Overview

What the noCRM.io Zapier integration does for a sales team

The noCRM.io Zapier integration connects your noCRM.io account to Zapier, a service that runs automations between apps for you. Each automation is a Zap: one trigger, the event that starts it, then one or more actions that run every time. With noCRM.io, that means pipeline events going out, and leads, prospects and updates coming in.

Three results come back on almost every sales team. Leads that create themselves: a form entry or an ad lead becomes a noCRM.io lead through Create Lead, or through Find Lead with its create option so nothing is duplicated. A pipeline that talks to the rest of the company: New Lead Step Changed To... or New Lead Status Changed To... tells finance, onboarding or the team channel when a deal moves or is won. Prospecting lists that fill up on their own: Create Prospect adds a row to a list as soon as a contact appears elsewhere.

Now what Zapier does not do here. Many operations need the Expert edition of noCRM.io or above, and New Email Received From a Lead needs the DreamTeam edition: on a smaller edition, they stay silent. There is no action to delete a lead, and the searches only find a lead by email or a prospecting list by title. Anything else goes through Call Simplified API, which asks for a technical path.

If you are deciding which tool should run your sales automations, the n8n vs Zapier and Make vs Zapier comparisons set the criteria side by side, without crowning a winner.

Vocabulary

Zapier vocabulary in one minute

Seven words cover every section below. Each one is explained here once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event shows up.
Trigger
The event that starts a Zap, such as a lead changing step in noCRM.io. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that creates, changes or sends something for you, like a new lead.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance counts those and nothing else.
Instant vs polling
An instant trigger is pushed by the app the moment it happens. A polling one is checked by Zapier on a timer instead.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops the run otherwise.
Search step
A step that looks up something already in an app, like a lead by email, so the steps after it can reuse it.
Cost

What a noCRM.io Zap really costs

noCRM.io is not a premium app, so it runs on the free plan. You pay in tasks, and no trigger ever costs one.

  • Free plan100 tasks per month, unlimited Zaps
  • Zap size on free2 steps: one trigger, one action
  • noCRM.io triggers13 of 13 instant, on every plan
  • Premium appNo, works on the free plan

A lead changing step costs nothing by itself. What counts is each action that completes: posting a won deal to a channel is one task per deal, and adding a comment plus setting a closing date makes two. An action that fails is not counted. All 13 noCRM.io triggers are instant, so the interval grid below never slows them down, even on free. The catch: a free Zap stops at two steps. Add a filter, a search such as Find Lead, or a second action, and it becomes multi-step, which needs a paid plan.

Connect

Connect noCRM.io to Zapier in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your noCRM.io account linked once, then reused by every step that reads or writes your leads.

  2. 02

    Pick noCRM.io

Type noCRM.io into the search box of the dialog, select it, then confirm with Add connection. You need an existing noCRM.io account, plus access to any leads or lists that other users own.

  3. 03

    Sign in and grant access

A new tab opens on noCRM.io. Sign in with the account whose pipeline you want to automate, then allow Zapier to use it. From then on, every noCRM.io step reuses that connection.

First Zap

Your first noCRM.io Zap: no inbound lead left without an owner

GoalEach lead created without an owner is handed to the rep on duty, then tagged with its source so reports can sort inbound leads.

  1. 01

    Create the Zap

Click Create, then Zap. The editor opens on an empty trigger card, waiting for you to pick an app and the event that should start everything.

  2. 02

    Set the trigger

Choose noCRM.io, then New Unassigned Lead, and select your connection. It is an instant trigger, so the editor shows a lightning bolt rather than an interval.

  3. 03

    Test on real leads

Run the test: Zapier brings back the three most recent matching leads. Create an unassigned test lead first if none exists, so the mapping uses a real one.

  4. 04

    Assign, then tag

Add Assign Lead, map the lead from the trigger and pick the rep on duty. Then add Add Tags with the same lead and a short tag such as the lead source.

