Overview

What the Nifty Zapier integration is for

Nifty is a project management tool where teams plan work and talk about it in one place. Zapier, an automation tool, links it to your other apps: a Zap (the automation you build) waits for an event in one app and then does something in another. With Nifty, that event can be a new task, a finished task, a file, a doc or a new project.

Tasks that write themselves. Create Task turns an entry from a form or a row from a sheet into a task in the right project, with its status already set, so nobody retypes requests.

A log of finished work. Task Is Completed hands each completed task to a spreadsheet, which gives you a running record of what got done without exporting anything.

Milestones nobody misses. New Milestone paired with Send Message posts a note in the project each time a milestone is added, so the team hears about it where it already talks.

What Zapier does not do here. Every Nifty action on Zapier creates something or sends a message. None of them edits a task, marks it done, moves it or deletes it, and there is no search step to find a task that already exists. Every Nifty trigger works by polling, so none of them is instant: the wait depends on your plan.

Vocabulary

Zapier words in one minute

Eight words carry the rest of this page. Here they are in plain English.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts a Zap, such as a new task in Nifty. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like creating a Nifty task.
Task
The unit Zapier bills. One task is one action your Zap completes successfully. Not to be confused with a task in Nifty.
Polling vs instant
Polling: Zapier asks the app for new items at a fixed interval. Instant: the app calls Zapier itself. All 12 Nifty triggers are polling.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your Nifty account linked to Zapier once, then reused by every step of every Zap that uses Nifty.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it then needs a paid plan.
Cost

What a Nifty Zap costs in tasks

Nifty is not a premium app, so its triggers and actions work on the free plan. Checking Nifty for new items costs nothing, however often Zapier looks; only a completed action is billed.

  • Trigger cost0 tasks
  • Free plan100 tasks a month
  • Zap size on Free2 steps
  • Premium appNo

The free plan gives 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger, one action. A second action or a filter makes the Zap multi-step, which needs a paid plan. Each action that succeeds is counted on its own, so a Zap that creates a task and then sends a message uses two tasks per run. An action that fails is not counted. The grid below is how often Zapier checks a polling trigger on each plan.

Connect

Connect Nifty to Zapier in three steps

  1. 01

    Open the Apps page

Sign in to Zapier and open the Apps page of your account. Click + Add connection, type Nifty in the search box of the dialog, and pick it from the results.

  2. 02

    Sign in to Nifty

Click Add connection. A new tab opens on Nifty: sign in there with your Nifty account, then return to Zapier. You only sign in once: Zapier then keeps the account linked for your Zaps.

  3. 03

    Grant Zapier access

Grant Zapier access to the account. What you need beforehand: an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection is then reused by every Nifty step.

First Zap

Your first Zap: completed tasks into a sheet

GoalLog the Nifty tasks that get completed and pass your condition in a spreadsheet, one row per task.

  1. 01

    Start a new Zap

In Zapier, start a new Zap. This is the build phase: you pick the app and event that start it, then the apps that follow, and map the fields between steps.

  2. 02

    Set Task Is Completed

Pick Nifty as the app and Task Is Completed as the event, choose your connection, then fill in Project, the field this trigger requires.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map fields from a real completed task rather than a guess.

  4. 04

    Add the filter

Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule and the value. A filter makes this a multi-step Zap, so it needs a paid plan.

  5. 05

    Add the spreadsheet row

Add the action of your spreadsheet app and map the task fields into the columns. Which fields Nifty sends, you see at the test, not before.

  6. 06

    Test, then publish

Run each step once and read what came back. When the row looks right, click Publish. Zapier then checks Nifty at the interval of your plan.

Triggers

The 12 Nifty triggers

12 events start a Zap when something happens in Nifty. Zapier checks for them at the interval your plan allows.

1

New Doc

Polling trigger

In Zapier“Triggers when a new doc is created.”

New Doc picks up each document someone creates in a Nifty project and passes it to the next step, so a fresh write-up is not known only to its author.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when every new doc in a project should be announced in a chat channel or logged in a shared list.
Watch out
Project is a required field here, so you choose it while setting up the trigger.
2

New File

Polling trigger

In Zapier“Triggers when a new file is uploaded.”

Every file uploaded to a Nifty project can start a Zap through New File. It suits uploads that should also leave a trace somewhere other than Nifty.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when uploads in a project should be noted in a sheet or announced to people who rarely open Nifty.
Watch out
Project is required, and only files uploaded after the Zap is published come through.
3

New Tag

Polling trigger

In Zapier“Triggers when a new tag is created.”

