Overview

What the Mobile Tech RX Zapier integration actually does

Zapier links Mobile Tech RX, the estimating and invoicing software built for auto reconditioning businesses, to the rest of your tools. A Zap (the automation you build on Zapier) starts on an event in one app and acts in another, so what happens on an estimate or an invoice reaches the people who need it.

Three results stand out with this app. First, payments that reach your books: Invoice Paid starts a Zap when the payment status of an invoice changes, and an accounting or spreadsheet step records it. Second, a shop floor that knows what is coming: Workorder Created and Workorder Assigned tell the team chat when a job is opened or handed to a technician. Third, clients kept in step with your CRM: Client Created/Updated pushes changes out, and Create or Update Client brings new customers in from a form or a CRM.

Now what Zapier does not do for Mobile Tech RX. Almost everything is a trigger: there is only one action, so a Zap cannot create an estimate, an invoice or a workorder in the app. The five searches only read. And several triggers overlap, such as Client Created and Client Created/Updated, so picking the narrow one keeps runs to the events you need.

Before you build, see our Zapier review and our n8n vs Zapier comparison.

Vocabulary

Zapier vocabulary in one minute

Eight words come back all through this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or updates something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan is a count of those.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens. All 28 Mobile Tech RX triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Mobile Tech RX has none of these.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes one, and it then needs a paid plan.
Cost

What Mobile Tech RX on Zapier really costs

Mobile Tech RX is not a premium app (an app Zapier keeps for paid plans and free trials), so it works on the free plan. Zapier bills in tasks, and only actions produce them.

  • Free plan100 tasks a month
  • Zaps on the free planUnlimited, two steps each
  • TriggerNever billed
  • Failed actionNot counted

The trigger never costs a task, however many estimates or invoices change. Each action that succeeds costs one; one that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps of two steps. A filter or one of the five searches makes the Zap multi-step, and it then needs a paid plan. The interval grid below is how often Zapier checks a polling trigger; it does not apply to the 28 Mobile Tech RX triggers, which are all instant.

Connect

Connect Mobile Tech RX to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your Mobile Tech RX account linked to Zapier once, then reused by every Mobile Tech RX step.

  2. 02

    Pick Mobile Tech RX

Search Mobile Tech RX in the dialog, select it, then click Add connection. You need a Mobile Tech RX account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

A tab opens on Mobile Tech RX. Sign in with the account your Zaps should act for, then grant Zapier access to it. That account can then be picked in any Mobile Tech RX step.

First Zap

Your first Zap: record paid invoices in your accounting tool

GoalEach Mobile Tech RX invoice whose payment status meets your condition gets an entry in the accounting tool.

  1. 01

    Create the Zap

From your Zapier dashboard, start a new Zap. Pick Mobile Tech RX as the app that starts it, Invoice Paid as the event, then the connection you just added.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent invoice events of the connected account; read which payment status values come through.

  3. 03

    Add the filter

Add a Filter step from the plus icon and set its three boxes: the field to look at, the rule and the value. The filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the accounting step

Add your accounting tool with its event for a new entry. Map the invoice values the trigger test returned, then run the action test once.

  5. 05

    Publish

Read what came back in the accounting tool, then click Publish to switch the Zap on. From then on, each matching invoice gets its entry.

Triggers

Mobile Tech RX triggers

28 events start a Zap when something happens in Mobile Tech RX, and 28 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Client Created

Instant trigger

In Zapier“Triggers when a client is first created.”

Fires once, when a client is first added to Mobile Tech RX, and hands that new customer to the next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every new customer should land in your email tool or CRM without being typed twice.
Watch out
later edits to that client do not start it again; Client Created/Updated covers those.
2

Client Deleted

Instant trigger

In Zapier“Triggers when a client is deleted.”

Reacts when someone removes a client from Mobile Tech RX, so the other tools that hold that customer can follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a deleted client should be flagged in your CRM or removed from a mailing list, so nobody keeps writing to them.
Watch out
check at test which client details still come through once the record is gone.
3

Client Created/Updated

Instant trigger

In Zapier“Triggers when major changes occur to a client, including creation.”

Starts on major changes to a client, creation included, which makes it the broad version of the client triggers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want a spreadsheet or a CRM to mirror your client list, new entries and edits alike.
Watch out
if a later step writes clients back with Create or Update Client, check at test that the Zap does not set itself off again.
4

Estimate Closed

Instant trigger

In Zapier“Triggers when an estimate is closed.”

Goes off when an estimate is closed in Mobile Tech RX and passes it to the steps that follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a closed estimate should update the matching deal in your CRM, so the sales view matches the shop.
Watch out
an estimate can be re-opened later; Estimate Re-Opened catches that case if you need to undo the update.
5

Estimate Created

Instant trigger

In Zapier“Triggers when you assign a client to the document for the first time. Triggers only once per document.”