  5. 05

    Test, then publish

Test each step, check the lead in noCRM.io, then click Publish. With two actions this Zap has three steps, so it needs a paid plan and the Expert edition.

Triggers

The 13 noCRM.io triggers

13 events start a Zap when something happens in noCRM.io, and 13 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Lead Assigned

Instant trigger

In Zapier“Triggers when a lead is assigned or re-assigned to someone. This trigger only works for Expert edition and above.”

Starts your Zap when a lead is given to a salesperson, the first time or after a reassignment. The run carries the lead and its new owner, ready for the steps that follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a rep should get a personal heads-up in chat or by email the minute a lead lands on their desk, rather than discovering it on the next refresh.
Watch out
it only runs on the Expert edition of noCRM.io or above.
2

New Lead Comment

Instant trigger

In Zapier“Triggers when a lead is comment on. This trigger only works for Expert edition and above.”

Fires each time someone writes a comment on a lead. The comment and the lead it belongs to travel together into the Zap, so the context is never lost.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your account manager wants the sales notes on a key deal copied into the shared customer file, so delivery reads them without logging into the CRM.
Watch out
it needs the Expert edition or above, and a Zap that writes comments back on the same lead will set itself off again.
3

New Lead Content or Title Changed

Instant trigger

In Zapier“Triggers when the content or the title of a lead is updated. This trigger only works for Expert edition and above.”

Reacts when the body of a lead or its title gets edited. Useful because the description is where reps type phone numbers, budgets and context during a call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a copy of each lead lives in a sheet or another tool, and you want that copy refreshed every time a rep corrects the details.
Watch out
it requires the Expert edition or above, and a Zap that renames the same lead with Change Lead's Title starts a loop.
4

New Deleted Lead

Instant trigger

In Zapier“Triggers when a lead is deleted. This trigger only works for Expert edition and above.”

Runs when a lead is removed from noCRM.io. It is the only way for the rest of your tools to learn that a lead no longer exists, since no action deletes one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your mailing tool or reporting sheet keeps a copy of every lead, and you want deleted ones flagged there too, so nobody keeps emailing a contact that was cleaned out.
Watch out
available on the Expert edition and above only.
5

New Email Received From a Lead

Instant trigger

In Zapier“Triggers when an email is received from a lead. This trigger only works for DreamTeam edition.”

Fires when a lead sends an email that noCRM.io receives. The message reaches the Zap linked to its lead, so you know who wrote, not just that something arrived.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a reply from a hot prospect should ping the rep on their phone at once, before a competitor answers first.
Watch out
this one is stricter than the others: it works on the DreamTeam edition of noCRM.io only, not on Expert.
6

New Manual Trigger

Instant trigger

In Zapier“Triggers when someone clicks on the lead Actions menu for a manual fire. This trigger only works for Expert edition and above.”

Adds your own entry to the Actions menu of a lead in noCRM.io. When a rep clicks it, the Zap starts for that lead, and only then. It is a button you design.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
some steps should run only when a human decides, such as sending a contract draft or opening a project in your delivery tool.
Watch out
the event name you type is the label reps will see in that menu, so pick a clear one. Expert edition or above.
7

New Lead Status Changed To...

Instant trigger

In Zapier“Triggers when a specific status of the lead is changed.”

Watches one status you choose and starts the Zap when a lead is moved into it, for example a deal marked Won. The other status changes are ignored.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
the won deal should open an invoice draft, tell onboarding, or post a celebration in the team channel, without the rep doing any of it.
Watch out
the status name is required and must match one used in your account, or nothing will ever fire.
8

New Lead Step Changed To...

Instant trigger

In Zapier“Triggers when a specific step of the lead is changed. This trigger only works for Expert edition and above.”

