Overview

What the OptinMonster Zapier integration does for you

The integration links your OptinMonster account to Zapier, the tool that runs a Zap for you: an automation made of one trigger (the event that starts it) and one or more actions (what it then does). OptinMonster captures leads through its campaigns; Zapier passes each new one to the apps where your team follows up.

Three results you can build on the single trigger, New Lead, which Zapier itself features on the app page. A CRM fed straight from your campaigns: each lead becomes a contact your sales team can call. A welcome sequence that starts on its own: the lead joins your email tool without anyone running an export in between. A team alert: a message lands in the sales channel, so someone follows up while the lead is fresh.

The best part is speed. New Lead is an instant trigger: OptinMonster tells Zapier itself when a lead comes in, so the Zap starts at once, even on the free plan.

What Zapier does not do here: the integration goes one way. There is no action, so no Zap can write into OptinMonster, and no search step to look up a lead. One Zap also follows one campaign, never several at once. If you need more than that, read Make vs Zapier before you build, and the Zapier review for the tool as a whole.

Vocabulary

Zapier vocabulary in one minute

Eight words carry this page. Here they are, in plain English.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event to happen.
Action
The step that does the work once the Zap has started: it writes, sends or moves something on your behalf.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is counted in tasks.
Instant trigger
A trigger the app reports itself: it tells Zapier the moment the event happens, so nothing waits for a check. New Lead is one.
Polling trigger
The other kind: Zapier asks the app for new items at a fixed interval set by your plan. It does not apply to New Lead.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Connection
Your app account linked to Zapier once, then reused by every step of every Zap that touches that app.
Cost

What it really costs

OptinMonster is not a premium app (one Zapier reserves for paid plans): New Lead works on the free plan.

  • New Lead0 tasks
  • Free plan100 tasks per month
  • Free plan Zap size2 steps
  • Wait on New LeadNone, instant

New Lead never costs a task. You pay for the action that follows in the other app, and only when it succeeds; a failed action is not counted. The free plan stops at two steps: New Lead plus one action. Add a filter or a second action, for instance a CRM contact and a chat alert, and the Zap becomes multi-step, which needs a paid plan. The interval grid below is for polling triggers only: an instant trigger like New Lead fires straight away on every plan, Free included.

Connect

Connect your OptinMonster account in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an OptinMonster account, plus access to any campaign you do not own and want the Zap to watch.

  2. 02

    Pick OptinMonster

Type OptinMonster in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the OptinMonster side for the sign-in.

  3. 03

    Sign in and grant access

Log in to OptinMonster in that tab and allow Zapier to use the account. The connection is saved once, then reused by every Zap that starts on New Lead.

First Zap

Your first Zap: every new lead in your CRM

GoalEach lead captured by an OptinMonster campaign becomes a HubSpot contact, once it passes your rule.

  1. 01

    Build: pick the trigger

Start a new Zap, choose OptinMonster as the app and New Lead as the event, then select the OptinMonster connection you just created.

  2. 02

    Choose the campaign

Pick the Campaign to watch, a required field. Only Active or Paused campaigns appear in the list, so check the status in OptinMonster if one is missing.

  3. 03

    Test the trigger

Run the test: Zapier brings back the three most recent leads of the connected account, so you map the next steps on a real lead rather than a blank.

  4. 04

Add the filter and the action

Add a Filter from the plus icon with its field, rule and value, then HubSpot with Create Contact, mapping each field from the lead.

  5. 05

    Test and publish

Test the action and read what came back, then click Publish. The filter makes this a multi-step Zap on a paid plan; without it, it stays free.

Triggers

OptinMonster trigger

1 event starts a Zap when something happens in OptinMonster, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Lead

Instant trigger

In Zapier“Triggers when a new lead is added to a campaign.”

Each lead added to the campaign you pick starts a Zap, which then carries that person to the next tool: a CRM contact, a welcome email, a row in a sheet, or a ping to whoever calls back.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a campaign on your pricing page captures warm leads, and sales wants to reach them while the visit is still fresh.
Watch out
Campaign is required and only Active or Paused campaigns are listed, so each Zap follows one campaign; a second campaign means a second Zap.
When it breaks

When it breaks

Zapier attaches no help article to OptinMonster, so the known failure points are the general ones.

None of these is specific to OptinMonster, yet each one shows up fast on a lead capture tool, where a good campaign can bring leads in waves. Check them before you publish; the Zapier troubleshooting page covers what remains.

  • Past leads never come through

A Zap only reacts to what happens after it is switched on. Leads captured before you published it are ignored; moving that backlog is a separate job.
  • A Zap that feeds itself

A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through the task count fast.
  • A sudden wave stalls the Zap

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the Zap back.

FAQ

OptinMonster and Zapier: frequent questions

01Is the OptinMonster Zapier integration free?
Yes, it works on the free plan, because OptinMonster is not one of the apps Zapier reserves for paid plans. The free plan gives you 100 tasks per month and as many Zaps as you like. Since New Lead is an instant trigger, the free plan does not even slow it down. The limit that matters is size: a free Zap has two steps, so New Lead plus one action. A filter or a second action makes it a multi-step Zap, and that needs a paid plan.
02How many tasks does an OptinMonster Zap use?
New Lead itself uses none. Zapier only counts a task when an action completes successfully, and the trigger is never billed. A Zap that sends each lead to your CRM therefore costs one task per lead. Add a second action, a team alert for example, and each lead costs two, so a three-action Zap eats three times what a one-action Zap does. An action that fails is not counted. With 100 tasks a month on the free plan, a one-action Zap covers 100 leads that month.
03Is OptinMonster in Zapier real time?
Yes. New Lead is an instant trigger: OptinMonster sends the lead to Zapier itself as soon as it is captured, so the Zap starts straight away, whatever the plan. The polling interval grid of Zapier, 15 minutes on the free plan, does not apply to it. The editor marks Zaps built on an instant trigger with a lightning bolt. The type is set by OptinMonster, which is good news here: no setting can slow it down, and no paid plan is needed for speed.
04What does it take to connect OptinMonster to Zapier?
An OptinMonster account, plus access to any campaign you do not own and want the Zap to watch. Then three moves in Zapier: open Apps, click + Add connection, pick OptinMonster, sign in and grant access. After that, New Lead asks you to choose a campaign, and that field is required. Only campaigns that are Active or Paused appear in the list, so set the status of the campaign you want in OptinMonster before building the Zap.
05Why is an OptinMonster campaign missing in Zapier?
Because New Lead only lists campaigns that are Active or Paused. A campaign in any other status does not show up in the Campaign field, and that field is required, so the trigger cannot be set without it. Change the campaign's status in OptinMonster, come back to the Zap and reload the list. Keep in mind too that one Zap watches one campaign: if leads come from several campaigns, each needs its own Zap.
06What if the OptinMonster operation you need does not exist?
Then Zapier cannot do it, and no setting will add it. The OptinMonster app exposes one visible operation, the New Lead trigger, and nothing else: no action to write into OptinMonster, no search, no trigger on other campaign events. If such a step is central, list the operations your process needs before building, and compare each automation tool against that same list rather than against general promises. A flow that only reads leads fits well; one that must write back does not.
07Zapier, Make or n8n for OptinMonster?
Choose on criteria, not on reputation. On Zapier, OptinMonster gives one instant trigger, free to use, that fires straight away on every plan, with a two-step limit that moves any filter or second action onto a paid plan. So ask each tool three things: does it offer the OptinMonster event you need, does that event arrive instantly or on a timer at your budget, and what unit does it bill. The app page of each tool answers all three questions.
