Overview

What the Pipedrive Zapier integration actually does

It links your Pipedrive CRM to other apps through Zapier, without code. A Zap (the automation you build on Zapier: one trigger, then one or more actions) watches deals, persons, leads or projects, and does the follow-up work for you the moment something changes.

Three results come up again and again. A pipeline that drives the work: Updated Deal Stage starts a Zap when a deal moves, and Create Activity or Create Project hands the next step to the right person. A CRM that fills itself: Find Persons with its create option, then Create Deal, turns a form or a booking into a clean record, without duplicates. Data that stays identical everywhere: Updated Person and Updated Organization push every correction to billing, support or email tools.

Here is the good news for free plans. Eleven of the 18 triggers are instant, including New Deal, New Person and every Updated trigger. Only the filter-based triggers, New Lead, New Comments in Notes and New Project are checked on a timer.

What Zapier does not do here: it does not bring in deals, contacts or notes that existed before you switched the Zap on, and it offers no action to delete a deal, a person or an organization. The trigger never costs a task, and neither do Zapier's checks for new data. Each action that succeeds counts once, so a three-action Zap costs three times a one-action Zap. A failed action is not counted. The free plan stops at two steps: one trigger, one action. Add a filter, a search step or a second action and you have a multi-step Zap, which needs a paid plan. That matters here, because most clean Pipedrive Zaps start with Find Persons or Find Deals.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there, and the steps after it are skipped. Switch it on and the Zap carries on with empty values.
  2. Create X if it doesn't exist yet?
    Tick it and the search becomes a find-or-create: it asks for the fields needed to create the missing record, and the previous setting disappears.
  3. If multiple search results are found?
    Three choices: keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When a Pipedrive Zap breaks

Most failures come from Pipedrive data, not from Zapier. Zapier lists two Pipedrive errors in its help center, and the general limits apply as well.

Each case below is one you are likely to meet in the first weeks. For a broken Zap you cannot explain, our Zapier troubleshooting page walks through the usual checks.

  • Neither an Organization nor a Person were provided

    Pipedrive refuses some records, like a deal or a lead, when they are tied to no company and no contact. Map a person or an organization, often from a search step before.
  • Nothing could be found for the search

    A search came back empty and stopped the Zap. Check the value you search for, or switch on the setting that lets the Zap continue when nothing is found.
  • Old deals are not picked up

    A Zap only reacts to what happens after it is published. Deals and contacts that already existed never start it; moving the backlog is a separate job.
  • The Zap fires again and again

    An Updated Deal or Updated Person Zap that writes back into the same record triggers itself in a loop, and empties the task count fast.
  • A bulk import is held back

    Importing hundreds of contacts or deals at once can be stopped by Zapier's flood protection. Pause the Zap during big imports.
  • Search steps hit the rate limit

    Including file data in Find Deals uses extra calls to Pipedrive. Leave it off unless the next step really needs the files.

Pipedrive Zapier integration: questions people ask

01Is the Pipedrive Zapier integration free?
Yes, Pipedrive is not a premium app, so it works on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. As soon as you add a filter, a search such as Find Persons, or a second action, the Zap becomes multi-step and needs a paid plan. Pipedrive itself needs an active account for the connection.
02How many tasks does a Pipedrive Zap use?
One task per action that succeeds, nothing for the trigger. A Zap that creates an activity on each stage change costs one task per deal that moves. Add Create Note and it costs two. Searches placed as steps also count when they run, and a failed action costs nothing. Watch the Updated triggers in particular: on a busy CRM, every edit to a deal or contact can start the Zap, so a filter early on keeps the count under control.
03Does Pipedrive trigger Zaps in real time?
Mostly yes. Eleven of the 18 triggers are instant, including New Deal, New Person, New Note, Updated Deal Stage and every Updated trigger, so they start the Zap right away whatever your plan. Seven are checked on a timer: the four filter-based triggers, New Lead, New Comments in Notes and New Project. On those, Zapier looks every 15 minutes on the free plan and every minute or two on paid plans.
04What does it take to connect Pipedrive to Zapier?
A Pipedrive account you can sign in to, and a Zapier account. You add the connection from the Apps page, sign in to Pipedrive in the tab that opens, then grant access. The records your Zaps create carry the connected user, so pick the right one with care. If the Zaps need to touch deals or contacts owned by colleagues, that user needs read or edit rights on them in Pipedrive.
05Why does Pipedrive say neither an Organization nor a Person were provided?
Because the record you are creating needs to be linked to a company or a contact, and the Zap sent neither. It usually happens on Create Deal or Create Lead fed by a form. The fix is to add Find Persons or Find Organizations before the action, with the create option ticked, and map the ID it returns. That extra search makes the Zap multi-step, so it needs a paid plan.
06What if the Pipedrive action you need does not exist?
Look at the API Request (Beta) action first. It sends a request straight to Pipedrive with the connection you already have, so it covers fields and records the 25 ready-made actions leave out. It expects an HTTP method and a URL on Pipedrive's own domains, so it suits someone comfortable reading API docs. Deleting deals or persons, for example, has no ready-made action today. If the request is beyond your team, a Zapier specialist can set it up once and document it.
07Zapier, Make or n8n for Pipedrive?
It depends on the scenario.
