What the Infinity Zapier integration can do for your boards
Infinity is a project management tool where you shape boards, folders and items to fit how you work. The integration connects it to Zapier: something that happens in a board can start an automation, and five actions write back into Infinity, from a new item to an uploaded file.
Three outcomes are worth building first. Work that files itself: Create a New Item drops a card into the right workspace, board and folder from whatever started the Zap. A board that stays current: Update an Existing Item edits a card you already have, based on its ID. A trail on every card: Create a New Comment writes a note on an item, and File Upload sends a file from a URL into a workspace.
Speed depends on the trigger. Item Created, Item Updated and Comment Created are instant. New Board, New Folder and New Member are polled, so on the free plan they can lag by up to 15 minutes. Build on an instant one whenever the timing matters to the team.
What Zapier does not do here: no action deletes or moves an item, and no trigger watches files. Most actions and searches want a workspace, usually a board, and often a folder picked by hand. Before you commit, read our Zapier review; the Infinity Make integration covers the same app on Make.
Zapier terms you will meet on this page
A handful of Zapier words, each explained once. After that, the page uses them as is.
- Zap
- An automation built in Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event that starts a Zap, like a new item on a board. Once the Zap is switched on, Zapier waits for it.
- Action
- The step that does the work after the trigger: it creates, updates or uploads something in an app for you.
- Task
- What Zapier bills: one action that completes successfully. Your plan's limit is a number of tasks.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. Nothing waits for a timer, whatever your plan.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items. How often depends on your plan.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
- Search step
- A step that finds something that already exists, so later steps can reuse what it found, such as a board or a member.
What an Infinity Zap costs you
Infinity is not a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks a month and unlimited Zaps, capped at two steps each.
- TriggerFree, never counted
- Each successful action1 task
- Free plan100 tasks a month, 2 steps per Zap
- Premium appNo
The trigger is free, and Zapier checking your boards costs nothing however often it looks. Each action that succeeds is one task: create an item and comment on it, and that run costs two. A failed action is not counted. Add a filter or a search, and the Zap turns multi-step, which needs a paid plan. For the three polling triggers, the check interval depends on your plan, as the grid below shows; the three instant ones ignore it.
Connect Infinity to Zapier in three steps
- 01
Go to your connections
In Zapier, open Apps and click + Add connection. A connection is your Infinity account linked once to Zapier, then reused by every step that works with Infinity.
- 02
Find Infinity
Search for Infinity by name in the dialog, select it, and click Add connection. This starts the sign-in, which you finish in the next step, in the new tab.
- 03
Sign in and grant access
Log in to Infinity in the tab that opens and allow Zapier in. You need an account on Infinity, plus read or write access on any workspace or board you do not own and want the Zap to touch.
Your first Zap: comment on items that change
GoalWhen an item is updated and matches your rule, Infinity gets a comment on that item, so the team sees what moved.
- 01
Build: pick the trigger
Create a Zap, choose Infinity and the
Item Updatedevent, then select your connection. It is instant, so the Zap reacts straight away. - 02
Test the trigger
Run the test. Zapier brings back the three most recent items from your account. Pick a real one: its values are what you will map below.
- 03
Add a filter
Click the plus icon and choose Filter. Set the field to look at, the rule and the value. Match the rule type to the data, text for text and numbers for numbers.
- 04
Add the comment
Add Infinity with
Create a New Comment. Pick the workspace and board, map the item from the trigger, and write the comment text, all four required. - 05
Test, then Publish
Test the action and check the comment on the card. Then click Publish to switch it on. With a filter, this Zap needs a paid plan.
Infinity triggers
6 events start a Zap when something happens in Infinity, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
New Board
Polling triggerIn Zapier“Triggers when a new Board is created or you are added to a board.”
Picks up a board as soon as it is created, and also when someone adds you to an existing one. Zapier highlights it on the app page.
Comment Created
Instant triggerIn Zapier“Triggers when a new comment is created.”
Runs each time someone writes a comment on an item. Conversations inside cards become events you can act on, rather than notes nobody reads.
