Overview

What the Nozbe Personal Zapier integration actually does

It lets Nozbe Personal, an app where you organise projects as lists of things to do, start automations in your other apps. You build a Zap (the automation you set up on Zapier: one trigger, then one or more actions that run each time that event happens), and Nozbe Personal provides the trigger.

Three results people usually go after. A running log of finished work: New Completed Action sends each ticked-off item to a sheet, so the list of what got done is already written when you need it. A heads-up for new work: New Action or New Project pings a channel or an inbox when something lands in Nozbe. A copy of your project notes: New Note Attachment pushes notes written in Project Info somewhere your team can read them.

Now the part the app page skips. Zapier does nothing inside Nozbe Personal here. No action creates a task, no action edits one, and there is no search step to look something up. The traffic is one way: Nozbe talks, other apps listen. If you need to write back into Nozbe, this integration is not the tool for it.

All five triggers are polling triggers, so nothing is immediate. On the free plan, Zapier looks for new items every 15 minutes. If you are weighing other platforms, the Nozbe Personal Make integration covers the same app, and n8n vs Zapier sets the criteria side by side.

Vocabulary

Zapier vocabulary in one minute

Eight words you will meet in the editor. Each one comes up again further down the page.

Zap
Your automation on Zapier. One trigger starts it, then one or more actions run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
What Zapier bills you for. One task is one action that completed successfully. Your plan counts these.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app tells Zapier right away. Every Nozbe Personal trigger polls.
Filter
A step that lets the Zap continue only when the incoming item meets your condition. Otherwise the run stops there.
Connection
Your Nozbe Personal account linked to Zapier once, then reused by every step that needs that app.
Multi-step Zap
Anything beyond one trigger plus one action. A second action or a filter makes one, and it needs a paid plan.
Cost

What it really costs you

Nozbe Personal is not a premium app, so it works on the free plan. Its triggers never cost a task, however often Zapier checks.

  • Trigger checksFree, always
  • Free plan100 tasks a month
  • Free plan Zap sizeTwo steps
  • Premium appNo

You pay for what happens next. Each action that succeeds counts as one task, and a failed one counts for nothing. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which means a paid plan. Since Nozbe Personal only offers triggers, every Zap here spends its tasks in the app that follows: budget the count on that side, not on the Nozbe side.

Connect

Connect your Nozbe Personal account

  1. 01

    Open your Apps page

In Zapier, go to Apps and click + Add connection. You need a Nozbe Personal account first, and access to any project you do not own but want the Zap to watch.

  2. 02

    Pick Nozbe Personal

Type the app name in the dialog, select Nozbe Personal from the list of results, then click Add connection. A new browser tab opens on the Nozbe side.

  3. 03

    Sign in and allow access

Log in to Nozbe Personal in that tab and grant Zapier access to the account. The connection now shows up in your list, ready for every Zap that uses the app.

First Zap

Your first Zap: log finished work and tell the team

GoalEach action you complete in Nozbe Personal is logged in a spreadsheet and announced in Slack.

  1. 01

    Create the Zap

Start a new Zap, choose Nozbe Personal as the trigger app and New Completed Action as the event. Then pick your connection.

  2. 02

    Choose the project

Select the Project to watch. Only actions completed inside it will start the Zap, so pick the one whose finished work you want on record.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent completed actions from your account, so map the next steps on a real one.

  4. 04

    Add both actions

Add the sheet row, then the Slack message, and map the action name into each. Two actions make this a multi-step Zap, so it needs a paid plan.

  5. 05

    Test, then publish

Test each action once and read what came back. When both look right, click Publish to switch the Zap on for the next completed action.

Triggers

The 5 Nozbe Personal triggers

5 events start a Zap when something happens in Nozbe Personal. Zapier checks for them at the interval your plan allows.

1

New Completed Action

Polling trigger

In Zapier“Triggered when an action is marked complete.”

Fires each time you tick off an action inside the project you chose. It is the one to use when finished work should leave a trace somewhere else.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
feed a done list that your client report reads from.
Watch out
the Project field is required, so one Zap follows one project; a second project needs a second Zap.
2

New Context

Polling trigger

In Zapier“Triggered when a new context is added to a project”

Reacts when someone adds a new context to a project. It is a quiet but useful signal that the way you sort your work in Nozbe has just changed.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keep a reference sheet of your contexts in sync so an assistant knows which labels exist.
3

New Note Attachment

Polling trigger

In Zapier“Triggered when a new note is created as an attachment on a Project, via the Project Info section in Nozbe.”

