Nova CRM Zapier integrationAutomate Nova CRM with Zapier.
The Nova CRM Zapier integration offers 4 triggers, 9 actions and 0 searches. The actions do the heavy lifting: create real estate contacts, tag them, assign an agent, book a viewing. The four triggers are polling ones and mostly watch your settings.

What the Nova CRM Zapier integration does for a real estate team
Nova CRM is a lead management CRM for real estate. The Nova CRM Zapier integration connects it to your portals, forms and calendars without code: when something happens in another app, Zapier creates, tags, assigns or schedules the matching contact in Nova CRM for you.
Three results justify the setup. Every enquiry lands in the pipeline: a form or a property portal sends a new lead, and Create a Contact files it with the right stage and source. The right agent gets it straight away: Assign Agent to Contact hands the lead to a named agent, and Create Task to a Contact puts the callback in their day. Viewings stop living in inboxes: a booking made elsewhere becomes an appointment through Create Appointment Event to a Contact.
The flip side is on the trigger side. Nova CRM has no trigger for a new contact, a stage change or a booked viewing. Its four triggers watch agents, sources, stages and tags, and all of them are polling ones. Nova CRM can feed on events from other tools, but it rarely starts a Zap that sends contacts elsewhere.
There is also no delete step, and Find a Contact sits among the actions rather than in a separate search list. If you are weighing platforms, start with the Make vs Zapier and n8n vs Zapier comparisons.
Zapier vocabulary in one minute
Seven words carry this page. One read is enough.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap, such as a new enquiry in a form, or a new tag in Nova CRM. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that creates, tags, assigns or schedules something for you in Nova CRM.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer and only keeps what is new. An instant one is reported by the app at once. All four Nova CRM triggers poll.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
- Connection
- Your Nova CRM account linked to Zapier once, then reused by every step that touches Nova CRM.
What a Nova CRM Zap really costs
Zapier bills actions, never triggers. Nova CRM is not a premium app, so it runs from the free plan.
- Free plan100 tasks a month, two-step Zaps only
- TriggerNever costs a task
- Premium appNo, available on every plan
Each action that succeeds is one task; a failed one is not counted, and checking Nova CRM for new items costs nothing, however often it happens. The free plan stops at two steps, one trigger and one action. Creating a contact and then assigning an agent is already three steps, so that Zap needs a paid plan, as does any filter. The four Nova CRM triggers poll, so the grid below sets how quickly they react.
Connect Nova CRM to Zapier in three steps
- 01
Open the connections page
In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box: type Nova CRM and pick it from the list of results.
- 02
Sign in to Nova CRM
Click Add connection. A new tab opens on Nova CRM: sign in with the workspace account the Zaps should act for. You need write access to any contact you do not own yourself.
- 03
Grant access
Allow Zapier to reach the workspace. The connection now shows up in every Nova CRM step, with your agents, stages, sources and tags ready to pick from the dropdowns.
Your first Nova CRM Zap: welcome every new agent in the team chat
GoalWhen a new agent shows up in your Nova CRM workspace and matches your condition, the team chat announces it, so colleagues know who now takes enquiries.
- 01
Create the Zap
Start a new Zap, choose Nova CRM as the app that starts it and Active Agents as the event. Select the connection you added earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent agents of your workspace, so you map the next steps on a real person instead of a blank record.
- 03
Add the filter
Click the plus icon and add Filter. Pick a field of the agent, a rule and a value. Use a text rule on text: a rule of the wrong type never lets anything through.
- 04
Add the message
Add your chat app and choose its message action. Write the welcome text and drop in the agent's name from the trigger, then test this step on its own.
- 05
Publish
Click Publish. The filter makes it a multi-step Zap, so it runs on a paid plan. Remember the trigger polls: on Professional, Zapier checks for new agents every 2 minutes.
The 4 Nova CRM triggers
4 events start a Zap when something happens in Nova CRM. Zapier checks for them at the interval your plan allows.
Active Agents
Polling triggerIn Zapier“Returns all the agents in your NOVA workspace”
Watches the list of agents in your Nova CRM workspace and starts the Zap when Zapier spots one it has not seen before. Its first job is to feed the agent dropdown in other steps, such as Assign Agent to Contact.
Sources
Polling triggerIn Zapier“Get Sources from Nova CRM and bind when creating Objects”
Reads the lead sources configured in Nova CRM, the labels that say where a contact came from. Zapier uses them to fill the source field when a step creates a record, and a new source can also start a Zap.
Stages
Polling triggerIn Zapier“Get Stages from Nova CRM and bind when creating Objects”
Lists the pipeline stages of your Nova CRM workspace, from first contact to closed deal. Its main role is to supply the stage choices in Create a Contact and Update a Contact Stage, and a newly added stage can start a Zap.
Tags
Polling triggerIn Zapier“Tags from Nova CRM are fetched from here.”
Fetches the tags defined in Nova CRM, the free labels you stick on contacts. Add Tags to a Contact relies on it for its picker, and a tag Zapier has not met before can start a Zap of its own.
The 9 Nova CRM actions
Nova CRM gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Tags to a Contact
ActionIn Zapier“Add Tag on a Contact based on its identifier.”
Sticks one or more tags on a contact found by phone, email or Nova CRM ID, which keeps segments clean without manual sorting.
Assign Agent to Contact
ActionIn Zapier“Assigns Agent to a Contact in Nova CRM”
Hands a contact to a named agent, so ownership is clear from the first minute.
Create a Complete Contact
ActionIn Zapier“Create a Complete Contact in Nova CRM.”
Builds a fuller contact record in one go, for when the source app already holds most of the details about the person.
Create Appointment Event to a Contact
ActionIn Zapier“Creates a Appointment Event in the Nova CRM app.”
Books an appointment on a contact's record, with its place, its type and its start and end.
Create a Contact
ActionIn Zapier“Creates a Lead in the Nova CRM.”
Files a new lead in Nova CRM with a first name, a stage and a source, the minimum the pipeline needs to place it.
Create Note for a Contact
ActionIn Zapier“Create a Note on the Lead Object in Nova CRM.”
Writes a note on an existing contact, found by email or phone, so the agent sees the context before the next call.
Create Task to a Contact
ActionIn Zapier“Create a Task on the Contact Object in Nova CRM.”
Puts a dated to-do on a contact, so a person follows up at the right moment.
Find a Contact
ActionIn Zapier“Find a Contact by email, phone number or Nova CRM ID.”
Looks up a contact by email, phone number or Nova CRM ID and passes it to the next steps. Zapier lists it as an action, not as a search.
Update a Contact Stage
ActionIn Zapier“Updates a Contact Stage inside Nova CRM”
Moves a contact to another stage of your pipeline, the only update step this integration offers.
When a Nova CRM Zap breaks
Zapier links no help article to Nova CRM, so these are the general traps that weigh most on a real estate pipeline.
Most broken Nova CRM Zaps fall into one of these four cases, each with a fix you can apply in the editor. If one keeps resisting, head to the Zapier troubleshooting page.
Old enquiries never come through
A Zap only reacts to what happens after it is switched on. Leads already sitting in your form or portal stay there; importing them is a separate job.The Zap triggers itself in a loop
A Zap that starts on a new Nova CRM tag and then creates tags itself can set itself off again. Tasks drain fast; keep the trigger and the action apart.A bulk import gets held back
If the starting app suddenly returns a huge batch, after a portal migration for example, Zapier's flood protection can hold it back instead of creating every contact. Each item fires once, never twice
On the polling triggers, Zapier remembers what it has already seen. Renaming an agent or a tag will not start the Zap again; only a new one does.
