Overview

What the Orangescrum Zapier integration actually does

The Orangescrum Zapier integration links your Orangescrum account to the rest of your tools through Zapier, a service that runs automations without code. Zapier watches Orangescrum for new projects, new tasks and new users, and it can create projects, tasks and users there when something happens elsewhere. Zapier does not reserve Orangescrum for paid accounts, so it runs on the free plan.

A starter task in every new project. New Project paired with Create Task drops the same first to-do into each project your team opens, so nobody starts from an empty board.

A workspace for every newcomer. New User feeding Create Project, then Create Task, gives each person who joins a project of their own with a first to-do inside.

Work captured from the tools around you. Create Task turns a request that lands in another app (a form answer, a support message) into a task inside the right Orangescrum project.

The first and third pairings fit the free plan, since each stays at one trigger and one action. The second has two actions, so it is a multi-step Zap and needs a paid plan. What Zapier does not do here: there is no search step, so a Zap cannot look up an existing project or user on its own, and there is no action to update or delete anything. All three triggers are polling triggers, so nothing reaches Zapier the moment it happens. Before picking a tool, two comparisons: Make vs Zapier and n8n vs Zapier.

Vocabulary

The Zapier words you will meet

Zapier has its own vocabulary. Eight words cover everything on this page.

Zap
One automation you build on Zapier: a trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event, in Orangescrum or another app, that starts the Zap. Once the Zap is on, Zapier waits for that event.
Action
The step that does the work once the Zap has started, here creating a project, a task or a user in Orangescrum.
Task
What Zapier bills: one action completed successfully. Not to be confused with a task inside Orangescrum.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items and keeping only the ones it has not seen yet.
Instant trigger
A trigger the app reports itself the moment the event happens. Orangescrum has none, so every check waits for the timer.
Filter
A step that lets the Zap continue only when what arrived matches your condition, and stops it in every other case.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What an Orangescrum Zap really costs

The trigger never costs anything. Zapier can check Orangescrum as often as your plan allows, and the looking is free. You pay in tasks, one per action that completes.

  • Tasks on the free plan100 a month
  • Steps per Zap on the free plan2
  • Cost of a trigger check0 tasks
  • Orangescrum on the free planAvailable

An action that fails is not counted. A Zap with three actions eats three times what a one-action Zap eats, since every action that succeeds is counted on its own. A few apps and a few actions also take more than one task when they complete. The free plan gives 100 tasks a month and Zaps of two steps only, one trigger and one action. Add a second action or a filter and the Zap turns multi-step, which needs a paid plan.

Connect

Connect Orangescrum to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page and click + Add connection. A connection is your Orangescrum account linked to Zapier once, then reused by every step that touches Orangescrum.

  2. 02

    Find Orangescrum

Type Orangescrum in the search box of the dialog, pick it, then click Add connection. Keep your Orangescrum login at hand: an account on the app is the one thing you cannot skip.

  3. 03

    Sign in and grant access

Sign in to Orangescrum in the tab that opens and grant Zapier access to the account. If the Zap will touch projects you do not own, get read or write access on them first.

First Zap

Your first Zap: onboard every new user

GoalEach new Orangescrum user gets a personal project with a first to-do inside.

  1. 01

    Pick the trigger

Build the Zap by choosing Orangescrum as the app that starts it and New User as the event. Select your Orangescrum connection, then the Company to watch, the one field this trigger requires.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent users of the connected account, so you map the next steps on a real person rather than on an empty sample.

  3. 03

    Add the project

Add Create Project as the first action. Pick the same Company, then build the Name from what the trigger returned, so each project is easy to tie to its owner.

  4. 04

    Add the task

Add Create Task. Choose the Company, map the Project the previous step just created, and write the Name of the first to-do the newcomer should see.

  5. 05

    Test, then publish

Test each action once and check the result in Orangescrum. Then click Publish to switch the Zap on. With two actions it is a multi-step Zap, so it needs a paid plan.

Triggers

Orangescrum triggers on Zapier

3 events start a Zap when something happens in Orangescrum. Zapier checks for them at the interval your plan allows.

1

New Project

Polling trigger

In Zapier“Triggers when a new project is created.”

Starts your Zap each time someone opens a new project in Orangescrum, and hands that project to the steps that follow. It is the natural entry point for anything that should exist next to a project: a kickoff to-do, a note in another tool, a line in a tracking sheet.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
your agency opens one project per client and wants the same kickoff checklist every time.
Watch out
Company is a required field, so decide which company the Zap watches before you run the first test.
2

New Task

Polling trigger

In Zapier“Triggers when a new task is created.”

Reacts to every task added in Orangescrum and passes it on to the rest of the Zap. Handy when the people who need to hear about new work do not spend their day inside Orangescrum.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an account manager wants each task opened on a key client copied into the team chat or a shared sheet.
Watch out
Company List and Project List are both required, so settle the company and the project the Zap watches before testing. Never pair it with Create Task on the same project, or the Zap feeds itself.
3

New User

Polling trigger

In Zapier“Triggers when a new user is created.”

