Overview

What the Palaccio Zapier integration does for a real estate agent

Palaccio is a lead generation platform for real estate agents: it captures prospects and helps turn them into clients. The Zapier integration takes each new lead out of Palaccio and hands it to the other tools where you follow up, so a buyer or a seller is not left waiting in one more inbox.

Every lead in your CRM. New Lead starts the Zap and a CRM action in the next step creates the contact, so your pipeline holds every prospect without anyone copying names across.

An alert for the agent on duty. The same trigger can post to a team chat or send an email, which gives whoever is on call the lead while it is still fresh.

A record of where leads come from. A spreadsheet row per lead builds a simple log you can sort and count each month, outside Palaccio.

Because New Lead is an instant trigger, all of this happens right away on any plan, free included. On the free plan, though, each Zap holds New Lead plus one action, so pick the destination that matters most and add the others once you move to a paid plan.

What Zapier does not do here: there is no Palaccio action and no search, so a Zap cannot create, update or look up anything inside Palaccio. Data only flows out. To compare other automation tools, see n8n vs Zapier and Make vs Zapier.

Vocabulary

Zapier words, in plain English

Eight terms come back throughout this page. Here they are in one line each, before you open the editor.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new lead captured by Palaccio.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, in another app here.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only what it has not seen.
Instant trigger
A trigger the app reports itself. It calls Zapier the moment the event happens, so nothing waits for the next check.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What it really costs in tasks

Zapier bills tasks, and only actions that succeed count. New Lead itself costs nothing, however many leads Palaccio captures in a month.

  • New Lead firing0 tasks
  • Each action in another app that succeeds1 task
  • Free plan100 tasks a month, two-step Zaps
  • Palaccio accessWorks on the free plan

Since Palaccio has no action, every task comes from the steps you add in other apps: one per successful action, none for a failed one. The free plan gives 100 tasks a month and Zaps of two steps only, one trigger and one action. Add a filter or a second action and the Zap needs a paid plan. Palaccio itself works on the free plan. The interval grid below does not touch it, since New Lead is instant.

Connect

Connect your Palaccio account

  1. 01

    Open Apps in Zapier

In your Zapier account, open the Apps page and click + Add connection. A connection is your Palaccio account linked once, then reused by every Zap that starts from it.

  2. 02

    Pick Palaccio

Type Palaccio in the search box of the dialog, select it, then click Add connection. The one prerequisite is an existing Palaccio account you can sign in to.

  3. 03

    Sign in and grant access

Sign in to Palaccio in the tab that opens, then grant Zapier access to the account. If the leads you want belong to someone else's account, the connected account also needs read access on them.

First Zap

Your first Zap: alert the agent about qualified leads

GoalPost a message for the agent on duty each time Palaccio captures a lead that meets your condition.

  1. 01

    Pick the trigger

Choose Palaccio as the app that starts the Zap, then New Lead as the event, and select the Palaccio connection you added a moment ago.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent leads of the account, so the next steps are mapped on a real prospect.

  3. 03

    Add a filter

Click the plus icon, choose Filter, then fill the three boxes: the field to check, the rule and the value. Text rules for text, number rules for numbers.

  4. 04

    Add the message

Pick your team chat as the action app, choose the event that posts a message, and map the lead details into the text so the agent can call back.

  5. 05

    Test, then publish

Test each step once and read what came back, then click Publish. The filter makes this a multi-step Zap, so it runs on a paid plan.

Triggers

Palaccio trigger

1 event starts a Zap when something happens in Palaccio, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Lead

Instant trigger

In Zapier“Triggers when a New Lead is captured.”

Starts your Zap every time Palaccio captures a new prospect, and carries that lead to the steps that follow so they can file it, share it or answer it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a buyer or seller enquiry should reach your CRM, your phone or the agent on call without anyone checking Palaccio first.
Watch out
it is the only Palaccio operation on Zapier. Everything after it has to happen in other apps, since nothing writes back into Palaccio.
When it breaks

When a Palaccio Zap breaks

Zapier's help center lists no error specific to Palaccio. The trouble comes from how every Zap behaves, and four cases are worth knowing before you switch one on.

Each card names the symptom and what to do. If a Zap still misbehaves after that, the Zapier troubleshooting page is the next stop.

  • Old leads never come through

A Zap only reacts to what happens after it is switched on. Leads captured earlier stay in Palaccio, so moving that backlog is a separate job.
  • A big campaign can be held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration for instance, Zapier's flood protection may hold it back rather than run every lead.
  • The filter stops the free plan

A Zap with a filter or a second action is multi-step and needs a paid plan. On the free plan, keep New Lead plus one single action.
  • A failed action loses the lead

If the CRM or chat step fails, it is not counted against your plan, but that lead does not arrive there either. Test the action on a real lead before publishing.

FAQ

Palaccio and Zapier: common questions

01Is the Palaccio Zapier integration free?
Yes, it works on the free plan. Palaccio is not reserved for paid plans, so you can connect it and switch a Zap on without paying Zapier. The free plan sets two limits. You get 100 tasks a month, and each Zap holds two steps only: one trigger and one action. New Lead followed by one CRM action fits. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Plan prices change often, so none are quoted here.
02How many tasks does a Palaccio Zap use?
One task per action that succeeds, and those actions all live in other apps. New Lead never costs a task, however many leads arrive. A Zap that sends each lead to a CRM uses one task per lead; a step that fails is not counted. Add a second action, an alert in a team chat for instance, and each successful action counts on its own, so that Zap uses two tasks per lead. On the free plan, 100 tasks cover 100 leads with one action.
03Does Palaccio work with Zapier in real time?
Yes. New Lead is an instant trigger: Palaccio reports each new lead to Zapier itself, so the Zap starts right away rather than waiting for a timed check. That holds on any plan, free included. Polling triggers in other apps behave differently, since the free plan only checks them every 15 minutes. The trigger type is set by the app and cannot be changed from the editor. A Zap built on an instant trigger shows a lightning bolt there.
04What does connecting the account require?
A Palaccio account and a Zapier account. You open Apps in Zapier, click + Add connection, search for Palaccio and pick it, then sign in to the app in the tab that opens and grant access. If the leads you want sit in an account someone else owns, the connected account needs read access on them. The connection is then reused by every Zap that starts from Palaccio, so you set it up once and reuse it.
05Can a Zap send data back into Palaccio?
No. The integration has a single operation, the New Lead trigger, and no action or search. A Zap can take leads out of Palaccio and do anything other apps allow with them, but it cannot create a lead, update a prospect or look anything up inside Palaccio. If a lead's status changes in your CRM, Palaccio will not hear about it through Zapier. Any update on the Palaccio side stays a manual step.
06What if the operation you need is not there?
Then this integration cannot do it, since New Lead is its only operation. Anything that must happen inside Palaccio, such as editing a lead or adding one from elsewhere, stays a manual step. What you can do is build everything downstream of New Lead: create the contact in a CRM, notify the agent, log the lead in a spreadsheet, or chain several of these on a paid plan. Each of those steps is an action in another app, billed as one task when it succeeds.
07Zapier, Make or n8n for Palaccio?
It depends on your needs, not on a winner. Zapier fits if sending each new lead out of Palaccio covers the job, and the instant trigger keeps response times short even on the free plan. If your workflow needs more than one action per lead, budget for a paid plan and count the tasks your monthly volume of leads will use. If you need to write back into Palaccio, this integration cannot, so check what other tools offer before choosing.
