Organimi Zapier integrationAutomate Organimi with Zapier.

The Organimi Zapier integration gives you 0 triggers, 12 actions and 17 searches. Organimi never starts a Zap on its own: another tool does the starting, and Organimi receives the people, roles and charts that tool sends its way.

Overview

What the Organimi Zapier integration actually does

Organimi is an online tool for drawing an organization chart, whatever the size of the company. Hooking it to Zapier means another app tells Organimi what changed: a new hire, a new department, a role that moved. Organimi itself has nothing that can start the automation.

Three results people build with it. First, a chart that follows hiring: a row lands in your HR tool, Add Person puts the newcomer into the organization and Add Role gives them a seat on the chart. Second, a reorg without the drag and drop: Move Role shifts a role under a new manager when the change is logged elsewhere. Third, clean people data: the two Add/Update Custom Field Value steps write a value (free text or a picklist choice) on a person's profile.

Now the limits, because they shape every design. Organimi exposes no trigger on Zapier, so nothing that happens inside Organimi can launch a Zap. You cannot react to someone editing the chart by hand. There is also no delete step: a person who leaves stays on the chart until someone removes them in Organimi.

Another quirk: several steps that write data, like Add Person and Update Person, sit in the search list of the editor, not with the actions. Look there before deciding a step is missing. For a wider view of the tool, the Zapier review is the place to start.

Vocabulary

Zapier words you will meet on this page

Seven terms, in plain English, so the rest of the page reads without a dictionary.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. With Organimi, it always comes from another app, since Organimi offers none.
Action
What the Zap does once it has started: the step that writes, sends or moves something in an app for you.
Task
The unit Zapier bills: one action the Zap completes successfully. The number on your plan is a count of those.
Polling vs instant trigger
A polling trigger is checked on a timer by Zapier. An instant trigger is pushed by the app the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
Search step
A step that looks up something already in an app, so the steps after it can reuse what it found, such as an ID.
Cost

What an Organimi Zap really costs

Organimi is not a premium app, so it works from the free plan. The bill is counted in tasks, not in Zaps.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • BilledEach successful action
  • Not billedTriggers, checks, failed actions

The trigger never costs a task, and neither does Zapier checking for new data. Each action that succeeds counts once, and one that fails is not counted. The free plan gives 100 tasks a month, unlimited Zaps and a check every 15 minutes, but only two steps: one trigger, one action. Add a second action, a filter or a search, and the Zap becomes multi-step, which needs a paid plan. With Organimi that comes fast, because most steps want an ID found by an earlier search.

Connect

Connect Organimi to Zapier in three steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. A connection is your Organimi account linked once, then reused by every step that talks to Organimi.

  2. 02

    Pick Organimi

Type Organimi in the search box of the dialog, select it, then click Add connection. You need an existing Organimi account before this point; Zapier does not create one for you.

  3. 03

    Sign in and allow access

Sign in to Organimi in the tab that opens and grant Zapier access to the account. For charts you do not own, make sure the account has read or write access, or the steps will have nothing to touch.

First Zap

Your first Organimi Zap: a new hire lands on the chart

GoalEach new row in an HR sheet adds the person in Organimi, then fills a custom field on their profile.

  1. 01

    Pick the starting app

Build the Zap from the app that knows about new hires, since Organimi has no trigger. Choose that app and the event that should start everything.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from the connected account, so you map the next steps on a real record instead of a guess.

  3. 03

    Add the person

Add Add Person from the SEARCH part of the Organimi list. Fill the Organization Id, then map the name and details from the trigger.

  4. 04

    Write the custom value

Add Add/Update Custom Field Value (String). Map the Person Id returned by the previous step, plus the Organization Id. This third step makes the Zap multi-step.

  5. 05

    Test, then publish

Test each step once and read what came back. When the person shows up correctly in Organimi, publish the Zap to switch it on.

Actions

Organimi actions on Zapier

Organimi gives you 12 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Chart

Action

In Zapier“Creates a new Chart in Organimi”

Opens a brand new chart inside one of your organizations, ready to receive roles and people.

