Overview

What the Njano Zapier integration actually does for your workspace

The Njano Zapier integration is a one-way bridge. Njano is a cloud tool for running a coworking or shared workspace, and Zapier listens to it. When something new appears in your Njano account, a booking, a member, a claim, Zapier can pass it on to the rest of your tools without anyone copying it by hand.

Three things people usually get out of it. First, a front-desk alert: New Room Booking fires and your team gets a message with who booked what, before the guest shows up. Second, a clean member list elsewhere: New Member and New Team Member feed a spreadsheet, a newsletter tool or your CRM, so onboarding starts on its own. Third, a support queue that fills itself: New Claim drops each new complaint or request into the tool your ops people already watch.

Now the part the app page won't spell out. Zapier only reads from Njano. There is no action, so a Zap can't create a booking, update a member or close a claim in Njano. There is no search either, so a Zap can't look up an existing Njano record halfway through. If your plan needs data to flow back into Njano, Zapier alone won't do it (and that is worth knowing before you design anything).

If you are still choosing a platform, put Zapier next to its closest rival in our Make vs Zapier comparison before you build anything.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the second the event happens.
Filter
A step that lets the Zap carry on only when what arrived matches a condition you set, and stops it otherwise.
Connection
Your Njano account linked to Zapier once, then reused by every Zap step that talks to Njano.
Cost

What Njano on Zapier really costs you

Short version: the Njano side costs nothing. You pay for what happens next.

  • Njano premium appNo, free plan works
  • Free plan100 tasks a month, two-step Zaps
  • Trigger cost0 tasks
  • Njano triggers7, all instant

A trigger never uses a task, and Zapier listening for Njano events is free however often they come. Each action that succeeds counts as one task, and a failed one is not counted. Njano is not a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps, but only two steps per Zap. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan before it can run.

Connect

Connect your Njano account to Zapier

  1. 01

    Open your Zapier apps

Log in to Zapier and go to the Apps page of your account. Click + Add connection. Make sure you already have a Njano account you can sign in to, since Zapier connects to an existing one.

  2. 02

    Pick Njano

In the dialog that opens, type Njano in the search box and select it from the results. Then click Add connection. A new browser tab opens on the Njano side.

  3. 03

    Sign in and allow access

Sign in to Njano in that tab and grant Zapier access to the account. The connection then sits in your Apps list, and every Zap you build with Njano reuses it.

First Zap

Your first Zap: tell the team about every new booking

GoalEach new Njano room booking sends an email to the front desk, with a filter so only some bookings go through.

  1. 01

    Create the Zap

In Zapier, start a new Zap. For the trigger, pick Njano as the app and New Room Booking as the event, then choose your Njano connection.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent bookings in your account, so you map fields on a real one instead of guessing.

  3. 03

    Add a filter

Click the plus icon, add Filter, then set the field, the rule and the value. Use a text rule on text fields, or the filter will never pass. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the action

Add your email app as the action and map the booking details from Njano into the subject and body. Run the step test once and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. From now on, each new booking goes out as it happens, while older ones stay where they are.

Triggers

The 7 Njano triggers, one by one

7 events start a Zap when something happens in Njano, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Circle

Instant trigger

In Zapier“Triggers when a new Circle is created.”

Starts a Zap each time a circle is created in Njano. The new circle's details reach the next step, so a channel post, a row in a list or a welcome message can follow on its own.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your community manager wants to hear about every new circle the day it appears, without opening Njano.
Watch out
only circles created after the Zap is published come through, so existing groups need to be listed by hand.
2

New Claim

Instant trigger

In Zapier“Triggers when a new claim is created.”

Fires when a new claim is created in Njano. That is your hook for turning complaints or requests into tickets somewhere your team actually looks, instead of letting them sit inside the workspace tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a broken printer or a heating issue should land in your ops board the minute a member reports it.
Watch out
Zapier can't mark the claim as handled back in Njano, so closing it stays a manual step.
3

New Event

Instant trigger

In Zapier“Triggers when a new event is created.”

Reacts to each event your team or members create in Njano: a workshop, a meetup, a community breakfast. The Zap receives the event data and can spread it wherever your audience reads announcements.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you publish events in Njano and want them echoed to a shared calendar or a chat channel automatically.
Watch out
the trigger is about new events only; a date change made later will not start the Zap again.
4

New Online Meeting

Instant trigger

In Zapier“Triggers when a new online meeting is created.”

Watches for online meetings created in Njano. Each one becomes a fresh run of your Zap, carrying the meeting details along.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
remote members book video sessions and the host should get a heads-up in the tool they live in.
Watch out
do not confuse it with New Event; events and online meetings are two separate triggers, so pick the one that matches what your team creates.
5

New Member

Instant trigger

In Zapier“Triggers when a new member is created.”

