Overview

What the Mobile Message Zapier integration actually does

Zapier links Mobile Message, the service that sends SMS to Australian mobile numbers from your own account, to the rest of your tools. A Zap (the automation you build on Zapier) starts on an event in one app and acts in another, so texts go out and replies come back without anyone copying numbers.

Three results stand out with this app. First, replies that reach the right person: New Inbound SMS starts a Zap each time someone texts your number, and a chat or email step puts the reply in front of your team. Second, texts sent from your other tools: Send SMS writes to one number, and Send SMS to List sends a templated message to a whole contact list, with first name and opt-out tokens. Third, an address book that keeps itself tidy: Create Contact, Update Contact and Add Contact to List keep Mobile Message in step with your CRM, and Add Unsubscribe records an opt-out wherever it was asked for.

Now what Zapier does not do for Mobile Message. Only two events start a Zap, an inbound SMS and a change of delivery status; a new contact or a new list starts nothing. There is no find-or-create: Find Contact looks a number up, and creating a missing contact is a separate step. And sender IDs are not managed from Zapier: the sender you use must already be registered in your Mobile Message account.

Vocabulary

Zapier vocabulary in one minute

Eight words come back all through this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that sends, writes or removes something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan is a count of those.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens, so nothing waits for a timed check.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Mobile Message has none of these.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes one, and it then needs a paid plan.
Cost

What Mobile Message on Zapier really costs

Mobile Message is not a premium app (an app Zapier keeps for paid plans and free trials), so it works on the free plan. Zapier bills in tasks, and only actions produce them.

  • Free plan100 tasks a month
  • Zaps on the free planUnlimited, two steps each
  • TriggerNever billed
  • Failed actionNot counted

The trigger never costs a task. Each action that succeeds costs one; one that fails is not counted. Send SMS to List is a single action, so check at test how Zapier counts it on your account. The free plan gives you 100 tasks a month and unlimited Zaps of two steps; a search or a filter makes the Zap multi-step, and it then needs a paid plan. The interval grid below is how often Zapier checks a polling trigger; it does not apply to the two Mobile Message triggers, which are instant.

Connect

Connect Mobile Message to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your Mobile Message account linked to Zapier once, then reused by every Mobile Message step.

  2. 02

    Pick Mobile Message

Search Mobile Message in the dialog, select it, then click Add connection. You need a Mobile Message account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

A tab opens on Mobile Message. Sign in with the account your Zaps should send from, then grant Zapier access to it. That account can then be picked in any Mobile Message step.

First Zap

Your first Zap: route SMS replies to your team chat

GoalEach text a customer sends to your Mobile Message number shows up in the team chat, so someone answers it.

  1. 01

    Create the Zap

From your Zapier dashboard, start a new Zap. Pick Mobile Message as the app that starts it, New Inbound SMS as the event, then the connection you just added.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent inbound messages of the connected account, so you map the next step on a real reply and see which details come through.

  3. 03

    Add the chat step

Add your team chat app with its send-message event. Pick the channel, then build the text from the values the trigger test returned, such as the sender's number.

  4. 04

    Test the action

Run the action test once and read the message in the channel. Adjust the wording now: every inbound SMS will look like this one.

  5. 05

    Publish

Click Publish to switch the Zap on. It has two steps, so it fits the free plan, and the trigger is instant, so the plan's check interval plays no part here.

Triggers

Mobile Message triggers

2 events start a Zap when something happens in Mobile Message, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New SMS Delivery Status

Instant trigger

In Zapier“Triggers when an SMS delivery status changes (delivered or failed).”

Starts your Zap when the delivery status of a message you sent changes, to delivered or to failed, and passes that update to the next steps. It closes the loop on every text you send through Mobile Message.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want failed texts logged in a spreadsheet, or flagged to the person who sent them, so the customer gets reached another way.
Watch out
it fires on delivered and on failed alike; add a filter, on a paid plan, if only one of the two matters.
2

New Inbound SMS

Instant trigger

In Zapier“Triggers when an inbound SMS is received.”

Fires each time an SMS arrives on your Mobile Message account and hands it to the steps that follow. Run the trigger test to see which details your account returns before mapping anything.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
customers answer your reminders by text, and those answers belong in your helpdesk, your CRM or a shared channel.
Watch out
if a later step sends an SMS back, check at test that the Zap does not start itself again.
Actions

Mobile Message actions

Mobile Message gives you 13 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Contact to List

Action

In Zapier“Adds a contact to a contact list.”

