Overview

What the AdviserLogic Fact Finder Zapier integration actually does

It links your AdviserLogic Fact Finder account to Zapier so that fact-finder data moves without retyping. A Zap (the automation you build on Zapier: one trigger, then one or more actions that run every time it fires) can read client data out of the app, or write new client data into it, from any other tool you connect.

Three results you can build today. First, a client record born from an intake form: your form tool sends the answers and the action Client Basic Information creates the client, with the form's own id as External ID. Second, a contact sheet that stays current: when contact details change elsewhere, Edit Client Contact Details rewrites them in the fact finder. Third, an income export: the trigger Get Income Detail of Client hands a client's income lines to a spreadsheet or a report tool.

What Zapier does not do here matters just as much. There is no instant trigger, so nothing reaches Zapier the moment it changes: every trigger waits for Zapier's next check. There is no search step either, so a Zap cannot look a client up by name; you give it the ADL ID yourself. And there is no delete action at all: removing a client does not go through Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the whole page. Each one is explained once, here, then used as is.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or updates something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only the new ones.
Instant trigger
A trigger the app reports itself, the moment the event happens. AdviserLogic Fact Finder has none of these.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it needs a paid plan.
Cost

What it really costs

AdviserLogic Fact Finder is not a premium app, so it works from the free plan. The bill is counted in tasks, and only actions make it move.

  • Free plan100 tasks a month, unlimited two-step Zaps
  • Trigger checksNever billed
  • Successful action1 task each
  • Premium appNo, works on the free plan

The trigger never costs a task, however often Zapier checks. Each action that succeeds counts once, so a Zap with three actions eats three times what a one-action Zap does, and an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps. Add a filter or a second action and you are on a paid plan. The interval grid below applies to all nine triggers of this app, since they are all polling ones.

Connect

Connect AdviserLogic Fact Finder to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page and click + Add connection. A connection is your AdviserLogic account linked once, then reused by every Zap step that touches the app.

  2. 02

    Pick the app

Type AdviserLogic Fact Finder in the search box of the dialog, select it, then click Add connection. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and allow access

A new tab opens on AdviserLogic. Sign in with the account the Zaps should act as, then grant Zapier access to it. The tab closes and the connection is ready for your first step.

First Zap

Your first Zap: client records copied to a register

GoalClient records read from AdviserLogic Fact Finder land as rows in your client register, but only those that meet a condition you choose.

  1. 01

    Start with AdviserLogic

Build a new Zap and pick AdviserLogic Fact Finder as the trigger app, with the event Get Client Basic Information. Choose the connection you made above.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so pick a real client record: every field you map later comes from it.

  3. 03

    Add the filter

Add a Filter step from the plus icon, then set the three boxes: the field to look at, the rule, and the value. A filter makes this a multi-step Zap, which needs a paid plan.

  4. 04

    Add the spreadsheet action

Pick your spreadsheet tool and its action for a new row. Map each column to a value from the AdviserLogic sample, one field at a time.

  5. 05

    Test, then publish

Test the action once and read the row it wrote before going further. If the row looks right, publish the Zap to switch it on.

Triggers

The 9 AdviserLogic Fact Finder triggers

9 events start a Zap when something happens in AdviserLogic Fact Finder. Zapier checks for them at the interval your plan allows.

1

Get Client Basic Information by ADLID

Polling trigger

In Zapier“Get Basic Information of client saved under AdviserLogic application”

Pulls the basic profile of one client stored in AdviserLogic, the one whose ADL ID you give the step. Your Zap then has that client's basic information to pass along to the next tool; check at the test which fields come back.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you follow one particular client closely and want their core profile copied into a sheet or a report.
Watch out
adlClientID is required; copy the ADL ID from Client Search and paste it in while you map the step.
2

Get Client Contact Information

Polling trigger

In Zapier“Get contact information of client saved under Fact Finder-Contact Details”

Reads what sits in the Contact Details section of the fact finder for a given client: the way to reach them, ready to be handed to your email or phone tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
your mailing tool should hold the same address as AdviserLogic, without anyone copying it by hand.
Watch out
the step needs adlClientID, the ADL ID found in Client Search; which fields come back is something to check at the test.
3

Get Client Dependant Information

Polling trigger

In Zapier“To get dependant details of client saved under AdviserLogic”

Brings out the dependants recorded under a client, so the people linked to that household can feed another tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a review sheet should list each dependant of a client next to the rest of their file.
Watch out
without the client's ADL ID in adlClientID the trigger has nothing to read, so fill it before testing and check the sample Zapier returns.
4

Get Client Entities Details

Polling trigger

In Zapier“Get entities details of client saved under AdviserLogic application”

Fetches the entities a client has on file in AdviserLogic, the structures recorded alongside the person in the fact finder.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you keep an overview of every entity per client in a spreadsheet and want it filled from the fact finder rather than retyped.
Watch out
run the test and read the sample it brings back before mapping anything.
5

