What the monday.com Zapier integration does for you

Connecting monday.com to Zapier lets your boards react to the rest of your tools, and the other way round. An item is created, moved or edited on a board and another app follows; or something happens elsewhere and monday.com gets a new item, an update, a file or a status change. monday.com is not a premium app, so it works from the free plan.

Items that arrive on their own. Create Item and Create Subitem turn a form entry, an email or a spreadsheet row into a line on the right board, so nobody retypes requests by hand.

A board that tells people what changed. Specific Column Value Changed in Board fires when the one column you care about moves, say a status, and the next step posts a message or sends an email. New Update in Board does the same for comments.

Boards that stay tidy. Move Item to Group, Archive Item and Update Item keep the board in step with what happens in your other tools, and the searches find the item to change first.

What the app page leaves out. Ten triggers are instant, but New Board and New User are polling ones, so on the free plan they wait for Zapier's next check. Almost every operation asks for a Board ID, and the searches stop the Zap by default when they find nothing. When an operation you need is missing, API Request (Beta) is the advanced way out. The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this box turns a search into a find-or-create. monday.com exposes no find-or-create variant, so its nine searches only find.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a monday.com Zap breaks

Zapier links three help articles to monday.com, one of them on the error Nothing could be found for the search. The cases below come from the operations themselves and from the limits of any Zap.

The cases below involve a board, a column or a search that does not return what the next step expects. If you need help reading a failed run, see our Zapier troubleshooting page. On the two polling triggers, Zapier remembers what it already saw, so one board or one user does not start the Zap twice.

  • Nothing could be found for the search

    A search that finds nothing stops the Zap on its default setting. Check the value you search for, or switch on Successful if no search results are found?.
  • Some columns cannot be searched

    Find Items cannot look in Files, Location, Formula or Connect Boards columns: they do not even appear in Column to Search.
  • Override empty fields erases columns

    On Update Item, switching on Override empty fields erases every column left empty in the step. Leave it off unless that is the goal.
  • Items from before the Zap are ignored

    A Zap only reacts to what happens after you switch it on. Items already on the board are not picked up, and moving that backlog is a separate job.
  • A Zap that sets itself off again

    A Zap that writes into the board its own trigger watches can start itself again and again and burn through your tasks. Point the actions somewhere else.
  • A sudden flood is held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.

01Is the monday.com Zapier integration free?
Yes. monday.com is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. Posting a chat message for each new item fits inside it. Filtering those items first, or finding an item before updating it, adds a step and makes the Zap multi-step, which needs a paid plan.
02How many tasks does a monday.com Zap use?
One task per action that completes. The monday.com trigger costs nothing, and neither does Zapier checking for new boards or users. A Zap that announces each new item uses one task per item. A Zap that creates an item and then posts an update on it with Create Update uses two per run. 05Why are some columns missing in Find Items?
Because some column types cannot be searched. In Find Items, the Column to Search field leaves out Files, Location, Formula and Connect Boards columns, so they never appear in the list. If the value you want to match lives in one of them, search on another column that identifies the item, such as its name or a text column, then read the rest with Get Column Values. Remember that each extra search makes the Zap multi-step.
06What if the monday.com operation you need is not on Zapier?
First look at the full list: monday.com offers twelve triggers, nineteen actions and nine searches on Zapier, and some names are not obvious, like Group Position, which duplicates a group. Open the monday.com page on Zapier to see the current list. If the step is truly absent, API Request (Beta) sends a raw request with your existing connection, provided you know what to send. Otherwise, check whether Make or n8n cover that operation.