When to use it
a new subsidiary or project team is registered in your company tool and deserves its own chart.
Watch out
the step needs the Organization Id the chart belongs to, so find it first.
2

Create Custom Field

Action

In Zapier“Creates a new Custom Field in Organimi”

Adds a new custom field to an organization, the kind of extra column you show on people cards.

When to use it
you start tracking a new attribute, such as an office location, and want the field created from your setup process.
Watch out
it asks for the Organization Id; the values themselves are written later by a separate step.
3

Add Department

Action

In Zapier“Creates a new Department in Organimi”

Creates a department on a given chart, so the boxes match how the company is really split.

When to use it
finance approves a new team in your planning tool and the chart should show it too.
Watch out
both the Organization Id and the Chart Id are required, so a search usually comes first.
4

Create Organization

Action

In Zapier“Creates a new Organization in Organimi”

Sets up a whole new organization in Organimi, the top container for charts, people and fields.

When to use it
you run org charts for clients and onboard a new one from your CRM.
Watch out
it is one of the rare steps that needs no Organization Id, since it creates one.
5

Add Role

Action

In Zapier“Add a new Role in Organimi”

Places a new role on a chart, the box a person will later fill.

When to use it
a job opening is approved and you want the empty seat visible to managers.
Watch out
Organization Id and Chart Id are both required. A Return All Changed option exists too; test it once to see what comes back.
6

Get My Organizations

Action

In Zapier“Retrieves all Organizations in Organimi”

Lists every organization the connected account can reach. Odd as it looks among actions, it reads rather than writes.

When to use it
during setup, to learn the Organization Id every other step will ask for.
Watch out
it sits with the actions, so each successful run counts as a task like any other action.
7

Move Role

Action

In Zapier“Moves a Role in Organimi”

Shifts an existing role to another spot on the chart, typically under a new manager.

When to use it
a reorg is decided in your HR system and the chart should follow without anyone dragging boxes.
Watch out
Organization Id, Chart Id and Role Id are all required, and a Move One option sits next to them; test it once on a spare role to see its effect.
8

Photo Upload

Action

In Zapier“Uploads a Photo in Organimi”

Sends a photo into Organimi, so the people on your chart get a real portrait without anyone uploading it by hand.

When to use it
new hires drop their portrait in an onboarding form and you want it on the chart without a manual upload.
Watch out
the Organization Id is mandatory; test with a real image before publishing.
9

Update Chart

Action

In Zapier“Updates a Chart in Organimi”

Edits a chart that already exists, rather than starting a fresh one.

When to use it
a team gets renamed in your project tool and the chart's details should match.
Watch out
you need both the Organization Id and the Chart Id; Get Charts for Organization finds the second.
10

Update Custom Field

Action

In Zapier“Updates a Custom Field in Organimi”

Changes the definition of a custom field, not the value a person holds in it.

When to use it
a field created by an earlier Zap needs a new label or settings.
Watch out
it requires the Organization Id and the Field Id, which Get Custom Fields can return.
11

Update Organization

Action

In Zapier“Updates an Organization in Organimi”

Rewrites the details of an organization you already have in Organimi.

When to use it
a client changes its company name in your CRM and the Organimi account should carry the same one.
Watch out
the Organization Id is required; map it rather than typing it, so the Zap works for every client.
12

Update Role

Action

In Zapier“Updates a Role in Organimi”

Modifies a role that is already on the chart, such as its title.

When to use it
a promotion is recorded in your HR tool and the job title on the chart should change with it.
Watch out
Organization Id, Chart Id and Role Id are required; Search Roles by Chart is the easy way to get the last one.
Searches

Organimi searches on Zapier

17 search steps look for data that already exists in Organimi, so a later step can use it.

Searches sit at the bottom of the action event list, under the SEARCH heading. With Organimi, that section holds more than lookups: a few steps there add or update data. Three settings decide what happens when a search finds nothing or too much.

1

Add/Update Custom Field Value (String)

Search

In Zapier“Add or Update the value for the Custom Field”

Writes a free text value into a person's custom field, or replaces the one already there.