Puts a contact into one of your lists; Contact List is required. Pair it with Create Contact or Find Contact to know who goes in.

When to use it
someone who signs up for a newsletter elsewhere should also join the matching SMS list.
2

Add Unsubscribe

Action

In Zapier“Adds a phone number to your unsubscribe (opt-out) list.”

Places a phone number on your unsubscribe (opt-out) list, so regular sends skip it. The phone number is the only required field.

When to use it
a customer opts out through a web form or by email, and that choice must also apply to your texts.
3

Cancel Scheduled Message

Action

In Zapier“Cancels a scheduled message and refunds the credits.”

Stops a message that was scheduled but not sent yet, and refunds the credits it had reserved in Mobile Message.

When to use it
an appointment gets cancelled in your booking tool and the reminder planned for it should never go out.
Watch out
the step needs to know which message to cancel; Find Message, placed earlier in the Zap, can look it up; check at test what it returns.
4

Create Contact

Action

In Zapier“Creates a new contact in your Mobile Message address book.”

Adds a person to your Mobile Message address book. Only the phone number is required, so even a record with no name can go in.

When to use it
new customers saved in your CRM should be reachable by text without a second entry.
Watch out
nothing checks for an existing contact first; put Find Contact before it if duplicates matter.
5

Create Contact List

Action

In Zapier“Creates a new contact list.”

Opens a new, empty contact list under the List Name you give it, ready for Add Contact to List.

When to use it
each new campaign or event created in another tool should get its own SMS audience.
Watch out
List Name is required.
6

Delete Contact

Action

In Zapier“Deletes a contact from your Mobile Message address book.”

Deletes a contact from your address book, using its Contact ID, which is required.

When to use it
a customer asks for their data to be deleted and your process records that request in another tool.
Watch out
check the Contact ID at test before publishing, since a wrong mapping removes the wrong person.
7

Delete Contact List

Action

In Zapier“Deletes a contact list (does not delete the contacts themselves).”

Removes a contact list. The contacts in it stay in your address book; only the list goes.

When to use it
an event or a campaign closes in your planning tool and its SMS list is no longer needed.
Watch out
Contact List is required.
8

Remove Contact From List

Action

In Zapier“Removes a contact from a contact list.”

Takes a contact out of one list without deleting them from the address book. Contact List is required.

When to use it
a customer moves to another stage in your CRM and should leave the list that targets the previous one.
9

Remove Unsubscribe

Action

In Zapier“Removes a phone number from your unsubscribe (opt-out) list.”

Takes a phone number off the opt-out list, which makes it reachable again by your sends.

When to use it
a customer who had opted out signs up again through a form that asks for SMS consent.
Watch out
only run it on a clear new consent from that person.
10

Rename Contact List

Action

In Zapier“Renames an existing contact list.”

Gives an existing list a new name. Both the Contact List and the New Name are required.

When to use it
a project gets renamed in your project tool and the matching list in Mobile Message should carry the same label.
11

Send SMS

Action

In Zapier“Sends an SMS message”

Sends one text to one number. Receiving Number, Sender and Message are required; the number can be written in international or Australian format, and the message holds up to 765 characters in standard GSM-7.

When to use it
a booking confirmed in another tool should trigger a text to that customer.
Watch out
Bypass Unsubscribe Filtering sends even to numbers on your opt-out list, so leave it off unless you have a clear reason.
12

Send SMS to List

Action

In Zapier“Sends a templated SMS to all contacts in a contact list.”

Pushes one templated message to every contact of a list. You choose the list, the sender and the message, which can carry {first_name}, {last_name}, {company}, {other} and {optout} tokens.

When to use it
a new event published elsewhere should be announced to a whole segment at once.
Watch out
the Allow Emoji option reduces the characters available per message part.
13

Update Contact

Action

In Zapier“Updates an existing contact by contact ID.”

Changes an existing contact, identified by its Contact ID, which is required. If your trigger does not carry that ID, put Find Contact before this step and check at test what it returns.

When to use it
a customer edits their details in your CRM and the address book should follow.
Searches

Mobile Message searches

2 search steps look for data that already exists in Mobile Message, so a later step can use it.

A search step finds something that already exists and hands it to the next steps. In the editor, Mobile Message searches sit at the bottom of the action list, under SEARCH. Three settings decide what happens when the result is not clean.

1

Find Contact

Search

In Zapier“Finds a contact by phone number.”

