What the Datagma Zapier integration is for

Datagma is a data service that fills in the gaps on people and companies. On Zapier it only exposes searches: steps that look up information and hand it to the next step. You bring a name, a company, an email or a LinkedIn URL; Datagma brings back what it knows.

Three typical results. A verified work email for a prospect you only know by name and company, with Find Email Address. A list of people holding a given job title at a target company, with Find Employees, when an outbound campaign needs names. A heads-up that a customer contact has moved on, with Detect a Job Change, which returns the new company and the new title.

The broadest of the five is Enrich Person or Company: give it an email or a LinkedIn profile and it describes the person and their company; give it a company name, a domain or a SIREN number and it describes the company alone.

What Zapier does not do for Datagma: start a Zap or save the result somewhere. There is no trigger and no action, only searches. Whatever Datagma finds has to be written by another app's action. And because a search turns any Zap into a multi-step Zap, Datagma on Zapier means a paid plan.

Zap
The automation you build on Zapier: one trigger, then one or more steps that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Zapier waits for it once the Zap is on. Datagma has none, so it comes from your CRM or form tool.
Action
The step that writes, sends or moves something for you. Datagma has no action, so writing its results is another app's job.
Search step
A step that looks up something that already exists and passes what it found to the next steps. All five Datagma operations are searches.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is counted in tasks.
Polling vs instant
A polling trigger is checked by Zapier on a timer; an instant trigger is pushed by the app as soon as the event happens. It depends on your starting app.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes one, and it requires a paid plan.

The trigger never costs a task, and Zapier checking for new data is free too. What the plan bills is each action that succeeds, so the CRM update that writes the Datagma result counts as one task per run; a failed action is not counted. The free plan, with its 100 tasks a month, stops at a trigger plus one action: fine for testing, not for Datagma. Size a paid plan on the number of actions that follow the search, multiplied by the contacts you expect each month.

Connect Datagma to Zapier in 3 steps

    Go to the Apps page

    Have a Datagma account ready. In Zapier, open Apps and click + Add connection. A connection is your Datagma account linked once, then reused by every Datagma step in every Zap.

    Pick Datagma

    Search for Datagma in the dialog, select it and click Add connection. Zapier then opens a new tab where you sign in to your Datagma account to continue.

    Allow access

    Sign in and grant Zapier access to the account. If the records you want to enrich belong to a teammate's workspace in the starting app, check you can read them there too.

First Zap

Your first Zap: work emails for new CRM contacts

GoalWhen a contact lands in your CRM with a name and a company but no email, find the verified work email and write it back on the contact.

    Build: set the trigger

    Click Build and pick your CRM with its new contact event. Click Test: Zapier pulls the three most recent contacts so you work on a real record.

  2. 02

    Check the test contact

    Open the test record and confirm it carries a full name and a company or domain. Those two values are the only inputs Find Email Address works from.

  3. 03

    Add Find Email Address

    Choose Datagma, then Find Email Address under SEARCH in the Action event list. Map the full name and the company or domain from the trigger.

    Write the result back

    Add your CRM's update step, point it at the same contact and drop the email Datagma found into the email field. This is the step that costs a task.

    Test and publish

    Test each step and read what came back. When the email lands on the test contact, click Publish. With a search inside, this Zap needs a paid plan.

5 search steps look for data that already exists in Datagma, so a later step can use it.

A search is listed at the bottom of the action-event menu, under SEARCH. Some action fields also show a + Add search step button that inserts one just before the step and wires the result in for you. Three settings decide what happens when the search does not return a single clean match.

When to use it

Watch out
both the full name and the old company name are required; one without the other gives nothing.

Looks for a verified work email from a full name and a domain or company name. This is the classic gap-filler for leads that came in without an address.

When to use it
a webinar list where people typed their name and company but skipped the email field.
Watch out
both inputs are mandatory, so a lead with no company stops here.

Lists people at a company who hold a given job title. You can name the company or paste its LinkedIn company page URL.

