Overview

What the OTASync Zapier integration is for

OTASync is the online software where a hotel or rental keeps its bookings, its guests and its invoices. The Zapier integration lets reservations and invoices leave OTASync and reach other apps. It only reads: nothing comes back into OTASync through Zapier.

Three results properties usually build. A front desk that is never surprised: New, Updated, or Cancelled Reservation posts each booking change in the team chat, so housekeeping and reception see it together. A clean accounting trail: New, Updated, or Cancelled Invoice copies each invoice change into the spreadsheet or the accounting tool your bookkeeper works from. A guest list for marketing: reservations flow into your email tool, so past guests can hear about your next season.

What Zapier does not do here. There is no action, so a Zap cannot create a booking, change a rate or close an invoice in OTASync. There is no search either, so a Zap cannot look up a guest or a reservation on its own. And each trigger covers three kinds of change at once (created, updated, cancelled), which is the trap explained in the trigger notes below.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Both OTASync operations are triggers: they start Zaps, they never receive data.
Action
What the Zap does once started: the step that writes, sends or moves something for you, always in another app here.
Task
The unit Zapier bills. One task equals one action your Zap completes successfully; your plan counts those.
Instant vs polling
An instant trigger is pushed by the app when the event happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap continue only when the incoming item meets your condition, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What an OTASync Zap really costs

OTASync is not reserved for paid plans: it works on the free one. You pay in tasks, and the OTASync trigger itself never costs one.

  • OTASync triggerFree, instant on every plan
  • Successful action1 task
  • Free plan100 tasks a month, two steps per Zap
  • OTASync accessFree plan included

Each action that succeeds in the other app counts as one task; a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps only: one trigger, one action. Keep in mind that one reservation can start the Zap several times (created, then updated, then cancelled), and each run that completes an action costs a task. Adding a filter makes the Zap multi-step and needs a paid plan. The interval grid below concerns polling triggers only: both OTASync triggers are instant on every plan.

Connect

Connect your OTASync account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your OTASync account linked once, then reused by every step that uses OTASync.

  2. 02

    Find OTASync

Type OTASync in the search box of the dialog, select it and click Add connection. You need an existing OTASync account first; Zapier does not create one for you.

  3. 03

    Sign in and grant access

Sign in to OTASync in the tab that opens and let Zapier use the account. If the property is managed under someone else's account, get read access to its reservations and invoices first.

First Zap

Your first OTASync Zap, step by step

GoalEach time a reservation changes in OTASync, keep only the cancellations and warn reception in its chat channel.

  1. 01

    Build: pick the trigger

Create a Zap, choose OTASync as the app and New, Updated, or Cancelled Reservation as the event that starts it, then select your connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent reservations of your account, so you can see what a real one carries before you go further.

  3. 03

    Add the filter

Add a Filter step and set the rule that keeps only cancellations, based on what the test showed. A filter makes the Zap multi-step: paid plan required.

  4. 04

    Add the action

Add your team chat app and its send message action, then map the reservation details you saw in the test into the message text.

  5. 05

    Test, then publish

Test each step once and read what came back. When the message looks right in the channel, publish the Zap to switch it on.

Triggers

The 2 OTASync triggers

2 events start a Zap when something happens in OTASync, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New, Updated, or Cancelled Invoice

Instant trigger

In Zapier“Triggers when an invoice is created, updated, or cancelled.”

Starts your Zap whenever an invoice moves in OTASync: issued, edited or cancelled. One trigger covers the whole life of the invoice, which suits a ledger that must stay in step with the property system.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep the spreadsheet or accounting tool your bookkeeper uses aligned with OTASync, cancellations included.
Watch out
an invoice edited twice starts the Zap twice, so write to a place that tolerates updates rather than one that only adds rows.
2

New, Updated, or Cancelled Reservation

Instant trigger

In Zapier“Triggers when a reservation is created, updated, or cancelled.”

Fires each time a booking is created, changed or cancelled in OTASync. Creation, edits and cancellations all come through this one trigger. It is the closest thing to a live feed of your occupancy outside the property system.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
alert reception and housekeeping in their chat channel, or add new guests to your email tool for a pre-arrival message.
Watch out
a cancellation also starts the Zap, so a welcome email sent without a filter can reach a guest who just cancelled.
When it breaks

When an OTASync Zap breaks

Zapier publishes no OTASync-specific limit or error message, so the traps below are the general ones, plus the one that comes from mixing three kinds of change in one trigger.

  • Existing bookings are not sent

A Zap only reacts to what happens after you switch it on. Reservations and invoices already in OTASync stay there; moving that history is a separate job.
  • One booking, several runs

Because each trigger covers created, updated and cancelled items, the same reservation can start the Zap several times and cost a task on each completed run.
  • Channel imports get held back

If a large batch of reservations arrives at once, after a bulk import or a migration, Zapier's flood protection can hold it back instead of running each one.

FAQ

OTASync Zapier integration: frequent questions

01Is the OTASync Zapier integration free?
Yes. OTASync is not one of the apps Zapier reserves for paid plans, so it works on the free plan. That plan gives 100 tasks a month and builds two-step Zaps: one OTASync trigger, one action in another app. A Zap that posts every reservation change to a chat channel fits. Add a filter, for example to keep only cancellations, and the Zap becomes multi-step, which needs a paid plan. No price is quoted on this page, since plan grids change often.
02How many tasks does an OTASync Zap use?
One task per action that completes successfully in the other app. The OTASync trigger itself never costs a task, and an action that fails is not counted. The detail that matters here: each trigger fires on creation, update and cancellation, so one reservation edited twice and then cancelled can start the Zap four times. With one action, that is up to four tasks for a single booking. A filter can cut that down, but it needs a paid plan.
03Is OTASync on Zapier real time?
Yes. Both OTASync triggers are instant: your property system tells Zapier the moment a reservation or an invoice is created, changed or cancelled, and the Zap starts right away. The plan interval grid, every 15 minutes on Free, applies only to polling triggers, so it does not slow these down, even on the free plan. In the editor, a Zap built on an instant trigger shows a lightning bolt, and you will see it on both.
04What does it take to connect OTASync to Zapier?
An OTASync account, a Zapier account, and read access to the reservations and invoices the Zap should see. From the Apps page of Zapier, click + Add connection, pick OTASync, sign in to OTASync in the tab that opens and grant access. The connection is then reused by both triggers. You also need the other app connected, since OTASync has no action and every Zap ends somewhere else. If the property belongs to an owner, ask for access first.
05Why does an OTASync Zap run for cancelled bookings?
Because the reservation trigger is built that way: New, Updated, or Cancelled Reservation fires for all three kinds of change, and the invoice trigger behaves the same way. Zapier has no separate trigger for new bookings only. To act on one kind, add a filter after the trigger and set its rule on the value that tells them apart in your test data. A filter makes the Zap multi-step, so that version needs a paid plan.
06What if the OTASync operation you need is missing?
Then the OTASync app on Zapier cannot do it as it stands. The integration exposes 2 operations, both triggers: one for reservations and one for invoices. There is no action, so no Zap can create or change anything in OTASync, and no search to look up a guest or a booking. If your workflow needs to write into OTASync, it has to happen in OTASync itself or through another route. Check this short list before you design the workflow.
07Zapier, Make or n8n for OTASync?
It comes down to criteria, not to a winner. On Zapier, the facts are on this page: two instant triggers, no action, no search, and a free plan that fits a two-step Zap. If your need is to push reservation or invoice changes to another tool right away, Zapier covers it on the free plan. If you need to separate new from cancelled items, budget for a paid plan to add a filter. Then compare those needs with what the other tools offer for OTASync.
