Overview

What the Northpass Zapier integration actually does

Northpass is a learning platform where you build training for learners. On Zapier, it acts only as a starting point: five events inside your school (a finished course, quiz or activity, a person invited, an account activated) can each start an automation in another app. Zapier cannot change anything inside Northpass.

Three results people usually build. First, a completion log: Course Completion adds a line to a spreadsheet or a CRM record each time a learner finishes a course, so a manager stops asking who is done. Second, a quiz follow-up: Quiz Completion sends the result to a team chat or an email tool, so a trainer can reach out while the quiz is still fresh. Third, an onboarding trail: Person Invited and Person Activated mark the two moments that matter for a new hire or a customer, invited and actually signed in, which shows you who never accepted the invite.

What Zapier does not do here matters just as much. There is no action and no search for Northpass, so a Zap cannot create a learner, enroll someone in a course, or look up a record in Northpass. If you want an HR tool or a shop to enroll people automatically, this integration will not do it. Every flow goes one way: out of Northpass, into something else.

The good news for a free plan: all five triggers are instant, so the plan's checking interval never slows them down. If you are still choosing a tool, our Make vs Zapier comparison lays out the differences criterion by criterion.

Vocabulary

Zapier vocabulary in one minute

Seven words cover everything on this page. Each one is used as defined here.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Here, a Northpass event.
Action
What the Zap does once started: the step that writes, sends or moves something for you, in another app here.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment it happens. Northpass only has instant ones.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Connection
Your Northpass account linked to Zapier once, then reused by every Zap that starts from Northpass.
Cost

What a Northpass Zap really costs

Northpass is not a premium app, so it works on the free plan. The trigger never costs a task: only the action that follows, in the other app, is billed when it succeeds.

  • Northpass trigger0 tasks
  • Each successful action1 task (a few actions count more)
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger, one action. Add a filter (say, only passed quizzes) or a second action and it becomes a multi-step Zap, which needs a paid plan. A failed action is not counted. The interval grid below concerns polling triggers only; all five Northpass triggers are instant and skip it. A busy course still costs nothing on the trigger side.

Connect

Connect Northpass to Zapier in 3 steps

  1. 01

    Open your apps

In Zapier, go to the Apps page of your account and click + Add connection. You need a Northpass account first, with access to the school whose events you want to follow.

  2. 02

    Find Northpass

Type Northpass in the search box of the dialog, pick it, then click Add connection. A new browser tab opens on the Northpass side to start the link with your account.

  3. 03

    Sign in and allow access

Sign in to Northpass in that tab and grant Zapier access to the account. The connection is saved once, and every Zap that starts from Northpass reuses it.

First Zap

Your first Zap: log passed quizzes in a sheet

GoalEach time a learner completes a quiz, keep only passed results and add a row to a spreadsheet the training lead reads.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Northpass as the app and Quiz Completion as the event. Select the Northpass connection you added earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the account, so pick a real quiz result to map fields from. If nothing comes back, complete a quiz yourself first.

  3. 03

    Add the filter

Click the plus icon, add Filter, then set the field to check, the rule and the value. If the field holds a number, pick a number rule: a text rule on a number never passes.

  4. 04

    Add the action

Add the spreadsheet step, choose the sheet and map the learner and quiz fields into its columns. Test this step and read what came back before going further.

  5. 05

    Publish

Click Publish to switch the Zap on. With a filter, this is a multi-step Zap, so it runs on a paid plan; on the free plan, drop the filter and log every quiz.

Triggers

The 5 Northpass triggers

5 events start a Zap when something happens in Northpass, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Activity Completion

Instant trigger

In Zapier“Triggers when a learner completes any course activity.”

Fires each time a learner finishes any activity inside a course, not just the whole course. It is the finest-grained signal Northpass sends, useful to follow progress lesson by lesson.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a coach wants a chat ping when a learner clears the module that usually blocks people.
Watch out
one learner can complete many activities in a single session, and every successful action behind this trigger costs a task, so a busy course drains a free plan's 100 tasks fast.
2

Course Completion

Instant trigger

In Zapier“Triggers when a learner completes a course.”

Starts your Zap when a learner gets to the end of a full course. This is the milestone most teams care about: certified, onboarded, done.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a customer success team updates the account in its CRM as soon as a client finishes the product course, so renewal calls start from facts.
Watch out
only completions after the Zap is published come through; earlier graduates have to be moved over separately.
3

Person Activated

Instant trigger

In Zapier“Triggers when a new account is activated.”

