What the MC Professional Zapier integration actually does

MC Professional is association management software: it keeps an association's members, events and invoicing in one place. On Zapier it is mostly a source of events. Eight triggers report invoices, new members and event registrants, one action records education credits and one search finds profiles.

Three outcomes cover most of what you can build. A finance log that keeps itself. Invoice Created, Invoice Paid, Invoice Partial Payment Created, Invoice Refunded and Invoice Voided each start a Zap, so every step of an invoice can land as a row in the sheet your treasurer reads. A welcome for every new member. New Member Join From Membership Form starts a Zap the moment someone joins through a form, ready to notify the team. Credits that follow attendance. Event Registrant Created starts the Zap, Find Profiles looks up the person and Create Continuing Education Credit records the credit.

What Zapier does not do here matters as much. The only thing a Zap can write into MC Professional is a continuing education credit: no member, invoice or registrant can be created or changed from Zapier. The credit needs a profile that already exists, because the action asks for its Profile ID. And the triggers only report what happens after the Zap is on. Connect MC Professional to Zapier in three steps

Find Profiles

Search

When to use it
a registrant comes in and you need their profile before recording an education credit for them.
Watch out
no input field is flagged as required, so check at test time what it searches on and whether it returns the Profile ID.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create on apps that offer it. MC Professional exposes no find-or-create variant, so a missing profile is not created.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When an MC Professional Zap breaks

Zapier attaches no help article to MC Professional and lists no rate limit for it, so the traps below are the general ones that apply to any Zap, plus the one the credit action spells out.

Most problems appear in the first runs, when old invoices, a missing profile or a big import meets a freshly published Zap. When a run fails and the cause is not clear, see our Zapier troubleshooting guide.

  • Nothing from before the Zap

    A Zap reacts only to what happens after you switch it on. Invoices paid or members who joined earlier are not picked up; moving that backlog is a separate job.
  • A credit without a profile fails

    Create Continuing Education Credit needs the Profile ID of an existing profile. Without that identifier the action fails, so look the profile up first and check at test time that the ID comes through.
  • A huge batch held back

    After a bulk import or a migration, a trigger can suddenly return a large batch. Zapier's flood protection can hold that batch back instead of running it all.
  • An empty search stops the Zap

    On its default setting, a Find Profiles step that finds nothing stops the Zap there, and the credit after it is skipped for that run.

01Is the MC Professional Zapier integration free?
Yes, as long as the Zap stays at two steps. MC Professional is not one of the apps Zapier reserves for paid plans, so any of its 8 triggers followed by one action runs on the free plan, with 100 tasks a month and as many Zaps as you like. The catch is the credit workflow: looking up a profile with Find Profiles before Create Continuing Education Credit adds a step, and that needs a paid plan.
02How many tasks does an MC Professional Zap use?
One per action that succeeds, and nothing for the trigger. A Zap that logs each paid invoice as a spreadsheet row uses one task per invoice. Zapier receiving the event from MC Professional costs nothing, and an action that fails is not counted against your 100 monthly tasks on the free plan. If one Zap also posts a message after the row, each invoice uses two tasks, so estimate your invoice volume before stacking actions.
03Is MC Professional on Zapier real time?
Yes for all 8 triggers. Each one is instant: MC Professional reports the event to Zapier itself instead of Zapier checking on a timer, so the interval grid of the plans does not apply and a free account starts as fast as an Enterprise one. 04What does it take to connect MC Professional to Zapier?
An MC Professional account and a Zapier account. You add the connection from the Apps page with + Add connection, sign in to MC Professional in the tab that opens and allow Zapier to use the account. If the Zap should touch records your account does not own, it needs read or write access to them first. One connection is then reused by every MC Professional step, in every Zap, so you set it up once per account.
05Why does Create Continuing Education Credit fail?
Check the Profile ID first. The action requires the ID of a profile that already exists in your MC Professional account, and without that identifier it fails. A name or an email is not enough. One way is to put Find Profiles before the action and, if its test shows the ID, map it; that makes the Zap multi-step. Also check the two dates: Start Date and End Date both expect the MM/DD/YYYY format.
06What if the MC Professional operation you want is not there?
Then Zapier cannot do it with MC Professional today. The editor offers 8 triggers, one action, Create Continuing Education Credit, and one search, Find Profiles. There is no action to create a member, an invoice or a registrant, and nothing to update or delete. Those events can still start a Zap and feed other apps.
