Overview

What the Modern Maid Zapier integration does for you

The Modern Maid Zapier integration connects the scheduling app that cleaning businesses use for jobs, quotes and technicians to the rest of your tools. It works one way: Zapier watches Modern Maid, spots what is new or changed, and passes it to the next app of your Zap.

A signed quote that gets a reply. Quote Accepted tells your team chat that work is confirmed, and Quote Rejected or Quote Expired can feed a follow-up list. A paid job in your books. Paid Job adds each payment to a spreadsheet, without anyone copying the amounts over by hand. A schedule that reaches the team. Job Assignment and New Time Off Request pass changes in who works when to a calendar or a chat.

What Zapier does not do here: the integration has no action and no search, so a Zap cannot create a job, send a quote or update a customer in Modern Maid, nor look one up. All 17 triggers are polling ones, checked at your plan's interval, every 15 minutes on the free plan. A Zap only sees what happens after it is switched on, and each idea above fits the free plan as a two-step Zap. To weigh the tool itself, see our Zapier review, and to set it against another option, open our Make vs Zapier comparison.

Vocabulary

Zapier words, in plain English

Eight terms come back all through this page. Here they are, one line each, before you open the editor.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new job, a paid job or a quote reply.
Action
What the Zap does once it has started. Modern Maid has none, so the action always belongs to another app, like a chat or a sheet.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
Polling: Zapier checks the app on a timer and keeps what is new. Instant: the app reports the event itself. All 17 triggers here poll.
Filter
A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
Connection
Your Modern Maid account linked to Zapier one time, then reused by every Zap that watches it.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it then needs a paid plan.
Cost

What a Modern Maid Zap really costs

Zapier bills tasks, and a task is an action that worked. None of the 17 Modern Maid triggers costs one, however often Zapier checks your account.

  • Trigger0 tasks
  • Successful actionCounted as a task
  • Free plan100 tasks a month, two-step Zaps
  • Modern Maid triggers17 of 17 polling

Only the action in the other app counts, and only when it succeeds; a failed one is not counted. A three-action Zap eats three times what a one-action Zap does, and a few actions take more than one task. Modern Maid works on the free plan: 100 tasks a month, unlimited Zaps, two steps each. A filter or a second action makes the Zap multi-step, which needs a paid plan. The grid below is how often Zapier checks these triggers on each plan.

Connect

Connect Modern Maid to Zapier in three steps

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. In the dialog that opens, type Modern Maid in the search box and pick it from the list.

  2. 02

    Sign in to Modern Maid

Click Add connection. A new tab opens on Modern Maid: sign in with the business account whose jobs, quotes, customers and techs you want your Zaps to watch.

  3. 03

    Grant Zapier access

Approve the access Zapier asks for. You need an account on Modern Maid, plus read or write access on anything you do not own yourself and want the Zap to touch. Every Zap then reuses this connection.

First Zap

Your first Modern Maid Zap, step by step

GoalPost each accepted quote in your team chat, but only when it meets a condition you set.

  1. 01

    Build the trigger

Create a Zap, pick Modern Maid as the app that starts it and Quote Accepted as the event, then choose the connection you just made.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real accepted quote. Read what it carries first.

  3. 03

    Add the filter

Click the plus icon, add Filter and fill its three boxes: the field to look at, the rule, the value to compare with. A filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the message

Add your team chat app and its send-message action, then map the quote details from the trigger into the text. Test this step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. Quotes accepted from then on are picked up at your plan's interval; earlier ones are not.

Triggers

The 17 Modern Maid triggers

17 events start a Zap when something happens in Modern Maid. Zapier checks for them at the interval your plan allows.

1

Quote Accepted

Polling trigger

In Zapier“Triggers when the quote is accepted.”

Starts your Zap when a customer says yes to a quote, the moment a sale turns into work to plan.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a confirmed quote should reach the team chat or a sales sheet without anyone copying it over.
Watch out
the news arrives at the next check, not at the click, so allow for that gap.
2

Job Cancelation

Polling trigger

In Zapier“Triggers when a job is getting canceled.”

