What the Othership Zapier integration is for
Othership is where a team that splits its week between home and office books desks and rooms, checks in, and gathers people into groups and events. The Zapier integration lets other apps act in Othership on your behalf. It works in one direction only: nothing in Othership can start a Zap, so the starting point is always another app.
Three results office managers usually build first. Onboarding that sends itself: a new employee in your HR tool gets Member Invite, then Invite to Group for their team, so day one starts with access already sorted. A reception desk that keeps up: a visitor registered through a form is checked in with Check in Visitor when the Zap runs, with no retyping at the front desk. Rooms that match the calendar: a meeting scheduled elsewhere books the matching room with Book Meeting Room.
What Zapier does not do here. There is no Othership trigger, so a booking or a check-in made in Othership cannot alert anyone through Zapier. There is no search either, so a Zap cannot check whether a desk is free before booking it. And nothing cancels or edits a booking: changes happen in Othership itself. Most actions also ask for many required boxes (organization, building, floor and so on), so plan where each value comes from.

Zapier vocabulary in one minute
Seven words come back on every line of this page. Here they are in plain English.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. With Othership, the trigger always comes from another app, such as your HR tool.
- Action
- What the Zap does once started: the step that writes, sends or books something for you. All 7 Othership operations are actions.
- Task
- The unit Zapier bills. One task equals one action your Zap completes successfully; your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by its app the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming item meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What an Othership Zap really costs
Othership is not reserved for paid plans: it works on the free one. You pay in tasks, and the trigger in the other app costs nothing.
- Trigger (other app)Free, never counted
- Successful Othership action1 task
- Free plan100 tasks a month, two steps per Zap
- Othership accessFree plan included
Each Othership action that succeeds is one task; a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps only: one trigger, one action. A new hire who gets a Member Invite fits. Chaining Member Invite and Invite to Group, or adding a filter, makes the Zap multi-step and needs a paid plan, and that chain uses two tasks per person. Speed depends on the other app's trigger: the interval grid applies when it is a polling one.
Connect your Othership account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your Othership account linked once, then reused by every step that writes into Othership.
- 02
Find Othership
Type Othership in the search box of the dialog, select it and click Add connection. You need an existing Othership account first; Zapier does not create one for you.
- 03
Sign in and grant access
Sign in to Othership in the tab that opens and let Zapier use the account. The account needs write rights on the organization, buildings, groups and events the Zap should act on.
Your first Othership Zap, step by step
GoalWhen a new employee is added in your HR tool, invite them to your Othership organization, then add them to their team's group.
- 01
Build: pick the trigger
Create a Zap and start it with your HR tool and its new employee event. Othership has no trigger of its own, so the Zap always starts in another app.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent employees of the connected HR account, so you map the next steps on a real person.
- 03
Add Member Invite
Pick Othership and Member Invite, select your connection, choose the Organization and map the employee's email into the Email box.
- 04
Add Invite to Group
Add Invite to Group, choose the Organization and the Group, and map the same email. A second action makes the Zap multi-step: paid plan required.
- 05
Test, then publish
Test each step once and check the invites in Othership. When both look right, publish the Zap to switch it on for the next hires.
The 7 Othership actions
Othership gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Book Desk
ActionIn Zapier“Books a desk for a user”
Reserves a specific desk for a user over a time slot you define with a start and an end. The organization, building, floor and desk are all chosen in the step.
Book Meeting Room
ActionIn Zapier“This actions books a meeting room in Othership Workplace Scheduler”
Reserves a meeting room with a name, a start, an end and a list of attendees. It is the heaviest Othership action in required boxes, privacy setting included.
Desk Check In
ActionIn Zapier“This actions checks in a desk for a user”
Marks someone as present at a building of your organization on a given day, with the date as the only other value to supply. It records presence rather than a reservation.
Invite to Event
ActionIn Zapier“Can be triggered to invite someone to an event”
Invites one or more email addresses to an event already planned in Othership, such as an all-hands day or a team lunch at the office.
Invite to Group
ActionIn Zapier“Invites a member to a group in Othership Workplace Scheduler”
Adds people to an existing Othership group by email. Pick the group once in the step, and every new person sent by the trigger lands in it.
Member Invite
ActionIn Zapier“Invites a member to the organization in othership workplace scheduler”
Sends an invitation to join your Othership organization to one email address. It is the entry point for every other action involving that person.
Check in Visitor
ActionIn Zapier“This actions checks in a visitor”
Registers the arrival of a guest at one building of your organization, identified by their email address, so the visit is logged in Othership rather than on paper.
When an Othership Zap breaks
Zapier publishes no Othership-specific limit or error message, so the traps below are the general ones. They weigh more here because the trigger lives in another app.
Read them before you publish. If a run still fails, the Zapier troubleshooting page is the next stop.
Past hires are not invited
A Zap only reacts to what happens after you switch it on. People already in your HR tool stay out of Othership; inviting them is a separate job.Bulk imports get held back
If your HR tool imports a whole team at once, the trigger returns a huge batch, and Zapier's flood protection can hold it back instead of inviting each person. No double invites on polling
When the trigger of the other app is a polling one, Zapier remembers what it has already seen, so the same employee is not invited twice by that Zap.
