What the CloudTalk Zapier integration is for

CloudTalk is a cloud phone system for sales and support teams. Connected to Zapier, it turns each call, each text message and each contact change into a signal that another step can act on, and it lets other apps write contacts, activities and SMS back into CloudTalk.

A follow-up text after every call. New Call starts the Zap, Find Contact pulls the caller's record, and Send SMS sends the recap or the booking link from one of your CloudTalk numbers.

A call history your CRM can read. Create or Update Activity writes an activity on a CloudTalk contact, tagged with the ID it has in your other tool, so the same record lines up on both sides.

One contact list, not two. Create or Update Contact takes a contact from another app and either adds it or refreshes the one CloudTalk already holds under that ID.

The detail that matters most: all 3 CloudTalk triggers are instant. CloudTalk tells Zapier the moment a call or a message happens, so even on the free plan nothing waits for a 15-minute check. The limits sit elsewhere. There is no trigger for a missed call or a voicemail as such, only New Call. New Contact also fires when a contact is edited, so it cannot be used to create records elsewhere without duplicates. And a Zap never replays calls made before it was switched on.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a call made in CloudTalk. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, like sending an SMS.
Task
The unit Zapier bills: one action the Zap completes successfully. The count on your plan is a count of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap go on only when the data that arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the next steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.

The trigger itself never costs a task. Each action that succeeds, such as one SMS sent or one contact updated, counts as one task; an action that fails is not counted. The free plan gives you 100 tasks a month and two-step Zaps only. New Call then Create or Update Activity fits. Put Find Contact in the middle, as the follow-up text below does, or a filter, and the Zap becomes multi-step, which needs a paid plan. The grid below only matters for polling triggers in other apps that feed CloudTalk.

Connect CloudTalk to Zapier in 3 steps

    Start from the Apps page

    In Zapier, open Apps and click + Add connection. A connection is your CloudTalk account linked to Zapier once and reused by every CloudTalk step in your Zaps.

    Pick CloudTalk

    Search for CloudTalk in the dialog, select it, then click Add connection. You need an existing CloudTalk account, with access to the numbers and contacts the Zap will use.

    Sign in and allow access

    Sign in to CloudTalk in the tab that opens and grant Zapier access to the account. The connection is then available in every CloudTalk trigger, action and search.

First Zap

Your first Zap: text every caller after the call

GoalWhen a call is made through CloudTalk, the Zap looks the number up in your contacts and texts only the people it finds there.

    Build: choose New Call

    Click Build, pick CloudTalk and New Call as the trigger, then select your connection. It is instant, so no interval applies on any plan.

    Test the trigger

    Run Test: Zapier brings back the three most recent calls of the account. Pick a real one so the next steps are mapped on actual data.

    Look up the contact

    Add Find Contact and map the caller's phone number into Keyword. Leave Successful if no search results are found? off: an unknown number stops the Zap, so no text goes out.

    Send the text

    Add Send SMS. Set From Number to your CloudTalk number, map To Number from the contact found, and write the Message Text.

    Test, then Publish

    Test each step and read what came back. This Zap has a search, so it is multi-step and needs a paid plan. Click Publish to switch it on.

Fires on text messages handled by CloudTalk, both the ones you send and the ones you receive. Every SMS thread on your CloudTalk numbers can therefore feed another tool.

Action

Writes an activity on a CloudTalk contact, or updates it if that activity ID exists already. It needs an activity ID and postfix, a title, the content, and the contact ID with its postfix.

When to use it

Adds the contact if CloudTalk does not know that ID yet, or refreshes it if it does. The safer choice when the same person can come through twice.

When to use it
syncing a CRM where leads get edited after creation.
Watch out
ID and ID Postfix together identify the record, so keep them stable.

Action

In Zapier“Create a new contact.”

Adds a brand new contact to CloudTalk from another app. It needs an ID, the ID Postfix naming the outside service, a full name and a phone number.

When to use it
a new lead lands in your form tool and should be callable from CloudTalk at once.

Action

Sends a text message from one of your CloudTalk numbers to any recipient. Both numbers go in E.164 format, with the country code, plus the message text.

When to use it
confirming an appointment booked in your scheduling tool.
Watch out
it also fires New SMS, so it must not answer a Zap started by New SMS.

Update Contact

Changes a contact CloudTalk already has, matched by its ID and ID Postfix. Name and phone number are required, even when only one of them changes.

