Overview

What the Opteo Zapier integration does for a PPC team

Connecting Opteo to Zapier means a change in Opteo can set off work in another tool, and an event elsewhere can adjust Opteo without anyone logging in. Opteo is the PPC tool that turns account data into recommendations. Zapier carries those changes in and out, on a schedule set by your plan.

Three results teams typically get. A budget log: Budget Updated feeds every budget change into a shared sheet or a team channel, so finance sees the same numbers as the ad manager. An onboarding routine: New Linked Account picks up each account freshly linked to Opteo, and Update Performance Mode and Update Performance Goals set it up the way your agency works. A budget pushed from planning: a sheet where the media plan lives sends the monthly figure to Update Budget, and Run Agent can then ask an Opteo agent to review the account.

What Zapier does not do here is worth knowing before you build. Both triggers are polling ones, so nothing reaches Zapier the moment it changes: the plan decides how long it waits. The only search, List Accounts, returns the ad accounts your team has linked in Opteo; nothing on Zapier reads recommendations, budgets or performance figures in bulk. And the TikTok voucher action only applies to TikTok Ads accounts that were just created.

For a broader look at the platform, the Zapier review sets the context, and n8n vs Zapier covers the main alternative.

Vocabulary

Zapier vocabulary before you start

Eight terms carry the whole page. Plain definitions, once each.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Opteo offers two: a budget update and a newly linked account.
Action
What the Zap does once started, the step that changes something. Opteo has five, from budgets to agent runs.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance counts these.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is reported by the app the moment it happens. Both Opteo triggers are polling.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists, so later steps can use what it found. Opteo's is List Accounts.
Connection
Your Opteo account linked to Zapier once, then reused by every Opteo step in every Zap you build.
Cost

What an Opteo Zap really costs

Opteo is not a premium app, so it runs on the free plan. Zapier counts tasks, and a task is an action that completed.

  • Opteo triggersFree, never counted
  • Each Opteo action1 task when it succeeds
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps only
  • Search or filterMakes the Zap multi-step, paid plan

Watching budgets or new accounts costs nothing, however often Zapier checks. Each Opteo action that goes through is one task; one that fails is not counted. Chain Update Performance Mode and Update Performance Goals and each event costs two. The free plan only builds two-step Zaps, one trigger and one action, so adding a second action, a filter or the List Accounts search makes it multi-step and needs a paid plan. The plan also sets how often the two Opteo triggers are checked.

Connect

Connect Opteo to Zapier in three steps

  1. 01

Open Apps and add a connection

In Zapier, go to Apps and click + Add connection. Search for Opteo in the dialog that opens, then pick it from the list of apps that match your search.

  2. 02

    Sign in to Opteo

Click Add connection. A tab opens on Opteo: sign in with the Opteo account of the team whose advertising accounts your Zaps should watch and change from now on.

  3. 03

    Grant access

Give Zapier access to the account. The connection is saved and reused by each Opteo step. To change accounts that belong to a client or a colleague, your Opteo access needs write rights on them first.

First Zap

Your first Opteo Zap: set up every newly linked account

GoalEach account linked to Opteo gets its performance mode set, and the team is told about it.

  1. 01

    Pick the trigger

Build the Zap with Opteo as the starting app and New Linked Account as the event, then choose the Opteo connection you created a moment ago.

  2. 02

    Test it on real accounts

Run the test. Zapier brings back the three most recently linked accounts of your team, so the mapping is done on a real account rather than an example.

  3. 03

    Add Update Performance Mode

Add Opteo again as an action and pick Update Performance Mode. Map the account from the trigger and choose CPA or ROAS in Performance Mode, a field the step cannot run without.

  4. 04

    Tell the team

Add a Slack action that posts the account name to your channel. With two actions the Zap is multi-step, so this one needs a paid plan.

  5. 05

    Test, then publish

Test each step and check the mode in Opteo. Click Publish to switch it on. Accounts linked before that moment are left alone.

Triggers

Opteo triggers on Zapier

2 events start a Zap when something happens in Opteo. Zapier checks for them at the interval your plan allows.

1

Budget Updated

Polling trigger

In Zapier“Triggers when an Opteo budget is updated.”

Starts the Zap whenever a budget changes in Opteo, so the new figure can travel to a sheet, a report or a message without anyone copying it across. It is the natural starting point for anyone who has to explain spend to someone who never opens Opteo.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keeping a budget history in a spreadsheet that the finance team reads at month end.
Watch out
never pair it with Update Budget on the same account, or each change will start the Zap again.
2

New Linked Account

Polling trigger

In Zapier“Triggers when a new account is linked.”

Each new advertising account linked to Opteo sets this one off. That gives you one place to hang every onboarding step: settings, notifications, a line in the client tracker.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an agency that links a client's account and wants the same performance mode and goals applied every time.
Watch out
accounts linked before the Zap was published are never picked up, so set up the existing ones by hand.
Actions

Opteo actions on Zapier

Opteo gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Run Agent

Action

In Zapier“Run an Opteo AI agent and wait for the result.”

Asks an Opteo AI agent to work on a prompt you write, then waits for its answer so later steps can use it.

When to use it
a budget change should come with a short written review that lands in the team channel.
Watch out
the run stays out of the Opteo interface unless you switch Visible in Opteo on, which is off by default.
2

Submit TikTok Ad Credit Voucher

Action

In Zapier“Submit a TikTok ad credit voucher application for a newly created TikTok Ads account.”

Files the TikTok ad credit request for you as soon as a client's TikTok Ads account exists, so the voucher is requested while the account is still new.