Create a New Comment on the same board will set itself off again.New Folder
Polling triggerIn Zapier“Triggers when a new Folder is created.”
Fires when a folder appears inside a board. Folders often mark a new project phase or a new client, which makes this a clean signal for setup work.
Item Created
Instant triggerIn Zapier“Triggers when a new item is created.”
Starts the Zap the instant a new item lands on a board. Items are the cards of Infinity, so this event follows the actual work, not the structure around it.
Item Updated
Instant triggerIn Zapier“Triggers when an item is being updated.”
Reacts while an item is being changed on a board. It is the one to follow progress rather than arrivals.
Update an Existing Item on the same board and every edit fires the Zap again; add a filter.New Member
Polling triggerIn Zapier“Triggers when a new Member is created”
Notices a member newly created in your workspace. Use it as the cue for everything that should happen when a person joins the team on Infinity.
Infinity actions
Infinity gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
File Upload
ActionIn Zapier“Uploads a file from URL or file upload to the workspace given.”
Sends a file into a workspace, either from a URL or from a file an earlier step passed along. Handy when documents arrive elsewhere.
Create a New Comment
ActionIn Zapier“Creates a new comment on a specific item.”
Writes a comment on a specific item, so the card carries what happened outside Infinity. Zapier highlights it.
Create a New Item
ActionIn Zapier“Creates a new item in a specific workspace, board and folder.”
Adds a card to a board, placed in the workspace, board and folder you choose. Zapier highlights this action, and it is how outside events become work in Infinity.
Create a New Folder
ActionIn Zapier“Creates a new folder in a specific workspace, board, and optionally as a child of another folder.”
Opens a folder in a board, optionally nested under another folder. Good for building the same structure each time a project starts.
Update an Existing Item
ActionIn Zapier“Updates an existing item in a specific workspace, board and folder, based on the item ID.”
Changes a card you already have, found by its ID within its workspace, board and folder. Nothing new is created.
Find an Item first.Infinity searches
4 search steps look for data that already exists in Infinity, so a later step can use it.
A search step looks up something already in Infinity and passes it on. You will find the four searches at the bottom of the action-event list, under SEARCH. Each one adds a step, so the Zap becomes multi-step. Three settings shape what happens when the result is not clean.
Find a Board
SearchIn Zapier“Find a board in one of your workspaces”
Looks for a board across one of your workspaces and hands it to the next steps. Only the workspace is required.
Find a Folder
SearchIn Zapier“Find a folder in one of your boards”
Finds a folder inside a board, so a later step can file something in the right place. It needs the workspace and the board.
Create a New Item, to pick the folder on the fly.Find an Item
SearchIn Zapier“Find an item in one of your boards or their folders”
Tracks down a card in a board or in its folders and returns it, ID included, for the steps after. Workspace, board and folder are all required.
Update an Existing Item.Find a Member
SearchIn Zapier“Find a member of one of your workspaces”
Pulls a member of a workspace from their name, or just part of it. Both the workspace and the name are required.
The three settings every search exposes
- Successful if no search results are found?By default, a search that finds nothing stops the Zap and skips the steps that relied on it. Turn it on and the Zap goes on without the result.
- Create X if it doesn't exist yet? This box turns a search into find-or-create. Infinity offers no such variant, so it does not appear on these four searches.
- If multiple search results are found?Keep the first match (the default), stop the Zap, or pass every match on together.
When an Infinity Zap breaks
Zapier links no help article to Infinity and records no limit of its own for it. The failures below are the general ones, as they show up on boards.
Know these four before you publish. When one bites, our Zapier troubleshooting page is the place to start.
A board that triggers itself
A Zap that creates or updates items on the board its own trigger watches sets itself off again and again, and burns through your task count fast.Your existing items never arrive
A Zap only reacts to what happens after you publish it. Items, folders and boards that already existed stay out; moving them is a separate job.A big import held back
Bringing in a whole project at once can return a huge batch on a trigger. Zapier's flood protection may hold those runs instead of firing them all.New boards show up late
New Board, New Folder and New Member are polled. On the free plan Zapier checks every 15 minutes, so a short wait is normal, not a fault.
