What the Paperless Parts Zapier integration actually does
Paperless Parts is estimating and quoting software built for manufacturing shops. Linking it to Zapier means two things: a quote that goes out or an order that comes in can start an automation, and that automation can write customer accounts, contacts and purchased components back into Paperless Parts for you.
Three results people set this up for. A clean contact list: Create or Update Contact uses the email as its key, so a buyer who already exists gets updated instead of duplicated. An order hand-off: Order Created starts the run, and Get Order Details fetches the full order so the next step has something to work with. A synced parts catalog: Create or Update Purchased Component keeps prices of bought-in parts aligned, keyed on the OEM part number.
Now what Zapier does not do here. Neither trigger is instant: Zapier checks Paperless Parts on a timer, so nothing lands the second it happens. There is no delete action and no way to touch an order or a quote from a Zap, only to read them. And a Zap never goes back in time, so orders created before you switch it on stay where they are. Moving that backlog is a separate job.
Still weighing the tool itself? The Zapier review and n8n vs Zapier pages are there for that.
Zapier vocabulary, in plain words
Seven words you will meet in the editor. Each one is explained once here, then used as is on the rest of the page.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Here, a new order or a sent quote in Paperless Parts. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or updates something for you, such as a contact in Paperless Parts.
- Task
- The unit Zapier bills. One task is one action your Zap completed successfully, and your plan gives you a number of them.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it fires. Both Paperless Parts triggers poll.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and stops it quietly otherwise.
- Search step
- A step that looks up something already in an app, an order or a quote here, so the following steps can reuse what it found.
What a Paperless Parts Zap really costs
Zapier bills tasks, and only actions make tasks. The two Paperless Parts triggers cost nothing, however often Zapier checks for new orders or sent quotes.
- Tasks on the free plan100 per month
- Steps on the free plan2 (one trigger, one action)
- Reserved for paid plansNo, works on the free plan
- Trigger cost0 tasks
Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses, and a failed action is not counted. Paperless Parts is open to the free plan: 100 tasks a month and a check every 15 minutes. The catch is the shape of the Zap. The free plan stops at two steps, one trigger and one action. Add a filter, a second action or a search such as Get Order Details, and the Zap becomes multi-step, which needs a paid plan.
Connect your Paperless Parts account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your Paperless Parts account linked once, then reused by every step that needs it. You will need an existing Paperless Parts account.
- 02
Find Paperless Parts
Type Paperless Parts in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens on the Paperless Parts sign-in.
- 03
Sign in and grant access
Log in with your Paperless Parts credentials and allow Zapier to reach the account. If the Zap must touch records you do not own yourself, make sure your user has read or write rights on them first.
Your first Zap: from new order to customer account
GoalEach new order in Paperless Parts refreshes the customer account it belongs to.
- 01
Build: pick the trigger
Create a Zap, choose Paperless Parts as the app and Order Created as the event, select your connection, then fill the Unique Zap UUID field with a freshly generated value.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent orders of the connected account, so you pick a real one to build the rest of the Zap on.
- 03
Add the search
Add Get Order Details, choose the ID type, and map the order number coming from the trigger. This search makes the Zap multi-step, so it needs a paid plan.
- 04
Add the action
Add Create or Update Account. Map the account name and type from what the search found, both are required, and set Tax Exempt only if it matters for you.
- 05
Test, then publish
Test each step once and read what came back. When the account shows up as expected in Paperless Parts, publish the Zap to switch it on.
Paperless Parts triggers
2 events start a Zap when something happens in Paperless Parts. Zapier checks for them at the interval your plan allows.
Order Created
Polling triggerIn Zapier“Triggers when a new order is created.”
Starts your Zap each time a new order appears in Paperless Parts, which makes it the natural entry point for anything that happens after a customer says yes: production planning, an invoice draft, a heads-up to the shop floor.
Quote Sent
Polling triggerIn Zapier“Triggers when a quote is sent from Paperless Parts.”
Kicks off a Zap when an estimator sends a quote out of Paperless Parts. It catches the moment a price leaves the building, before any answer comes back, which is when sales follow-up usually starts.
Paperless Parts actions
Paperless Parts gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create or Update Account
ActionIn Zapier“Creates or Updates an Account”
Writes a customer account into Paperless Parts, or refreshes it if it is already there. You give it the account name and the type, both required, plus the tax-exempt flag if needed.
Create or Update Contact
ActionIn Zapier“Creates or Updates a Contact with the same logic as Purchased Components. Emails are used as a unique identifier.”
Adds a person to Paperless Parts or updates the one already on file. The email works as the unique key, so the same buyer never shows up twice.
Create or Update Purchased Component
ActionIn Zapier“Creates a Purchased Component given the OEM Part No and other fields. If the given OEM Part No already exists, then that existing Purchased Component is updated with the specified fields. Note: If you wish to update a Purchased Component's OEM Part Number, you should use the Update Purchased Component (by ID) action instead.”
Keeps bought-in parts current. You pass the OEM part number and the piece price; if that part number already exists, the component is updated instead of duplicated.
Paperless Parts searches
2 search steps look for data that already exists in Paperless Parts, so a later step can use it.
Searches sit at the bottom of the action list in the editor, under SEARCH. Paperless Parts offers two, both read-only, and no find-or-create variant. Three settings decide what happens when the lookup does not go as planned.
Get Order Details
SearchIn Zapier“Gets details about an order given the order number”
Fetches a full order from its order number, so a later step can use what the trigger alone did not bring. You tell it which kind of ID you are giving it.
Get Quote Details
SearchIn Zapier“Get details about a quote”
Pulls up a quote and returns what Paperless Parts holds about it. The ID Type field is required, so pick the identifier your previous step actually carries.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the steps relying on it are skipped. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet? This box turns a search into a find-or-create. Neither Paperless Parts search offers it, so you will not see it on these two steps.
- If multiple search results are found?Three ways out when several items match: keep the first one (the default), stop the Zap, or pass every match on at once.
When a Paperless Parts Zap breaks
Zapier links no help article to Paperless Parts, so the traps below are the general ones, the ones that hit this app as much as any other.
Most surprises come from what a Zap does not see rather than from an error message. If a run fails, the Zapier troubleshooting page is a sensible next stop.
Old orders are never picked up
A Zap only reacts to what happens after you switch it on. Orders and quotes that already existed stay out of it; moving that backlog is a separate job.A Zap that feeds itself
If a Zap writes into the very place its own trigger watches, it sets itself off again and again and burns through your task count fast.A bulk import gets held back
When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the run back instead of firing on everything. No duplicate runs
On a polling trigger Zapier remembers what it has already seen, so the same order or quote never starts the Zap twice.