Listens for one step of your pipeline and fires when a lead reaches it. This is one of the triggers Zapier itself puts forward.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
reaching the proposal step should create a quote, book a follow-up task, or alert the manager who signs off on discounts.
Watch out
the step name is required and must match a step that exists in your pipeline, spelled the same way. Expert edition or above.
9

New Unassigned Lead

Instant trigger

In Zapier“Triggers when a lead is created unassigned. This trigger only works for Expert edition and above.”

Starts when a lead is created without an owner. Those are the leads that risk sitting untouched, because nobody feels responsible for them yet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want a sales manager warned at once, or a Zap that hands the lead to someone straight away with Assign Lead, so no inbound request waits overnight.
Watch out
it only covers leads created unassigned, not leads whose owner is removed later. Expert edition or above.
10

New Client Folder

Instant trigger

In Zapier“Triggers when a client folder is created.”

Kicks in the moment a client folder is created in noCRM.io, the place where several leads of the same company are grouped. Its description names no edition requirement.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a new client folder should create the matching company in your accounting or support tool, so the account exists everywhere from day one.
Watch out
it reacts to the folder only; leads added to that folder later do not start this Zap.
11

New Lead

Instant trigger

In Zapier“Triggers when a lead is created.”

Runs each time a lead is created in noCRM.io, whoever or whatever created it. It is the broadest trigger of the set and one of those Zapier highlights.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
every new lead should be copied to your newsletter tool or to a reporting sheet, without exception and without a rep exporting anything.
Watch out
if a Zap creates leads with Create Lead, it also sets this trigger off, so two Zaps can feed each other in a loop.
12

New Prospect Created...

Instant trigger

In Zapier“Triggers when a prospect is created in any prospecting list or in a specific one. This trigger only works for Expert edition and above.”

Picks up each prospect added to a prospecting list, any list or one specific list you pick. Prospects are the contacts you have not yet turned into leads.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
each prospect added to your cold-calling list should also join an email sequence, so the call and the email work on the same contact.
Watch out
leave the list open and every list in the account starts the Zap. Expert edition or above.
13

New Task Status Changed To...

Instant trigger

In Zapier“Triggers when a specific status of the task is changed. This trigger only works for Expert edition and above.”

Follows the tasks attached to your leads, not the leads themselves, and starts when a task reaches the status you named. Think of a call marked done or a demo cancelled.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a completed demo task should trigger the follow-up email or log the result in the sheet your manager reviews.
Watch out
the status name is required and has to match the task status exactly. Expert edition or above.
Actions

The 13 noCRM.io actions

noCRM.io gives you 13 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Attachment

Action

In Zapier“Add an attachment to a lead”

Puts a file on a lead, with the name you give it, so the document sits where the rep will look for it.

When to use it
a signed quote or a brief uploaded through a form should land on the matching lead.
Watch out
the lead, the attachment name and the file itself are all required; an empty file field stops the step.
2

Assign Lead

Action

In Zapier“Assign the lead to a user”

Gives a lead to a user of your noCRM.io account, the way a sales manager would when dispatching.

When to use it
leads from one region or one product line should always go to the same rep.
Watch out
only the lead is required, so check which user you map; a Zap watching New Lead Assigned will fire again.
3

Call Simplified API

Action

In Zapier“Call our simplified API to interact with your data”

Lets the Zap reach parts of noCRM.io that no other action covers, through the app's simplified API, a technical door to your data.

When to use it
a developer on your team has a specific path in mind that the 12 other actions cannot handle.
Watch out
the item ID and the API path are both required, and a wrong path simply fails.
4

Change Lead's Title

Action

In Zapier“Change the title of a lead”

Replaces the title of a lead with a new one, which is what reps see first in their pipeline view.

When to use it
you want titles to follow one pattern, company name plus product, whatever the source.
Watch out
paired with New Lead Content or Title Changed, it relaunches its own Zap in a loop.
5

Change Status

Action

In Zapier“Change the status of a lead to Standby, Won, Cancelled or Lost”

Moves a lead to Standby, Won, Cancelled or Lost, the four statuses this action accepts.