Reacts when a new account in your school is activated, meaning the person accepted and actually got in. Paired with the invite trigger, it tells you who made it past the door.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
HR marks the training step as started in the onboarding checklist the day a new hire activates the account.
Watch out
to spot people who never activated, you need two Zaps (invited, then activated) and a sheet both write to, since there is no search to compare them.
4

Person Invited

Instant trigger

In Zapier“Triggers when any person (admin, learner, manager) is invited to a school.”

Runs when anyone is invited to a school, whatever the role: admin, learner or manager. That broad scope is handy for an audit trail and annoying when you only care about learners.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an operations lead keeps a running list of every invite sent, to check later who was added and when.
Watch out
managers and admins come through too; keeping only learners means adding a filter on the role, which makes the Zap multi-step and needs a paid plan.
5

Quiz Completion

Instant trigger

In Zapier“Triggers when a learner completes a quiz.”

Sends the event to Zapier when a learner submits a finished quiz. It is the natural place to hook results into reporting or a follow-up message.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a sales enablement manager emails reps who just took the pricing quiz, while the questions are still on their mind.
Watch out
when you build a filter on the score, pick a number rule; a text rule on a numeric field is the usual reason a filter never lets anything through.
When it breaks

When a Northpass Zap breaks

Zapier attaches no help article to Northpass, and no Northpass-specific limit is documented. What breaks comes from how Zapier works in general.

Four cases cover almost every support ticket on an outbound-only app like this one. If a Zap stays stuck after these checks, our Zapier troubleshooting guide walks through the diagnosis.

  • No history picked up

A Zap reacts only to events after it is published. Courses finished before that day never arrive, and moving the backlog is a separate job.
  • Flood after a bulk invite

Inviting a whole department at once can send a huge batch of Person Invited events, and Zapier's flood protection may hold them back.
  • Task count draining

Activity Completion fires far more often than Course Completion. Every successful action behind it costs a task, so pick the coarsest trigger that does the job.
  • Filter that never passes

Filter rules are typed. A text rule applied to a score or a number rule applied to a name stops every run, even when the data looks right.

FAQ

Northpass Zapier integration: questions

01Is the Northpass Zapier integration free?
Yes, it runs on the free plan, because Northpass is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps: one Northpass trigger and one action in another app. The trigger itself costs nothing. As soon as you add a filter, a search or a second action, the Zap becomes multi-step and needs a paid plan. Price grids change often, so check the current plans on Zapier before committing.
02How many tasks does a Northpass Zap use?
One task per successful action, and nothing for the trigger. A Zap that logs every course completion in a sheet costs one task per completion. A Zap with three actions costs three per event. A failed action is not counted. Be careful with Activity Completion: it fires each time a learner finishes any activity, so it can produce many more runs than Course Completion and eat a free plan's 100 tasks quickly. A few apps take more than one task per action.
03Is Northpass on Zapier real time?
Yes, all five triggers are instant. Northpass tells Zapier the moment the event happens, so the Zap starts right away whatever your plan. The checking interval of the plans, 15 minutes on the free one, only concerns polling triggers, and Northpass has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from the app and cannot be changed from Zapier, so there is nothing to set up on your side.
04What does it take to connect Northpass to Zapier?
A Northpass account, plus access to the school whose events you want to follow. In Zapier, open Apps, click + Add connection, search for Northpass, click Add connection, then sign in to Northpass in the tab that opens and grant Zapier access. The connection is saved once and every Northpass Zap reuses it. If you want to react to activity in a school you do not own, ask its admin for access before connecting.
05Why does Person Invited also fire for managers and admins?
Because it covers anyone invited to a school, whatever the role: admin, learner or manager. Northpass sends every invite, and Zapier passes it on. To keep only learners, add a filter on the role right after the trigger. That filter makes the Zap multi-step, so it needs a paid plan. On the free plan, the alternative is to send every invite to the destination and sort them there, at the cost of one task each.
06What if the operation you need is not on Northpass?
Then Zapier cannot do it, because Northpass offers no action and no search: a Zap cannot create a learner, enroll anyone, or look up a record inside Northpass. The integration only sends five events out. Writing back into Northpass would mean a different route, outside this integration. If enrolling people automatically is the real goal, check that before you build the rest of the flow around Zapier. A Zapier expert can confirm it quickly.
07Zapier, Make or n8n for Northpass?
It depends on the criterion. For speed of setup with no technical help, Zapier is the shortest path, and its five Northpass triggers are instant even on the free plan. For cost at high volume, compare how each tool bills a run, since Activity Completion can fire often. For self-hosting or full control of the data, n8n is the one built for it. None of them is the answer for every team; weigh the criterion that matters to you.