A tag created in Nifty is the event behind New Tag: each new one becomes a run of your Zap, carrying the tag over to the next step.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when you keep your tag list in another tool too, for example a spreadsheet that holds every label in one place, and want it to stay complete without copying.
4

New Message

Polling trigger

In Zapier“Triggers when a new message is sent.”

New Message, one of the triggers Zapier features for Nifty, starts a run each time a message is sent in a Nifty project.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a project conversation should reach people who do not open Nifty, through email or another chat tool.
Watch out
Project is a required field, so each trigger is set on the project you pick in the setup.
5

New Milestone

Polling trigger

In Zapier“Triggers when a new milestone is created.”

A milestone added to a Nifty project reaches Zapier through New Milestone, ready to be copied into another tool or announced.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when milestones should also show up in your calendar or in a planning sheet that people outside the project read.
Watch out
Project is required; set it in the trigger before you run the first test.
6

New Project

Polling trigger

In Zapier“Triggers when a new project is created.”

New Project marks the start of a whole piece of work: each project created in Nifty runs the Zap once. Zapier features it among the Nifty triggers.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a new project should open a matching folder, sheet or channel in your other tools.
Watch out
projects created before the Zap is published are not picked up; the Zap only sees new ones.
7

New Subtask

Polling trigger

In Zapier“Triggers when a new subtask is created.”

Subtasks get a trigger of their own: New Subtask starts a run for each subtask created under a task in Nifty.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when the small steps of one task need to be followed outside Nifty, in a checklist or a sheet.
Watch out
this one has two required fields, Project and Task, and you set both when you configure the trigger.
8

New Portfolio

Polling trigger

In Zapier“Triggers when a new portfolio is created.”

New Portfolio hands Zapier each portfolio created in Nifty, from the moment the Zap is published.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a new portfolio should get its own space in another tool, such as a shared folder or a chat channel.
Watch out
check at the test which details a portfolio brings before you map them.
9

Task Is Completed

Polling trigger

In Zapier“Triggers when a task is completed.”

Task Is Completed looks at the other end of a task's life: it reacts when a task in Nifty is completed, not when it is created.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when finished work should be reported, logged in a sheet or announced to someone outside the project.
Watch out
Project is a required field, so the trigger is set up on one project at a time.
10

New Status

Polling trigger

In Zapier“Triggers when a new status is created.”

New Status reports each status created in a Nifty project, so a change to how a project is laid out does not go unnoticed elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when the statuses of a project are mirrored in another tool and should stay in step with Nifty.
Watch out
Project is required, like on most Nifty triggers.
11

New Task

Polling trigger

In Zapier“Triggers when a new task is created.”

New Task, featured by Zapier for Nifty, starts a run for every task created in a Nifty project. It is the natural starting point when new work should travel to another app.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when new tasks should be copied into a sheet, a calendar or a chat channel.
Watch out
Project is a required field, and tasks that existed before publishing are not replayed.
12

New User

Polling trigger

In Zapier“Triggers when a new user is invited.”

New User follows invitations: each person invited to Nifty starts the Zap, so the people side of your account can feed other tools.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when an invitation should also add someone to a shared list or send a welcome note from another tool.
Watch out
check at the test which details an invitation brings before you map them.
Actions

The 9 Nifty actions

Nifty gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Document

Action

In Zapier“Creates a new document.”

Create Document writes a new doc into a Nifty project. Project and Name are the required fields.

When to use it
when notes written in another app should also live next to the project they concern, so the team finds them in Nifty.
2

Create Tag

Action

In Zapier“Creates a new tag.”

Create Tag adds a tag to Nifty, and Name is its only required field.

When to use it
when a list of labels kept in a sheet or another tool should be mirrored in Nifty, so both places use the same words to sort work.
3

Send Message

Action

In Zapier“Send a new message.”

Send Message posts a message in a Nifty project. Project and Content are required, and an option labelled Send as Bot is also available.

When to use it
when an event in another tool, such as a payment or a form entry, should be announced to the people working on the project.
4

Create Milestone

Action

In Zapier“Creates a new milestone.”

With Create Milestone, a date range from another tool becomes a milestone in a Nifty project. Four fields are required: Project, Name, Start and End.

When to use it
when key dates are decided elsewhere, in a calendar or a sheet.
Watch out
check at the test how Start and End come through.
5

Create Project

Action

In Zapier“Creates a new project.”

Create Project opens a project in Nifty. Two fields are required: Name, and Public to the portfolio, the setting that lets all members of the portfolio access the project.

When to use it
when a form entry or a new row in a sheet should open the project for you.
6

Create Subtask

Action

In Zapier“Creates a new subtask.”