When to use it
a payment received in your billing tool should close the deal as Won without the rep remembering to do it.
Watch out
the lead and the status are both required, and any status set here can also set off a New Lead Status Changed To... Zap watching it.
6

Change Step

Action

In Zapier“Change the step of a lead”

Pushes a lead to another step of your pipeline, named by its step name.

When to use it
a meeting booked through your scheduling tool should move the lead to the meeting step on its own.
Watch out
the step name is required and must match a step that exists in your pipeline, spelling included.
7

Log an Activity

Action

In Zapier“Log an activity on a specific lead based on the parameters given. This action only works for Expert edition and above.”

Records an activity on a lead, the way a rep would after a call or a meeting, so the timeline stays complete.

When to use it
calls made from your phone system or meetings booked in your calendar tool should show up on the lead.
Watch out
the lead and the activity are required, and it only works on Expert edition or above.
8

Add Comment

Action

In Zapier“Create a comment on a specific lead based on the parameters given. This action only works for Expert edition and above.”

Writes a comment on a given lead, so information gathered elsewhere appears in the lead's history next to the rep's own notes.

When to use it
a support ticket or a form answer from an existing lead should be visible to the salesperson in charge.
Watch out
both the lead and the text are required, and it works on Expert edition and above.
9

Create Prospect

Action

In Zapier“Create a prospect on a specific prospecting list based on the data given. This action only works for Expert edition and above.”

Adds a contact as a new row in one of your prospecting lists, rather than as a full lead.

When to use it
event attendees or webinar sign-ups should join a calling list before anyone qualifies them.
Watch out
the list is required and must already exist, and the action needs the Expert edition or above.
10

Add Tags

Action

In Zapier“Create a new tag on a specific lead based on the parameters given. This action only works for Expert edition and above.”

Labels a lead with one or more tags, typed as a list separated by commas.

When to use it
you want to mark the lead source, such as a trade show or a campaign, so reports can sort by origin.
Watch out
each tag must stay under 50 characters, and the action needs the Expert edition or above.
11

Create Lead

Action

In Zapier“Creates a new lead.”

Opens a new lead in noCRM.io from whatever the Zap received. Only a title is required, so even a thin form entry is enough to start.

When to use it
demo requests from your website should become leads without anyone copying them.
Watch out
it never checks for duplicates; use Find Lead with its create option when the same person may come back.
12

Set Amount and Probability

Action

In Zapier“Set the amount and the probability of a lead”

Fills in the value of a deal and, if you wish, its chance of closing, so the lead shows what the deal is worth.

When to use it
a quote sent from your quoting tool should update the amount on the lead straight away.
Watch out
the amount is required even when you only mean to change the probability.
13

Set the Estimated Closing Date

Action

In Zapier“Set the estimated closing date on a lead”

Puts an expected closing date on a lead, so the pipeline shows when the deal should close.

When to use it
a proposal sent with a validity date should carry that date onto the lead.
Watch out
both the lead and the date are required; map a real date field rather than free text.
Searches

The 2 noCRM.io searches

2 search steps look for data that already exists in noCRM.io, so a later step can use it.

Search steps sit under the SEARCH heading at the bottom of the Action event list. Three settings decide what happens when the lookup does not go as planned.

1

Find Lead

SearchFind or create

In Zapier“Finds a lead from an email address.”

Looks up a lead from an email address it contains, and can include leads nobody owns yet. The editor also shows Find or Create Lead: that is this same search with the create box ticked, not a separate operation.

When to use it
before Add Comment or Change Step, so the Zap acts on the right existing lead.
Watch out
the email is required, and unassigned leads stay out unless you include them.
2

Find a Prospecting List

Search

In Zapier“Finds a prospecting list by searching.”

Finds one of your prospecting lists by its title and hands it to the next step.

