Overview

What AISA and Zapier do together

AISA - AI Sales Assistant is a conversational AI platform for sales and customer support, with assistants that handle chats and phone calls. Zapier connects it to your other tools without code: an assistant event starts an automation, and AISA can call, open a chat or send a message.

Three results people build with it. A follow-up after every call: New Voice Contact Event fires and Send Message texts the contact a recap. Callbacks without a human dialing: New Contact Event passes a filter and Make Phone Call places an outbound call. Conversation history where it is needed: Get Contact Messages fetches everything said with a contact, as one block of text or as separate messages.

What Zapier does not do for AISA: there is no action to create or edit an assistant, no step to update a contact, and the only search needs a Contact Id you already hold. Both triggers listen to one assistant at a time.

The phone number field deserves its own warning. AISA wants it in E.164 format, the international format with the country code. Leave the code out and AISA adds +39, the code for Italy, on its own. A French or US number is then dialed as an Italian one.

AISA also has an AISA - AI Sales Assistant Make integration, and if you are still weighing the platform, our Zapier review is the next read.

Vocabulary

Zapier vocabulary in one minute

Seven words come back across this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, such as a new contact event from an AISA assistant. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that calls, messages or opens a chat for you, like Make Phone Call.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger, like both AISA triggers, is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and quietly stops it otherwise.
Search step
A step that looks up something that already exists, like the messages of an AISA contact, so later steps can use it.
Cost

What an AISA Zap really costs

Zapier bills what your Zap does, never what it waits for.

  • Free plan tasks100 per month
  • Free plan Zap size2 steps: 1 trigger, 1 action
  • AISA premium appNo
  • AISA triggers2, both instant

The trigger never costs a task, and neither does Zapier looking out for new events. Each action that succeeds counts as one task, and in a Zap with several actions every success counts on its own. An action that fails is not counted. The free plan gives you 100 tasks a month and Zaps of two steps: one trigger, one action. A filter or the Get Contact Messages search makes the Zap multi-step, which needs a paid plan. AISA is not a premium app, so it works from the free plan.

Connect

Connect AISA to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You do this once per AISA account, and every AISA step reuses the same connection afterwards.

  2. 02

    Pick AISA

Search for AISA - AI Sales Assistant in the dialog, select it and click Add connection. A new tab opens on the AISA side, where you sign in with your usual account.

  3. 03

    Sign in and grant access

Log in to AISA with the account that owns the assistants you want to automate, then grant Zapier access. Both triggers ask you to pick an Assistant Name, so that account must see them.

First Zap

Your first AISA Zap: call back the contacts you choose

GoalWhen an AISA assistant emits a contact event that passes your filter, place an outbound call to that contact straight away.

  1. 01

    Build the trigger

Click Build, pick AISA and the event New Contact Event, choose your connection, then the Assistant Name whose events this Zap should receive.

  2. 02

    Test it

Run the Test. Zapier fetches the three most recent items of the connected account, so you map fields from a real event, not a made-up one.

  3. 03

    Add the filter

From the plus icon, add a Filter, then set the field, the rule and the value, picking the field from what the test brought back. Use a text rule on a text field, or nothing ever gets through.

  4. 04

    Place the call

Add Make Phone Call and map the Recipient Phone Number. Check the test number carries its country code, or AISA treats it as an Italian line.

  5. 05

    Test, then publish

Test the call on your own phone first, then click Publish. From now on, each event that passes the filter gets a call as soon as AISA reports it.

Triggers

The 2 AISA triggers

2 events start a Zap when something happens in AISA - AI Sales Assistant, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Contact Event

Instant trigger

In Zapier“Triggers when a new contact event is emitted”

Starts your Zap each time the AISA assistant you pick emits a new contact event, so what happens in a conversation can flow on to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a car dealership's chat assistant talks with a prospect, and the sales desk wants a callback placed without anyone watching the inbox.
Watch out
it requires an Assistant Name, so one Zap follows one assistant. Several assistants mean several Zaps.
2

New Voice Contact Event

Instant trigger

In Zapier“Triggers when a new voice contact event is emitted”

The phone-side twin of the trigger above: it reacts when an AISA assistant emits a new voice contact event, after a call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a dental clinic's voice assistant takes a call, and the clinic sends the patient a text confirming what was said.
Watch out
it also asks for an Assistant Name. Pick the assistant that handles calls, or the Zap will never hear from it.
Actions

The 4 AISA actions

AISA - AI Sales Assistant gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Chat Conversation

Action

In Zapier“Create a chat conversation by phone number”

Opens a new chat conversation in AISA from a phone number, so an assistant can pick up the thread.

When to use it
a lead filled in a form elsewhere and you want AISA to start the written exchange.
Watch out
the conversation is tied to the phone number you map, so a wrong or badly formatted number opens it with the wrong person.
2

Make Phone Call

Action

In Zapier“Initiates an outbound phone call”

Starts an outbound phone call from AISA to the number you give it, with no one on your side dialing.

