Overview

What the NextSign Zapier integration actually does

NextSign lets you add electronic signatures to your documents. Linking it to Zapier means two things: what happens in NextSign (an archived transaction, a new user) can start work in your other tools, and another tool can open a transaction draft in NextSign for you. You set it up once, then it runs without anyone copying data by hand.

Three results people build first. A register of archived transactions: New Archived Transaction adds a row to a shared spreadsheet each time a transaction is archived, so the history sits in one place. A team that knows who joined: New User posts a message in your team chat when someone is added to NextSign. A draft ready to send: Create Transaction Draft prepares a transaction from another tool, with its name, strategy, document and contractor filled in.

What Zapier does not do here. Neither trigger is instant: Zapier checks both on a timer, every 15 minutes on the free plan, so an archived transaction can wait that long before a Zap notices it. NextSign has no search on Zapier, so a Zap cannot look up an existing transaction or user. And a Zap never goes back in time: transactions archived before it was switched on stay out of it.

Vocabulary

Zapier vocabulary in one minute

A handful of Zapier words come back on this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap, like a NextSign transaction being archived. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, such as creating a draft.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer and Zapier keeps only what it has not seen. An instant one is reported by the app. NextSign's are polling.
Filter
A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What a NextSign Zap really costs

Zapier bills tasks, not Zaps. The trigger never costs anything, however often Zapier checks NextSign for archived transactions or new users.

  • Trigger checksFree, never billed
  • Successful action1 task each
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

Each action that goes through counts as one task, and one that fails is not counted. A Zap that logs an archived transaction and then posts a chat message uses two tasks per transaction. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to one trigger and one action. A filter or a second action makes the Zap multi-step, which needs a paid plan. NextSign is not a premium app, so it works on the free plan. Both of its triggers are polling ones, so the interval grid below applies to them.

Connect

Connect your NextSign account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. In the dialog that opens, type NextSign in the search box and pick it from the results.

  2. 02

    Sign in to NextSign

Click Add connection, then sign in to NextSign in the tab that opens. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Grant access

Allow Zapier to reach the account. The connection is saved once and reused by every NextSign step in every Zap, so you will not repeat it for the next automation.

First Zap

Your first NextSign Zap, step by step

GoalEach archived NextSign transaction is logged in your spreadsheet, and the team gets a message about it.

  1. 01

    Create the Zap

Start a new Zap, choose NextSign as the trigger app and New Archived Transaction as the event. Connect your account if Zapier asks for it.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent archived transactions of your account, so you map a real one. Read what came back first.

  3. 03

    Log the transaction

Add your spreadsheet as the action and map the values from the test into its columns. With just these two steps, the Zap runs on the free plan.

  4. 04

    Tell the team

Add a second action that posts in your team chat. The Zap becomes multi-step and needs a paid plan, and each transaction now uses two tasks.

  5. 05

    Test, then publish

Run each step once and read what came back before going on. When the row and the message look right, publish the Zap to switch it on.

Triggers

The 2 NextSign triggers

2 events start a Zap when something happens in NextSign. Zapier checks for them at the interval your plan allows.

1

New User

Polling trigger

In Zapier“Triggers when a new user is added.”

Starts a Zap when a new user is added to your NextSign account. It is the one trigger about people rather than documents.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you want each new NextSign user announced to the team, or listed in a sheet that tracks who has access to which tool.
Watch out
users added before the Zap was published are not picked up; only additions made after it is switched on start it. Read the test result to see what a user carries before mapping.
2

New Archived Transaction

Polling trigger

In Zapier“Triggers when a Transaction is archived.”

Fires each time a transaction is archived in NextSign. It is the event to start from when a finished transaction should be recorded elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an archived transaction should leave a trace in a register, a chat channel or another tool your team already uses.
Watch out
archiving a large batch at once can be held back by Zapier's flood protection, and transactions archived before the Zap went live never reach it.
Actions

The 2 NextSign actions

NextSign gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Get Account Info

Action

In Zapier“Fetches the connected account's data”

Fetches the data of the NextSign account connected to Zapier and hands it to the steps that follow.

