Overview

What the ON24 Zapier integration actually does

Connecting ON24 to Zapier means your webinar platform can start automations and receive instructions without a developer in the loop. ON24 is a webinar marketing platform built for demand generation; Zapier sits next to it and moves its events to the rest of your tools, or pushes new webcasts and registrants back into it.

Three results come up again and again. First, a clean registration list elsewhere: New Registrant passes each sign-up to your CRM or a sheet, so sales sees who signed up without exporting a file. Second, a follow-up that knows who showed up: New Attendee and New or Updated Attendee separate the people who came from those who only registered. Third, webcasts that build themselves: Create Webcast and Copy Webcast spin up a new session from a form or a planning tool, and Create Registrant signs people up from any other app.

What Zapier does not do here: there is no search step for ON24, so a Zap cannot look up an existing webcast or registrant by name before acting. Copy Webcast, Update Webcast and Create Registrant all need a webcast or event ID handed over by an earlier step. There is no delete action either, and none of the six triggers is instant, so every flow waits for the next check.

Vocabulary

Zapier vocabulary in one minute

Eight words cover everything on this page. Each one is used exactly as defined here.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts exactly those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only the ones it has not seen.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens. None of the ON24 triggers works this way.
Filter
A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
Connection
Your ON24 account linked to Zapier once, then reused by every step of every Zap that touches ON24.
Cost

What ON24 costs you in Zapier tasks

ON24 is not a premium app on Zapier: it works on the free plan. The bill is counted in tasks, and only finished actions count.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Trigger checksFree of charge
  • Failed actionNot counted

The trigger never costs a task, and neither do Zapier's checks for new registrants or attendees, however often they run. Each action that goes through counts once; an action that fails is not counted. A Zap with three ON24 actions eats three times what a one-action Zap eats. The catch is on the free plan: it builds two-step Zaps only, one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your ON24 account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an ON24 account, plus read or write access on any webcast you do not own and want the Zap to touch.

  2. 02

    Pick ON24

Type ON24 in the search box of the dialog, select it, then click Add connection. A new tab opens on the ON24 side, where the sign-in happens. Use the ON24 account whose webcasts the Zap should reach.

  3. 03

    Sign in and allow access

Sign in to ON24 in that tab and grant Zapier access to the account. The connection now shows on the Apps page, and every Zap that uses ON24 can reuse it.

First Zap

Your first ON24 Zap: register a shared inbox to every new webcast

GoalEach new ON24 webcast whose title matches your rule gets the sales team's shared address registered to it.

  1. 01

    Pick the trigger

Create a Zap, choose ON24 as the app that starts it and New Webcast as the event. Select the ON24 connection you set up above.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent webcasts of the account, so you map the next steps on a real one instead of a blank template.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then fill the three boxes: the field to check, a text rule, and your keyword. The filter makes this a multi-step Zap, so a paid plan is required.

  4. 04

    Add Create Registrant

Add ON24 again with Create Registrant. Map the Event ID from the trigger and type the shared address in Email, which accepts up to 1000 characters.

  5. 05

    Test, then publish

Test the action once and check the registrant on the ON24 side. Then click Publish to switch the Zap on. Webcasts created before that moment are ignored.

Triggers

The 6 ON24 triggers

6 events start a Zap when something happens in ON24. Zapier checks for them at the interval your plan allows.

1

New Attendee

Polling trigger

In Zapier“Triggers when there is a new attendee to the specified webcast or client.”

Starts the Zap for each person who actually joins a webcast, either one webcast you pick or the whole client account. That is the list that matters for a post-event thank-you, because it leaves out everyone who registered and never came.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
feeding live attendees into a nurture sequence that differs from the one no-shows receive.
Watch out
choose between a single webcast and the client level on purpose, or the Zap will mix audiences from different events.
2

New Webcast

Polling trigger

In Zapier“Triggers when a new Webcast is created.”

Fires when someone creates a webcast in ON24. It turns the scheduling of an event into a signal the rest of the company can react to, from the marketing calendar to the sales team's planning board.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
posting each new session to a team channel or adding it to a shared content calendar.
Watch out
a Zap on this trigger that runs Copy Webcast or Create Webcast creates a new webcast, which sets the same Zap off again.
3

New or Updated Attendee

Polling trigger

In Zapier“Triggers when there is a new attendee or when the attendee has a new activity. This trigger can work for a specific webcast or an account.”

Broader than New Attendee: it also reacts when an existing attendee has new activity. You can point it at one webcast or at the whole account, which makes it the trigger for engagement tracking rather than a simple headcount.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
updating a lead's record each time that person does something new during or after a session.
Watch out
the same person can start the Zap several times, so each run costs a task if the action goes through.
4

New Presenter

Polling trigger

In Zapier“Triggers when there is a new presenter in any of the webcasts belonging to the associated client.”

Picks up each speaker added to any webcast of the linked client. The scope is always the client, never a single event, so one Zap covers every session your account runs.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
sending each new speaker a briefing pack, or listing guest experts in a partner tracker.
Watch out
the Exclude Sub-Accounts setting is required, so decide up front whether speakers from sub-accounts belong in this Zap.
5

New User Question

Polling trigger

In Zapier“Triggers when a new question is asked at account level. If Webcast ID is specified, then the trigger will work at Webcast level.”

Catches the questions your audience types during a session. Left alone it listens at account level; fill in a Webcast ID and it narrows down to that one event, which keeps unrelated sessions out of the flow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
collecting unanswered questions into a document the product or sales team works through after the webinar.
Watch out
with the polling delay, this is not a tool for answering questions while the session is still live.
6

New Registrant

Polling trigger

In Zapier“Triggers when there is a new registrant to the specified webcast. If no specific webcast is selected, the trigger will work at Client level.”