Runs the first time you assign a client to an estimate, and only once per document, rather than when the blank estimate appears.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
each new quote for a customer should open a follow-up task for whoever chases estimates.
Watch out
an estimate without a client never starts it; assign the client to see it fire.
6

Estimate Deleted

Instant trigger

In Zapier“Triggers when an estimate is deleted.”

Signals that an estimate was deleted, so whatever you built from it elsewhere can be cleaned up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a deal or a task created from that estimate in another tool should be closed or archived.
Watch out
check at test what the trigger still returns about a deleted estimate before mapping it.
7

Estimate Re-Opened

Instant trigger

In Zapier“Triggers when an estimate is re-opened. This would only happen after the estimate has been closed.”

Fires when a closed estimate is opened again; it cannot happen on an estimate that was never closed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a customer comes back on a quote you had closed, and the person who handled it should hear about it in the team chat.
Watch out
pair it with Estimate Closed if another tool tracks the open or closed state.
8

Estimate Total Changed

Instant trigger

In Zapier“Triggers when an estimate total changed.”

Watches the amount of an estimate and starts a Zap each time that total changes.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the value of a deal in your CRM should follow the estimate as the estimate is edited in the shop.
Watch out
a busy estimate can change total several times, and each change runs the Zap, so each action counts a task.
9

All Estimate Events

Instant trigger

In Zapier“Triggers when anything changes on an estimate, including creation.”

Catches anything that changes on an estimate, creation included: the widest of the estimate triggers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you keep a full log of estimate activity in a spreadsheet and want every change recorded.
Watch out
it fires on many events, so pick a narrower trigger when you only care about one, or add a filter on a paid plan.
10

Vehicle Added to Estimate

Instant trigger

In Zapier“Triggers when a vehicle is added to an estimate.”

Starts when a vehicle is attached to an estimate, so each vehicle can be tracked on its own.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a customer has several cars on one quote and your planning sheet needs one row per vehicle.
Watch out
run the test on a real estimate to see which vehicle details come through.
11

Vehicle Approved on Estimate

Instant trigger

In Zapier“Triggers when a vehicle is approved on an estimate.”

Fires the moment a vehicle on an estimate is approved, one vehicle at a time.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an approval should create a job in your calendar or alert the team in chat.
Watch out
approval is per vehicle, so an estimate with several vehicles can start the Zap several times.
12

Vehicle Rejected on Estimate

Instant trigger

In Zapier“Triggers when a vehicle is rejected on an estimate.”

Reacts when a vehicle on an estimate is rejected, the mirror of the approval trigger.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
each rejection should go to a spreadsheet that keeps track of lost work, with the estimate it came from, so the pattern is easy to read later.
Watch out
like approvals, it counts vehicle by vehicle, not estimate by estimate.
13

Vehicle Removed From Estimate

Instant trigger

In Zapier“Triggers when a vehicle is removed from an estimate.”

Each vehicle taken off an estimate starts this one, so a list built from added vehicles can shrink too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your planning sheet adds a row with Vehicle Added to Estimate and must drop it when the car leaves the quote.
Watch out
removing a vehicle is not the same as rejecting it; use Vehicle Rejected on Estimate for that.
14

Invoice Closed

Instant trigger

In Zapier“Triggers when an invoice is closed.”

Fires when an invoice is closed in Mobile Tech RX and hands it over to the next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a closed invoice should trigger a thank-you email or a review request to the customer.
Watch out
closed and paid are separate events here; Invoice Paid follows the payment status.
15

Invoice Created

Instant trigger

In Zapier“Triggers when an invoice is generated from a workorder or manually. Triggers only once per document number.”

Starts when an invoice is generated, either from a workorder or by hand, and only once per document number.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every new invoice should be copied into your accounting tool as a draft to check.
Watch out
later edits do not start it again; All Invoice Events or Invoice Total Changed cover those.
16

Invoice Deleted

Instant trigger

In Zapier“Triggers when an invoice is deleted.”

A deleted invoice lands here, so records built from it elsewhere do not linger as if it still existed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the matching line in your bookkeeping spreadsheet should be marked as void, so nobody chases it.
Watch out
check at test what the trigger still returns about a deleted invoice.
17

Invoice Re-Opened

Instant trigger

In Zapier“Triggers when an invoice is re-opened. This would only happen if the invoice was closed.”

Reopening a closed invoice is what sets this one off; an invoice that was never closed cannot start it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an invoice reopened for a correction should alert whoever already sent it to accounting.
Watch out
use it with Invoice Closed if another tool mirrors the invoice state.
18

Invoice Paid

Instant trigger

In Zapier“Triggers when an invoice payment status changes.”