When to use it
your HR tool holds a cost center code and you want it shown on each profile.
Watch out
Organization Id and Person Id are both required, so a lookup on the person usually comes first.
2

Add/Update Custom Field Value (Picklist)

Search

In Zapier“Add or Update the Value for the Custom Field”

Sets the value of a custom field that offers a list of choices, rather than free text.

When to use it
a contract type or site is chosen from a fixed list and should land on the profile as one of those options.
Watch out
it needs the Organization Id and the Person Id; test it with a real choice from your list before publishing.
3

Add Person

Search

In Zapier“Creates a new person in Organimi”

Creates a new person in the organization, despite living in the search list.

When to use it
a candidate signs and your recruiting tool marks them hired.
Watch out
only the Organization Id is mandatory. Keep the Person Id it returns, since the custom field and role steps ask for it next.
4

Get All People in Organization

Search

In Zapier“Retrieves all People from Organization in Organimi”

Brings back the people of an entire organization in one go.

When to use it
a later step needs the full list, for a count or a check against another system.
Watch out
the Organization Id is required, and the If multiple search results are found? setting decides whether you get one person or all of them.
5

Get All People for Chart

Search

In Zapier“Retrieves all People for Chart in Organimi”

Narrows the people list to a single chart instead of the whole organization.

When to use it
one department's chart drives a mailing or an access review and the rest is noise.
Watch out
both the Organization Id and the Chart Id are required.
7

Get All Roles in Chart

Search

In Zapier“Retrieves all Roles from Chart in Organimi”

Collects the roles drawn on a given chart.

When to use it
before adding a role, to see what already exists on the chart and avoid a duplicate seat.
Watch out
Organization Id and Chart Id are both mandatory, so pair it with Get Charts for Organization when the Zap only knows the organization.
8

Get Chart

Search

In Zapier“Retrieves Charts in Organimi”

Fetches one chart when you already know which one you want.

When to use it
a later step needs details of that chart and the Zap only carries its ID.
Watch out
it takes both the Organization Id and the Chart Id, so it cannot find a chart by name alone.
9

Get Charts for Organization

Search

In Zapier“Retrieves Charts for Organization in Organimi”

Lists the charts that belong to one organization.

When to use it
you need a Chart Id for Add Role or Add Department and only know the organization.
Watch out
the Organization Id is required; set the multiple-results option deliberately, or the Zap keeps the first chart.
10

Get Connections for Roles

Search

In Zapier“Retrieves Connections for Roles in Organimi”

Looks up how a role links to others on the chart.

When to use it
a request needs routing to whoever sits above a given role, and the Zap has to find that link first.
Watch out
Organization Id, Chart Id and Role Id are all required.
11

Get Custom Fields

Search

In Zapier“Retrieves Custom Fields in Organimi”

Returns the custom fields defined for an organization.

When to use it
you need a Field Id before running Update Custom Field.
Watch out
only the Organization Id is required, and several fields usually match, so check the multiple-results setting.
12

Get Organization

Search

In Zapier“Retrieves Organization in Organimi”

Pulls the details of a single organization.

When to use it
a step further down needs information about the organization the Zap is working on.
Watch out
it asks for the Organization Id itself, so it confirms an organization rather than discovering one; Get My Organizations does the discovering.
13

Get Person

Search

In Zapier“Retrieves Person in Organimi”

Finds one person's profile when the Zap already holds their ID.

When to use it
you want their current details before updating them.
Watch out
Organization Id and Person Id are both required; with no result and the default setting, the Zap stops here.
14

Get Roles for Person by Person Id

Search

In Zapier“Retrieves Roles for Person by Person Id”

Shows which roles a given person holds on the charts.

When to use it
someone changes jobs and you need their current role before moving or updating it.
Watch out
the Organization Id and Person Id are mandatory, and a person can hold several roles.
15

Search Roles by Chart

Search

In Zapier“Searches a Role by Chart”

Searches the roles of one chart with a query you provide.

