Overview

What the PDF Munk Zapier integration actually does

Connecting PDF Munk to Zapier lets another app send it a web address or some HTML, and get back a PDF file or an image without anyone opening PDF Munk. PDF Munk only answers here: it has no event of its own that can start an automation, so something else always goes first.

Three typical results. A printable copy of a page: Capture Website Screenshot Into PDF takes a URL and returns a PDF, with a paper size you pick and a landscape switch. A preview picture: Capture Website Screenshot Into Image grabs the same page as an image, and can take the whole page rather than the visible part. A document built from your own template: Convert HTML to PDF and Convert HTML to Image render HTML that an earlier step wrote, so a quote, a certificate or a badge comes out with the data of the moment.

What Zapier does not do for PDF Munk: it cannot start a Zap from PDF Munk, cannot look anything up in it, and cannot list the files it already made. Every Zap therefore starts in another app (a form, a sheet, a CRM) and PDF Munk sits in the middle. The file it returns still has to go somewhere, which usually means one more action and a paid plan.

If you compare platforms for this job, the PDF Munk Make integration covers the same app on Make, and Make vs Zapier puts the two tools side by side.

Vocabulary

Zapier words in one minute

Seven words come back on this page. Here is each one in plain terms, so the rest reads without a manual.

Zap
The automation you build on Zapier: one starting event, then one or more steps that run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. PDF Munk has none, so it comes from another app.
Action
What the Zap does once started: the step that writes, sends or produces something. All four PDF Munk operations are actions.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those, nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it then needs a paid plan.
Cost

What PDF Munk on Zapier really costs

The bill counts actions that work, not checks and not attempts. With PDF Munk, every file it renders is one of those.

  • Trigger0 tasks
  • Each PDF Munk action that succeeds1 task
  • Free plan100 tasks a month, two-step Zaps only
  • Premium appNo, it runs on the free plan

The trigger never costs a task, and Zapier looking for new data costs nothing either. Each PDF Munk action that succeeds counts once; one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: a trigger and one action. PDF Munk is not a premium app, so it works on that plan. The catch: a Zap that renders a PDF and then emails or stores it has two actions, which makes it multi-step and puts it on a paid plan. A filter does the same.

Connect

Connect PDF Munk to Zapier in three steps

  1. 01

    Open your connections

Go to the Apps page of your Zapier account and click + Add connection. A connection is your PDF Munk account linked to Zapier once, then reused by every step that calls PDF Munk.

  2. 02

    Pick PDF Munk

Type PDF Munk in the search box of the dialog and select it, then click Add connection. You need an existing PDF Munk account at this point: Zapier links an account, it does not create one.

  3. 03

    Sign in and allow access

Sign in to PDF Munk in the tab that opens and grant Zapier access to the account. The connection then shows in your list, ready to be picked in any Zap you build next.

First Zap

Your first PDF Munk Zap

GoalTurn each new row of a sheet into a PDF built from your own HTML, then send it on.

  1. 01

    Start with the trigger

Create a Zap and pick the app that starts it. PDF Munk has no trigger, so here a sheet row does the job, holding the HTML you want rendered.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent items of the connected account. Pick a real row, so the mapping that follows uses real content.

  3. 03

    Add Convert HTML to PDF

Add PDF Munk as the action, choose Convert HTML to PDF, and map the column that holds your HTML into the HTML Content field.

  4. 04

    Send the file on

Add the email step and attach the PDF that PDF Munk returned. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then publish

Test each step once and open the file before going further. Then click Publish to switch the Zap on. Only rows added after that point will be rendered.

Actions

The 4 PDF Munk actions

PDF Munk gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Capture Website Screenshot Into Image

Action

In Zapier“Capture Screenshot of a Website URL into an image”

Point it at a web address and it hands back a picture of that page, either the visible part or the full length if you tick the full-page option.

When to use it
a new link lands in your CRM and the team wants a thumbnail of the site next to the record.
Watch out
the Webpage URL field is required, and the step before must carry a complete address.
2

Convert HTML to Image

Action

In Zapier“Converts HTML/CSS content to a Image”

Your own markup and styling go in, an image comes out. Good for anything you design once as a template and fill with fresh values each time.