When to use it
a later step needs a value about your own NextSign account, and you prefer to read it from the source rather than type it in.
Watch out
it counts as an action, so it uses a task each time it runs; run the test to see what it returns before mapping it.
2

Create Transaction Draft

Action

In Zapier“Creates a Transaction Draft”

Prepares a new transaction in NextSign as a draft, from data another tool provides. Five fields are required: the transaction name, the strategy, the document name, the document type and the Id of contractor.

When to use it
a contract to sign starts life in another tool and should not be retyped in NextSign.
Watch out
the Id of contractor is required, and no NextSign trigger is documented as returning it; check at the test which value of your Zap fills it.
When it breaks

When a NextSign Zap breaks

Zapier attaches no help article to NextSign, and no limit specific to the app has been recorded. What follows are the general Zapier limits, read with NextSign's two polling triggers in mind.

  • Past transactions stay behind

A Zap only reacts to what happens after it is switched on. Transactions already archived in NextSign are not sent; moving that backlog is a separate job.
  • A Zap that restarts itself

As a general rule, a Zap that writes into the place its own trigger watches can set itself off again and burn through the task count.
  • A bulk archive held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • The same item only once

On a polling trigger, Zapier keeps track of what it has already seen, so the same transaction or user does not start the Zap twice.

FAQ

NextSign Zapier integration: questions people ask

01Is the NextSign Zapier integration free?
Yes. NextSign is not a premium app, so it works on the free Zapier plan, which gives 100 tasks a month and unlimited Zaps. The limit is the shape of each Zap: on the free plan it is one trigger and one action. New Archived Transaction followed by one row in a sheet fits the free plan. Add a filter or a second action, such as a chat message, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a NextSign Zap use?
One task for each action that completes, nothing else. The trigger never costs a task, and neither do the checks Zapier runs on NextSign while it waits. A Zap that logs an archived transaction and posts a chat message uses two tasks per transaction. Get Account Info is an action too, so it counts each time it runs. An action that fails is not counted. A few apps and actions take more than one task, so read the count after the first real runs.
03Does NextSign trigger Zaps in real time?
No. Both NextSign triggers are polling ones: Zapier asks the app for new items at a fixed interval. That interval depends on your plan: every 15 minutes on the free one, every 2 minutes on Professional, every minute on Team and Enterprise. The type is set by the app and cannot be changed from the editor. On paid plans the interval can be changed, and a check can also be run by hand from the editor.
04What does it take to connect NextSign to Zapier?
An account on NextSign, plus read or write access on anything you do not own yourself and want the Zap to touch. From the Apps page of your Zapier account, click + Add connection, search NextSign, sign in in the tab that opens and grant Zapier access. The connection is saved once and every NextSign step of every Zap reuses it. If you plan to create drafts, have the Id of contractor ready as well.
05Why can Create Transaction Draft fail at the test?
The first thing to check is its five required fields: the transaction name, the strategy, the document name, the document type and the Id of contractor. An empty one leaves the step without what it needs. Watch the Id of contractor in particular: no NextSign trigger is documented as returning it, so check at the test which value of your Zap fills it. Fill each required field, run the test again and read what comes back before you publish. An action that fails this way is not counted against your plan.
06What if the NextSign operation you want is missing?
Look at the NextSign page on Zapier, which shows the current list of triggers and actions; today that is New User, New Archived Transaction, Create Transaction Draft and Get Account Info. If what you want is not there, check whether that step can run in another app of your Zap instead. On a paid plan, a filter after a trigger can also keep only the transactions or users that meet your condition.
07Zapier, Make or n8n for NextSign?
Decide by criteria, not by a ranking. On Zapier, NextSign offers 2 polling triggers and 2 actions, and works on the free plan as long as each Zap stays at one trigger and one action. If your flows need filters or several actions per transaction, compare what a paid Zapier plan costs against the other tools for your volume of tasks. Also check what each tool offers for NextSign before choosing.