Create Subtask adds a smaller step under a task in Nifty. It asks for two required fields: Task and Name.

When to use it
when the items of a checklist kept in another tool should become the pieces of one Nifty task.
7

Create Portfolio

Action

In Zapier“Creates a new portfolio.”

Create Portfolio adds a portfolio to Nifty from whatever started the Zap. Name is the only required field, and it can be filled from any earlier step.

When to use it
when something new in another tool deserves its own portfolio in Nifty, without anyone opening the app to create it.
8

Create Task

Action

In Zapier“Creates a new task.”

Create Task puts a task in a Nifty project. Project, Status and Name are required, and an option called Add the task at the top of the list is offered too.

When to use it
when a form answer, an email or a sheet row should become a to-do in the right project.
9

Create Status

Action

In Zapier“Creates a new status.”

Create Status adds a status to a Nifty project. It asks for two things, the Project and a Name, and nothing else is required.

When to use it
when a project should gain a status because of an event in another app, rather than by someone adding it by hand.
When it breaks

When a Nifty Zap breaks

Zapier ties no help article to Nifty, so the cases below are the general limits of any Zap, applied to the 12 polling triggers and 9 actions of this app.

Each card names a limit and the move that avoids it. If a Zap still misbehaves after that, see our Zapier troubleshooting guide.

  • Old items never come through

A Zap only reacts to what happens after it is switched on. Tasks, files or projects that already exist in Nifty are not picked up; moving them is a separate job.
  • The same item does not run twice

Zapier keeps track of what it has already seen on a polling trigger, so the same item does not start the Zap twice.
  • A Zap that feeds itself

A Zap that writes into the very place its own trigger watches can set itself off again and again, and burn through your task count fast.
  • A huge batch can be held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • No trigger can be made instant

Whether a trigger is instant or polling is decided by the app and cannot be changed from the editor. All Nifty triggers are polling, so the plan interval applies.
  • A failed action costs nothing

An action that does not go through is not counted against your plan. Only a completed action is billed as a task.

FAQ

Nifty and Zapier: questions people ask

01Is the Nifty Zapier integration free?
Yes, it works on Zapier's free plan. Nifty is not a premium app and it has no search step, so each of its 12 triggers and 9 actions can be used there. The free plan gives 100 tasks a month and an unlimited number of Zaps, each made of two steps: one trigger and one action. A Zap that creates a task in Nifty from a form entry fits. Add a filter or a second action and it becomes multi-step, which needs a paid plan.
02How many tasks does a Nifty Zap use?
The trigger costs nothing, and neither does Zapier checking Nifty for new items, however often it looks. What counts is each action that succeeds: one task each. A Zap that creates a task in Nifty uses one per run; if it also sends a message in the project, two. An action that does not go through is not counted. A few apps and a few actions take more than one task, so check the ones you add after Nifty.
03Is the Nifty integration real time?
No. All 12 Nifty triggers are polling triggers: Zapier asks Nifty for new items at a fixed interval and keeps only what it has not seen. That interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On the paid plans you can change how often a polling trigger checks, and run a check by hand from the editor. The trigger type is set by the app and cannot be switched to instant.
04What do you need to connect Nifty to Zapier?
An account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection starts from the Apps page of your Zapier account with + Add connection: you pick Nifty, sign in in the tab that opens and grant Zapier access. Every Nifty step then reuses that connection. Most Nifty triggers and actions also ask for a Project, so know which one each Zap works in.
05Can Zapier edit, complete or delete a Nifty task?
No. The nine Nifty actions on Zapier all create something or send a message: a portfolio, a project, a milestone, a status, a task, a subtask, a document, a tag, or a message in a project. None of them changes, completes, moves or deletes a task that already exists, and there is no search step to find one. Zapier can, on the other hand, react when a task is completed, through the Task Is Completed trigger.
06What if the Nifty operation you need is not there?
Then Zapier cannot do it with Nifty today. The Nifty page on Zapier shows the current set of operations; on the date of this page that means 12 triggers and 9 actions, and no search. If the job you have in mind is an edit or a deletion, a Zap cannot do it in Nifty. Look at whether a creation does the trick instead, for example a new task or a message in the project, or keep that step manual.
07Zapier, Make or n8n for Nifty?
There is no single winner, so decide on criteria. Start with the connection: check that the tool you are eyeing offers Nifty as a ready-made app in its catalog, and which operations it covers. Then the shape of the job: on Zapier, one trigger and one action fit the free plan, and every extra step means a paid plan. Then timing: every Nifty trigger on Zapier is polling, so the wait between an event and the Zap depends on the plan interval.