Picks up a job that gets canceled, so the people who planned around it are told.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a canceled job should free up a slot in a shared calendar or alert the tech who had it.
Watch out
check at the test what a canceled job carries before you map it.
3

Subscription Cancelation

Polling trigger

In Zapier“Triggers when a job subscription is canceled.”

Reacts when a job subscription is canceled in Modern Maid, so the change does not stay inside the app.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when each canceled subscription should land in a follow-up sheet or reach your team chat.
Watch out
check at the test what a canceled subscription carries before mapping it.
4

Customer Deleted

Polling trigger

In Zapier“Triggers when a customer is deleted.”

Fires when a customer record is deleted in Modern Maid, so other tools can follow the cleanup.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a mailing list or a spreadsheet keeps a copy of your customers and should not hold people you removed.
Watch out
run the trigger test and check which customer details still come through before mapping them.
5

Job Deleted

Polling trigger

In Zapier“Triggers when the job is deleted.”

Catches every job deleted in Modern Maid, so the copies kept elsewhere can follow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a calendar or a sheet mirrors your jobs and should drop the ones that no longer exist.
Watch out
run the test on a real deleted job and see which details come back before you rely on them.
6

Tech Deleted

Polling trigger

In Zapier“Triggers when the technician is removed/deleted.”

Goes off when a technician is removed from your account, the signal that someone has left the roster.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a staff sheet or your team chat should hear that someone was removed.
Watch out
check at the test which details of a deleted tech still come through.
7

Job Assignment

Polling trigger

In Zapier“Triggers when a job is assigned to a technician or team.”

Spots a job being given to a technician or a team, so the right people know what is on their plate.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when each assignment should reach the tech by message or show up in a team calendar.
Watch out
it covers both a tech and a team, so a filter on the assignee may be needed, on a paid plan.
8

Job Updated

Polling trigger

In Zapier“Triggers when a job is getting updated.”

Watches existing jobs and starts the Zap whenever one of them is edited.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a copy of your jobs in another tool has to keep up with the edits made in Modern Maid.
Watch out
a Zap that writes back to where its trigger watches can set itself off again, so test before you publish.
9

New Customer

Polling trigger

In Zapier“Triggers when a new customer is created.”

Brings each customer created in Modern Maid into your Zap, the natural start for a welcome or a contact list.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when new customers should join an e-mail list or a spreadsheet without manual entry.
Watch out
customers created before the Zap is published are not sent.
10

New Job

Polling trigger

In Zapier“Triggers when a new job is created.”

Fires each time a job is created, the natural starting point for planning the visit elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when every new job should become a calendar event, a row in a sheet or a note in a chat.
Watch out
read the three items of the trigger test before mapping, so you see which details a new job carries.
11

New Quote

Polling trigger

In Zapier“Triggers when a new quote is created.”

Notices each quote you create, before the customer has answered it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when quotes sent out should be listed in a sales sheet so nobody forgets to follow them up.
Watch out
quotes created before the Zap is published are not sent, and the same quote never starts it twice.
12

New Tech

Polling trigger

In Zapier“Triggers when a new technician is created.”

Reports each technician added to your account, so onboarding can start elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a new tech should land in a staff sheet or be announced in your team chat.
Watch out
techs added before the Zap is published do not come through.
13

Paid Job

Polling trigger

In Zapier“Triggers when a job is paid through an invoice/gets charged through the job details.”

Triggers once a job is paid, either through an invoice or charged from the job details.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when each payment should be logged in a sheet or announced in the team chat.
Watch out
two payment paths lead here, so check at the test what each one carries.
14

Quote Expired

Polling trigger

In Zapier“Triggers when a quote has expired.”

Flags a quote that ran out without an answer, a lead that may still be worth a call.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when expired quotes should land in a follow-up list or in your team chat.
Watch out
check at the test which details of an expired quote come through before you map them.
15

Quote Rejected

Polling trigger

In Zapier“Triggers when the quote is rejected.”

Records the no: the Zap starts when a customer turns a quote down, so the no is recorded somewhere useful.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when you keep a sheet of lost quotes to understand what does not convert.
Watch out
check at the test which details of the quote come through before you map them.
16

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when requests should reach the manager by message or appear in a shared calendar.
Watch out
it reports the request being created; approving it is not part of this integration.
17

Quote Update

In Zapier“Triggers when the quote details of a quote are updated.”