When to use it
calling back a lead your filter kept, within moments of their request.
Watch out
the Recipient Phone Number must follow E.164. Leave out the country code and AISA dials it as an Italian number, with +39 in front.
3

Send Message

Action

In Zapier“Send a message to a contact phone number”

Sends a free-text message to a contact's phone number, written from earlier steps.

When to use it
a short recap after a call, with the details the trigger brought back.
Watch out
it needs the Recipient Phone number in E.164 format and a Message Text. A number without its country code gets +39 added automatically.
4

Send Template Message

Action

In Zapier“Send a template message to a contact phone number”

Sends a prepared template message to a contact's phone number, instead of text composed inside the Zap.

When to use it
a reminder or confirmation that should read the same way every time.
Watch out
it also goes to a phone number, so check that the number carries its country code before you blame the template.
Searches

The AISA search

1 search step looks for data that already exists in AISA - AI Sales Assistant, so a later step can use it.

A search step finds data that already exists and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH, and some fields offer + Add search step to insert one for you. AISA, not Zapier, decides how strict the match is.

1

Get Contact Messages

Search

In Zapier“Return all the messages for a contact”

Returns every message exchanged with one AISA contact, either joined into a single text or as a list of detailed messages.

When to use it
handing a full conversation to the next step, such as a note for the salesperson who calls back.
Watch out
it needs a Contact Id. Set Format Output as Text to True if the next step expects one block of text.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. AISA offers no such variant on Zapier, so you will not see it on Get Contact Messages.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on together.
When it breaks

When an AISA Zap breaks

Zapier attaches no help article to AISA, so the failures to plan for are the general ones, plus one trap from the phone fields.

Four cases to keep in mind with calls and messages. When a run fails and the reason stays hidden, the Zapier troubleshooting guide is the next stop.

  • Calls and texts go to Italy

A number mapped without its country code gets +39 added by AISA. The step runs, but the call or text never reaches the person you meant.
  • Check that the Zap does not feed itself

A Zap that writes where its own trigger watches starts itself again. Whether AISA emits an event for the Zap's own calls is not documented, so check after the first test.
  • Earlier conversations are never picked up

A Zap reacts only to events after you publish it. Calls and chats that happened before stay out, and moving that history is a separate job.
  • A burst of events is held back

If a campaign sends a sudden wave of events at once, Zapier's flood protection can hold the batch back instead of firing the Zap for each one.

FAQ

AISA - AI Sales Assistant Zapier integration: your questions

01Is the AISA - AI Sales Assistant Zapier integration free?
Yes, for two-step Zaps. AISA is not a premium app, so it runs on the free Zapier plan, which gives 100 tasks a month. The limit is the size of the Zap: the free plan builds a trigger plus one action, nothing more. A filter, a second action or the Get Contact Messages search makes the Zap multi-step, and multi-step Zaps need a paid plan. A Zap like New Voice Contact Event then Send Message stays free.
02How many tasks does an AISA Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that sends a text after each voice event uses one task per call. Add a phone call on top and each event costs two. Failed actions are not counted. If you also fetch the conversation with Get Contact Messages, that search is a step of its own in the Zap, and it pushes the Zap onto a paid plan.
03Does AISA trigger Zaps in real time?
Yes. Both AISA triggers are instant: AISA tells Zapier the moment an assistant emits a contact or voice contact event, and the Zap starts right away. The plan intervals, 15 minutes on the free plan and down to 1 minute on Team and Enterprise, only apply to polling triggers, and AISA has none. In the editor, a Zap built on an instant trigger shows a lightning bolt, an easy way to check.
04What does it take to connect AISA to Zapier?
An AISA account that owns or can see the assistants you want to automate. In Zapier, open Apps, click + Add connection, search AISA - AI Sales Assistant, click Add connection, then sign in to AISA in the tab that opens and grant access. Both triggers ask for an Assistant Name, so the account has to see that assistant. The connection is saved once and reused by every AISA step. If several people run assistants, connect the account that sees all of them.
05Why did an AISA call go to an Italian number?
Because the phone number reached AISA without its country code. Make Phone Call, Send Message and the other phone fields expect the E.164 format, which starts with the plus sign and the country code. When the code is missing, AISA adds +39, the code for Italy, automatically. Fix it at the source: make sure the tool feeding the Zap stores numbers with their code, or add it before the AISA step.
06What if the AISA operation you need is not there?
Then Zapier cannot do it for AISA today. The integration offers two triggers on contact and voice events, four actions to call, chat and message by phone number, and one search for a contact's messages. There is no step to manage assistants, update a contact or look up a contact by name. Check whether the AISA Make integration covers the gap, or keep that part inside AISA. A clear manual step beats a fragile chain of workarounds.
07Zapier, Make or n8n for AISA?
It depends on your criteria, not on a winner. Start with the operations: on Zapier, AISA offers two instant triggers, four actions and one search, so check what each platform exposes for AISA before anything else. Then look at how each one counts usage, since Zapier bills one task per successful action, calls and messages included. Finally, think about who will maintain the automations and which editor they read most comfortably.
