Overview

What the OClass Zapier integration actually does for a studio

OClass runs the day-to-day of a dance studio, a tuition center or a health club: classes, bookings, trials, payments. The Zapier integration lets those events leave OClass on their own. Something happens in OClass, Zapier hears about it straight away, and another tool does the follow-up you used to do by hand.

Three results studios usually build first. A trial follow-up: First Trial Class and Last Trial Class fire when a student finishes a trial lesson, so a thank-you message or an offer goes out while the class is still fresh in their mind. A win-back list: No Purchase - 2 Days and No Purchase - 14 Days flag new clients who have not bought anything yet, which is exactly the list your front desk should be calling. A lead inbox: a web form or an ad tool hands its contacts to Create Lead, and they land in OClass instead of a spreadsheet.

Now the limits. Zapier can create clients and leads in OClass, nothing else: no booking, no payment, no class schedule written from outside. There is no search step either, so a Zap cannot look up an existing OClass client before acting. And Zapier only reacts to events from the moment your Zap is switched on. Last month's bookings stay where they are.

Vocabulary

Zapier vocabulary in one minute

Eight words you will meet in the editor. Each one is explained once here, then used as is on the rest of the page.

Zap
The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a booking or a payment in OClass.
Action
What the Zap does once it has started: the step that writes, sends or creates something for you, like a new lead.
Task
The unit Zapier bills. One task is one action that your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself, the moment it happens. OClass only has instant ones.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
Connection
Your OClass account linked to Zapier once, then reused by every step and every Zap that talks to OClass.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What an OClass Zap really costs

Short version: the OClass side is free to listen to, and you only pay for what the Zap does afterward.

  • Premium appNo, OClass works on the free plan
  • Free plan100 tasks a month, Zaps of two steps
  • Trigger cost0 task, on every plan
  • OClass triggers12 instant, 0 polling

The trigger never costs a task, so a busy check-in desk costs nothing on its own. Each action that succeeds counts as one task, and a failed action is not counted. A Zap with three actions eats three times what a one-action Zap eats. OClass is not a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps, but only two steps per Zap. Add a filter or a second action and you need a paid plan. The polling grid (15 minutes on Free) does not matter here, since every OClass trigger is instant.

Connect

Connect OClass to Zapier in three steps

  1. 01

    Open your connections

Sign in to Zapier and go to the Apps page of your account. Click + Add connection, type OClass in the dialog and pick it from the list. You need an OClass account before you start, obviously.

  2. 02

    Sign in to OClass

Click Add connection. A new tab opens on OClass: sign in with the account whose studio data you want the Zaps to use. If you work on a studio you do not own, check you have read or write access to it first.

  3. 03

    Grant access

Accept the access request in that tab. The tab closes and OClass shows up in your connections. From now on, every Zap picks this connection from a menu instead of asking you to sign in again.

First Zap

Your first OClass Zap: follow up after a trial class

GoalWhen a student finishes a first trial class in OClass, keep only students with an email, then send them a short follow-up.

  1. 01

    Pick the trigger

Create a Zap, choose OClass as the app and First Trial Class as the event. Select the OClass connection you set up earlier.

  2. 02

    Test the trigger

Click test. Zapier brings back the three most recent trial classes of your account, so you map fields on a real student rather than a guess.

  3. 03

    Add the filter

Click the plus icon and add Filter. Set the field, the rule and the value so the Zap stops when no email came through. This makes it a multi-step Zap, on a paid plan.

  4. 04

    Add the email action

Add your email tool as the action, then map the student name and email from the trigger into the message. Test the step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. Only trials that end after this moment start it: earlier students will not get the message.

Triggers

The 12 OClass triggers

12 events start a Zap when something happens in OClass, and 12 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Check In

Instant trigger

In Zapier“Triggers when a user checks in.”

Starts your Zap each time a member checks in at your studio, so attendance leaves OClass without anyone exporting it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
logging every visit into an attendance sheet, or pinging the coach in the team chat each time a member checks in.
Watch out
on a busy evening this trigger runs a lot, and every action after it costs a task, so keep the Zap short.
2

First Trial Class

Instant trigger

In Zapier“Triggers when student's first trial class ended.”

