Overview

What the OptiMiser Zapier integration does for you

The integration links your OptiMiser account to Zapier, the tool that runs a Zap for you: an automation made of one trigger (the event that starts it) and one or more actions (what it then does). OptiMiser analyses energy efficiency and electrification projects for homes; Zapier carries those projects and their files to your other apps, and back.

Three results you can build today. A project register that fills itself: New Project starts the Zap and a row lands in your shared spreadsheet. A file archive nobody has to maintain: New Project File watches one project and every new file is copied to cloud storage. A pipeline that opens projects on its own: a lead captured by your website form becomes an OptiMiser project at the Lead stage through Create Project.

What Zapier does not do here matters just as much. Both triggers work by polling, so nothing arrives the second it happens. There is no action to update, move or delete a project: a project changing stage is invisible to Zapier. And the searches offer no find-or-create shortcut. If those gaps block you, compare tools before building; Make vs Zapier is a good place to start, and if the editor itself is new to you, start with the Zapier training. Either way, list the steps your process needs first, then check each one against the six operations below.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for it to happen.
Action
The step that does the work once the Zap has started: it writes, sends or moves something on your behalf.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is counted in tasks.
Polling vs instant
A polling trigger is checked on a timer, Zapier asking for new items. An instant one is reported by the app itself, with no wait.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that finds something that already exists in an app, so the following steps can reuse what it found.
Connection
Your app account linked to Zapier once, then reused by every step of every Zap that touches that app.
Cost

What it really costs

OptiMiser is not a premium app (one Zapier reserves for paid plans): it works on the free plan, where Zapier labels it beta.

  • Trigger checks0 tasks
  • Free plan100 tasks per month
  • Free plan Zap size2 steps
  • Paid plan requiredNo

The trigger never costs a task, and neither does each check Zapier runs. Only an action that succeeds is billed; one that fails is not. The catch is the step count: the free plan allows one trigger and one action. Add a filter, a search or a second action and you have a multi-step Zap, which needs a paid plan. In practice, the free plan covers one OptiMiser trigger feeding one action elsewhere, or one outside trigger running Create Project. Anything richer moves you up a plan.

Connect

Connect your OptiMiser account in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an OptiMiser account first, plus access to any project you do not own and want the Zap to touch.

  2. 02

    Pick OptiMiser

Type OptiMiser in the search box of the dialog, select it, then click Add connection. A new browser tab then opens on the OptiMiser side, where the rest happens.

  3. 03

    Sign in and grant access

Log in to OptiMiser in that tab and allow Zapier to use the account. The connection is then saved once and every OptiMiser step of every Zap reuses it.

First Zap

Your first Zap: archive every new project file

GoalEach file added to an OptiMiser project is copied to Google Drive, but only the ones that match your rule.

  1. 01

    Build: pick the trigger

Start a new Zap, choose OptiMiser as the app and New Project File as the event, then select the OptiMiser connection you just created.

  2. 02

    Set the project

Fill in Project ID, the only required field, with the project you want to watch. One Zap follows one single project this way.

  3. 03

    Test the trigger

Run the test: Zapier brings back the three most recent files of that project, so you map the next steps on a real one rather than a blank.

  4. 04

    Add the filter

Add a Filter step from the plus icon and set the field, the rule and the value. Remember the rules are typed: a text rule on a number never passes.

  5. 05

Add the action and test it

Add Google Drive with Upload File, map the file from the trigger, and test the step to read what came back before going further.

  6. 06

    Publish

Click Publish to switch the Zap on. With the filter it is a multi-step Zap, so a paid plan is needed; drop the filter to stay on the free one.

Triggers

OptiMiser triggers

2 events start a Zap when something happens in OptiMiser. Zapier checks for them at the interval your plan allows.

1

New Project

Polling trigger

In Zapier“Triggers when a new project is created.”

Every project created in OptiMiser can start a Zap: the trigger hands the new project to Zapier so the following steps can log it, announce it or copy it to your CRM.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
your sales team wants to hear about each new retrofit project in its own tool, without opening OptiMiser to check.
Watch out
projects that existed before you published the Zap are never picked up, so the first run starts from zero rather than from your whole history.
2

New Project File

Polling trigger

In Zapier“Triggers when a new file is added to a project.”

This trigger keeps an eye on a single project and wakes the Zap when a file is added to it, so that file can be stored, shared or sent on without anyone downloading it by hand.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
the office wants a copy of every document attached to a big project in the shared drive the whole team already uses.
Watch out
Project ID is required, so the Zap watches the one project you name; to follow another project, build another Zap.
Actions

OptiMiser actions

OptiMiser gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Project

Action

In Zapier“Creates a new project.”

Opens a new OptiMiser project from data that arrived in another app, with the customer, the address and the person in charge already set.

When to use it
a quote request from your website should land in OptiMiser at the Lead stage, assigned to the right energy advisor.
Watch out
nearly every field is required; Stage ID takes a number from 1 (Lead) to 7 (QA), and the customer address doubles as the property address if you set no other.
2

Get Project File

Action

In Zapier“Retrieve project file directly.”

