OppBot Zapier integration: 0 triggers, 1 action, 0 searches. OppBot only receives on Zapier: another tool spots the lead, and the Zap hands it to OppBot as a new prospect. Nothing flows back out of OppBot through Zapier.

Overview

What the OppBot Zapier integration is for

OppBot uses AI to chase the leads your team never got round to, and keeps at it until a salesperson can step in. Zapier gives it one door, Add Prospect, so leads captured in your forms, events or CRM reach OppBot without anyone exporting a file or running a manual import.

Three common setups, all built on that single action:

Webinar sign-ups that never got a call. Registrations from your event tool become OppBot prospects, so the people who signed up but did not book a meeting still get attention.

Website form leads outside office hours. A contact form submitted while the team is away still becomes a prospect, instead of waiting in an inbox for someone to sort it.

Old CRM contacts flagged for nurturing. When a contact gets a given status in your CRM, the Zap adds it to OppBot, which takes over the follow-up.

What Zapier does not do for OppBot: it cannot start a Zap from OppBot, because the app has no trigger on Zapier. You will not get a Zap that reacts when OppBot qualifies someone. There is no search either, so a Zap cannot check whether a prospect already exists before adding it. And nothing created before your Zap was switched on is sent. If you would rather have someone map these flows with you, see the Zapier agency.

Vocabulary

Zapier terms, explained once

Eight words you will meet on this page and in the editor.

Zap
An automation on Zapier: one trigger, then one or more actions that run each time the trigger event happens again.
Trigger
The event that starts a Zap. OppBot has none on Zapier, so the trigger always comes from another app, a form or a CRM.
Action
What the Zap does once started: the step that writes, sends or moves something. Add Prospect is OppBot's only one.
Task
The unit Zapier bills: one action completed successfully. Each prospect added to OppBot counts as one task.
Polling vs instant
A polling trigger is checked by Zapier on a timer; an instant trigger is reported by its app straight away. It depends on the app that starts the Zap.
Filter
A step that lets the Zap go on only when the data meets your condition, so only qualified leads reach OppBot.
Connection
Your OppBot account linked to Zapier once, then reused by every Zap that adds prospects to it.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action is enough, and a paid plan is then required.
Cost

What adding prospects costs

OppBot is not reserved for paid plans on Zapier: it runs on the free plan.

  • Per prospect added1 task
  • Free plan100 tasks a month, two-step Zaps
  • Paid plan needed forA filter or a second action
  • OppBot triggerNone, the Zap starts in another app

The trigger in the other app costs nothing. Each prospect OppBot accepts counts as one task; a failed attempt does not count. The free plan gives 100 tasks a month and two-step Zaps only, one trigger and one action, which is exactly a lead source plus Add Prospect. A filter to keep only qualified leads makes it multi-step, so a paid plan. How fast the Zap starts depends on the trigger app: polling triggers follow the grid below, instant ones do not.

Connect

Connect OppBot to Zapier

  1. 01

    Go to your Apps page

In Zapier, open the Apps page, where every account you have already linked is listed. Click + Add connection to open the dialog where you pick an app.

  2. 02

    Select OppBot

Search for OppBot, select it and click Add connection. You need an existing OppBot account: the connection links it to Zapier, it does not create one.

  3. 03

    Sign in and authorize

Sign in to OppBot in the tab that opens, then grant Zapier access. Use the OppBot account your prospects should land in, or one with write access to it.

First Zap

Your first Zap: qualified form leads go straight to OppBot

GoalAdd a prospect to OppBot each time a form lead gives a phone number, and skip the rest.

  1. 01

    Pick the trigger app

Create a Zap and choose your form tool as the trigger, since OppBot has none. Connect its account and pick the form that collects your leads.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent entries of that form. Choose one that contains a phone number, so the next steps are mapped on a realistic lead.

  3. 03

    Add a filter

From the plus icon, add a Filter on the phone answer with a rule that checks it exists. Leads without a number stop here. The filter makes the Zap multi-step, so a paid plan.