Hands over each new sign-up to a webcast. Pick a specific webcast to follow one campaign, or leave the webcast empty and the trigger covers the whole client, every event included.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
creating or tagging a contact in your CRM so sales can follow up before the event even starts.
Watch out
registrations that arrived before the Zap was published never come through; import that backlog separately.
Actions

The 4 ON24 actions

ON24 gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Copy Webcast

Action

In Zapier“Copies a Webcast from an existent one.”

Duplicates an existing webcast so you keep its setup and only change the date. It needs the ID of the source webcast and a new Live Start.

When to use it
a recurring demo where every session reuses the same format.
Watch out
the Webcast Source ID must come from an earlier step, since ON24 has no search step on Zapier.
2

Create Webcast

Action

In Zapier“Creates a new webcast.”

Builds a brand new webcast from scratch, out of data another app supplies. Title is capped at 255 characters, and Live Duration is set in minutes, from 30 to 480, in steps of 30.

When to use it
an event request form that should produce the webcast without a manual handover.
Watch out
six fields are required, so a form missing the time zone or language will make the action fail.
3

Create Registrant

Action

In Zapier“Creates a new Registrant for a particular Event.”

Signs a person up to a given event. Two values are required: the Event ID, up to 38 characters, and the Email, up to 1000.

When to use it
registering people who signed up on a landing page or in a CRM campaign outside ON24.
Watch out
in a Zap whose own trigger is New Registrant on that same webcast, each sign-up it creates starts the Zap again.
4

Update Webcast

Action

In Zapier“Update an existing webCast.”

Changes a webcast that already exists, which you designate by its ID in Webcast Source. Only that ID is required; you set the values you want to change.

When to use it
keeping ON24 in line when a planning tool moves an event.
Watch out
a wrong ID updates the wrong webcast, so map it from a step that carries the right one.
When it breaks

When an ON24 Zap breaks

Zapier publishes no help article specific to ON24, so the traps below are the general ones, applied to this app.

Four mechanisms explain what goes wrong here. They are not bugs, they are how Zapier works, and each one has a simple way around it. If a Zap still misbehaves, the Zapier troubleshooting page goes further.

  • Nothing from before the Zap

A Zap only reacts to what happens after it is switched on. Registrants and attendees from past webcasts are never picked up; moving them is a separate job.
  • A Zap that sets itself off

New Webcast feeding Copy Webcast creates a webcast that starts the Zap again. Each loop burns tasks fast, so add a filter or point the copy elsewhere.
  • A bulk import held back

When a trigger suddenly returns a huge batch, after an import of registrants for instance, Zapier's flood protection can hold the runs back.
  • No duplicate runs

Zapier remembers which registrants and attendees it has already seen on a polling trigger, so the same item never starts the Zap twice.

FAQ

ON24 and Zapier: frequent questions

01Is the ON24 Zapier integration free?
Yes, ON24 is not a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks per month and an unlimited number of Zaps. The limit is the size of each Zap: on the free plan a Zap holds two steps, one trigger and one action. A filter or a second action turns it into a multi-step Zap, and that needs a paid plan. Nothing on the ON24 side changes with the Zapier plan you pick.
02How many Zapier tasks does an ON24 Zap use?
One task per action that succeeds, and nothing else. The ON24 trigger is free, and so are Zapier's repeated checks for new registrants, attendees or questions. A Zap that creates a registrant costs one task each time it runs; a Zap with three actions costs three. An action that fails is not counted against the plan. Watch triggers that fire often, like New or Updated Attendee, because each run that reaches a successful action is billed.
03Are ON24 triggers real time in Zapier?
No. All six ON24 triggers are polling triggers: Zapier goes to ON24 at a fixed interval and keeps what is new. The interval depends on your plan: 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. On paid plans you can also change the interval or run a check by hand from the editor. None of the ON24 triggers is instant, so there is no way to skip that wait.
04What does connecting ON24 to Zapier require?
An ON24 account, and read or write access on any webcast you do not own but want the Zap to use. The connection itself happens from the Apps page of Zapier: you add a connection, choose ON24, sign in in the tab that opens and grant access. After that, every Zap reuses the same connection. Each action then has its own required values, the Event ID and Email for Create Registrant for example.
05Why does a Create Webcast step fail?
Usually because one of its six required values is missing or invalid. Title, Live Start, Live Duration, Time Zone, Language Code and Event Type must all be filled. Title stops at 255 characters, and Live Duration only accepts minutes between 30 and 480, in steps of 30. If the Sub Client ID comes from the trigger, set the Event Type dropdown dynamically from the trigger as well, or the two values will not match.
06What if the ON24 action needed is not in Zapier?
Then it is not available in the Zapier editor, and no setting will make it appear. The visible list is six triggers and four actions, with no search and no delete, and the editor only offers what Zapier lists for the app. Some needs can be covered by chaining: Copy Webcast plus Update Webcast changes a copy before anyone sees it, on a paid plan, since two actions make the Zap multi-step. Anything outside that list is simply not offered for ON24 on Zapier today.
07Zapier, Make or n8n for ON24?
It depends on three criteria rather than on a winner. First, coverage: on Zapier, ON24 offers six triggers and four actions, with no search and no instant trigger, so check that your scenario fits that list. Second, delay: every ON24 trigger is polled, so the plan you pay for sets how fast things move. Third, cost: Zapier bills each successful action as a task, so a busy attendee flow adds up quickly. Compare those points with what the other tools offer for ON24.