Fetches a project file out of OptiMiser so the next step can attach it to an email, drop it in storage or pass it to another app.

When to use it
a homeowner should receive the analysis document by email once it is ready, without someone exporting it first.
Watch out
both File URL and File Name are required; when no earlier step carries the address, put the Get Project File URL search in front of it.
Searches

OptiMiser searches

2 search steps look for data that already exists in OptiMiser, so a later step can use it.

Searches sit at the bottom of the event list in the editor, under SEARCH. Any of them turns your Zap into a multi-step one, and three settings decide what happens next.

1

Get Project File URL

Search

In Zapier“Download a file associated with some project. URLs pointing to this method are included in the response from project_list.”

Looks for one named file inside one project and gives the following steps the address to download it from.

When to use it
just before Get Project File, when your trigger tells you which project and which document but not where the document lives.
Watch out
Project ID and File Name are both required, so the Zap must already carry the project and the name of the file it wants.
2

List Projects

Search

In Zapier“Retrieve data about all projects that the user has permission to access.”

Returns the projects the connected user has permission to access, which is how a Zap reaches a project its trigger never mentioned.

When to use it
ahead of Create Project, to pick up the Program ID or Company ID an existing project already uses.
Watch out
anything outside that user's permissions stays invisible, so connect an account that sees the full portfolio.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, an empty search stops the Zap there and the steps relying on it are skipped. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into find-or-create. Zapier lists no find-or-create variant for OptiMiser, so plan a separate Create Project step instead.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them to the next steps at once.
When it breaks

When it breaks

Zapier attaches no help article to OptiMiser, so the known failure points are the general ones.

None of these is specific to OptiMiser, yet each one shows up quickly on a project tool. Read them before you publish; the Zapier troubleshooting page is there for the rest.

  • Old projects never come through

A Zap only reacts to what happens after it is switched on. Projects and files already in OptiMiser are ignored; moving that backlog is a separate job.
  • A Zap that feeds itself

A Zap on New Project that runs Create Project in the same account sets itself off again and again, and burns through your task count fast.
  • A bulk import stalls the trigger

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the Zap back.
  • No duplicates, by design

On a polling trigger Zapier remembers what it has already seen, so the same project or file never starts the Zap twice.

FAQ

OptiMiser and Zapier: frequent questions

01Is the OptiMiser Zapier integration free?
Yes, it works on the free plan, because OptiMiser is not one of the apps Zapier reserves for paid plans. Zapier currently labels it beta. The free plan gives you 100 tasks per month, as many Zaps as you like, and a check every 15 minutes on polling triggers. The real limit is size: a free Zap has two steps, one trigger and one action. Add a filter, a search or a second action and the Zap becomes multi-step and needs a paid plan.
02How many tasks does an OptiMiser Zap use?
One task per action that completes successfully, and nothing else. The trigger is free, and so are the checks Zapier runs to look for new projects or files, however often they happen. An action that fails is not counted. A Zap that runs Create Project and then one more action uses two tasks per run, so a three-action Zap eats three times what a one-action Zap does. Keep that ratio in mind before you chain steps on a busy account.
03Is OptiMiser in Zapier real time?
No. Both OptiMiser triggers, New Project and New Project File, are polling triggers: Zapier asks OptiMiser for new items at a fixed interval. That interval depends on the plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans the interval can be changed and a check can also be run by hand from the editor. The type is set by OptiMiser itself, so no setting in Zapier turns these triggers into instant ones.
04What does it take to connect OptiMiser to Zapier?
An OptiMiser account, plus read or write access to any project you do not own and want the Zap to touch. The connection itself takes three moves: Apps, then + Add connection, then pick OptiMiser and sign in to grant access. Check which account you use: List Projects only returns projects that user can access, and Create Project needs a Program ID and a Company ID that this account can see, plus the email of an OptiMiser user to assign.
05Why does Create Project fail in a Zap?
Most of the time a required field is empty or holds the wrong kind of value. Create Project requires a project name, a Program ID, a Company ID, a Stage ID, the customer's first and last name, a full address with house number, street, city, state and zip, and an Assignee email. Stage ID only accepts the numbers 1 to 7, from Lead to QA. State expects a two-letter abbreviation and Zip a five-digit code. A List Projects search placed before the action can supply the program and company IDs.
06What if the OptiMiser operation you need does not exist?
Then Zapier cannot do it for you, and no setting will add it. The OptiMiser app offers six visible operations: two triggers, two actions and two searches. There is nothing to update a project, change its stage or delete it, and no trigger fires when a project moves forward. If the missing step is central to the workflow, check the operation list before building, and compare other automation tools against that same list rather than against general promises.
07Zapier, Make or n8n for OptiMiser?
Decide on criteria, not on reputation. On Zapier, OptiMiser works on the free plan, with two polling triggers checked every 15 minutes there, and a two-step limit that pushes any filter or search onto a paid plan. So ask three questions of each tool: does it offer the OptiMiser operations you need, how often does it check for new projects at your budget, and what unit does it bill. Answer them with each tool's own app page open, and the choice usually makes itself.