When to use it
a customer updates their mobile number in your billing tool and agents should dial the new one.
Searches

The CloudTalk search

1 search step looks for data that already exists in CloudTalk, so a later step can use it.

A search step finds something that already exists in CloudTalk and hands it to the next steps. In the editor, it sits at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not the one you expected.

Find Contact

Search

In Zapier“Finds a contact.”

Looks up a CloudTalk contact from a single Keyword, matched against names, emails and phone numbers. The contact it finds can then feed an SMS, an update or an activity.

When to use it
after New Call, to get the full record of whoever was on the line.
Watch out
a short keyword can match several contacts, and the default keeps only the first.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. CloudTalk offers no such variant for Find Contact, so you will not see it here.
  3. If multiple search results are found?
    Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When the CloudTalk Zap breaks

Zapier links no help article to CloudTalk, so the known traps are the general ones, and two of them hit CloudTalk harder than most apps.

CloudTalk triggers listen to sent messages and edited contacts, not just new ones, which makes loops easy to build by accident. Check the cases below before you publish, and turn to Zapier troubleshooting when a Zap misbehaves in ways they do not explain.

  • The SMS loop

    New SMS fires on messages you send. A Zap that replies with Send SMS triggers itself again with each reply and drains your tasks fast.
  • The contact loop

    New Contact fires on edits. A Zap that writes back with Update Contact or Create or Update Contact edits the contact, which starts the Zap once more.
  • No catch-up on old calls

    A Zap only reacts to what happens after it is switched on. Calls and texts from last month are never picked up; moving that history is a separate job.
  • A bulk import gets held back

    Importing a large contact list into CloudTalk can make New Contact return a huge batch at once, and Zapier's flood protection may hold it back.

CloudTalk Zapier integration: common questions

01Is the CloudTalk Zapier integration free?
Yes on the Zapier side: CloudTalk is not a premium app, so it works on the free plan. That plan gives you 100 tasks a month and Zaps of two steps only, one trigger and one action. A Zap like New Call then Create or Update Activity fits inside it. Add Find Contact in between, or a filter, and the Zap becomes multi-step, which needs a paid plan. The triggers themselves never cost anything, whatever the plan.
02How many tasks does a CloudTalk Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that texts a caller uses one task per call. If it also writes an activity, that is two tasks per call. An action that fails is not counted. Watch the loops: a Zap started by New SMS that replies with Send SMS, or one started by New Contact that updates the contact, restarts itself and keeps consuming tasks until you switch it off.
03Is the CloudTalk integration real time?
Yes for all three triggers. New Call, New Contact and New SMS are instant: CloudTalk tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The polling interval of 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise does not apply to them. It only matters if the Zap starts from a polling trigger in another app and then writes into CloudTalk.
04What does it take to connect CloudTalk to Zapier?
An existing CloudTalk account, plus access to the numbers and contacts the Zap will touch. In Zapier you open Apps, click + Add connection, search for CloudTalk and click Add connection, then sign in to CloudTalk in the tab that opens and grant access. For Send SMS, the From Number has to be a CloudTalk number of your account in E.164 format, so check that the account has one before building a texting Zap.
05Why does a CloudTalk Zap keep running on its own?
The likely cause: it writes into what its own trigger watches. New SMS fires on messages sent as well as received, so a Zap that answers with Send SMS starts again after each reply. New Contact fires when a contact is edited, so a Zap that updates the contact restarts itself. Turn the Zap off, then rebuild it so the action writes somewhere the trigger does not listen, or start it from a different event.
06What if the CloudTalk operation you need is not in Zapier?
The Zapier list is fixed: 3 triggers, 5 actions and 1 search, centred on calls, text messages, contacts and activities. If what you have in mind is not there, no setting in the editor will reveal it. First check whether a close operation does the job, such as Create or Update Activity to log something on a contact. Otherwise compare with the same app on another automation platform, where the list of operations differs.
07Zapier, Make or n8n for CloudTalk?
It comes down to your criteria rather than a ranking. On Zapier, the facts are known: CloudTalk works on the free plan, its 3 triggers are instant, each successful action costs one task, and adding a search or a filter needs a paid plan. For the two other platforms, ask the same questions: which CloudTalk operations they expose, how they count usage, and which tools your team already runs. Decide on that comparison, not on habit.