Reacts when the details of an existing quote are changed, so every copy stays right.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a sales sheet lists your quotes and has to show the latest version.
Watch out
a Zap that writes into what its trigger watches can set itself off again; test before you publish.
When it breaks

When a Modern Maid Zap breaks

Zapier attaches no help article to Modern Maid, so the cases below are the general limits that apply to any Zap built on it.

Four limits are worth knowing before you publish. If a Zap stops behaving, see our Zapier troubleshooting guide.

  • No catch-up on old jobs

A Zap only reacts to what happens after you switch it on. Jobs, quotes and customers already in Modern Maid are never picked up; moving them is a separate job.
  • A Zap that sets itself off

A Zap that writes into the very place its own trigger watches can set itself off again and again, and burn through your tasks fast.
  • A sudden flood held back

If a trigger suddenly returns a huge batch, after a bulk import of customers or a migration, Zapier's flood protection can hold it back.
  • The same job, once

Zapier keeps track of what it has already seen on a polling trigger, so the same job, quote or customer does not start the Zap twice.

FAQ

Modern Maid and Zapier: the questions people ask

01Is the Modern Maid Zapier integration free?
Yes. Modern Maid is not reserved for paid plans, so it works on Zapier's free plan. That plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. A Zap that adds each paid job as a row in a spreadsheet fits that frame. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. The trigger never costs a task, so only the action in the other app is counted.
02How many tasks does a Modern Maid Zap use?
One per action that succeeds in the other app, and none for the trigger. Modern Maid has no action, so it never spends tasks itself: if your Zap posts a chat message for each accepted quote, each message that goes out is one task. A failed action is not counted. In a Zap with several actions, each successful one counts on its own, and a few actions take more than one task. Checking Modern Maid for new items costs nothing, however often Zapier looks. The free plan gives you 100 tasks a month.
03Does Modern Maid start a Zap in real time?
No. All 17 Modern Maid triggers are polling ones: Zapier asks Modern Maid for new items at a fixed interval and keeps only what it has not seen yet. That interval depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On the paid plans you can change how often it checks, and also run a check by hand from the editor. The type comes from Modern Maid itself and cannot be switched from the editor.
04What does it take to connect Modern Maid to Zapier?
An account on Modern Maid, plus read or write access on anything you do not own yourself and want the Zap to touch. In Zapier, open Apps, click + Add connection, search Modern Maid in the dialog, then click Add connection and sign in on the tab that opens. Grant Zapier access and the connection is saved for every Zap that watches your account. Once connected, pick the trigger you want and run its test, which brings back the three most recent items of the account.
05Can Zapier create a job or a quote in Modern Maid?
No. The Modern Maid integration only has triggers: 17 of them, and no action or search. It can tell other apps that a job was created, assigned, updated, paid or canceled, and follow quotes from creation to acceptance, rejection or expiry. But no step writes into Modern Maid. If your plan is to turn a web form into a booked job, Zapier will not do that part with this app. Keep Modern Maid as the starting point of your Zaps and let the other apps carry what comes after.
06What if the Modern Maid operation you want is not there?
Then Zapier cannot do it with Modern Maid today. The integration offers 17 triggers and nothing else. The Modern Maid page on Zapier shows the current list, so check it before you plan around a missing step. Approving a time off request, sending an invoice or updating a customer from a Zap are examples of what no step does. You can still build a lot on what exists: every trigger can feed a chat, a calendar, a sheet or a mailing tool, as long as that app has the action you need.
07Zapier, Make or n8n for Modern Maid?
It depends on criteria, not on a winner. On Zapier, Modern Maid offers 17 polling triggers, usable on the free plan in two-step Zaps. Because every trigger polls, your plan's interval decides how soon a new job or a payment moves on, so weigh that against what you pay. If your flows need filters or several actions, count the multi-step requirement and the tasks per run. With Make and n8n, check first whether they offer Modern Maid at all, then whether they can also write to it, and how they count runs.
