Overview

What the Partnero Zapier integration is for

The Partnero Zapier integration links your partner program to the rest of your tools, without code. When something moves in Partnero (a partner approved, a lead converted, a transaction recorded), another app reacts. It also works the other way: another app can create, update or delete records in Partnero.

Three setups show what the pairing is for. A welcome for every new partner: Partner Approved starts the Zap and your email tool sends the onboarding note. Sales recorded where rewards are worked out: Create a New Transaction pushes the full purchase amount into Partnero, which calculates the partner's reward from your program settings. A lead pipeline nobody updates by hand: Lead Submitted, Lead Converted and Lead Rejected each feed the CRM or sheet your sales side already reads.

What Zapier does not do for Partnero matters just as much. There is no action on leads, so a Zap can watch a lead but never create or change one. The two searches cover customers and partners only, nothing for subscribers or transactions, and neither offers to create a missing record. Every trigger is instant, so there is no polling interval to tune either.

If you are still choosing a platform, the same app exists on Make: Partnero Make integration.

Vocabulary

Zapier words in one minute

Eight terms you will meet on this page and in the editor, in plain words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap, here a Partnero event such as Partner Approved. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like Create a New Customer.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and the count on your plan is a count of those.
Instant vs polling
An instant trigger is reported by the app itself when the event happens. A polling trigger is checked by Zapier on a timer. Partnero only has instant ones.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, a Partnero partner for example, so the next steps can use it.
Connection
Your Partnero account linked to Zapier once, then reused by every step of every Zap that touches Partnero.
Cost

What a Partnero Zap really costs

Triggers are free: Zapier bills a task only when an action completes successfully, and an action that fails is not counted.

  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, works on the free plan
  • Instant triggers20 out of 20
  • BilledEach action that succeeds

Partnero is not a premium app, so it runs on the free plan: 100 tasks a month and unlimited Zaps, but two steps per Zap, one trigger and one action. Add a second action, a filter or a search and the Zap turns multi-step, which needs a paid plan. The interval grid only applies to polling triggers, and all 20 Partnero triggers are instant. A Zap built on Partner Approved plus one email step therefore stays free.

Connect

Connect Partnero to Zapier in three steps

  1. 01

    Open the Apps page

In Zapier, go to the Apps page of your account and click + Add connection. You need a Partnero account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick Partnero

Type Partnero in the search box of the dialog, select it, then click Add connection. A new tab opens on the Partnero side for the sign-in, so keep your Partnero login at hand.

  3. 03

    Sign in and grant access

Sign in to Partnero in that tab and grant Zapier access to the account. The connection is saved, and every Partnero step of every Zap reuses it from then on.

First Zap

Your first Partnero Zap

GoalLog every new Partnero transaction in a sheet and tell the team in Slack.

  1. 01

    Pick the trigger

Build the Zap: choose Partnero as the app that starts it, Transaction Created as the event, then select the connection made above.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent transactions of the connected account, so you map from a real one instead of guessing.

  3. 03

    Add the sheet row

Add Google Sheets as the first action and map the Partnero values into your columns. Test the step once and read what came back before going further.

  4. 04

    Add the team message

Add Slack as a second action and build the message from the same values. Two actions make this a multi-step Zap, so it needs a paid plan.

  5. 05

    Publish

Publish the Zap to switch it on. Each new transaction then runs both actions, and each one that succeeds counts as a task: two per transaction.

Triggers

The 20 Partnero triggers

20 events start a Zap when something happens in Partnero, and 20 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Customer Created

Instant trigger

In Zapier“Triggers when Customer is created.”

Starts your Zap each time a new customer record is added to Partnero, and hands that customer to the steps that follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
copy each new customer into your CRM or a tracking sheet, so people outside the partner program see the same list without exporting it.
Watch out
pairing it with Create a New Customer in the same Zap writes where the trigger watches, and the Zap sets itself off again and again.
2

Customer Credited

Instant trigger

In Zapier“Triggers when Customer is Credited.”

