Overview

What the Outreach Zapier integration does for your sales team

It connects Outreach, the sales platform built to help teams create and close more pipeline, to Zapier. Most of what happens in Outreach, a prospect, an account, a call, an opportunity, a task, can start a Zap, and a Zap can create prospects and enrol them in a sequence.

Three results teams build. A sequence that starts itself: New Prospect fires as a prospect is created, and Add Prospect to Sequence enrols them in the right cadence without a rep doing it by hand. A pipeline mirror: New Opportunity and Updated Opportunity push every deal change to the rest of your tools the moment it happens. A call log that travels: New Call tells another tool that a rep has just logged a call, so managers and other teams see it.

On speed, ten triggers out of eleven are instant: Outreach tells Zapier right away, whatever your plan. The exception is Completed Sequence Task, which Zapier checks on a timer, every 15 minutes on the free plan.

What Zapier does not do with Outreach: no action to update or delete a prospect, nothing for accounts, opportunities or calls on the writing side, and the only search finds a sequence. Everything else stays in Outreach, or goes through API Request (Beta). Triggers never cost a task, and neither do Zapier's checks on Completed Sequence Task. Each action that succeeds, a prospect created, a prospect enrolled, counts one task; a failed one counts nothing. The free plan gives 100 tasks a month and two-step Zaps only. Add a filter on the prospect, a Find Sequence search or a second action, and the Zap becomes multi-step, which needs a paid plan. The grid below only applies to Completed Sequence Task.

    Open your connections

    In your Zapier account, open the Apps page and click + Add connection. You need an Outreach account first, with access to the prospects, sequences and mailboxes the Zap will use.

    Pick Outreach

    Search for Outreach in the dialog, select it in the list, then click Add connection. A new browser tab opens so you can sign in on the Outreach side.

    Sign in and allow access

    Log in to Outreach in that tab and grant Zapier access to the account. Back in Zapier, the connection appears in your list, and every Outreach step in any Zap can reuse it.

First Zap

Your first Zap: enrol qualified prospects automatically

    Start on New Prospect

    Create a Zap, choose Outreach as the trigger app and New Prospect as the event, then select the Outreach connection you created.

    Test on a real prospect

    Test the trigger. Zapier brings back the three most recent items of the account, so you map the next steps on a real prospect, not a placeholder.

    Add the qualification filter

    Click the plus icon, choose Filter, then set the field, the rule and the value. Use a text rule on text and a number rule on numbers.

    Enrol the prospect

    Add Add Prospect to Sequence, fill its three required fields, Sequence ID, Prospect ID and Mailbox ID. Read what the trigger test brought back to find the value for Prospect ID.

API Request (Beta)

Action

An advanced way out when no action fits: it sends a raw request to Outreach through your existing connection, without handling keys yourself.

When to use it
someone technical on the team needs an Outreach feature that none of the regular actions covers.
Watch out
requests only reach Outreach's own domains, and Stop on error, HTTP Method and URL are required.

The Outreach search

1 search step looks for data that already exists in Outreach, so a later step can use it.

A search step looks up something that already exists, here a sequence, and hands it to the next steps. Searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not what you expected.

Find Sequence

Search

In Zapier“Finds a sequence by name or ID.”

Finds a sequence by its name or its ID, and passes it on, typically to Add Prospect to Sequence, which needs that ID.

When to use it
the sequence to use depends on a value from the trigger, such as a region in the sequence name.
Watch out
if more than one sequence matches, the multiple-results setting decides what goes on, so set it before you publish.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Outreach offers no such variant for Find Sequence on Zapier, so the search never creates a sequence.
  3. If multiple search results are found?
    Three ways out when several sequences match: keep the first one, the default, stop the Zap, or hand all of them on at once.
When it breaks

When the Outreach Zap breaks

Zapier attaches no help article to Outreach, and no limit specific to the app is on record. What breaks follows the rules every Zap lives by, with a few Outreach twists.

Four cases to check before you publish. Each one follows from a rule in Zapier's own help, applied to Outreach records.

  • Prospects from before are skipped

    A Zap only reacts to what happens after it goes live. Prospects, accounts or calls created earlier never reach it, and moving that backlog is a separate job.
  • The Zap that feeds itself

    A Zap that writes where its own trigger watches sets itself off again and again. Create Prospect inside a New Prospect Zap is the textbook case, and it drains your tasks.
  • A big import held back

    When a trigger suddenly returns a huge batch, after a bulk prospect import or a migration, Zapier's flood protection can hold it back instead of running it.
  • The same sequence task twice

    It does not happen: on Completed Sequence Task, the polling trigger, Zapier keeps track of what it has already seen, so one completed task starts the Zap once.

FAQ

Outreach Zapier integration: common questions

01Is the Outreach Zapier integration free?
On the Zapier side, yes: Outreach is not a premium app, so it works from the free plan. That plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap, one trigger and one action. New Prospect followed by Add Prospect to Sequence fits. A qualification filter, a Find Sequence search or a second action makes the Zap multi-step, which needs a paid plan. Each successful action then counts one task against the 100.
02How many tasks does an Outreach Zap use?
One per action that succeeds. None of the eleven triggers costs anything, and neither do Zapier's checks on Completed Sequence Task. A Zap with two actions uses twice as many tasks as a one-action Zap, since each successful action counts on its own. A failed action is not counted. Updated triggers are where counts climb: every edit starts the Zap, so a filter right after the trigger is the cheapest guard.
03Is the Outreach Zapier integration real time?
For ten triggers out of eleven, yes. New and Updated Account, Call, Opportunity, Prospect and Task are instant: Outreach tells Zapier the moment it happens and the Zap starts right away, whatever your plan. Completed Sequence Task is the exception, a polling trigger that Zapier checks every 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. The type is set by the app and cannot be changed.
04What do you need to connect Outreach to Zapier?
An Outreach account with access to what the Zap will touch. In Zapier, open the Apps page, click + Add connection, pick Outreach, click Add connection, then sign in to Outreach in the tab that opens and grant access. Before you build, check the mailbox: Add Prospect to Sequence requires a Sequence ID, a Prospect ID and a Mailbox ID. A user without a mailbox or without access to the sequence cannot enrol anyone.
05Why does an Updated trigger fire so often?
Because it reacts to every edit, not just the one you care about. Updated Prospect, Updated Account, Updated Opportunity, Updated Call and Updated Task all start the Zap each time the record changes. One prospect edited several times means several runs. Each run that reaches a successful action costs a task. Add a filter right after the trigger so only the change that matters to you goes on to the paid steps.
06What if the Outreach operation you need is not there?
On Zapier, Outreach writes in only two ways: Create Prospect and Add Prospect to Sequence, plus Find Sequence to look one up. Updating an opportunity, an account or a call is not offered as a regular action. API Request (Beta) can reach other Outreach features through your connection, but it suits someone at ease with technical settings. Otherwise, compare with the same app on another platform: the Outreach Make page on this site lists what Make exposes.
07Zapier, Make or n8n for Outreach?
Compare by criterion, not by ranking. On Zapier, ten of the eleven Outreach triggers are instant on every plan, which suits teams that react to events as they happen.
