PDF Vector Zapier integrationAutomate PDF Vector with Zapier.

The PDF Vector Zapier integration gives you 16 actions, 0 triggers and 0 searches. It reads invoices, bank statements, ID documents and research papers for your Zap, but it never starts one: another app has to hand it the file first.

Overview

What the PDF Vector Zapier integration actually does

Connecting PDF Vector to Zapier lets another app pass a document to PDF Vector, which turns it into readable text, answers a question about it, or pulls out the exact values you described. You get the result back inside the same automation, ready for the next app in line.

Three things people build with it. Clean text from a messy file: Parse Document turns a PDF, a Word file, a spreadsheet or a photo into Markdown (plain text with headings kept), so a later step can store or search it. Numbers you can file away: Extract Data From Invoice returns only the values you asked for, in the shape you described, instead of a wall of text. A quick answer without opening the file: Ask About Bank Statement takes one question in plain words and sends back the answer.

Research teams get a separate set: search seven academic databases at once, fetch a paper by its identifier, or attach citations to a paragraph you wrote.

Now the limits. PDF Vector has no trigger on Zapier, so nothing that happens inside PDF Vector can start a Zap. It also has no search step. Every Zap you build puts PDF Vector in second place or later, behind an app that receives the file. The same app is also available on Make, see the PDF Vector Make integration, and the Make vs Zapier comparison sits next to it.

Vocabulary

Zapier words you will meet on this page

Eight terms, in the order you hit them when you build your first automation.

Zap
Your automation on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. PDF Vector has none.
Action
What the Zap does once it has started: the step that writes, sends or reads something for you. All 16 PDF Vector operations are actions.
Task
What Zapier bills you for: one action your Zap completes successfully. The number on your plan counts those, nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by the app the moment the event happens, with no wait.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and quietly stops it otherwise.
Connection
Your PDF Vector account linked to Zapier once, then reused by every step of every Zap that calls PDF Vector.
Multi-step Zap
Any Zap beyond one trigger plus one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What a PDF Vector Zap costs you

PDF Vector is not a premium app on Zapier, so it works on the free plan. The bill depends on how many actions succeed.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • Premium appNo, PDF Vector runs on the free plan
  • BilledEach successful action, never the trigger

The trigger from the other app never costs a task, and neither does Zapier checking it for new items. Each PDF Vector action that goes through counts as one task; one that fails is not counted. A Zap that parses then asks a question uses two tasks per file. The free plan stops at two steps, one trigger and one action: add a second PDF Vector action or a filter and you need a paid plan. Credits on the PDF Vector side are a different meter, charged by PDF Vector itself.

Connect

Connect your PDF Vector account in three steps

  1. 01

    Open your connections

Go to the Apps page of your Zapier account and click + Add connection. You need a PDF Vector account first, plus read or write access on any file you do not own but want the Zap to touch.

  2. 02

    Pick PDF Vector

Type PDF Vector in the search box of the dialog, select it, then confirm with Add connection. A new browser tab opens on the PDF Vector side for the sign-in.

  3. 03

    Sign in and allow access

Log in to PDF Vector in that tab and grant Zapier access to the account. From then on, every PDF Vector step in every Zap reuses this single connection.

First Zap

Your first PDF Vector Zap: invoices read on arrival

GoalEach invoice dropped into a Google Drive folder is parsed, then questioned, with no one opening it.

  1. 01

    Build: choose the starting app

PDF Vector cannot start a Zap, so pick the app that receives your invoices. Here, Google Drive and its New File in Folder event, pointed at the folder your supplier invoices go to.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so pick a real invoice. Every field mapping that follows uses it.

  3. 03

    Add Parse Invoice

Add PDF Vector, choose Parse Invoice and map the file from the Drive step into it. The output is the invoice as Markdown text, ready to store.

  4. 04

    Add Ask About Invoice

Add a second PDF Vector step with Ask About Invoice and fill Question with something like the due date. This third step makes it a multi-step Zap, so a paid plan.

  5. 05

    Test, then publish

Test each step and read what came back before going further. When the answers look right, publish the Zap to switch it on. Only invoices added after that moment go through.

Actions

The 16 PDF Vector actions, one by one

PDF Vector gives you 16 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Fetch Academic Publications by ID

Action

In Zapier“Fetch specific academic publications by their DOI, ArXiv ID, PubMed ID, or other identifiers. Costs 2 credits per request.”

Hand over one or more paper identifiers (a DOI, an ArXiv ID, a PubMed ID) and the step returns the matching publications.

When to use it
a reading list in a spreadsheet gets new DOIs and you want the full records next to each one.
Watch out
Publication IDs is required and takes a comma-separated list, and each request costs 2 PDF Vector credits.
2

Find Academic Citations

Action

In Zapier“Find relevant academic citations for a text paragraph by semantic similarity. Each sentence is matched with relevant publications. Costs 2 credits per sentence.”

