Overview

What the OptinMagic Zapier integration does for you

The integration links your OptinMagic account to Zapier, the tool that runs a Zap for you: an automation made of one trigger (the event that starts it) and one or more actions (what it then does). OptinMagic collects the contacts; Zapier hands each new one to the apps where your team actually works.

Three results you can build with the single trigger, New Contact. A CRM that never misses a signup: each new contact becomes a record for your sales team. A follow-up that starts on its own: the contact joins the sequence of your email tool, without a CSV export in between. A list your whole team can read: each contact adds a row to a shared spreadsheet, handy when marketing and sales do not share the same tools and still need the same list.

What Zapier does not do here matters as much. The integration only goes one way: there is no action, so no Zap can write into OptinMagic, and no search step to look a contact up. The trigger works by polling, so a new contact reaches your tools after the next check, not the very second it signs up. If you need traffic in both directions, compare the options first; Zapier alternatives is one place to start. For the editor itself, the Zapier training starts from zero.

Vocabulary

Zapier vocabulary in one minute

Eight words carry this page. Here they are, in plain English.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event to happen.
Action
The step that does the work once the Zap has started: it writes, sends or moves something on your behalf.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is counted in tasks.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only the ones it has not seen.
Instant trigger
A trigger the app reports itself, the moment the event happens. OptinMagic's only trigger is not one of these.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Connection
Your app account linked to Zapier once, then reused by every step of every Zap that touches that app.
Cost

What it really costs

OptinMagic is not a premium app (one Zapier reserves for paid plans): its trigger works on the free plan.

  • New Contact0 tasks
  • Free plan100 tasks per month
  • Free plan Zap size2 steps
  • Paid plan requiredNo

New Contact never costs a task, and neither do the checks Zapier runs to find new contacts, however often they happen. What you pay for is the action that follows in the other app, and only when it succeeds. The free plan stops at two steps: New Contact plus one action. Add a filter or a second action, say a CRM record and a chat alert, and the Zap becomes multi-step, which needs a paid plan. The plan also sets how fast contacts arrive, as the grid shows.

Connect

Connect your OptinMagic account in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an OptinMagic account, plus access to any list you do not own and want the Zap to read.

  2. 02

    Pick OptinMagic

Type OptinMagic in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the OptinMagic side for the sign-in.

  3. 03

    Sign in and grant access

Log in to OptinMagic in that tab and allow Zapier to use the account. The connection is saved once, then reused by every Zap that starts on New Contact.

First Zap

Your first Zap: every new contact in your CRM

GoalEach contact OptinMagic captures becomes a HubSpot contact, but only when it passes your rule.

  1. 01

    Build: pick the trigger

Start a new Zap, choose OptinMagic as the app and New Contact as the event, then select the OptinMagic connection you just created.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent contacts of the account, so you map the next steps on a real person rather than a blank.

  3. 03

    Add the filter

Add a Filter step from the plus icon and set the field, the rule and the value. The rules are typed: a text rule on a number never passes.

  4. 04

    Add the action

Add HubSpot with Create Contact, then map each field of the new record to a piece of data that came from the OptinMagic contact.

  5. 05

    Test and publish

Test the action and read what came back, then click Publish. The filter makes it a multi-step Zap on a paid plan; without it, it stays free.

Triggers

OptinMagic trigger

1 event starts a Zap when something happens in OptinMagic. Zapier checks for them at the interval your plan allows.

1

New Contact

Polling trigger

In Zapier“Triggers when a new contact is added in OptinMagic.”

Each contact added in OptinMagic can start a Zap, which then carries that person to the next tool: a CRM record, a welcome sequence, a row in a sheet, or a message to the person who follows up.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
your offers capture leads on the site, and the sales team works from a CRM it does not want to leave to check on them.
Watch out
contacts already present when you publish the Zap never come through, so the first run starts from zero rather than from your whole list.
When it breaks

When it breaks

Zapier attaches no help article to OptinMagic, so the known failure points are the general ones.

None of these is specific to OptinMagic, but each one shows up quickly on a list-building tool, where contacts arrive in waves after a campaign. Check them before you publish; the Zapier troubleshooting page covers the rest.

  • Your existing list never comes through

A Zap only reacts to what happens after it is switched on. Contacts already in OptinMagic are ignored; moving that backlog is a separate job.
  • A Zap that feeds itself

A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through the task count fast.
  • A bulk import stalls the trigger

When New Contact suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the Zap back.
  • No duplicates, by design

On a polling trigger Zapier remembers the contacts it has already seen, so the same person never starts the Zap twice.

FAQ

OptinMagic and Zapier: frequent questions

01Is the OptinMagic Zapier integration free?
Yes, it works on the free plan, because OptinMagic is not one of the apps Zapier reserves for paid plans. The free plan gives you 100 tasks per month, as many Zaps as you like, and a check every 15 minutes on polling triggers such as New Contact. The limit that matters is size: a free Zap has two steps, so New Contact plus one action. A filter or a second action makes it a multi-step Zap, and that needs a paid plan.
02How many tasks does an OptinMagic Zap use?
New Contact itself uses none. Zapier only counts a task when an action completes successfully, and the trigger is never billed, whatever the number of checks. So a Zap that sends each contact to your CRM costs one task per contact. Add a second action, for instance a chat alert, and each contact costs two. An action that fails is not counted. With 100 tasks a month on the free plan, a one-action Zap covers 100 new contacts in that month.
03Is OptinMagic in Zapier real time?
No. New Contact is a polling trigger: Zapier asks OptinMagic for new contacts at a fixed interval, then keeps only the ones it has not seen. That interval depends on the plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans the interval can be changed, and a check can be run by hand from the editor. The type is set by OptinMagic, so no Zapier setting turns New Contact into an instant trigger.
04What does it take to connect OptinMagic to Zapier?
An OptinMagic account, plus access to anything you do not own and want the Zap to read. Then three moves in Zapier: open Apps, click + Add connection, pick OptinMagic, sign in and grant access. New Contact has no required field to fill in, so once connected you can test it straight away. The test brings back the three most recent contacts, which tells you at once whether the right account is connected.
05Can Zapier add contacts to OptinMagic?
No. OptinMagic offers Zapier a single trigger, New Contact, and no action, so the traffic goes one way: out of OptinMagic, never into it. A Zap can copy a new contact to your CRM, your email tool or a sheet, but it cannot create, update or tag a contact inside OptinMagic. There is no search step either, so a Zap cannot look up an existing contact. Plan any flow that needs to write back with that in mind.
06What if the OptinMagic operation you need does not exist?
Then Zapier cannot do it, and no setting will add it. The OptinMagic app exposes one visible operation, the New Contact trigger, and nothing else. Anything that would write into OptinMagic, update a contact there, or react to another event stays out of reach from the Zap editor. If that step is central, write down the operations your process needs before building, and compare each automation tool against that same list rather than against general promises.
07Zapier, Make or n8n for OptinMagic?
Choose on criteria, not on reputation. On Zapier, OptinMagic gives one polling trigger, free to use, checked every 15 minutes on the free plan, with a two-step limit that moves any filter or second action onto a paid plan. So ask each tool three things: does it offer the OptinMagic event you need, possibly with a way to write back, how often does it check for new contacts at your budget, and what unit does it bill. The app page of each tool answers them.