When to use it
an account-based campaign that needs the heads of finance at each target account.
Watch out
the real-time option, in beta, lists 50 employees but cannot filter by title or country, and it cannot be combined with the regular mode.

Enrich Person or Company

The widest lookup. An email or a LinkedIn profile returns details on the person and their company; a company name, website or SIREN number returns the company only.

When to use it
adding company details to inbound demo requests before a rep picks them up.
Watch out
without an email or LinkedIn URL, you need the full name plus the company name to get anything about the person.

Find Mobile Phone Number

In Zapier“Finds a mobile phone number”

Returns a mobile number for the person you describe. It is the step to add when a sales call matters more than an email.

When to use it
a high-value inbound lead that a rep wants to call the same day.
Watch out
a number is not always found, so decide in the settings whether the Zap stops or carries on without one.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on without the value.
  2. Create X if it doesn't exist yet?
    This box only appears on apps with a find-or-create variant. Datagma has none: its searches look up data, they never create anything.
  3. If multiple search results are found?
    Three ways out: keep the first match, which is the default, stop the Zap, or pass every match on at once.
When it breaks

When a Datagma Zap breaks

Zapier links no help article and no documented limit to Datagma. The breakdowns come from the searches themselves and from how every Zap works.

  • The search finds nothing and the Zap stops

    By default an empty search halts the run and skips the update step. If that is not what you want, switch on the setting that lets the Zap carry on.
  • Old contacts are never enriched

    A Zap only reacts to what happens after it is published. Contacts already in your CRM are left untouched; enriching the backlog is a separate job.
  • The update sets the Zap off again

    If your trigger watches updated contacts, writing the Datagma result back starts the Zap again, in a loop, and eats tasks. Trigger on new contacts.
  • A big import gets held back

    When the starting app suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.

Datagma and Zapier: common questions

01Is the Datagma Zapier integration free?
Datagma is not a premium app, but in practice you need a paid Zapier plan. All five Datagma operations are searches, and a Zap that contains a search is a multi-step Zap. The free plan, which includes 100 tasks a month, only builds two-step Zaps: one trigger and one action. A useful Datagma Zap needs at least a trigger, the search and an action that saves the result, so it is three steps from the start.
02How many tasks does a Datagma Zap use?
Zapier bills each action that completes successfully, and the trigger never costs anything, nor do the checks for new data. In a typical Datagma Zap, the step that writes the result into your CRM is an action and counts as one task per run. An action that fails is not counted. A few apps and actions take more than one task when they complete, so count the actions in your Zap, not the searches, when you size the plan.
03Does Datagma react in real time in Zapier?
That depends on the app that starts the Zap, since Datagma has no trigger. If your CRM or form tool offers an instant trigger, it tells Zapier the moment the contact is created and the Datagma search runs straight away. If it is a polling trigger, Zapier checks on a timer that depends on the plan: 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. Instant triggers show a lightning bolt in the editor.
04What does it take to connect Datagma to Zapier?
A Datagma account and read access to the records you want to enrich. In Zapier, open the Apps page, click + Add connection, search for Datagma and click Add connection, then sign in and grant access in the tab that opens. That one connection is then available to every Datagma search in every Zap. Before building, check that the starting app actually stores the inputs each search asks for, such as full name and company.
05Why does Find Employees ignore the job title?
You are probably on the real-time option. Find Employees has two modes. The regular one lists people with a given job title at a company. The real-time mode, still in beta, lists 50 employees of the company but cannot filter by job title or by country, and it cannot be used together with the regular mode. If you need a specific title, switch back to the regular parameter and set the title there.
06What if the Datagma operation you want is not on Zapier?
Zapier offers five Datagma searches and nothing else: no trigger and no action. If what you want is a lookup on a person or a company, Enrich Person or Company is the one to try first, since it accepts an email, a LinkedIn profile, a company name, a domain or a SIREN number. If what you want is Datagma reacting on its own, it cannot happen on Zapier: the Zap always has to start from another app.
