Overview

What the Newsletter2Go Zapier integration does for you

Newsletter2Go is an email marketing tool for building and sending email campaigns. Connected to Zapier, it becomes the receiving end of a Zap, the automation you build on Zapier: something happens in another app, and Newsletter2Go files the contact, sorts it into a group or sends the newsletter, without any copying by hand.

Three results you can build with it. A list that fills itself: a new form entry elsewhere becomes a recipient through Create a New Recipient, or goes through one of your Newsletter2Go forms with Subscribe a Recipient via Form. Tidy segments: Search a Recipient finds a contact by email, and Add a Recipient to Group puts a recipient into a group once you have its recipient ID. A newsletter on cue: Send a Newsletter runs when the event you picked in another tool happens.

What Zapier does not do for Newsletter2Go: it has no trigger at all. A new subscriber, an unsubscribe or an opened email in Newsletter2Go can never start a Zap. The flow only goes one way, into Newsletter2Go, and the first step always belongs to another app.

Two actions also ask for a recipient ID, and a search step placed before them makes the Zap multi-step. If you are still weighing Zapier for this, open our Zapier review.

Vocabulary

Zapier vocabulary, the short version

Eight words do most of the work on this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Newsletter2Go has none, so the trigger always comes from another of your apps.
Action
What the Zap does once it has started: the step that writes, sends or moves something. All six Newsletter2Go operations of this kind are actions.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Polling vs instant trigger
Polling: Zapier checks an app on a timer. Instant: the app calls Zapier itself. It matters here for the app that starts your Zap.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists, like a recipient by email, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Cost

What a Newsletter2Go Zap really costs

The trigger in the other app costs nothing. Every Newsletter2Go action that succeeds costs one task.

  • Trigger (other app)0 task
  • Each successful action1 task
  • Free plan100 tasks a month, unlimited Zaps, two steps each
  • Search stepMakes the Zap multi-step, paid plan

A Zap with three actions eats three times what a one-action Zap does, and an action that fails is not counted. Newsletter2Go is not a premium app, so it runs on the free plan, within the limit of two steps: one trigger and one Newsletter2Go action. Add a search, a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to the trigger of the other app only when that trigger is a polling one.

Connect

Connect your Newsletter2Go account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. You need a Newsletter2Go account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Find Newsletter2Go

Type Newsletter2Go in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the Newsletter2Go sign-in.

  3. 03

    Sign in and grant access

Sign in to Newsletter2Go in that tab and grant Zapier access to the account. Every Zap and every step that uses Newsletter2Go then reuses this connection.

First Zap

Your first Zap: put each new form contact in a group

GoalWhen someone fills in your form, find them in Newsletter2Go by email and add them to the group you choose.

  1. 01

Create the Zap and set the trigger

Start a new Zap and pick your form tool and its new-entry event as the trigger. Newsletter2Go has no trigger, so the first step always comes from another app.

  2. 02

    Test the trigger

Run the test so Zapier brings back the three most recent entries from the connected account. You will map the next steps on a real entry, not on an empty template.

  3. 03

    Add Search a Recipient

Add Search a Recipient and map the email from the form into its required Email field. This search makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the group action

Add Add a Recipient to Group. If the search test shows the recipient ID, map it into the required RecipientId; if it does not, stop here and rethink the Zap.

  5. 05

    Test, then publish

Test each step once, read what came back, then click Publish to switch the Zap on. Entries sent before that moment are never picked up.

Actions

The 6 Newsletter2Go actions

Newsletter2Go gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add a Recipient to Group

Action

In Zapier“add a recipient to a specific group/segment in your n2g account”

Puts an existing recipient into a specific group or segment of your account. The step requires the RecipientId, the encrypted ID of the contact.

When to use it
a contact changes status in another tool, becomes a client for example, and should move into the matching group.
Watch out
if the trigger does not carry the ID, an identifying step has to come first; check at the test what it returns.
2

Create a New Group

Action

In Zapier“This Action Creates a New Group in the related List”

Opens a new group in a Newsletter2Go list, named by the Group Name field, the only required one.

When to use it
each new project in another app should get its own group, ready before the first contacts arrive.
Watch out
every run creates a group, so a trigger that fires often fills your list with groups. Search a Static Group lets you look for one by name first, on a paid plan.
3

Create a New Recipient

Action

In Zapier“Creates a new Recipient in the related List (without DOI)”

Adds a contact to a Newsletter2Go list straight away, without DOI, as Zapier labels it. Email is the one required field.

When to use it
a contact from another tool should land directly in a list, without going through one of your Newsletter2Go forms.
Watch out
check at the test that the recipient arrived in the list you expected.
4

Send a Newsletter

Action

In Zapier“Send a Newsletter in the related List”

Sends a newsletter in the related list, with Email as the required field. It is the only action of the six that sends something rather than filing it.

When to use it
a newsletter should go out when something happens in another app.
Watch out
what the step sends and to whom is not spelled out on Zapier, so test it once and read what came back before you publish.
5

Subscribe a Recipient via Form

Action

In Zapier“choose a n2g form through which you wanna subscribe a recipient”

Signs a contact up through one of your Newsletter2Go forms, the one you choose in the step, instead of writing the recipient into a list directly.

When to use it
you collect emails in another tool but want those sign-ups to go through the same Newsletter2Go form as the ones made on your site.
Watch out
the result depends on the form you pick, so run the test once and check where the contact landed.
6

Update a Existing Recipient

Action

In Zapier“Update an Existing Recipient in a Specific List Using Recipient ID”

Changes a recipient already in a list, found by its Recipient ID, the required field. Its fields include is_unsubscribed and is_blacklisted.

