What the Personal AI Zapier integration actually does
It links your Personal AI account to Zapier so other apps can write into your AI's memory, send it prompts, and react when it produces a Copilot message. You pick one event, Zapier runs the steps behind it, and nobody copies text by hand. Personal AI is not a premium app, so it works from the free plan.
Three results people actually build with it. A memory that fills itself: notes, transcripts or pages from your other tools go straight into the AI with Sync Memory, Upload Text Document or Upload Url. An AI you can question from anywhere: Message My AI sends a prompt from another app and hands the answer to the next step. A Copilot loop: Message My AI Copilot sends a message tagged with a source name, and Message My AI Copilot Trigger starts a Zap when the AI produces a Copilot message for that same source.
What Zapier does not do here matters just as much. There is no search step for this app, so a Zap cannot look up an existing memory or message before acting. There is no update or delete either: everything you send is added, never edited. And the only trigger is the Copilot one, so a plain Message My AI reply does not start anything on its own (you read it in the following step of the same Zap).
The upside of that single trigger: it is instant, so plan intervals never slow it down. If you weigh other tools for the same job, the comparisons Make vs Zapier and n8n vs Zapier sit next to our Zapier review.
Zapier in plain words
Seven words you will meet in the editor, each in one line.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time that event comes back.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for that event.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
- Task
- What Zapier bills you for: one action that your Zap completes successfully. Your plan gives you a number of those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, so nothing waits.
- Filter
- A step that lets the Zap carry on only when the incoming data meets your condition, and stops it quietly otherwise.
- Connection
- Your Personal AI account linked to Zapier once, then reused by every step of every Zap that touches Personal AI.
What a Personal AI Zap really costs
Zapier counts tasks, and only finished actions count as tasks. Waiting for a Copilot message is free.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo, works on the free plan
The trigger never costs a task. Each action that succeeds costs one, so a Zap that syncs a memory and then messages your AI uses two per run. An action that fails is not billed. A few apps and actions take more than one task, so keep an eye on the counter. The free plan gives you 100 tasks a month and Zaps of two steps: one trigger, one action. Add a second action or a filter and the Zap becomes multi-step, which needs a paid plan. Personal AI's only trigger is instant, so the interval grid below never applies to it.
Connect Personal AI to Zapier in three steps
- 01
Open your app connections
In your Zapier account, go to the Apps page and click + Add connection. You need a Personal AI account first, plus access to anything you do not own and want the Zap to touch.
- 02
Pick Personal AI
Type Personal AI in the search box of the dialog, select it in the results, then click Add connection. A new tab opens on the Personal AI side for the sign-in.
- 03
Sign in and grant access
Sign in to Personal AI in that tab and allow Zapier to reach the account. The connection is then saved once, and every Personal AI step you add later picks it from a list.
Your first Personal AI Zap
GoalStore every Copilot message for your support channel as a memory, keeping only the ones that matter.
- 01
Build: pick the trigger
Start a new Zap, choose Personal AI as the app and Message My AI Copilot Trigger as the event, then pick your connection.
- 02
Set the trigger fields
Fill in Domain Name and Source Name. The source name must be the exact one your Message My AI Copilot step uses, for example slack.
- 03
Test the trigger
Run the test. Zapier brings back the three most recent items of the account, so you map the next steps on a real message.
- 04
Add the filter
Add a Filter step, then choose the field, the rule and the value to compare. This makes the Zap multi-step, so it needs a paid plan.
- 05
Add Sync Memory
Add the Personal AI action Sync Memory, map the Copilot message into Text, repeat the Domain Name, then test this step and read what came back.
- 06
Publish
Click Publish to switch the Zap on. From then on, each Copilot message that passes the filter ends up in your AI's memory.
Personal AI trigger
1 event starts a Zap when something happens in Personal AI, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Message My AI Copilot Trigger
Instant triggerIn Zapier“Triggers on specific AI messages”
This one starts a Zap when your AI produces a Copilot message for a given source name. It is the other half of the Message My AI Copilot action: the action sends the message in, the trigger catches what comes out, and the matching source name ties the two together.
Personal AI actions
Personal AI gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Sync Memory
ActionIn Zapier“Create a new memory.”
Adds a fresh memory to your AI from text another step hands over. Your AI can then recall it in later conversations.
Instruct AI
ActionIn Zapier“Call instructions such as search or chatgpt through API”
Runs an instruction on your AI instead of a plain chat: you pick a command type, such as search or chatgpt, and give it a prompt.
Message My AI
ActionIn Zapier“Message your personal AI through this action”
Sends a prompt to your AI and gets its answer back, ready for the next step of the Zap. An optional switch also adds the message to the memory stack.
Message My AI Copilot
ActionIn Zapier“Message My AI in Copilot - Use this in Combination with Message My AI Copilot Trigger”
Sends a message to your AI through Copilot, labelled with the source it came from. Personal AI designed it to work hand in hand with Message My AI Copilot Trigger.
Training AI
ActionIn Zapier“Call training endpoint such as hashtag and qna”
Calls the training tools of Personal AI, with commands such as hashtag or qna, to shape how your AI answers. An option adds the message to My AI too.
Upload Text Document
ActionIn Zapier“Upload Text Document”
Pushes a whole block of text into Personal AI as a document rather than a single memory line. Good for longer content that arrives from a previous step.
Upload Url
ActionIn Zapier“Upload Url to Memory”
Hands Personal AI a link and lets it store what sits behind it in memory. The link can point to text or to audio.
When a Personal AI Zap breaks
Zapier ties no help article to Personal AI, so the traps below come from how Zapier works in general and from the app's own required fields.
Most failures here are setup mistakes rather than outages. Check these four before anything else, and keep our Zapier troubleshooting page at hand for the rest.
Old messages are never picked up
A Zap only reacts to what happens after you switch it on. Copilot messages from before that stay where they are; moving them is a separate job.The Copilot loop that never stops
If a Zap started by the Copilot trigger sends Message My AI Copilot with the same source name, it sets itself off again and again and burns through your tasks.Source names that do not match
The trigger only reacts to Copilot messages whose Source Name matches the one you typed. A different spelling on the action side means silence.A sudden batch gets held back
After a bulk import, a trigger that returns a huge pile at once can be held back by Zapier's flood protection instead of running in one go.