Looks up a contact in your address book by phone number, the one required field, and hands back what it found; check at test whether it returns the Contact ID that Update Contact and Delete Contact need.

When to use it
an inbound SMS arrives and you want to know whether the sender is already a contact.
Watch out
whether the number must match exactly is decided by Mobile Message; check at test with the format your trigger uses.
2

Find Message

Search

In Zapier“Finds a sent or scheduled message by message ID or custom reference.”

Retrieves a message you sent or scheduled, from its Message ID or from your own custom reference, and passes it on to later steps.

When to use it
before Cancel Scheduled Message, you need the exact message tied to a booking that just changed.
Watch out
the step marks Message ID as required, while the field's own help says to give it or Your Reference, or both; check at test which one your Zap can supply.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. Mobile Message offers no such variant on Zapier; to add a missing contact, follow Find Contact with Create Contact.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Mobile Message Zap breaks

Zapier ties no help article to Mobile Message, so the limits below are the general ones that apply to any Zap built on it.

These cases depend on what the Zap expects, not on Mobile Message itself. Four are worth knowing before you publish. For anything else, see our Zapier troubleshooting guide.

  • Old messages never come through

A Zap reacts only to what happens after you switch it on. Replies and statuses from before are not picked up; moving that history is a separate job.
  • A Zap that keeps restarting

A Zap that writes into the very place its own trigger watches can set itself off again and again, and burns through the task count fast. Check at test.
  • A burst held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.
  • A search on the free plan

The free plan builds two-step Zaps only. Adding Find Contact or Find Message before an action makes the Zap multi-step, and it then needs a paid plan.

FAQ

Mobile Message Zapier integration: frequently asked questions

01Is the Mobile Message Zapier integration free?
Yes, for Zaps of two steps. Mobile Message is not a premium app, so the free Zapier plan accepts it: 100 tasks a month and an unlimited number of Zaps, each made of one trigger and one action. The reply-to-chat Zap on this page fits that limit. Anything that chains a search and an action, such as Find Contact then Update Contact, becomes multi-step and needs a paid plan. Splitting the job into several two-step Zaps keeps you on the free plan.
02How many tasks does a Mobile Message Zap use?
One task per action that succeeds, and nothing for the trigger. The reply-to-chat Zap costs one task per inbound SMS. A Zap that finds a contact, updates it and adds it to a list costs a task for each action that goes through. An action that fails is not counted. Send SMS to List is one action in the editor; run it once at test on a small list before sending to a big one.
03Does Mobile Message trigger Zaps in real time?
Yes. New Inbound SMS and New SMS Delivery Status are both instant triggers: Mobile Message tells Zapier when the event happens, and the Zap starts right away whatever your plan. The polling interval of the plans, 15 minutes on Free, does not apply to them. The type comes from the app itself and cannot be changed from the editor. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does connecting Mobile Message to Zapier require?
A Mobile Message account, plus read or write access on anything you do not own yourself and want the Zap to touch. You start on the Apps page of your Zapier account with + Add connection, search Mobile Message, click Add connection, sign in in the tab that opens, then grant Zapier access. The connection is reused by every Mobile Message step. To send, also register your sender in the Sender ID section of the account.
05Why is a sender missing from Send SMS?
Because Sender (From) only accepts a number or word registered in the Sender ID section of your Mobile Message account. No Mobile Message step on Zapier registers a sender ID. If the sender you want is not offered, or the test fails on that field, register it in Mobile Message first, then come back to the step and pick it. The same rule applies to Send SMS to List, which asks for a sender ID too.
06What if the Mobile Message operation you need is missing?
Then this connection cannot do it today. The Mobile Message page on Zapier shows the current list of triggers, actions and searches, which is what the editor offers. If what you need is not there, rework the Zap around what exists: no trigger watches new contacts, but the tool where they are created can start the Zap, and Find Contact followed by Create Contact stands in for a find-or-create. If the gap blocks the project, compare what other automation platforms offer.
07Zapier, Make or n8n for Mobile Message?
Decide on criteria rather than on a ranking. Coverage: on Zapier, Mobile Message offers two instant triggers, thirteen actions and two searches, from sending to opt-outs; check what each other platform lists for it before choosing. Length: two-step Zaps run on the free Zapier plan, while a search or a filter needs a paid plan, and Update Contact needs a Contact ID that a search step can look up. Team: pick the tool the people maintaining it already know.
