact for every row. Zapier's flood protection can hold back a batch that large instead of running it all.