Fires when a customer's balance in Partnero receives a credit, so a reward landing on an account can set something off elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send the customer a thank-you email, or log the credit in the bookkeeping sheet your finance side keeps.
Watch out
a Zap that runs Credit Customer Balance from this trigger credits again, fires itself again, and burns tasks fast.
3

Customer Deleted

Instant trigger

In Zapier“Triggers when Customer is deleted.”

Reacts to a customer being removed from Partnero. The deletion becomes the starting point, so the other tools holding that person can follow suit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
remove or flag the same contact in your mailing tool, so nobody keeps receiving program messages after leaving.
Watch out
the Zap only sees deletions made after it is published; customers removed earlier stay wherever they were copied.
4

Customer Updated

Instant trigger

In Zapier“Triggers when Customer is updated.”

Any change saved on an existing Partnero customer starts the Zap, which receives that customer to pass along.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep the customer list in another tool in step with Partnero, instead of fixing two copies by hand.
Watch out
never put Update Existing Customer on the same customer behind it; each update fires the trigger once more and the Zap loops.
5

Lead Converted

Instant trigger

In Zapier“Triggers when Lead is converted.”

Picks up the moment a lead in Partnero is marked as converted: the referral turned into business, and the partner behind it is owed credit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
move the matching deal to won in your CRM, or ping the account owner so the hand-off does not wait for a manual check.
Watch out
Zapier has no Partnero action on leads, so a Zap can react to this status but never set it.
6

Lead Rejected

Instant trigger

In Zapier“Triggers when Lead is rejected.”

Covers the opposite outcome: a lead that gets rejected in Partnero. The Zap carries that refusal to wherever your team follows up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
close the matching record in your CRM, or let the partner who sent the lead know, through your email tool, that it did not go through.
Watch out
a Zap has a single trigger, so following both converted and rejected leads takes two Zaps.
7

Lead Submitted

Instant trigger

In Zapier“Triggers when Lead is submitted.”

The first lead event of the three: a lead is submitted in Partnero and the Zap starts with it in hand.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add the lead to a review sheet or to your CRM so someone qualifies it while the referral is still fresh in the partner's mind.
Watch out
leads submitted before the Zap is published are not picked up; moving that backlog is a separate job.
8

Partner Approved

Instant trigger

In Zapier“Triggers when Partner is approved.”

Runs when you approve a partner in Partnero, so the onboarding that happens outside the app can start without anyone remembering it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send a welcome email with the next steps, or add the new partner to a dedicated list or channel.
Watch out
the test brings back the three most recent approved partners; approve a test partner first if the account has none yet.
9

Partner Archived

Instant trigger

In Zapier“Triggers when Partner is archived.”

Archiving a partner in Partnero sets this one off, which lets your other tools catch up with that change.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
take the partner out of your program newsletter or partner channel, so archived accounts stop getting program news.
Watch out
archived and deleted are two separate triggers, Partner Archived and Partner Deleted; pick the one that matches how your team retires partners.
10

Partner Created

Instant trigger

In Zapier“Triggers when Partner is created.”

A new partner record created in Partnero starts this Zap, before any approval decision is involved.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log every newcomer in a sheet, so you can tell who joined apart from who got approved through Partner Approved.
Watch out
pairing it with Create a New Partner loops, since each partner the Zap creates fires the trigger once more.
11

Partner Deleted

Instant trigger

In Zapier“Triggers when Partner is deleted.”

Removing a partner from Partnero for good triggers the Zap and passes that partner on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
clean the partner out of your CRM and your payout sheet, so no stale contact lingers in a tool nobody checks.
Watch out
deletions made before the Zap went live are not replayed; tidy the older ones by hand once.
12

Partner Rejected

Instant trigger

In Zapier“Triggers when Partner is rejected.”

When an applicant is turned down in Partnero, this trigger hands that partner to the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send a polite decline through your email tool, so nobody waits for an answer that never comes.
Watch out
this trigger plus one email step is a two-step Zap, which the free plan covers; adding a filter on top pushes it to a paid plan.
13

Partner Updated

Instant trigger

In Zapier“Triggers when Partner is updated.”

