Overview

What the Odoo CRM Zapier integration is good for

Odoo is a suite of business apps, and this integration connects only its CRM to Zapier, the tool that links apps without code. Zapier watches Odoo for new leads, can create leads for you, and can look up an existing contact by name or email. It works with Odoo instances hosted in the cloud at odoo.com.

Three outcomes make it worth the setup. No lead left unseen: New Lead catches each lead as Odoo records it and can pass it to whatever app your team reads first. Leads that arrive by themselves: Create Lead turns a demo request or a sign-up captured elsewhere into a lead in Odoo, with no retyping. A check before acting: Find Contact tells you whether the person behind a lead is already known, so the steps after it can treat a returning customer apart.

Now what it does not do. There is no trigger on contacts, opportunities won or invoices, no action to update a lead, and nothing for the other Odoo apps such as accounting or manufacturing. The integration is also described for cloud instances at odoo.com, so check that first if you host Odoo yourself. If your project needs more, the Odoo CRM n8n integration and the Odoo CRM Make integration cover the same CRM with other tools, and are worth a look before you commit.

Vocabulary

Zapier vocabulary in one minute

Eight words you will meet on every line below.

Zap
The automation you build on Zapier: one trigger, followed by one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. With Odoo CRM, a new lead. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes something for you, here a new lead in Odoo.
Task
The unit Zapier bills. Each action that completes successfully is one task, and your plan caps them per month.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app tells Zapier as it happens. The Odoo CRM trigger is polling.
Filter
A step that lets the Zap continue only when the data meets a condition you set. Otherwise the run stops there.
Search step
A step that looks up something already in an app, like an Odoo contact, so later steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes it one, and it then needs a paid plan.
Cost

What it costs to run

Zapier counts actions that work, not Zaps.

  • Free plan100 tasks a month
  • Free plan Zap2 steps maximum
  • Premium appNo
  • Hosting coveredCloud instances at odoo.com

Watching Odoo for new leads costs nothing: the trigger never uses a task, however often Zapier checks. Each Create Lead that goes through counts as one task, and one that fails is not counted. The free plan covers 100 tasks a month and unlimited Zaps, with two steps per Zap at most. That is fine for one trigger and one action, but adding Find Contact or a filter turns it into a multi-step Zap that requires a paid plan. Odoo CRM is not a premium app.

Connect

Connect Odoo CRM to Zapier in 3 steps

  1. 01

    Add a connection

In Zapier, open the Apps page of your account and click + Add connection. A dialog opens with a search box: type Odoo CRM and pick it from the list of apps.

  2. 02

    Sign in to Odoo

Click Add connection. A tab opens where you sign in to your Odoo instance on odoo.com, with the account whose leads and contacts the Zap should read and create.

  3. 03

    Grant access

Accept when Odoo asks you to let Zapier in. The connection lands on your Apps page, and every Odoo CRM step of every Zap reuses it from then on, without a new sign-in.

First Zap

Your first Zap: flag leads from customers you already know

GoalWhen a new lead lands in Odoo, look up its contact, and if the person is already a customer, create a second lead for the account manager.

  1. 01

    Set the trigger

Start a new Zap, pick Odoo CRM and New Lead, then select your connection. Test it: Zapier brings back the three most recent leads so you work on a real one.

  2. 02

    Look up the contact

Add Find Contact from the SEARCH part of the event list, and map the lead's email into it. Turn on Successful if no search results are found? so the Zap does not halt.

  3. 03

    Filter

Add a Filter. In Configure & test, let through only runs where a contact was found, and add a condition on a word that only this Zap's own leads carry, or it will loop.

  4. 04

    Create the lead

Add Create Lead, map in what the trigger and the search brought back, and include the word your filter looks for. Test the step and check the new lead in Odoo.

  5. 05

    Publish

Hit Publish. With a search and a filter this Zap is multi-step and runs on a paid plan. Each lead it creates costs one task.

Triggers

The Odoo CRM trigger

1 event starts a Zap when something happens in Odoo CRM. Zapier checks for them at the interval your plan allows.

1

New Lead

Polling trigger

In Zapier“Triggers on a new lead.”

Starts the Zap each time a lead is added to your Odoo CRM, however it got there. The lead's details then feed the steps that follow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an IT services firm that wants its sales chat to show each new inbound lead without anyone refreshing the pipeline.
Watch out
a Zap that also runs Create Lead feeds its own trigger, so filter out the leads it makes.
Actions

The Odoo CRM action

Odoo CRM gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Lead

Action

In Zapier“Creates a lead.”

Records a new lead in Odoo from what an earlier step brought in, so prospects captured outside the CRM land in your pipeline without retyping.