Get Client Expense Details

Polling trigger

In Zapier“Get expense details of client saved under AdviserLogic Application”

Collects the expense lines saved for a client, which gives a budget or a review document its numbers straight from the fact finder.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a budgeting sheet should mirror what the client declared as spending, line by line.
Watch out
adlClientID is required here too, and it takes the ADL ID copied from Client Search, not the client's name.
6

Get Client Health Information

Polling trigger

In Zapier“To get health information of client saved under AdviserLogic”

Hands your Zap the health information stored for a client in AdviserLogic, so the next step can use it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
health answers feed an insurance worksheet that someone otherwise rebuilds by hand for each review.
Watch out
this is sensitive data, so send it only to a tool your team is allowed to store it in; the step also needs adlClientID.
7

Get Income Detail of Client

Polling trigger

In Zapier“Get Income information of client saved under Fact Finder-Income”

Lifts the income lines saved in the Income section of the fact finder for one client and passes them to the next step.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a cash-flow sheet should hold each income source of the client without a second round of data entry.
Watch out
paste the ADL ID into adlClientID, and check at the test that each income line arrives the way your sheet expects.
8

Get Client Basic Information

Polling trigger

In Zapier“Get Basic Information of client saved under AdviserLogic application”

Despite a name close to the first trigger, this one reads basic client information, which makes it a natural start for a Zap that covers clients in general.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a client register in another tool should pick up client records from AdviserLogic.
Watch out
two triggers share almost the same label; check the exact label you pick and the sample at the test before you build on it.
9

Get Client Superfund Details

Polling trigger

In Zapier“Get Superfund details of client saved under Superannuation section of AdviserLogic”

Reads the superfund details saved under the Superannuation section for a client, so retirement savings data can travel to another tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a retirement review template should open with each fund already filled in.
Watch out
adlClientID is required, so copy the ADL ID from Client Search; read the test sample before mapping balances or names.
Actions

The 14 AdviserLogic Fact Finder actions

AdviserLogic Fact Finder gives you 14 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Client Basic Information

Action

In Zapier“Add/Edit Basic information of client in AdviserLogic Application”

Writes a client's basic information into AdviserLogic, either as a new client or over an existing one.

When to use it
an intake form or a lead tool should open the client file for you.
Watch out
External ID is required and must be unique; when the data comes from a form, use the form id.
2

Add Dependants Details

Action

In Zapier“To add Dependants under client”

Adds a dependant under a client you already have in AdviserLogic.

When to use it
a household questionnaire lists children or other dependants and you want each one recorded without retyping.
Watch out
the ADL ClientID field is required, and it takes the ADL ID copied from Client Search.
3

Add Entities

Action

In Zapier“To add Entities under client”

Creates an entity under a client, with the option to mark the client as trustee or as director of it.

When to use it
a structure declared in a form should appear in the client's fact finder.
Watch out
Is Trustee and Is Director are separate fields; set each one on purpose and check the result at the test.
4

Add Expense

Action

In Zapier“To add Expense under client”

Adds an expense line under a client, the counterpart of the income action.

When to use it
a budget form collects spending and you want each item written to the fact finder.
Watch out
run the test and check the expense in AdviserLogic before you publish.
5

Add Health Details

Action

In Zapier“Add Health Details under Fact Finder”

Writes health details into the Fact Finder for a client, including whether the client or the partner smokes.

When to use it
a health questionnaire should fill the matching section instead of someone copying answers.
Watch out
adlClientID is required, and Client Smoker and Partner Smoker go to two separate Smoker fields.
6

Add Income

Action

In Zapier“To add Income under client”

Adds an income line to a client, in the Income section of the fact finder.

When to use it
declared income from a questionnaire should become a proper income entry.
Watch out
adlClientID is required; Exclude From Age Pension only matters for the Centrelink/DVA or Other categories, and Apply Deeming Rates only for Annuities.
7

Add Insurance

Action

In Zapier“To add Insurance under client”

Records an insurance item under a client in AdviserLogic.

When to use it
existing cover listed in an intake form should end up in the fact finder, ready for the review.
Watch out
test it on one real client before switching the Zap on, and check what it wrote.
8

Add Superfund

Action

In Zapier“To add Superfund under client”

Adds a superfund under a client, in the Superannuation part of the file.

When to use it
a client sends their fund details through a form and you want them stored in the right place at once.
Watch out
check every mapped value at the test, then look at the fund in AdviserLogic.
9

Add Partner Basic Information

Action

In Zapier“Add/Edit Basic information of partner in AdviserLogic Application”

Records the partner of an existing client, with their own basic details, inside the same file.

When to use it
the intake form asks about a partner and you want that half of the household filled in too.
Watch out
adlClientID is required, so the client must already exist and you need their ADL ID.
10

Add Contact Details

Action

In Zapier“Add Contact Details of Client and Partner”

Fills the contact details of a client and of their partner in one step, including the yes-or-no preferences such as Do Not Contact or Subscribed To Newsletter.