Fires once a student's very first trial class has ended. That is the moment their impression of the studio is freshest.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
sending a thank-you note with the schedule of next week, or creating a follow-up task for whoever taught the class.
Watch out
it reacts to the end of the class, not the booking, so do not use it for a reminder before the lesson.
3

Last Trial Class

Instant trigger

In Zapier“Triggers when student's last trial class ended.”

Kicks off when a student's final trial class is over. After this one, they either sign up or drift away.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the conversion message, the one with the membership offer, sent the day the free run ends rather than a week later.
Watch out
pair it with First Trial Class only if the two messages really differ, or students get the same email twice.
4

New Booking

Instant trigger

In Zapier“Triggers when a new booking is made.”

Runs as soon as a booking is made in OClass, so a filled class no longer waits for someone to notice it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
adding the class to a shared calendar, or posting a line in the team chat when a popular slot fills up.
Watch out
a booking imported in bulk can arrive as a large batch, which Zapier may hold back for safety.
5

New Client

Instant trigger

In Zapier“Triggers when a new client is created.”

Triggers when a client record is created in OClass. It is the natural starting point for any welcome sequence.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
copying the new member into your email marketing list, with the right tag, the minute they join.
Watch out
never add a Create Client action into OClass in the same Zap, or each new client creates another one, in a loop.
6

New Lead

Instant trigger

In Zapier“Triggers when a new lead is created.”

Goes off whenever a lead is created in OClass, before that person has bought anything. Think prospects, not members.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
handing every new prospect to a sales rep in your CRM, or sending a text that invites them to a trial.
Watch out
if another Zap feeds OClass through Create Lead, both will chain; that is fine, as long as neither writes back where the other listens.
7

No Purchase - 14 Days

Instant trigger

In Zapier“Triggers when a new client does not make a purchase in the last 14 days.”

Flags a new client who still has not bought anything over the last 14 days. OClass does the counting, you get the name.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a last-chance offer, or a call task for the manager, two weeks after sign-up when the first enthusiasm has faded.
Watch out
the delay is fixed by OClass; Zapier cannot change it to ten or twenty days.
8

No Purchase - 2 Days

Instant trigger

In Zapier“Triggers when a new client does not make a purchase in the last 2 days.”

The early version of the previous one: a new client with no purchase over the last 2 days.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a gentle nudge, such as a message pointing to the class packs, while the person is still deciding.
Watch out
if you also use the 14-day trigger, write two clearly different messages, because the same client can receive both.
9

1 Day Promo Reminder

Instant trigger

In Zapier“Triggers when the trial plan credits are all used up 6 days before today.”

According to OClass, this fires when a trial plan's credits were all used up 6 days ago. In practice, it is your final reminder.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the closing message of a promo, the one that says the offer ends tomorrow.
Watch out
the name says one day, the timing is counted from when the credits ran out; read it that way before you write the copy.
10

1 Trial Credit Remaining

Instant trigger

In Zapier“Triggers when student have one trial credit remaining.”

Fires when a student is down to their last trial credit. One class left before the free run stops.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
warning the student before the trial ends, with the membership options, so the last class is not a surprise ending.
Watch out
it comes one class before the trial ends, close to Last Trial Class; pick one of the two for the sales message.
11

Payment

Instant trigger

In Zapier“Triggers when a user completes payment.”

Each completed payment in OClass sets this one off. This is the one your bookkeeper will care about.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
adding each payment to an accounting sheet, or sending a personal thank-you after a first purchase.
Watch out
payments made before the Zap was published are not picked up, so reconcile the past separately.
12

3 Days Promo Reminder

Instant trigger

In Zapier“Triggers when the trial plan credits are all used up 4 days before today.”

Per OClass, this one starts when trial plan credits were all used up 4 days ago. It comes before the 1 Day reminder.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the middle message of a promo sequence, the one that reminds people the offer still runs for a few days.
Watch out
plan the copy of both promo reminders together, since one student goes through both.
Actions

The 2 OClass actions

OClass gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Client

Action

In Zapier“Action to create a new Client”

Adds a new client to OClass from another tool, such as a membership form or a checkout page. First Name and Email are required.

