What the Ooma Office Zapier integration is for
The Ooma Office Zapier integration connects your Ooma Office phone system (calls, texts and a shared contact book) to the rest of your tools. On one side, ten triggers report what happens on the line: calls starting, ending, being missed or recorded, and texts sent, received or failed. On the other, two actions write back into Ooma Office: add a contact, send an SMS.
Three results teams build first. A missed-call callback text: New Missed Call starts the Zap and Send SMS tells the caller someone will ring back. A call log in a spreadsheet or CRM: Call Ended adds a line for every finished conversation, so sales managers see activity without opening the phone console. A failed-text alert: New Failed SMS posts a message to the team chat, so a lost appointment reminder does not go unnoticed.
All ten triggers are instant: Ooma Office tells Zapier itself, so the interval grid of your plan never slows these Zaps down, even on the Free plan. That is the best news on this page.
What Zapier does not do here: it has no search step for Ooma Office, so a Zap cannot look up an existing contact before writing, and Create Contact will happily add a second one. It cannot place a call, launch a conference or change a phone setting either. Those stay in Ooma Office. If you want help wiring this into a sales process, the Zapier agency page explains how the team works, and the Zapier training covers the editor itself.
Zapier in seven words
The page uses a handful of Zapier terms. Each one is explained here once.
- Zap
- An automation on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts a Zap, such as a missed call in Ooma Office. Once the Zap is on, Zapier waits for it.
- Action
- The step that does the work once the Zap runs, like sending a text or adding a contact in Ooma Office.
- Task
- What Zapier bills: one action completed successfully. Your plan sets how many you get per month.
- Instant vs polling
- An instant trigger is pushed by the app when the event occurs. A polling one is checked by Zapier on a timer. Ooma Office only has instant ones.
- Filter
- A step that lets the Zap go on only when the data meets a condition you set, for example calls to one line only.
- Multi-step Zap
- Any Zap with more than one trigger and one action. A second action or a filter makes it one, and it needs a paid plan.
What an Ooma Office Zap costs you
Ooma Office is not a premium app: Zapier lets you use it from the Free plan. You pay in tasks, and only for actions that work.
- Premium appNo, works on Free
- Free plan100 tasks a month, two-step Zaps
- Triggers10 instant, 0 task each
- Each successful action1 task
A call or a text that starts the Zap costs nothing. Each successful Create Contact or Send SMS costs one task, and a failed one costs none. The Free plan gives 100 tasks a month, but only two-step Zaps: one trigger, one action. The moment you add a filter (to react to one direction of call, say) or a second action, the Zap becomes multi-step and needs a paid plan. The polling grid below does not apply here, since every Ooma Office trigger is instant.
Connect Ooma Office to Zapier
- 01
Go to Apps
Open Apps in your Zapier account. A connection is your Ooma Office account linked once to Zapier, then reused by every Zap step that needs it. Have your Ooma Office login ready.
- 02
Find Ooma Office
Click + Add connection, search for Ooma Office in the dialog and select it. Then click Add connection to open the Ooma Office sign-in page in a new tab.
- 03
Sign in and allow access
Sign in to Ooma Office in that tab and grant Zapier access to the account. If some lines or contacts belong to a colleague, you also need access to them for the Zap to touch them.
Your first Ooma Office Zap: text back missed callers
GoalEvery missed call on the main line gets a text saying someone will call back.
- 01
Pick the trigger
Build the Zap: choose Ooma Office as the starting app and New Missed Call as the event, then select your Ooma Office connection.
- 02
Test it on a real call
Run the test. Zapier brings back the three most recent missed calls on the account, so you map the next steps on a real one.
- 03
Add a filter
From the plus icon, add Filter and set the field, the rule and the value so only calls to your main line go on. This step makes the Zap multi-step, so it needs a paid plan.
- 04
Add Send SMS
Add the Ooma Office action Send SMS. Pick your SMS-enabled number as sender, map the caller's number into the recipient field and write a short message.
- 05
Test and publish
Test the action with your own number first, since it sends a real text. Read what came back, then click Publish to switch the Zap on.