Edits to an existing partner start the Zap, so a change made in Partnero can travel to every other copy of that partner.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep partner records aligned in your CRM without typing the same change twice.
Watch out
Update Existing Partner on the same partner inside this Zap re-fires it, and that loop eats your task count quickly.
14

Referred Subscriber Created

Instant trigger

In Zapier“Triggers when Referred Subscriber is created.”

Made for referral programs: it fires when a subscriber who came through a referral is created in Partnero.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
tag the newcomer as referred in your email tool, or note the referral in the tracking you keep outside Partnero.
Watch out
whether a referred subscriber also sets off Subscriber Created is not documented; test both before relying on either one.
15

Subscriber Created

Instant trigger

In Zapier“Triggers when Subscriber is created.”

Every new subscriber added to Partnero starts this Zap, and the subscriber is handed to the steps after it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add each new subscriber to your newsletter tool, so the waitlist lives in one place instead of two.
Watch out
Create a New Subscriber in the same Zap creates another subscriber, and the loop starts over.
16

Subscriber Deleted

Instant trigger

In Zapier“Triggers when Subscriber is deleted.”

Deleting a subscriber in Partnero hands that removal to the Zap, so the person disappears elsewhere too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
unsubscribe or delete the same address in your email tool, so the person's choice is respected everywhere.
Watch out
a sudden wave of deletions, after a bulk clean-up, can be held back by Zapier's flood protection.
17

Subscriber Rewarded

Instant trigger

In Zapier“Triggers when Subscriber is rewarded.”

Signals that a subscriber has been rewarded in Partnero, which is the natural moment to say thanks.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send a thank-you email, or post a shout-out in your community tool, while the reward is still news to the subscriber.
Watch out
the trigger itself costs no task; only the thank-you step that succeeds is counted on your plan.
18

Subscriber Updated

Instant trigger

In Zapier“Triggers when Subscriber is updated.”

Changes saved on a subscriber in Partnero start the Zap with the updated subscriber attached.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push the change to the copy of that subscriber in your email platform, so both lists say the same thing.
Watch out
Update Existing Subscriber on the same record inside this Zap triggers it again; keep those two in separate Zaps.
19

Transaction Created

Instant trigger

In Zapier“Triggers when Transaction is created.”

A transaction recorded in Partnero, the purchase the partner's reward is calculated from, starts this Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log each sale in a finance sheet and tell the team in Slack, exactly as in the first Zap above.
Watch out
a Zap that runs Create a New Transaction from this trigger records one more transaction each time, and loops.
20

Transaction Deleted

Instant trigger

In Zapier“Triggers when Transaction is deleted.”

Whatever the reason, removing a transaction from Partnero sets this trigger off and passes the removed entry on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
strike the matching line from your finance sheet, so totals agree on both sides.
Watch out
only deletions after the Zap is published are seen; earlier ones need one manual pass.
Actions

The 14 Partnero actions

Partnero gives you 14 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a New Customer

Action

In Zapier“Creates new Customer in the system.”

Adds a customer to Partnero from another app. Only the name is required.

When to use it
a signup in your checkout or form tool should exist as a Partnero customer without anyone retyping it.
Watch out
never run it from Customer Created, or each new customer creates the next one.
2

Create a New Partner

Action

In Zapier“Creates new Partner in the system.”

Opens a partner account in Partnero. A name and an email address are required, and the email must be unique.

When to use it
applications collected in a form outside Partnero should land straight in the program.
Watch out
an address already used by another partner breaks the uniqueness rule, so map a clean one.
3

Create a New Referred Customer

Action

In Zapier“Creates new referred Customer in the system.”

Records a customer who arrived through a referral. The name is the one required field.

When to use it
your sales tool already knows the customer was referred, and Partnero should see it the same way.
Watch out
placed behind a search or a second action, this step makes the Zap multi-step, which needs a paid plan.
4

Create a New Referring Customer

Action

In Zapier“Creates new Referring Customer in the system.”

Creates the other side of a referral: the customer who refers others. This one asks for an email address.