When to use it
your onboarding opens TikTok Ads accounts for clients and nobody wants to file the voucher request by hand.
Watch out
it needs both the TikTok Ads Account ID and the Connection Email, and only fits new accounts.
3

Update Budget

Action

In Zapier“Updates an account budget.”

Writes a new monthly budget on an account in Opteo, from a figure that another step supplies.

When to use it
the media plan lives in a spreadsheet, and a new row should set the matching account's budget.
Watch out
the Budget field takes a plain monthly amount, written like 1000 in Opteo's own example.
4

Update Performance Goals

Action

In Zapier“Updates the performance goals for an account.”

Changes the performance goals that Opteo works toward for a given account, so its recommendations follow the targets you agreed with the client.

When to use it
a renegotiated target in your CRM or brief should reach Opteo the same day instead of waiting for someone to remember it.
5

Update Performance Mode

Action

In Zapier“Updates the Performance mode (CPA or ROAS) for an account.”

Switches an account between the two performance modes Opteo offers, CPA or ROAS.

When to use it
every newly linked e-commerce account should start in ROAS mode without anyone opening its settings.
Watch out
the mode is a required choice, so the step will not run with it left blank.
Searches

The Opteo search on Zapier

1 search step looks for data that already exists in Opteo, so a later step can use it.

A search step does not change anything: it looks up what already exists and passes it on. In the editor, Opteo's search sits at the bottom of the Action event list, under SEARCH. Opteo offers no find-or-create version.

1

List Accounts

Search

In Zapier“Finds the advertising accounts linked to the authenticated Opteo team.”

Brings back the ad accounts your Opteo team already has linked and passes them down the Zap, which is how a Zap that starts elsewhere finds the account to change.

When to use it
a planning sheet names a client, and Update Budget needs the matching Opteo account before it can write anything.
Watch out
with several matches, the default keeps only the first, so check the multiple-results setting.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that needed it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. List Accounts has no such version on Zapier, so nothing can be created from it.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When an Opteo Zap breaks

Zapier attaches no help article to Opteo, so the limits below are Zapier's general ones, applied to how Opteo is used.

Most of these show up as silence or as too much activity, not as a red error. Read them before you publish; the Zapier troubleshooting page has the general method for anything else.

  • Update Budget restarts Budget Updated

A Zap that writes where its own trigger watches sets itself off again and again. Update Budget behind Budget Updated on the same account is that loop, and it burns tasks fast.
  • Existing accounts are ignored

A Zap only reacts to what happens after it is switched on. Accounts already linked and budgets already changed before publishing never start it.
  • A big batch is held back

When a bulk import or a migration links a large number of accounts at once, Zapier's flood protection can hold the batch back instead of running every step.
  • No double runs on the same item

Both Opteo triggers are polling ones, and Zapier remembers what it has already seen, so the same linked account does not start the Zap twice.

FAQ

Opteo Zapier integration: questions

01Is the Opteo Zapier integration free?
On the Zapier side, yes. Opteo is not a premium app, so it works on the free plan, which comes with 100 tasks a month and unlimited Zaps. The catch is the size of the Zap: a free Zap has two steps, one trigger and one action. Budget Updated followed by a single message fits. A Zap that also uses List Accounts, a filter or a second Opteo action is multi-step and needs a paid plan. You also need an Opteo account with access to the ad accounts you want to touch.
02How many tasks does an Opteo Zap use?
One task per action that completes. The two triggers never cost anything, and neither does the checking Zapier does to spot a budget change or a new account. If an action fails, that run is not counted. Each successful action counts on its own, so an onboarding Zap that sets the performance mode, then the goals, then posts a message uses three tasks for every new account. Keep that multiplier in mind before chaining actions on an event that happens often.
03Does Opteo on Zapier work in real time?
No. Both Opteo triggers, Budget Updated and New Linked Account, are polling triggers: Zapier asks Opteo for news at a fixed interval that depends on your plan. That is every 15 minutes on Free, every 2 minutes on Professional and every minute on Team and Enterprise. On paid plans the timing can be changed, and a check can be run by hand from the editor. The actions, by contrast, run when the Zap reaches them.
04What does it take to connect an Opteo account?
An Opteo account and a Zapier account. In Zapier, open the Apps page, click + Add connection, search for Opteo and confirm with Add connection. A tab opens where you sign in to Opteo and grant Zapier access. The connection is then reused by every Opteo step. To change budgets, goals or modes on accounts managed by someone else, your Opteo access must already allow it, since Zapier only acts with the rights your account has.
05Why does an Opteo Zap keep running on its own?
Usually because it writes into what it watches. A Zap that starts on Budget Updated and then runs Update Budget on the same account changes the budget, which counts as a new budget update, which starts the Zap again. Zapier warns that this kind of loop burns through the task count fast. Keep the trigger and the action on different accounts, or start from another app, such as a planning sheet, when the goal is to push budgets into Opteo.
06What if the Opteo operation you need is missing?
Zapier offers eight visible Opteo operations: two triggers, five actions and one search. Reading recommendations, fetching performance figures or pausing campaigns is not among them. If the flow depends on something outside that list, Zapier cannot do it for this app, and it is better to check what other automation platforms offer for Opteo before building. Run Agent can sometimes stand in, since it hands a written prompt to an Opteo agent, but its answer is text, not a setting change.
07Zapier, Make or n8n for Opteo?
Choose by criteria, not by brand. On Zapier, Opteo comes with two polling triggers, five actions and one search, and works on the free plan for two-step Zaps. If those eight operations cover the flow and a check every 15 minutes on Free is acceptable, Zapier does the job. If you need operations missing from that list, or a delay shorter than your plan allows, compare the operation list each platform publishes for Opteo, and the cost of the plan that gives the speed you need.