Paste a paragraph you wrote and PDF Vector matches each sentence with publications that say something close, by meaning rather than by exact words.

When to use it
a draft section of a report needs sources before it goes to review.
Watch out
the Paragraph field stops at 5000 characters, and every sentence costs 2 credits, so long drafts add up fast.
3

Parse Academic Paper to Markdown

Action

In Zapier“Resolve a DOI, arXiv ID, PubMed ID, Semantic Scholar ID, or provider URL to a public PDF and convert it to markdown. Uses document parse per-page credits.”

Give it a paper reference or a provider link; it finds a public PDF of that paper and converts it into Markdown text.

When to use it
you archive full texts of papers in a notes tool that only takes plain text.
Watch out
it bills per page like document parsing, and the optional Page-separated output returns one block per page instead of one long text.
4

Search Academic Publications

Action

In Zapier“Search for academic papers across multiple databases (Semantic Scholar, PubMed, ArXiv, Google Scholar, ERIC, Europe PMC, OpenAlex). Costs 2 credits per request.”

One query, seven databases: Semantic Scholar, PubMed, ArXiv, Google Scholar, ERIC, Europe PMC and OpenAlex are searched together.

When to use it
a topic added to a tracking sheet should come back with a first batch of papers.
Watch out
Search Query is capped at 400 characters, and each request costs 2 credits.
5

Ask About Bank Statement

Action

In Zapier“Ask a question about a bank statement and get an AI-powered answer. The document is parsed and analyzed to provide accurate responses.”

Write a question in plain words about a bank statement and get an answer generated by AI after PDF Vector has read the document.

When to use it
a bookkeeper wants the closing balance of each monthly statement posted to a chat channel.
Watch out
Question is required, and the answer is generated text, so check it before it feeds your books.
6

Extract Data From Bank Statement

Action

In Zapier“Extract structured data from a bank statement using a JSON Schema. Returns data matching your schema definition.”

Describe the values you want from a statement and the shape they should take; PDF Vector returns exactly that structure, filled in.

When to use it
transactions should land in a spreadsheet as rows, not as a block of text.
Watch out
both Extraction Prompt and JSON Schema are required, and the schema must be valid or the step fails.
7

Parse Bank Statement

Action

In Zapier“Parse a bank statement into structured markdown text. Supports PDF, Word, Excel, CSV, and image files.”

Turns a bank statement into tidy Markdown text, whether it arrives as a PDF, a Word file, a spreadsheet, a CSV export or a scan.

When to use it
statements from several banks need one readable format before anyone reviews them.
Watch out
you get text, not separate values; pick the extract action when a later step needs individual numbers.
8

Ask About Document

Action

In Zapier“Ask a question about a document and get an AI-powered answer. The document is parsed and analyzed to provide accurate responses.”

The general version of the question step: any document, one question, one AI-generated answer based on what PDF Vector read inside.

When to use it
contracts arriving by email get a one-line summary of their notice period posted for the legal team.
Watch out
Question is required, and a vague question gets a vague answer.
9

Extract Data From Document

Action

In Zapier“Extract structured data from a document using a JSON Schema. Returns data matching your schema definition.”

For any kind of document, you define the fields to pull out and their layout, and the step returns them as structured values.

When to use it
purchase orders or delivery notes have no dedicated action but still need their numbers in a database.
Watch out
Extraction Prompt and JSON Schema are both required; test with a real file before publishing.
10

Parse Document

Action

In Zapier“Parse a document into structured markdown text. Supports PDF, Word, Excel, CSV, and image files.”

The all-purpose converter: a PDF, Word file, spreadsheet, CSV or image comes in, Markdown text comes out.

When to use it
a knowledge base should hold the text of every file a team uploads, not just the attachments.
Watch out
switch on Page-separated output if a later step needs to know which page a passage came from.
11

Ask About Identity Document

Action

In Zapier“Ask a question about a identity document and get an AI-powered answer. The document is parsed and analyzed to provide accurate responses.”

Ask one question about an identity document and receive an answer written by AI after PDF Vector has analysed the file.

When to use it
an onboarding form collects ID scans and you only need to know whether each one is still valid.
Watch out
Question is required; keep a person in the loop before any decision rests on the answer.
12

Extract Data From Identity Document

Action

In Zapier“Extract structured data from a identity document using a JSON Schema. Returns data matching your schema definition.”

Pulls the details you specify from an ID document and returns them in the structure you described, ready to fill a record.

When to use it
a new client record should be prefilled from the scan they sent.
Watch out
both Extraction Prompt and JSON Schema are required; an invalid schema stops the step.
13

Parse Identity Document

Action

In Zapier“Parse a identity document into structured markdown text. Supports PDF, Word, Excel, CSV, and image files.”

Converts an identity document into Markdown text, from a PDF, an image or an office file.