Picks up a note created as an attachment on a project, through the Project Info section in Nozbe. Notes written anywhere else do not count.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
copy meeting notes from a project into a shared document your colleagues already open every day.
Watch out
you must choose a Project, so notes from other projects stay invisible to this Zap.
4

New Action

Polling trigger

In Zapier“Triggered when a new action is created”

Spots every new action created in the selected project, whoever typed it in. Think of it as the inbox alarm for incoming work.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
send a message to a teammate when a request lands in the project you share with them.
Watch out
the Project field is mandatory; an action created in another project will not start this Zap at all.
5

New Project

Polling trigger

In Zapier“Triggered when a new project is created”

Starts the Zap whenever a whole new project appears in your Nozbe Personal account. No project to choose here, which makes it the broadest of the five.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
open a matching folder or a tracking row the day a new client project starts, so nobody has to remember it.
When it breaks

When it breaks

Zapier links no help article to this app, so the traps below are the ones every polling Zap shares.

None of them shows up as an error message. The Zap simply stays quiet, or runs more than you expected. If a Zap still behaves oddly after these checks, the Zapier troubleshooting guide walks through the next steps.

  • Old actions are never picked up

A Zap only reacts to what happens after you switch it on. Projects and actions that already existed stay where they are; moving that backlog is a separate job.
  • A loop through another app

If an app your Zap writes to also syncs back into Nozbe, each run can set the trigger off again and burn through your task count fast.
  • A bulk import gets held back

Import a big batch of actions at once and the trigger suddenly returns a lot of items. Zapier's flood protection can hold them back instead of running them all.
  • The same item never fires twice

Zapier remembers what it already saw on a polling trigger. An item it has already passed on will not start the Zap a second time.

FAQ

Nozbe Personal and Zapier: common questions

01Is the Nozbe Personal Zapier integration free?
Yes, it works on the free plan, because Nozbe Personal is not a premium app. The free plan includes 100 tasks a month and checks for new items every 15 minutes. The catch is the Zap size: on free, a Zap holds one trigger and one action only. As soon as you add a filter or a second action, for example logging a task and also posting a message, you need a paid plan. Nozbe Personal gives triggers only, so every Zap you build needs at least one other app for the action.
02How many tasks does a Nozbe Personal Zap use?
The Nozbe Personal side costs nothing. Triggers are free, and so is each check Zapier runs to look for new items, however frequent. You are billed only for actions that complete in the apps that follow. A Zap with one action uses one task per Nozbe event, a Zap with two actions uses two, and so on. An action that fails is not counted against your plan. With 100 tasks a month on the free plan, a busy project fills that count faster than you might expect.
03Does Nozbe Personal send data to Zapier in real time?
No. All five Nozbe Personal triggers are polling triggers: Zapier checks the account on a timer rather than being told the moment something happens. How often depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On the paid plans you can also run a check by hand from the editor. The type is set by the app itself, so no setting in Zapier turns these triggers into instant ones.
04What does it take to connect Nozbe Personal to Zapier?
A Nozbe Personal account, plus access to any project you do not own but want a Zap to watch. The connection itself takes three moves: open the Apps page in Zapier and click + Add connection, pick Nozbe Personal, then sign in on the tab that opens and grant access. Once linked, the connection is reused by every Zap that touches the app. Remember that three triggers require a Project, so the account must be able to see it.
05Why does a Zap miss actions from other projects?
Because New Action, New Completed Action and New Note Attachment each watch a single Project, and that field is required. A Zap set on one project ignores everything happening in the others. To cover several projects, you build one Zap per project, which multiplies the Zaps but not the cost: tasks are counted per completed action, not per Zap. New Project and New Context are the exceptions here, since the first watches the whole account without asking for a project.
06What if the operation you need is not available for Nozbe Personal?
Then Zapier cannot do it with this app today. Nozbe Personal offers only five triggers on Zapier: no action to create or update anything in Nozbe, and no search step. If your process needs to write back into Nozbe, look at another platform's catalog for the same app, or keep that part manual. Before deciding, list what has to happen in Nozbe versus in your other tools; often the trigger side covers the useful half.
07Zapier, Make or n8n for Nozbe Personal?
It depends on your criteria, not on a winner. Zapier is the quickest to set up for a non-technical user and works here on the free plan, but it only reads from Nozbe Personal through five polling triggers. Make has its own Nozbe Personal integration, with its own catalog of operations to check against your process. n8n appeals to teams that want to host their own automations. Compare what each one offers on Nozbe before choosing.