When to use it
someone signs up on your website and you want them in OClass without retyping anything.
Watch out
there is no search step to check for an existing client first, so the same email sent twice may create two records.
2

Create Lead

Action

In Zapier“Action to create a new Lead”

Creates a lead in OClass, a prospect rather than a paying member. It needs First Name, Email and Source.

When to use it
collecting trial requests from an ad form or a landing page straight into OClass.
Watch out
Source must be identical to one of the values set in your OClass admin, or the action fails.
When it breaks

When an OClass Zap breaks

Zapier lists no help article and no documented limit specific to OClass. What breaks is what breaks on any Zap, and four cases cover most of it.

Read these before you publish. When a Zap still misbehaves, the Zapier troubleshooting guide is the next stop.

  • The past is not picked up

A Zap only reacts to bookings, payments and check-ins that happen after you switch it on. Moving older records is a separate job.
  • The Zap feeds itself

A New Client trigger followed by a Create Client action in OClass sets itself off again and again, and burns your tasks fast.
  • A big import is held back

After a bulk import of clients or bookings, a huge batch can reach Zapier at once, and its flood protection may hold it back.
  • Create Lead keeps failing

The Source value does not match the sources of your OClass admin exactly. Fix the spelling there or in the Zap, then test again.

FAQ

OClass Zapier integration: frequent questions

01Is the OClass Zapier integration free?
Yes, as long as you stay within the free plan. OClass is not a premium app, so it is available on Zapier's free plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the size of each Zap: on the free plan, a Zap has two steps, one trigger and one action. As soon as you want a filter, for example to skip clients without an email, or a second action, you move to a multi-step Zap, and that needs a paid plan.
02How many tasks does an OClass Zap use?
Only the actions count. The OClass trigger itself never costs a task, so a check-in or a booking that starts your Zap is free. Each action that completes successfully counts as one task, and an action that fails is not billed. A Zap with one action uses one task per event; with three actions, three tasks per event. On a busy studio, Check In and New Booking are the triggers that run most often, so they are the ones to watch on a monthly budget.
03Does OClass send events to Zapier in real time?
Yes. All 12 OClass triggers are instant: OClass tells Zapier the moment the event happens, and the Zap starts right away. The plan intervals, 15 minutes on the free plan, apply to polling triggers only, and OClass has none. This is good news if you are on the free plan, because a payment or a finished trial class reaches your other tools at once, without paying for a faster plan. In the editor, an instant Zap shows a lightning bolt.
04What does it take to connect OClass to Zapier?
An OClass account, and a Zapier account. From the Apps page in Zapier, you add a connection, pick OClass, sign in in the tab that opens and grant access. If the studio data belongs to someone else, you also need read or write access on it, depending on what your Zaps will do. The connection is set up once and reused by every Zap that touches OClass, so you do not sign in again for each new automation.
05Why does the Create Lead action fail in OClass?
Most of the time, because of the Source field. Create Lead requires three fields, First Name, Email and Source, and Source has to be identical to one of the values set up in your OClass admin. A small difference in spelling or capitals is enough for OClass to refuse the lead. Open your OClass admin, copy the exact source name, and either type it as a fixed value in the Zap or make sure the tool upstream sends that exact text.
06What if the OClass operation you need does not exist in Zapier?
Then Zapier cannot do it for OClass today. The integration covers 12 triggers and 2 actions, both of which create something: a client or a lead. There is no action for bookings, payments or class schedules, and no search step to find an existing client. The practical answer is to start from what OClass does expose, usually a trigger, and let the other tools do the work after it, rather than expecting Zapier to write that data back into OClass.
07Zapier, Make or n8n for OClass?
It depends on your criteria rather than on a winner. For OClass on Zapier, you get 12 instant triggers and 2 create actions that work on the free plan, with a visual editor that a studio manager can handle. Look at another tool if you need operations Zapier does not offer, if your volume makes per-task billing expensive, or if you want to host the automation yourself. Compare which OClass operations each tool exposes before deciding.