When to use it
a compliance team wants a text copy of each document stored next to the original scan.
Watch out
identity data is sensitive, so think about where the next step stores that text.
14

Ask About Invoice

Action

In Zapier“Ask a question about a invoice and get an AI-powered answer. The document is parsed and analyzed to provide accurate responses.”

Point it at an invoice, ask what you want to know, and get a short AI-generated answer drawn from the invoice content.

When to use it
accounts payable wants the due date of each supplier invoice without opening it.
Watch out
Question is required, and one question means one answer, so ask for one thing at a time.
15

Extract Data From Invoice

Action

In Zapier“Extract structured data from a invoice using a JSON Schema. Returns data matching your schema definition.”

Returns the invoice values you described in your prompt as separate fields that later steps can map.

When to use it
every invoice should become one row in your expenses sheet.
Watch out
Extraction Prompt and JSON Schema are both required, and the schema must be valid.
16

Parse Invoice

Action

In Zapier“Parse a invoice into structured markdown text. Supports PDF, Word, Excel, CSV, and image files.”

Reads an invoice in PDF, Word, spreadsheet, CSV or image form and gives it back as clean Markdown text.

When to use it
invoices should be searchable as text in your document archive.
Watch out
parsing then asking in the same Zap costs two tasks per invoice and needs a paid plan.
When it breaks

When a PDF Vector Zap breaks

Zapier attaches no help article to PDF Vector and lists no limit of its own for it, so what breaks here is what breaks on any Zap.

Four situations account for the surprises. None of them is specific to PDF Vector, but each one shows up differently when the action reads files. If a step keeps failing, start with Zapier troubleshooting.

  • Old files are never read

A Zap only reacts to what happens after you publish it. Invoices already sitting in the folder stay untouched, and moving that backlog is a separate job.
  • The Zap feeds itself

Save the parsed text back into the folder the trigger watches and the Zap sets itself off again, file after file, eating your task count.
  • A bulk upload gets held back

Drop a large batch of files at once, after a migration for example, and Zapier's flood protection can hold those items back instead of running them all.
  • No file is read twice

When the starting app uses a polling trigger, Zapier keeps track of what it has already seen, so the same file does not send PDF Vector to work twice.

FAQ

PDF Vector Zapier integration: frequent questions

01Is the PDF Vector Zapier integration free?
Yes on the Zapier side, within the free plan's limits. PDF Vector is not a premium app, so it works without a paid Zapier plan. The free plan gives 100 tasks a month and Zaps of two steps, one trigger and one action. That covers a Zap like a new file in a folder followed by Parse Document. Credits charged by PDF Vector on its own account are separate and not covered by Zapier at all.
02How many Zapier tasks does PDF Vector use?
One task per PDF Vector action that succeeds. The trigger from the other app costs nothing, and neither do the checks Zapier runs to find new items. A Zap that parses a document and then asks a question about it uses two tasks for each file. An action that fails is not counted against your plan. Keep in mind that PDF Vector also spends its own credits on several actions, for example two per request when searching academic publications.
03Does PDF Vector run in real time on Zapier?
It depends on the app that starts the Zap, because PDF Vector has no trigger of its own. If that app has an instant trigger, it reports the event to Zapier immediately and the PDF Vector action follows. If it has a polling trigger, Zapier checks it at your plan's interval: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Check the starting app's trigger before promising anyone a quick turnaround.
04What does it take to connect PDF Vector to Zapier?
A PDF Vector account, then a few clicks. On the Apps page of Zapier, click + Add connection, search PDF Vector, confirm, sign in to PDF Vector in the tab that opens and grant access. If the Zap will touch documents that belong to someone else, you also need read or write access on them. Once connected, every Zap reuses that same connection, so there is nothing to repeat for the next one.
05Why does an Extract Data step fail on PDF Vector?
Usually because of the JSON Schema field. All four extract actions, for invoices, bank statements, identity documents and generic documents, require both an Extraction Prompt and a JSON Schema, and the schema must be valid. A missing bracket or a stray comma is enough to stop the step. Build the schema once, test it on a real file in the editor, and only publish the Zap when the returned values match what you described.
06What if the PDF Vector action you need does not exist?
Then the Zapier catalog cannot do it as is, since it holds exactly 16 actions and no trigger or search. Check whether a broader action covers the case: Parse Document, Ask About Document and Extract Data From Document accept any type of document, not only invoices or statements. If nothing fits, the same app on another automation platform may offer a different set of operations, so compare catalogs before building.
07Zapier, Make or n8n for PDF Vector?
Decide on criteria, not on reputation. On Zapier, PDF Vector offers 16 actions and nothing to start a Zap, so the starting app matters as much as PDF Vector. It runs on the free plan, but any Zap with two PDF Vector steps or a filter needs a paid plan. Billing is per successful action. Compare those points with what the other platform shows for the same app before choosing.