When to use it
a training company that turns every brochure download into a lead for its sales team.
Watch out
nothing checks for duplicates unless you put Find Contact and a filter before it.
Searches

The Odoo CRM search

1 search step looks for data that already exists in Odoo CRM, so a later step can use it.

A search step does not create anything: it looks for a contact that already exists in Odoo and hands what it finds to the next steps. You pick it in the Action event list, under the SEARCH heading, and it makes the Zap multi-step.

1

Find Contact

Search

In Zapier“Finds an existing contact by name or email address.”

Looks up a contact that already exists in Odoo, by name or by email address, and returns it to the rest of the Zap.

When to use it
before creating a lead, to know whether you are dealing with a stranger or a client of several years.
Watch out
Odoo decides whether the match must be exact, so test with a real email before trusting the result.

The three settings every search exposes

  1. Successful if no search results are found?
Left as it is, a search that finds nobody stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on without a contact.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns a search into find-or-create. Find Contact on Odoo CRM comes with no such variant, so the box does not apply here.
  3. If multiple search results are found?
When several contacts match, keep the first one, which is the default, stop the Zap, or pass all of them to the next steps.
When it breaks

When it breaks

Zapier documents no error specific to Odoo CRM. The surprises come from how Zaps behave.

Four cases explain most of what goes wrong once an Odoo Zap is live.

  • The Zap creates leads in a loop

A Zap on New Lead that runs Create Lead writes where its own trigger watches. Each lead it makes starts it again, and the task count drains fast.
  • Old leads never come through

A Zap only reacts to what happens after it is switched on. Leads already in Odoo are not picked up; moving that backlog is separate work.
  • An import is held back

Import a big file of leads at once and the trigger returns a huge batch. Zapier's flood protection can hold that batch back rather than run it.
  • No lead runs twice

Zapier keeps track of the leads it has already seen on a polling trigger, so the same lead never starts the Zap a second time.

FAQ

Odoo CRM and Zapier: frequent questions

01Is the Odoo CRM Zapier integration free?
Yes, Odoo CRM is not a premium app, so it runs on Zapier's free plan. That plan includes 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps, one trigger and one action. A Zap from New Lead to an action in another app fits. The moment you add Find Contact or a filter, the Zap becomes multi-step and needs a paid plan. A failed action is never billed.
02How many tasks does an Odoo CRM Zap use?
One task per action that succeeds. The trigger never counts, and checking Odoo for new leads costs nothing however often Zapier looks. Each Create Lead that goes through is one task, and a failed one is not billed. In a Zap with several actions, every successful action counts on its own, so two actions per lead means two tasks per lead. To size a plan, multiply your monthly volume of leads by the number of actions in the Zap.
03Is the Odoo CRM trigger real time?
No. New Lead is a polling trigger: Zapier asks Odoo for new leads at a fixed interval rather than being told the moment one is created. On the free plan that check happens every 15 minutes, on Professional every 2 minutes, and on Team and Enterprise every minute. A lead created just after a check waits for the next one. On paid plans, you can also trigger a check by hand from the editor while you build.
04What do you need to connect Odoo CRM to Zapier?
An Odoo account on a cloud instance hosted at odoo.com, and a Zapier account. From the Apps page in Zapier you add a connection, pick Odoo CRM, sign in to your instance in the tab that opens and grant access. The account you use decides what the Zap can reach: leads or contacts that belong to colleagues need read or write access on that account. If you host Odoo yourself, check that point before you build, since Zapier describes the integration for odoo.com instances.
05Why does an Odoo CRM Zap keep creating the same leads?
Usually because it loops. A Zap that starts on New Lead and also runs Create Lead produces a lead that the trigger sees on its next check, and the cycle goes on while tasks drain. A filter right after the trigger, which lets through only leads the Zap did not create, breaks the cycle. Without a loop, duplicates come from the source sending the same person twice: Find Contact plus a filter before Create Lead stops that.
06What if the Odoo operation you need is not offered?
Then this integration cannot do it. On Zapier, Odoo CRM gives one trigger, New Lead, one action, Create Lead, and one search, Find Contact. There is no update, no trigger on contacts or opportunities, and nothing for the other Odoo apps. Either rebuild the scenario around those three operations, or look at another automation tool that connects Odoo more widely. Create Lead can also follow a trigger from any other app, which often covers the gap.
07Zapier, Make or n8n for Odoo CRM?
Pick on criteria, not reputation. Zapier is the quickest to learn and runs a two-step lead Zap on the free plan, but its Odoo integration stops at three operations, all around leads. This page only covers what Zapier offers, so list the Odoo operations each one offers and compare them with the one step your process cannot skip. On Zapier, also weigh the polling delay of New Lead, 15 minutes on the free plan.