When to use it
you know a job title and need the matching Role Id for Update Role or Move Role.
Watch out
Chart Id and Query are required; this one does not ask for an Organization Id.
16

Search Roles by Organization

Search

In Zapier“Searches a Role by Organization in Organimi”

Runs the same kind of role search across an entire organization, not a single chart.

When to use it
you do not know which chart holds the role you are after.
Watch out
Organization Id and Query are mandatory; a broad query can match many roles.
17

Update Person

Search

In Zapier“Updates a Person in Organimi”

Edits an existing person, even though Zapier files it under searches.

When to use it
an employee's details change in your HR tool and the chart should follow.
Watch out
Organization Id and PersonId are required; get the second from Get Person or the step that created them.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. Organimi offers no such variant on Zapier, so you will not see this box on its searches.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When an Organimi Zap breaks

Zapier attaches no help article to Organimi, and no limit specific to the app is documented. What breaks is the general behavior of Zaps.

  • No catch-up on the past

A Zap only reacts to what happens after it is switched on. People already in your HR tool are not pushed to Organimi; moving that backlog is a separate job.
  • A Zap that feeds itself

If the Zap writes into the very place its own trigger watches, it sets itself off again and again and burns through your tasks quickly.
  • Bulk imports held back

A trigger that suddenly returns a huge batch, after an import or a migration, can be held back by Zapier's flood protection.
  • Same item, one run

On a polling trigger, Zapier remembers what it has already seen, so the same item does not start the Zap twice.

FAQ

Organimi Zapier integration: frequently asked questions

01Is the Organimi Zapier integration free?
Yes, as long as the Zap stays at two steps. Organimi is not a premium app, so the free plan can use it, with 100 tasks a month and unlimited Zaps. The catch is the step count. The free plan only builds one trigger plus one action. Since Organimi has no trigger, that means another app starting the Zap and a single Organimi step. Add a search to find an ID, a filter or a second action, and the Zap turns multi-step, which needs a paid plan.
02How many tasks does an Organimi Zap use?
One task per action that completes successfully. The trigger costs nothing, and neither do Zapier's checks for new data. An action that fails is not counted. So a Zap that runs Add Role then Move Role uses two tasks per run when both succeed. Get My Organizations sits among the actions, so it counts like one even though it only reads. A few apps and actions take more than one task when they complete, so test before counting on a budget.
03Does Organimi work in real time with Zapier?
It depends on the other app, because Organimi has no trigger at all. The speed comes from whatever starts the Zap. If that app offers an instant trigger, it tells Zapier the moment the event happens, whatever your plan. If it only has a polling trigger, Zapier checks it at an interval set by your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Organimi steps then run right after.
04What does it take to connect Organimi to Zapier?
An Organimi account, plus read or write access on any organization or chart you do not own and want the Zap to touch. The connection itself takes three gestures: open the Apps page in Zapier and click + Add connection, pick Organimi, then sign in and grant access in the tab that opens. Once linked, the connection is reused by every Organimi step in every Zap, so you do it only once per account.
05Why can't Zapier find Add Person among the Organimi actions?
Because Zapier lists it under searches. Several Organimi steps that write data, such as Add Person, Update Person and the two Add/Update Custom Field Value steps, sit in the SEARCH section at the bottom of the action event list. They work the same way once picked. Keep in mind that searches make a Zap multi-step when used next to another action, and that the no-result setting can stop the Zap if left on its default.
06What if the Organimi step you need does not exist?
Check both lists first, actions and searches, since Organimi spreads its writing steps across the two. If the gesture is still missing, such as deleting a person or reacting to a change made inside Organimi, Zapier cannot do it with this integration. Organimi offers no trigger and no delete step there. The workaround is to build the logic around what exists: start from the app where the change is recorded, then use the update steps.
07Zapier, Make or n8n for Organimi?
Decide on three criteria. First, coverage: on Zapier, Organimi offers 12 actions and 17 searches but no trigger, so check whether the other tool exposes the steps you need, especially a way to start from Organimi. Second, cost: Zapier bills each successful action, and Organimi Zaps grow multi-step quickly because of all the IDs. Third, who maintains it: a non-technical team usually prefers the tool where the steps are already named and ready.