When to use it
a webinar sign-up should produce a personal badge picture with the attendee's name already printed on it.
3

Capture Website Screenshot Into PDF

Action

In Zapier“Converts a URL to a PDF file with customizable options”

This one prints a live page to a PDF file, with options for the paper size, landscape layout, header and footer, and the page background.

When to use it
legal or compliance wants a dated copy of a published page each time it is flagged in a tracker.
Watch out
Paper Size is required here, alongside the URL to Convert.
4

Convert HTML to PDF

Action

In Zapier“Converts HTML/CSS content to a PDF file with customizable options.”

Feed it HTML written by an earlier step and it returns a PDF document laid out the way your template says.

When to use it
a deal closes and the quote or the certificate must be produced from your template without anyone copying values by hand.
Watch out
HTML Content is the one required field, so the step before must hand it your full HTML.
When it breaks

When a PDF Munk Zap breaks

Zapier attaches no help article to PDF Munk, so the traps below are the general ones that hit any Zap built around it.

Most of them come from the app that starts the Zap rather than from PDF Munk itself. If a Zap is already misbehaving, the Zapier troubleshooting page is the place to start.

  • Old records are never rendered

A Zap only reacts to what happens after it is switched on. Rows or deals that existed before are not picked up; turning that backlog into PDFs is a separate job.
  • A loop that eats your tasks

If the Zap writes its file back into the very place its trigger watches, it starts itself again and again, and every PDF Munk render costs a task.
  • A bulk import gets held back

When the trigger app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back rather than render everything.
  • The same item is not rendered twice

On a polling trigger, Zapier remembers what it has already seen. A row that already went through will not start the Zap a second time.

FAQ

PDF Munk Zapier integration: common questions

01Is the PDF Munk Zapier integration free?
Yes, as long as the Zap stays at two steps. PDF Munk is not a premium app, so it runs on the free plan, which gives 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger and one action. The moment you add a second action to send or store the file, or a filter to skip some rows, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a PDF Munk Zap use?
One task per PDF Munk action that succeeds. The trigger in the other app costs nothing, and Zapier checking for new data costs nothing either. A render that fails is not counted. If your Zap renders a PDF and then emails it, that is two actions, so two tasks per run. Count your expected volume of documents per month against the task number of your plan before you switch it on.
03Does PDF Munk work in real time on Zapier?
PDF Munk has no trigger, so the timing depends on the app that starts your Zap. If that app has an instant trigger, it reports the event to Zapier itself and nothing waits. If it uses a polling trigger, Zapier checks it on a timer set by your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. Either way, the PDF Munk step itself runs right after the trigger fires.
04What does it take to connect PDF Munk to Zapier?
An existing PDF Munk account and a Zapier account. From the Apps page in Zapier, add a connection, pick PDF Munk, sign in to it in the tab that opens and allow access. The connection is made once and then reused by every Zap that calls PDF Munk, so there is nothing to repeat when you build a second one. You also need access to any content you want PDF Munk to capture.
05Why does Capture Website Screenshot Into PDF ask for a paper size?
Because Paper Size is a required field on that action, next to the URL to Convert. The image capture does not ask for it, and neither do the two HTML conversions. When you map the step, pick a value that matches how the document will be printed or read, and use the landscape option for wide pages. The other options, like header and footer, are optional. The full-page switch, for its part, belongs to the image capture, not to this PDF action.
06What if the PDF Munk operation you need is not on Zapier?
Zapier offers four PDF Munk actions and nothing else: two captures from a URL and two conversions from HTML, each into a PDF or an image. There is no trigger and no search. If the job goes beyond that, the usual way out is to rethink the step: build the HTML in an earlier step and convert it, or capture a page that already shows what is wanted. A different tool can also be compared on the same terms.
07Zapier, Make or n8n for PDF Munk?
Decide on criteria rather than on a ranking. On Zapier, check that the four actions cover your documents, and count how many steps your Zap needs: anything past one trigger and one action requires a paid plan. Then count renders per month against your task allowance. Compare the same two points, coverage of what you need and cost per run, on the other platforms before choosing. Keep in mind that the finished file still has to be sent or stored somewhere, and on Zapier that is one more action.