Ooma Office triggers
10 events start a Zap when something happens in Ooma Office, and 10 of them are instant: the app calls Zapier straight away, whatever your plan.
New Call
Instant triggerIn Zapier“Triggers when a new call occurs, such as a new incoming or outgoing call. Use filters to narrow by direction if needed.”
Starts your Zap whenever a call begins on the account, whether a customer is ringing in or a colleague is dialling out. It is the broadest call trigger, catching both directions in one place.
Call Ended
Instant triggerIn Zapier“Triggers when a call ends — typically after the caller or callee hangs up.”
Fires at the close of a conversation, typically when one side hangs up. Where New Call marks the start, this one marks the finish, which is the right moment to record that a conversation took place.
New Call Recording
Instant triggerIn Zapier“Triggers when a new call recording is created.”
Kicks off a Zap each time Ooma Office creates a recording of a call. Recordings are useful long after the call, for training or quality checks, and this trigger routes each one to wherever your team reviews them.
New Failed SMS
Instant triggerIn Zapier“Triggers when an SMS fails.”
Reacts to a text message that did not go through. Most teams only notice a failed reminder when the customer misses the appointment; this trigger brings the failure to light while there is still time to call instead.
New Incoming Call
Instant triggerIn Zapier“Triggers when a new incoming call occurs.”
Only inbound calls set this one off: a customer, a supplier or a prospect ringing your business line. Outgoing calls are ignored, which saves you a filter and keeps the Zap on the Free plan.
New Missed Call
Instant triggerIn Zapier“Triggers when there is a new missed call.”
Catches the calls nobody answered. For a small business, a missed call is often a lost lead, and this trigger is the cheapest way to make sure each one gets a reaction, even outside office hours.
New Outgoing Call
Instant triggerIn Zapier“Triggers when a new outgoing call occurs.”
Watches the other direction: calls your team places from Ooma Office. It gives managers a view of outbound activity, which is what sales follow-up and collections teams are usually measured on.
New Received SMS
Instant triggerIn Zapier“Triggers when a new SMS message is received.”
Runs each time a text arrives on one of your Ooma Office numbers. Customers often answer a reminder by text, and those replies get lost when they only land on one person's phone.
New Sent SMS
Instant triggerIn Zapier“Triggers when a new SMS message is sent.”
Fires on outbound texts, the ones your team or your own Zaps send from Ooma Office. It is how you keep a single history of what customers were told, wherever the message came from.
New SMS
Instant triggerIn Zapier“Triggers on all SMS events: sent, received, or failed.”
One trigger for every text event at once: sent, received and failed all start the Zap. It replaces the three dedicated SMS triggers above when you want a complete record in one place.
Ooma Office actions
Ooma Office gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Contact
ActionIn Zapier“Creates a new business contact”
Adds a business contact to Ooma Office from data collected elsewhere, so your shared contact book stays in step with your other tools. It asks for first name, last name, company, phone numbers and their types, all required.
Send SMS
ActionIn Zapier“Sends a new SMS message with text provided by you”
Sends a text from one of your Ooma Office numbers to one or more recipients, with a message of up to 2048 characters, emoji included. Recipient numbers go in E.164 format, and the plus sign can be left out.
When an Ooma Office Zap breaks
Zapier publishes no help article and no specific limit for Ooma Office. What breaks is what breaks on any Zap, with a twist: phone events come in fast and texts cannot be recalled.
These four cases cover what to check first. For anything else, the Zapier troubleshooting page goes further.
Past calls and texts are never picked up
A Zap only reacts to calls and texts that happen after you switch it on. Last month's missed calls will not be texted; that backlog is a separate job.A text Zap that triggers itself
Send SMS also starts New Sent SMS and New SMS. If a Zap on those triggers sends another text, it loops and burns tasks until you turn it off.A burst of events gets held back
When a trigger suddenly reports a huge batch, after a bulk import of contacts for instance, Zapier's flood protection can hold the Zap back.Duplicate contacts pile up
Create Contact never checks whether the person exists. A caller who reaches you twice can end up as two contacts if your Zap creates one per call.