Despite its name, it starts whenever the payment status of an invoice changes, not only when it becomes paid.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
payments should be recorded in your accounting tool or announced to the team.
Watch out
add a filter on the status, which needs a paid plan, if only one status should go through.
19

Invoice Total Changed

Instant trigger

In Zapier“Triggers when an invoice total changed.”

Tracks the amount of an invoice and starts a Zap whenever that total moves, up or down.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the amount in your accounting draft should follow corrections made in the shop.
Watch out
every change of total is one run, and each action in it one task.
20

All Invoice Events

Instant trigger

In Zapier“Triggers when anything changes on an invoice, including creation.”

Catches every change on an invoice, creation included, the broadest invoice trigger of the app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an audit sheet should keep one line per invoice event, whatever it is.
Watch out
it overlaps with the eight other invoice triggers; avoid running it alongside them on the same data.
21

Vehicle Added to Invoice

Instant trigger

In Zapier“Triggers when an invoice has a vehicle added.”

Adding a vehicle to an invoice runs this trigger, once for each vehicle added to the bill.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a vehicle history spreadsheet should log each car billed, with the invoice it belongs to.
Watch out
check at test which vehicle details your account returns before building columns.
22

Vehicle Removed From Invoice

Instant trigger

In Zapier“Triggers when an invoice has a vehicle removed.”

Taking a vehicle off an invoice is the event here, so a vehicle log can stay accurate.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the row added by Vehicle Added to Invoice in your history sheet should be flagged when the car leaves the bill.
Watch out
check at test which details come through for a removed vehicle before mapping them.
23

Workorder Assigned

Instant trigger

In Zapier“Triggers when a technician or work assignment is changed on the workorder.”

Reacts when the technician or work assignment on a workorder changes, so the right person learns about the job.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a technician should get a chat message or an email as soon as a job is assigned to them.
Watch out
a reassignment fires it again, which is what you want for alerts but not for one-time records.
24

Workorder Closed

Instant trigger

In Zapier“Triggers when a workorder is closed.”

Closing a workorder starts this one: the natural end point of a job in Mobile Tech RX.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the team should hear in chat that a job is finished, so the customer can be told.
Watch out
closing the workorder does not mean an invoice exists yet; Invoice Created is a separate event.
25

Workorder Created

Instant trigger

In Zapier“Triggers when a workorder is generated off an estimate or created manually. Triggers only once per document number.”

New workorders, generated from an estimate or created by hand, start this trigger once per document number.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
each new job should appear in a shared calendar or a planning board outside the app.
Watch out
later changes need All Workorder Events or Workorder Total Changed instead.
26

Workorder Deleted

Instant trigger

In Zapier“Triggers when a workorder is deleted.”

Signals that a workorder was removed, so a calendar slot or a board card built from it can go too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the job you planned with Workorder Created should be cancelled in the calendar.
Watch out
check at test what the trigger returns once the workorder no longer exists.
27

Workorder Total Changed

Instant trigger

In Zapier“Triggers when an workorder total changed.”

Follows the amount of a workorder and starts a Zap each time the total changes.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want to know in the team chat when a job grows beyond what was planned.
Watch out
add a filter, on a paid plan, if only some changes deserve an alert.
28

All Workorder Events

Instant trigger

In Zapier“Triggers when anything changes on a workorder, including creation.”

Any change on a workorder, creation included, sets off this one: it is the widest workorder trigger of the app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a dashboard spreadsheet should hold the latest state of every job.
Watch out
it overlaps with the five other workorder triggers; choose a narrower one when a single event matters.
Actions

Mobile Tech RX action

Mobile Tech RX gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Client

Action

In Zapier“Creates a new client or updates an existing client in MobileTechRX based on search criteria.”

Adds a client to Mobile Tech RX, or updates an existing client based on search criteria. It is the only way a Zap writes into the app.

When to use it
new leads from a web form or a CRM should exist as clients before the first estimate.
Watch out
check at test which criteria the step offers to match an existing client.
Searches

Mobile Tech RX searches

5 search steps look for data that already exists in Mobile Tech RX, so a later step can use it.

A search step finds something that already exists and hands it to the next steps. In the editor, Mobile Tech RX searches sit at the bottom of the action list, under SEARCH. Each one asks how to identify the item in a required Search By field, and typing zapier_sample in any field returns sample data for testing.

1

Find Client

Search

In Zapier“Search for a client by email, phone, or unique ID. Use "zapier_sample" in any field to test with sample data.”

Looks up a client by email, phone or unique ID, chosen in Search By, and passes the client on.

When to use it
a payment arrives in another tool with only an email, and you need the matching Mobile Tech RX client.
Watch out
whether the value must match exactly is decided by Mobile Tech RX; check at test.
2

Find Estimate

Search

In Zapier“Search for an estimate by number or unique ID. Use "zapier_sample" in any field to test with sample data.”

Retrieves an estimate from its number or unique ID, so later steps can use its details.