Fires when a person is added to your Orangescrum account. Each new member becomes an event the Zap can work with, which makes this the cleanest way to start onboarding without a manual handover between admin and team lead.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
operations adds a freelancer for a mission and wants a personal project ready, plus a line in the staffing sheet.
Watch out
Company is required here too, so check that the connected account can see that company before you test.
Actions

Orangescrum actions on Zapier

Orangescrum gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Project

Action

In Zapier“Create a project on Orangescrum by zapier when other apps will create a new project zap.”

Opens a new project in Orangescrum from data another app sends, so a won deal or a signed form becomes a workspace without anyone retyping it.

When to use it
a deal marked won in your sales tool should open the delivery project.
Watch out
Company and Name are required, so the earlier step must provide a name, or you type a fixed one.
2

Create Task

Action

In Zapier“When action new task hit , a task create on an Orangescrum.”

Adds a to-do inside an existing Orangescrum project, named from whatever the earlier steps carried. Each run counts as one Zapier task on your plan.

When to use it
a support request or a form answer has to become work someone picks up.
Watch out
the Project is required and there is no search step to find it, so you pick it from the list or map it from an earlier step.
3

Create User

Action

In Zapier“New User create when action hit on an Orangescrum”

Adds a person to your Orangescrum account from an email address, which spares an admin the invitation chore when someone joins in another tool first.

When to use it
a new hire entered in your HR tool should get Orangescrum access without a ticket.
Watch out
Email and Company are required, so the step before it must carry an email address.
When it breaks

When an Orangescrum Zap breaks

Zapier attaches no help article to Orangescrum and lists no limit of its own for the app. What goes wrong comes from Zapier's general rules, and they hit an Orangescrum Zap like any other.

  • Nothing from before the Zap

A Zap only reacts to what happens after you switch it on. Projects, tasks and users that already exist in Orangescrum are never picked up; moving them is a separate job.
  • The Zap that feeds itself

New Task plus Create Task on the same project means every task the Zap creates is a new event to react to. It starts again and again, and burns your allowance fast.
  • A sudden flood

After a bulk import of users or tasks into Orangescrum, the trigger can return a huge batch at once, and Zapier's flood protection may hold it back.
  • No double runs

Zapier remembers which items it has already seen on a polling trigger, so the same project, task or user does not start the Zap twice.

FAQ

Orangescrum and Zapier: common questions

01Is the Orangescrum Zapier integration free?
Yes. Zapier does not reserve Orangescrum for paid plans, so it works on the free plan. That plan gives you 100 tasks a month, as many Zaps as you like and a check every 15 minutes. The catch is the shape of the Zap: on the free plan, a Zap has two steps, one trigger and one action. New Project followed by Create Task fits. Anything with a second action or a filter, like the onboarding Zap described above, needs a paid plan.
02How many tasks does an Orangescrum Zap use?
One per action that succeeds, and nothing for the trigger. Zapier can check Orangescrum for new projects, tasks or users as often as your plan allows without charging for it. When the Zap then runs Create Task, that counts as one task. A Zap with Create Project and Create Task counts two per new user. An action that fails is not counted. Watch out for loops: a Zap that writes where its own trigger looks can drain the allowance quickly.
03Does Orangescrum send new items to Zapier instantly?
No. All three Orangescrum triggers are polling triggers: Zapier asks Orangescrum for new items on a timer. On the free plan it checks every 15 minutes, on Professional every 2 minutes, and on Team or Enterprise every minute. On paid plans you can change how often a polling trigger checks, and run a check by hand from the editor. The app decides the trigger type, so no setting turns these into instant triggers.
04What is required to connect Orangescrum to Zapier?
An Orangescrum account, plus access to whatever the Zap will touch. You add the connection from the Apps page of Zapier with + Add connection, then sign in to Orangescrum and grant access. Every operation also asks for a Company, and Create Task asks for a Project, so the connected account has to reach that company and those projects. If the Zap writes into projects someone else owns, the account needs read or write access on them.
05Can a Zap find an existing Orangescrum project?
Not with Orangescrum alone. The app has no search step on Zapier, so a Zap cannot look up a project, a task or a user that already exists. For Create Task, the Project comes either from the list when you set up the step, or from an earlier step that created it, as in New User followed by Create Project and then Create Task. No operation updates or deletes an item either, so corrections stay manual.
06What if the Orangescrum operation you need is not on Zapier?
Then this integration cannot do it, and it is better to know before building. Zapier offers 6 visible operations for Orangescrum: New Project, New Task and New User as triggers, and Create Project, Create Task and Create User as actions. Editing, closing or deleting an item sits outside that list, and so does any search. If the job needs one of those, the workflow has to be designed around what exists, or another tool has to handle that part.
07Zapier, Make or n8n for Orangescrum?
It comes down to criteria, not to a ranking. Zapier fits when the job is to react to new projects, tasks or users, or to create them when something happens elsewhere, and when a check every 15 minutes on the free plan is acceptable. It fits less when the workflow must look up, change or delete existing Orangescrum items, because those operations are not offered on Zapier. Run the same criteria against what each tool offers for Orangescrum before choosing.