  4. 04

    Add Prospect

Add OppBot with Add Prospect as the action, pick your connection and map the phone answer into Mobile Number. Make sure it carries the country code.

  5. 05

    Test, then publish

Test the action once and check the prospect in OppBot. Then click Publish. Only entries submitted after that moment are sent.

Actions

OppBot action on Zapier

OppBot gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Prospect

Action

In Zapier“Creates a Prospect”

Creates a new prospect in OppBot from data that another app just delivered, so the assistant can start working that lead.

When to use it
inbound leads from a form, a webinar or a CRM status change keep slipping through the cracks.
Watch out
Mobile Number is required and must include the country code, or the action fails and the lead never reaches OppBot.
When it breaks

When an OppBot Zap goes wrong

Zapier lists no help article for OppBot, so these are the failures that apply to every Zap.

None of them shows a clear warning while you build. They show up later, as leads that never became prospects or a task count that moves too fast. The Zapier troubleshooting page covers the diagnosis in depth.

  • Existing leads are not sent

The Zap only reacts to what happens in the trigger app after you publish it. Leads collected before stay where they are, and moving them is a separate job.
  • A loop that burns tasks

If a step writes back into the place the trigger app watches, the Zap fires itself again and again, and each run adds a task to your monthly count.
  • A large import gets held back

When the trigger app suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it instead of creating every prospect.
  • The filter never lets anyone through

Filter rules are typed: a number rule on a text field never matches. A phone answer is often text, so pick a text rule or every lead stops there.

FAQ

OppBot Zapier integration: common questions

01Is the OppBot Zapier integration free?
Yes, on the free Zapier plan, as long as the Zap stays at two steps. OppBot is not reserved for paid plans, so a trigger in another app followed by Add Prospect costs nothing beyond your task count. The free plan includes 100 tasks a month. Add a filter, for example to skip leads without a phone number, or a second action, and the Zap becomes multi-step and needs a paid plan. You also need an OppBot account of your own.
02How many tasks does adding a prospect use?
One task per prospect added successfully. The trigger in the other app never costs anything, and an Add Prospect that fails, for instance because the phone number lacks its country code, is not counted. If you add other actions to the same Zap, each successful one counts on its own, so a three-action Zap uses three tasks per lead. A few apps and actions take more than one task when they complete, so check any extra step you add.
03Does OppBot react in real time on Zapier?
OppBot has no trigger on Zapier, so the timing depends entirely on the app that starts the Zap. If that app offers an instant trigger, the lead reaches OppBot without waiting for a check. If it is a polling trigger, Zapier checks it at your plan's interval: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. A lightning bolt in the editor marks an instant trigger, so you can confirm it before publishing.
04What does it take to connect OppBot to Zapier?
An OppBot account, plus write access if the OppBot account that receives the prospects is not yours. In Zapier, open the Apps page, click + Add connection, search for OppBot and click Add connection. Sign in to OppBot in the tab that opens and grant access. The connection is saved once and reused by every Zap that adds prospects. Your lead source needs its own connection too, set up the same way.
05Why does Add Prospect fail on some leads?
Most often because of the Mobile Number, the one required field of Add Prospect. It must include the country code, written with a plus sign followed by the country code and the number. Leads typed as a local number, or with no number at all, cannot be added. Clean the number in the source app, or ask for the international format on your form. A filter can also stop leads without a phone number before they reach OppBot, so fewer runs fail.
06What if the OppBot operation you want is not there?
On Zapier, OppBot offers a single action, Add Prospect, with no trigger and no search. A Zap cannot react to something happening in OppBot, update an existing prospect or look one up. The practical approach is to treat OppBot as a destination and keep the logic in the apps that feed it. If a missing operation blocks your process, another automation tool or a specialist can assess whether there is another way to cover it.
07Zapier, Make or n8n for OppBot?
Choose on criteria, not on a ranking. If you only need to push leads into OppBot, Zapier covers it with one action that works on the free plan. If you need OppBot to start automations, Zapier offers no trigger for it, so check what each alternative provides on that point. Also count the steps: filtering leads or chaining several actions requires a paid Zapier plan, which matters if the flow grows.