When to use it
the list name arrives from a form or a sheet, and Create Prospect needs the actual list to write into.
Watch out
the title is required; noCRM.io decides how close the match must be, so test with list names that look alike.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps depending on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into find-or-create: the setting above disappears and the step asks for the fields needed to create the missing item.
  3. If multiple search results are found?
Keep the first match, which is the default, stop the Zap, or pass all the matches on at once.
When it breaks

When a noCRM.io Zap breaks

Zapier attaches no help article to noCRM.io, so the known failures are the ones every Zap shares, plus the edition limits stated on each operation.

With 13 triggers and 13 actions on the same pipeline, the classic trap is a Zap that feeds itself. When a run fails and the reason is not obvious, the Zapier troubleshooting guide walks through the checks in order.

  • The pipeline loops

A Zap that writes into the place its trigger watches restarts itself. Change Step under a step trigger, or Create Lead under New Lead, burns tasks fast.
  • Old leads never show up

A Zap only reacts to what happens after it is switched on. Leads already in noCRM.io are not picked up; moving that backlog is a separate job.
  • A trigger stays silent

Most triggers and several actions need the Expert edition or above, and the email trigger needs DreamTeam. On a smaller edition, nothing arrives.
  • A big import gets held back

After a bulk import of leads or a migration, a trigger that suddenly sends a huge batch can be held back by Zapier's flood protection.

FAQ

noCRM.io Zapier integration: frequent questions

01Is the noCRM.io Zapier integration free?
Yes, on the Zapier side: noCRM.io is not a premium app, so it works on the free plan. That plan includes 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps, one trigger and one action. A won-deal alert fits inside that. Add a filter, a search like Find Lead, or a second action, and the Zap becomes multi-step, which needs a paid plan. Your noCRM.io edition matters too, since many operations need Expert or above.
02How many tasks does a noCRM.io Zap use?
One task per action that completes, and nothing for the trigger. A Zap that posts a message for each won deal spends one task per deal. A Zap that adds a comment and then sets a closing date spends two per lead. An action that fails is not billed. Count how many leads change step in a month and set that against the 100 tasks of the free plan before you publish.
03Do noCRM.io triggers work in real time?
Yes. All 13 noCRM.io triggers are instant: the app tells Zapier the moment a lead is created, moves, gets a comment or is deleted, and the Zap starts at once. The check intervals tied to each plan do not apply to them, so the free plan reacts as fast as the paid ones. That type is set by noCRM.io and cannot be changed in the editor, where these Zaps show a lightning bolt.
04What does it take to connect a noCRM.io account?
A noCRM.io account and a Zapier account. From the Apps page in Zapier, add a connection, pick noCRM.io, sign in in the tab that opens and grant access. If the leads or lists you want to touch belong to other users, you also need rights on them. Before building, check your edition: most triggers need Expert or above, and New Email Received From a Lead needs DreamTeam. Once linked, the connection is reused by every noCRM.io step.
05Why does a noCRM.io trigger never fire on some accounts?
Usually because of the edition. New Lead Assigned, New Lead Comment, New Lead Step Changed To... and most other triggers only work on the Expert edition of noCRM.io or above, and New Email Received From a Lead requires DreamTeam. On a lower edition, the Zap can be built but stays silent. The second cause is a status or step name that does not match the one in your account exactly.
06What if the noCRM.io operation for the job is missing?
First check Call Simplified API: it reaches parts of noCRM.io that the 12 other actions do not, provided someone knows the right path. Beyond that, the 28 operations listed here are the full visible set. There is no action to delete a lead, and searches only work by email or list title. If the job still does not fit, it may belong in a more technical automation tool. Better to know before you start.
07Zapier, Make or n8n for noCRM.io?
It depends on your criteria, not on a ranking. On Zapier, noCRM.io is listed with 13 instant triggers and 13 actions, all ready to pick. The questions to ask are how many pipeline events you move per month, since every completed action is a task, whether you need operations beyond the list, and whether someone can maintain a more technical tool. Those answers decide. Since noCRM.io is not a premium app, a first two-step Zap costs nothing to try on the free plan.