Fires as soon as a new member record exists in Njano. This is the trigger most onboarding flows hang on, because it hands you the person the moment they join your space.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every newcomer should be added to your newsletter list or CRM without anyone retyping their name.
Watch out
if the Zap's action writes members into a tool that later syncs back into Njano, you risk a loop that eats tasks fast.
6

New Room Booking

Instant trigger

In Zapier“Triggers when a new room booking is created.”

Starts your Zap whenever someone books a room in Njano, meeting rooms, call booths, event spaces. The booking details travel to the next step, ready to be mapped into a message or a sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the front desk needs to prepare a room before the guest walks in, not after.
Watch out
a bulk import of past bookings can arrive as one big batch that Zapier's flood protection may hold back.
7

New Team Member

Instant trigger

In Zapier“Triggers when a new Team member is added.”

Kicks in when a person is added to a team in Njano, which is different from a brand-new member. Think of a company that rents desks from you and adds one more employee to its account.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you bill or badge people per company, and each new teammate should reach your account manager.
Watch out
pair it with New Member carefully, or the same person may run through two Zaps and cost two tasks.
When it breaks

When a Njano Zap breaks

Zapier lists no Njano-specific errors or rate limits. What breaks is the usual Zapier stuff, and it hits this app like any other.

Four situations account for most surprises. None is exotic, and each one has a simple fix once you know it exists. When a Zap still misbehaves after that, our Zapier troubleshooting guide walks through the checks in order.

  • Old records never show up

A Zap only reacts to what happens after you publish it. Members, bookings and claims that existed before stay out, so move that backlog separately.
  • The Zap triggers itself in a loop

If the action writes into a tool that pushes data back into Njano, each run can set off the next one and burn through your task count quickly.
  • A bulk import gets held back

Importing many members or bookings at once can produce a huge batch. Zapier's flood protection may pause it instead of running every item.
  • The filter never lets anything through

Filter rules are typed. A number rule on a text field, or the reverse, means the condition is never met and the action never runs.

FAQ

Njano Zapier integration: frequently asked questions

01Is the Njano Zapier integration free?
Yes, as long as you stay within the free plan's limits. Njano is not a premium app on Zapier, so you can connect it without paying. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps: one trigger and one action. As soon as you want a filter, a second action or a search step, the Zap becomes multi-step and you need a paid plan. Since Njano has only triggers, your free Zap will always be one Njano trigger followed by an action in another app.
02How many tasks does a Njano Zap use?
The Njano part uses zero. A trigger never consumes a task, and Zapier waiting for new bookings or members is free however often they arrive. You are billed one task each time an action after the trigger succeeds. A Zap with three actions therefore costs three times what a one-action Zap costs on every run. An action that fails is not counted. A few apps and actions do take more than one task when they complete, so check the action side of your Zap if your count climbs faster than expected.
03Do Njano triggers run in real time?
Yes. All seven Njano triggers are instant: Njano itself tells Zapier when a new circle, claim, event, meeting, member, team member or booking appears. The Zap starts straight away, whatever your plan, and the editor shows a lightning bolt on it. The interval grid you see on Zapier pricing, 15 minutes on Free down to 1 minute on Team and Enterprise, only applies to polling triggers, and Njano has none. That makes Njano a good fit for a free account where speed still matters.
04What does it take to connect Njano to Zapier?
Two accounts: a Njano account you can sign in to, and a Zapier account. From the Apps page in Zapier, click + Add connection, search for Njano, then click Add connection and sign in to Njano in the tab that opens. Grant Zapier access and the connection is saved. If the Zap should touch records you do not own yourself in Njano, your account needs read access to them. After that, every Zap you build with Njano reuses the same connection, so you only go through this once.
05Can a Zap create or update records in Njano?
No. On Zapier, Njano offers 7 triggers and 0 actions, so a Zap can read what happens in Njano but never write back into it. You cannot create a booking, edit a member or close a claim from a Zap. There is no search step either, so a Zap cannot look up an existing Njano record mid-run. Plan your automations as one-way flows out of Njano: alerts, lists, tickets and reports in other tools. Anything that must change inside Njano stays a manual task for now.
06What if the Njano operation you need is not available?
Then Zapier cannot do it with the Njano app as it stands today. The list on this page is the complete set of visible operations: seven triggers, nothing else. A missing trigger usually means the event is not exposed by Njano to Zapier at all, so no setting will reveal it. Your options are to check whether one of the existing triggers covers the same moment, to ask Njano whether more operations are planned, or to look at another automation platform that connects to Njano differently.
07Zapier, Make or n8n for Njano?
It depends on your criteria, not on a single winner. On Zapier, Njano gives you seven instant triggers that work even on the free plan, but no action and no search, so every flow runs out of Njano. Before weighing Make or n8n, check whether each one offers a Njano connector at all, and which operations it exposes: a platform that can write back into Njano would change the picture. Then compare what matters to your team: how you like to build, where the automations should run and who will maintain them.