When to use it
contact preferences collected elsewhere should land in the fact finder untouched.
Watch out
Adlclient ID is required; check at the test how each yes-or-no field expects its value.
11

Edit/Update Client Basic Information

Action

In Zapier“Edit/Update Basic Information”

Changes the basic information of a client that already exists, rather than adding a new one.

When to use it
a name or a date corrected in your main tool should be corrected in AdviserLogic too.
Watch out
check in the editor which fields identify the client for this edit before you map them.
12

Edit Client Contact Details

Action

In Zapier“Edit Contact Details of the Client saved in AdviserLogic application.”

Rewrites the contact details of a client already saved in AdviserLogic.

When to use it
a new phone number or email arrives from another tool and the fact finder should follow.
Watch out
as a general precaution, a Zap that writes where its own trigger watches can set itself off again.
13

Edit Expense

Action

In Zapier“To edit Expense under client”

Updates an expense line that already sits under a client.

When to use it
a spending figure changes in your budget tool and the fact finder should not lag behind.
Watch out
how the step finds the right expense line is not documented; read the required fields in the editor and test on one client.
14

Edit/Update Income Details

Action

In Zapier“To edit/update Income Details”

Corrects or updates an income line already saved for a client.

When to use it
a salary review changes an amount and you want the Income section to show it.
Watch out
Exclude From Age Pension applies only when the category is Centrelink/DVA or Other, and takes true or false.
When it breaks

When an AdviserLogic Zap breaks

Zapier attaches no help article to this app, so the known failure points are the general ones of any Zap, plus the ADL ID that many steps depend on.

Read these four cases before you publish. If a Zap still stops, our Zapier troubleshooting page is the next stop.

  • Nothing from before the Zap

A Zap only reacts to what happens after you switch it on. Clients already in AdviserLogic are not picked up; moving that backlog is a separate job.
  • A Zap that restarts itself

A Zap that writes into the very place its trigger watches can set itself off again and again, and burn through your task count fast.
  • A large batch held back

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection can hold it back.
  • The same item, once

On a polling trigger, Zapier keeps track of what it has already seen, so the same item does not start the Zap twice.

FAQ

AdviserLogic Fact Finder Zapier integration: questions

01Is the AdviserLogic Fact Finder Zapier integration free?
Yes, as long as each Zap keeps to two steps. AdviserLogic Fact Finder is not a premium app, so it runs on Zapier's free plan, which gives 100 tasks a month and an unlimited number of Zaps. The catch is the shape of the Zap: one trigger and one action, nothing more. As soon as you add a filter or a second action, for instance creating the client and then the partner in the same run, the Zap becomes multi-step and needs a paid plan.
02How many tasks does an AdviserLogic Zap use?
One task per action that succeeds, and nothing else. The trigger never costs a task, even though Zapier checks AdviserLogic again and again. A Zap that adds a client, then the partner, then the contact details uses three tasks per run. An action that fails is not counted. So the number to watch is how many new items reach your trigger multiplied by the number of actions in the Zap, not how often Zapier looks.
03Does it work in real time?
No. All nine AdviserLogic Fact Finder triggers are polling triggers, so Zapier goes to look at regular intervals. On the free plan that check runs every 15 minutes; on Professional every 2 minutes; on Team and Enterprise every minute. On paid plans you can also change how often a trigger checks, or run a check by hand from the editor when you want to test something now. That check costs nothing in tasks, however often it runs.
04What does it take to connect an AdviserLogic account?
An account on AdviserLogic Fact Finder, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection happens from the Apps page of Zapier: you add a connection, pick the app, sign in to AdviserLogic in the tab that opens and grant Zapier access. Once linked, that connection is reused by every Zap step using the app, so you do it once per account.
05Where is the adlClientID the steps ask for?
In AdviserLogic itself, under Client Search. Open the client, copy the ADL ID shown there, and paste it into adlClientID while you map the step. Seven of the nine triggers and five actions require it, and those steps cannot run without it. Because the app has no search step on Zapier, a Zap cannot look a client up by name to get that ID. You either type a fixed ID or carry it over from an earlier step that already returns it, which you confirm at the test.
06What if the AdviserLogic operation you need is not there?
Open the AdviserLogic Fact Finder page on Zapier: it shows the current list of triggers and actions, and that is the list the editor offers. If what you want is missing, look at whether two existing steps get you there, for example a Get trigger followed by an Edit action. If they do not, the operation simply cannot be built with this integration today, and it is worth checking whether another automation tool covers it.
07Zapier, Make or n8n for AdviserLogic Fact Finder?
Decide on criteria rather than on a ranking. First, is AdviserLogic Fact Finder in the other tool's catalog at all? On Zapier it is, with 9 triggers and 14 actions. Second, how you pay: Zapier counts one task per successful action, so estimate your monthly volume before comparing. Third, who will maintain the Zaps: if your team already works in Zapier, adding this app costs nothing new to learn. The polling interval also depends on the Zapier plan you pick.