When to use it
a customer replies to an email quoting the estimate number, and the reply should be linked to it.
Watch out
the number has to reach the Zap from the trigger app; check it at test.
3

Find Invoice

Search

In Zapier“Search for an invoice by number or unique ID. Use "zapier_sample" in any field to test with sample data.”

Finds an invoice by number or unique ID and hands it to the steps after it.

When to use it
your payment tool records an invoice number, and you want the full Mobile Tech RX invoice before posting it to accounting.
Watch out
adding this search makes the Zap multi-step, on a paid plan.
4

Find User

Search

In Zapier“Search for a user by email or unique ID. Use "zapier_sample" in any field to test with sample data.”

Fetches a Mobile Tech RX user, from an email or a unique ID, for steps that need who did something.

When to use it
you have a user's email from another tool and a later step needs that user's details.
Watch out
check at test which user details come back before mapping them.
5

Find Workorder

Search

In Zapier“Search for a workorder by number or unique ID. Use "zapier_sample" in any field to test with sample data.”

Locates a workorder by number or unique ID and passes it on to later steps.

When to use it
you have a workorder number from another tool and your report needs the job details.
Watch out
use zapier_sample to test the step before real workorder numbers flow in.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. Mobile Tech RX offers no such variant on Zapier; Create or Update Client covers clients.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Mobile Tech RX Zap breaks

Zapier ties no help article to Mobile Tech RX, so the limits below are the general ones that apply to any Zap built on it.

These cases depend on what the Zap expects, not on Mobile Tech RX itself. Four are worth knowing before you publish. For anything else, see our Zapier troubleshooting guide.

  • Past documents never come through

A Zap reacts only to what happens after you switch it on. Estimates, invoices and workorders from before are not picked up; moving them is a separate job.
  • A Zap that keeps restarting

A Zap that writes into the very place its own trigger watches can set itself off again and again, and burns through the task count fast. Check at test.
  • A bulk import held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.
  • A search on the free plan

The free plan builds two-step Zaps only. Any of the five searches, or a filter, makes the Zap multi-step, and it then needs a paid plan.

FAQ

Mobile Tech RX Zapier integration: frequently asked questions

01Is the Mobile Tech RX Zapier integration free?
Yes, for Zaps of two steps. Mobile Tech RX is not a premium app, so the free Zapier plan accepts it: 100 tasks a month and an unlimited number of Zaps, each made of one trigger and one action. A Zap from Workorder Closed to a chat message fits that limit. The invoice Zap on this page adds a filter, so it becomes multi-step and needs a paid plan, as does any Zap that uses one of the five searches.
02How many tasks does a Mobile Tech RX Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap from Invoice Paid to your accounting tool costs one task per invoice that passes the filter. Broad triggers matter here: All Estimate Events or Invoice Total Changed can run many times on the same document, and each run with an action costs a task. An action that fails is not counted. Pick the narrowest trigger that does the job.
03Does Mobile Tech RX trigger Zaps in real time?
Yes. All 28 Mobile Tech RX triggers are instant: the app tells Zapier when the event happens, and the Zap starts right away whatever your plan. The polling interval of the plans, 15 minutes on Free, does not apply to any of them. The type comes from the app itself and cannot be changed from the editor. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does connecting Mobile Tech RX to Zapier require?
A Mobile Tech RX account, plus read or write access on anything you do not own yourself and want the Zap to touch. You start on the Apps page of your Zapier account with + Add connection, search Mobile Tech RX, click Add connection, sign in in the tab that opens, then grant Zapier access. The connection is then reused by every Mobile Tech RX step, from the 28 triggers to the five searches.
05Why does Invoice Paid fire on invoices that are not paid?
Because Invoice Paid starts whenever the payment status of an invoice changes, not only when it becomes paid. Any change of that status can start the Zap. To keep only the status you care about, run the trigger test, read the status values that come back, then add a filter on that field. The filter makes the Zap multi-step, so it needs a paid plan. Without it, every status change reaches the next step and costs a task.
06What if the Mobile Tech RX operation you need is missing?
Then this connection cannot do it today. The Mobile Tech RX page on Zapier shows the current list of triggers, actions and searches, which is what the editor offers. If what you need is not there, rework the Zap around what exists: a Zap cannot create an estimate or an invoice, but it can bring the client in with Create or Update Client and alert the person who will write the estimate. If the gap blocks the project, compare what other automation platforms offer.
07Zapier, Make or n8n for Mobile Tech RX?
Decide on criteria rather than on a ranking. Direction: on Zapier, Mobile Tech RX mostly sends events out, with 28 instant triggers, one action and five searches; check what each other platform lists for it if you need to write more into the app. Length: two-step Zaps run on the free Zapier plan, while a search or a filter needs a paid plan. Team: pick the tool the people maintaining it already know.