When to use it
enrol your existing customers as referrers from your CRM, without inviting them one by one.
Watch out
here the email is the required field, while the referred side asks for a name; map the right one for each.
5

Create a New Subscriber

Action

In Zapier“Creates new Subscriber in the system.”

Adds a subscriber to Partnero. The email is required and must be unique; optional TOS, Marketing Consent and Approved fields record what the person agreed to and their status.

When to use it
a waitlist or signup form in another tool feeds your referral program.
Watch out
map consent from what the form collected, never a fixed value.
6

Create a New Transaction

Action

In Zapier“Creates new Transaction in the system.”

Records a purchase in Partnero, which then calculates the partner's reward from your program settings. Customer Key, Transaction Amount (the full purchase amount) and Transaction Action, a free label shown in the program, are required.

When to use it
each payment in your billing tool should count toward the right partner.
Watch out
in a refer-a-friend program, the customer must be given by id or key.
7

Credit Customer Balance

Action

In Zapier“Credit specific Customer balance.”

Adds credit to a given customer's balance. Amount, Is Currency and Amount Units are all required.

When to use it
a goodwill gesture decided in your support tool should show up as balance in Partnero.
Watch out
running it from Customer Credited makes the Zap credit, fire and credit again.
8

Delete Existing Customer

Action

In Zapier“Deletes existing Customer in the system.”

Removes a customer from Partnero, identified by its Key, the one required field.

When to use it
an account closed in your main app should not linger in the program.
Watch out
without the Key in an earlier step, run Find Customer first, which makes the Zap multi-step.
9

Delete Existing Partner

Action

In Zapier“Deletes existing Partner in the system.”

Takes a partner out of Partnero for good, straight from another app.

When to use it
a partnership ended in your CRM should end in Partnero too, without a second visit.
Watch out
Partner Archived exists as a trigger, but there is no archive action; this one deletes.
10

Delete Existing Subscriber

Action

In Zapier“Deletes existing Subscriber in the system.”

Deletes a subscriber from Partnero when another tool says so.

When to use it
an unsubscribe or a deletion request handled in your email platform should reach the referral program as well.
Watch out
there is no subscriber search, so the subscriber has to come from an earlier step, usually the trigger.
11

Delete Existing Transaction

Action

In Zapier“Deletes existing Transaction in the system.”

Removes a transaction from Partnero, picked by its Key, which is required.

When to use it
a refund processed in your billing tool should take the matching sale out of the partner's count.
Watch out
the Key must come from an earlier step, since there is no search for transactions.
12

Update Existing Customer

Action

In Zapier“Updates existing Customer in the system.”

Changes an existing Partnero customer with values coming from another app, without anyone editing the record by hand in Partnero.

When to use it
your CRM stays the reference and Partnero follows it.
Watch out
placed behind Customer Updated on the same customer, it re-fires its own trigger.
13

Update Existing Partner

Action

In Zapier“Updates existing Partner in the system.”

Edits a partner already in Partnero, so a change made elsewhere reaches the program.

When to use it
partner details are kept in your CRM and should flow one way, into Partnero.
Watch out
run Find Partner first when the Zap does not carry the partner's Id yet.
14

Update Existing Subscriber

Action

In Zapier“Updates existing Subscriber in the system.”

Edits a Partnero subscriber, including Updated TOS, Updated Approved and Updated Marketing Consent.

When to use it
a consent change made in your email tool should be reflected in the referral program.
Watch out
there is no subscriber search, so the subscriber must come from an earlier step.
Searches

The 2 Partnero searches

2 search steps look for data that already exists in Partnero, so a later step can use it.

Both searches sit at the bottom of the Action event list, under the SEARCH heading. A search makes the Zap multi-step, so it needs a paid plan. Three settings decide what happens when the result is not the one you expected.

1

Find Customer

Search

In Zapier“Finds & get Customer details for given Id in the system.”

Looks up an existing Partnero customer from its Key, the one required field, and passes the details to the next steps.

When to use it
before Credit Customer Balance or Update Existing Customer, when the Zap holds the Key but not the full record.
Watch out
no find-or-create variant exists, so plan for the empty case with the first setting above.
2

Find Partner

Search

In Zapier“Finds & get Partner details for given Id in the system.”