When to use it
an unsubscribe request arrives through another channel and Newsletter2Go should reflect it.
Watch out
without the Recipient ID the step cannot target anyone, so an identifying search step has to come first. Note the spelling of the name: Zapier shows it with a, not an.
Searches

The 3 Newsletter2Go searches

3 search steps look for data that already exists in Newsletter2Go, so a later step can use it.

A search step finds something that already exists in Newsletter2Go and hands it to the steps that follow. Searches sit at the bottom of the action-event list, under SEARCH. Each one makes the Zap multi-step, so it needs a paid plan.

1

Search a Static Group

Search

In Zapier“Search a static Group in the related List by the Name”

Looks up a static group in the related list by its name, so the next step can work with it.

When to use it
before Create a New Group, to check whether the group already exists and avoid duplicates.
Watch out
whether the name has to match exactly or loosely is decided by Newsletter2Go, not Zapier. Test with the real group name.
2

Search a Newsletter

Search

In Zapier“Search a transactional Newsletter in the related List by the Name”

Finds a transactional newsletter in the related list by its name and passes it on to the following steps.

When to use it
your Zap needs to refer to one specific transactional newsletter rather than rely on a fixed choice.
Watch out
it only looks at transactional newsletters. Check at the test what it returns before you map anything from it.
3

Search a Recipient

Search

In Zapier“Search a Recipient in the related List by the E-Mail-Address”

Finds a contact in the related list from an email address, the required field, and hands the recipient to the next steps.

When to use it
the step that identifies the contact before Add a Recipient to Group or Update a Existing Recipient, which both need an ID.
Watch out
if nobody matches, the Zap stops there by default; switch on the first setting above to carry on.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps after it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns the search into a find-or-create. Newsletter2Go exposes no find-or-create variant, so you will not tick it here.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Newsletter2Go Zap breaks

Four situations account for the problems you can run into with this integration.

Three come from how Zapier works, one from the fields Newsletter2Go requires. When a run fails for another reason, see our Zapier troubleshooting guide.

  • Contacts from before the Zap stay out

A Zap reacts only to what happens after it is switched on. Contacts collected before are never sent to Newsletter2Go; moving that backlog is a separate job.
  • The search finds nobody

Left on its default, a search with no result stops the Zap, and the group or update step after it is skipped. That is the expected behavior, not a bug.
  • No recipient ID to give

Add a Recipient to Group and Update a Existing Recipient require the recipient ID. Without a search step in front, the step has nothing to fill it with.
  • A big import held back

When the trigger of the other app suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back.

FAQ

Newsletter2Go Zapier integration: frequently asked questions

01Is the Newsletter2Go Zapier integration free?
Partly. Newsletter2Go is not a premium app, so it works on the free Zapier plan, which gives 100 tasks a month and unlimited Zaps of two steps each: one trigger in another app and one Newsletter2Go action. Create a New Recipient after a form entry fits that. The three searches, and the actions that need a recipient ID found by a search, make the Zap multi-step, and multi-step Zaps need a paid plan.
02How many tasks does a Newsletter2Go Zap use?
One task per Newsletter2Go action that completes successfully; the trigger in the other app uses none. A Zap that creates a recipient for every form entry uses one task per entry. A Zap that searches and then adds the recipient to a group runs two steps after the trigger, so count both when you size your plan. An action that fails is not counted. The free plan stops at 100 tasks a month.
03Does the Newsletter2Go integration work in real time?
It depends on the app that starts the Zap, because Newsletter2Go has no trigger of its own. If that app's trigger is instant, the app calls Zapier when the event happens and the Newsletter2Go step follows straight away. If it is a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The Zapier page of each app shows which kind its triggers are.
04What does it take to connect Newsletter2Go to Zapier?
A Newsletter2Go account, plus read or write access on anything you do not own yourself and want the Zap to touch. Then in Zapier: open Apps, click + Add connection, look for Newsletter2Go, click Add connection, sign in in the tab that opens and grant Zapier access to the account. The connection is reused by every Newsletter2Go step you add afterwards, in any Zap. Once a Newsletter2Go step is set, its test shows what came back from your account before you publish.
05Why does Add a Recipient to Group ask for a recipient ID?
Because the action targets a contact by its encrypted recipient ID, a required field, not by email. If the trigger does not carry that ID, Search a Recipient can go in front: it finds the contact by email and hands what it found to the next step. Check at the test that the ID shows up in what the search returns. Update a Existing Recipient works the same way, and both setups need a paid plan.
06What if the Newsletter2Go operation you want is not there?
Look at the Newsletter2Go page on Zapier, which shows the current list. Today it holds six actions and three searches, and no trigger: nothing that happens inside Newsletter2Go, a new sign-up or an unsubscribe, can start a Zap. If the job is to react to Newsletter2Go events, this integration cannot do it. If it is to write into Newsletter2Go, check whether one of the six actions, combined with a search, gets you there.
07Zapier, Make or n8n for Newsletter2Go?
Judge on criteria rather than on a ranking. On Zapier, Newsletter2Go offers six actions and three searches, and a single action after a form entry runs on the free plan. Any Zap that needs a recipient ID, though, goes through a search and so a paid plan. Before comparing, list the steps your flow needs, check whether the other tool offers Newsletter2Go, and see how it bills each run, searches included.