Retrieves a partner's details from Partnero by its Id, which is required, so later steps can use them.

When to use it
ahead of Update Existing Partner, when another app sends the partner's Id but nothing else.
Watch out
the search wants the Id, not a name or an email, so make sure an earlier step carries it.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Neither Partnero search offers that variant, so a missing customer or partner is never created here.
  3. If multiple search results are found?
Three ways out: keep the first match (the default), stop the Zap, or hand all of them on at once.
When it breaks

When a Partnero Zap breaks

Zapier attaches no help article to Partnero, and no app-specific limit is documented. What breaks is the general behavior of Zaps, applied to this app.

Four cases come up with an app whose triggers and actions touch the same records. When a Zap acts strangely, the Zapier troubleshooting page is the next stop.

  • Nothing from before the Zap

A Zap only reacts to what happens after it is switched on. Partners, leads or transactions that already existed are not picked up; moving that backlog is a separate job.
  • The Zap that sets itself off

Customer Updated plus Update Existing Customer, or Transaction Created plus Create a New Transaction: the Zap writes where its trigger watches, fires again and burns tasks.
  • A bulk import held back

After a migration or a bulk import into Partnero, a sudden wave of events can be held back by Zapier's flood protection instead of running every step.
  • A required field left empty

Key on Delete Existing Customer, Id on Find Partner, unique email on Create a New Partner: if the earlier step does not carry the value, the step cannot do its job.

FAQ

Partnero and Zapier: frequent questions

01Is the Partnero Zapier integration free?
Yes, as long as each Zap stays at two steps. Partnero is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The catch is the shape: one trigger and one action, nothing more. A second action, a filter or a search turns the Zap multi-step, and that needs a paid plan. A Zap such as Partner Approved followed by one welcome email stays free; the same Zap with a Slack message added does not.
02How many tasks does a Partnero Zap use?
One task per action that succeeds, and nothing for the trigger. Looking for new data is free too, so the 20 Partnero triggers never cost anything on their own. A Zap with one action costs one task per run; a Zap with three actions costs three. An action that fails is not counted against your plan. A few apps and actions take more than one task when they complete, so read the count your account shows after the first real runs.
03Do Partnero triggers run in real time?
Yes. All 20 Partnero triggers are instant: Partnero tells Zapier itself when the event happens, and the Zap starts right away whatever your plan. The interval grid of the plans (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) only applies to polling triggers, and Partnero has none. A Zap built on an instant trigger shows a lightning bolt in the editor, which is an easy way to check.
04What does it take to connect Partnero to Zapier?
A Partnero account, plus read or write access on anything you do not own yourself and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, pick Partnero, sign in in the tab that opens and grant access. The connection is then reused by every Partnero step. Keep in mind that some actions require a unique email address, so check the data you plan to send before building.
05Why does a Partnero Zap run over and over?
Because it writes where its own trigger watches. Customer Updated followed by Update Existing Customer on the same customer, Subscriber Created followed by Create a New Subscriber, or Customer Credited followed by Credit Customer Balance: each write fires the trigger again, and the Zap loops. Each loop eats tasks, so the free plan's 100 a month can go fast. Split the logic so the action never touches what its trigger observes.
06What if the Partnero operation you need does not exist?
Then Zapier cannot do it directly, and the page lists everything it can. There is no action on leads, no archive action for partners, and no search for subscribers or transactions. When a step needs an identifier that no search provides, it must come from an earlier step, usually the trigger. For anything beyond that, a different platform or a custom build may fit better than forcing it through a Zap.
07Zapier, Make or n8n for Partnero?
It depends on how your Zaps are shaped, not on a winner. On Zapier, all 20 Partnero triggers are instant on every plan, and two-step Zaps fit the free plan with 100 tasks a month. Once a scenario needs a filter, a search or several actions, a paid Zapier plan is required, and that is the point to compare. Weigh how often your Zaps run, how many steps they need, and who will maintain them.
