What's the best leave management software for a small business?

The one whose price still makes sense at your headcount, that lets a manager and then HR sign off, and that hands leave to payroll without retyping. At 50 employees, a dedicated tracker runs $75 to $200 a month.

At 12 people, a shared calendar and a spreadsheet hold up. At 60, with four managers, two offices and someone running payroll every two weeks, they don't: balances drift, approvals get lost in email, and every payroll run starts with someone checking who was out. That's when a small business goes shopping for a PTO tracker, and it's exactly where most "best of" lists stop helping, because they quote a per-user price and skip the minimums, the add-ons and the setup work.

The short answer: Timetastic is the best pick for most companies of 20 to 150 people that want simple, honest pricing. BambooHR is the step up when you need deep accrual policies and a full HR system. Vacation Tracker fits teams that live in Slack or Microsoft Teams, as long as you budget for the plan with accruals. Factorial suits a company that wants HR, time and leave in one quote, and Jibble covers clocking in and simple leave requests for free.

Every price on this page is worked out for two companies, one with 50 employees and one with 150, per month, with what the vendor adds on top. If you're smaller or just want the general picture, our main leave management software ranking runs the numbers for 20 people.

Rank follows score. The "50 employees" column gives the monthly cost of the leave piece only, on the plan a 50-person company would realistically need, in dollars as shown on each vendor's page. Setup help and payroll add-ons aren't included: none of these vendors publishes them as a fixed price.

How we scored

How we compared and scored

Every one of the top five Google results for this search is written by a vendor, and most of them rank their own product first. They list per-user prices and free plans, talk about Slack and accruals, and stop there. None of them works out what a 50-person company actually pays once a monthly minimum or a flat fee applies, and none of them covers two-step approvals, importing opening balances or what happens when a manager is out.

We compared official pricing pages, what each vendor documents about accruals, approvals and payroll, and user reviews, reading the bad ones first. Every price is worked out at 50 and then 150 employees. Tools already scored on other Labs pages keep their score, and rank follows score.

Gusto and Rippling come up often, but we couldn't confirm their prices on the vendors' own pages for this comparison, so they're not ranked. Accrual and policy accuracy weighs the most: a wrong balance costs more in payroll corrections and awkward conversations than any subscription.

1
Best for simple, honest pricing

Timetastic

4.3/5

Timetastic is a UK-built leave planner that keeps one promise: everyone can see who's off, and everyone's allowance stays straight. People book from the web, the mobile app or chat, the approver gets a notification, and the team calendar updates on the spot. Most companies set it up in an afternoon.

The pricing is the easiest to forecast in this ranking. Business is $1.50 per user a month, Pro $2.50, and Rota & Time Clock $5.50 if you also want shifts and clocking in. At 50 employees, that's $75 on Business or $125 on Pro; at 150, $225 or $375. There's no contract, you pay month to month, and the 30-day free trial is long enough to run a real month of requests. Charities and B Corps get half off.

Where to look closely as you grow: approval chains and department structure. A 40-person company with one approver per team is fine; a 140-person company where a team lead approves and HR confirms needs to check that flow during the trial. Payroll connections are lighter than in a full HR system, so plan on a report for whoever runs payroll.

Tip: build your leave year, carryover cap and holiday calendars before inviting anyone, then import opening balances on the first day of a leave year. You'll never have to explain a half-year correction.

Standout features
  • No contract, month to month
  • 30-day free trial
  • Rota and time clock plan available
+Pros
  • ✓Lowest predictable bill at 50 and 150
  • ✓Fastest rollout in the ranking
  • ✓Clear, public plans
−Cons
  • ✗Check two-step approvals in the trial
  • ✗Payroll mostly by report
  • ✗Light department structure for large teams
Verdict

The best pick for most small businesses with straightforward policies. If you need layered approvals, prove them out in the trial before rolling out.

Best for complex accruals and full HR

BambooHR

4.2/5

Think of BambooHR as an HR platform first, with time off as one of its most developed modules. You can build accrual rules around length of service, part-time hours and separate employee groups. Employees can look ahead at the balance they'll have on a future date, and HR keeps a record of who approved what. Once you hit the point where leave, onboarding and employee records all hurt at once, many companies land here.

You pay for the platform. Up to 25 employees, Core is a flat $250 a month. Past 25, it's billed per head from $10 on Core and $17 on Pro in the page header ($10.25 and $17.50 per the pricing FAQ), with volume discounts applied automatically. At 50 employees, Core comes to about $500 a month; at 150, about $1,500 before volume discounts. Payroll, benefits administration and time tracking are add-ons quoted on request, so the full bill is only known after a sales call.

Buyers who leave reviews like how tidy the screens are and how far the leave rules go. What they grumble about: the bill, extras they assumed were part of the base plan, and reports that need tweaking before they show what HR wants.

Tip: set up accrual policies by employee group from day one, not one policy for everyone with exceptions. It's the difference between a clean year-end and a week of manual fixes.

Standout features
  • Tenure-based and group accrual policies
  • Balances projected forward
  • Full HR system around leave
+Pros
  • ✓Deepest accrual engine in the ranking
  • ✓Strong audit trail
  • ✓Well-rated support
−Cons
  • ✗About $500 a month at 50 people on Core
  • ✗Payroll and time tracking cost extra
  • ✗Overkill if leave is your only need
Verdict

The right step when leave is one of several HR problems. If leave is your only problem, a dedicated tracker does the job for a fraction of the price.

Best inside Slack or Teams

Vacation Tracker

4.1/5

Vacation Tracker works where your team already talks. Requests, approvals, balance checks and daily "who's out" summaries happen inside Slack or Microsoft Teams, with calendar sync. For a distributed team, it fixes the problem that kills most leave tools: people forgetting to open them.

Read the pricing twice. Core is $2 per user a month with a $50 monthly minimum, and Complete is $4 with a $100 minimum. Automatic accruals, which most companies with monthly PTO need, are only on Complete. At 50 employees, that's $100 on Core or $200 on Complete; at 150, $300 or $600. Below 25 people on Core, or 25 on Complete, you're paying the minimum, not the per-user price. Yearly billing takes 10% off.

Once on Complete, accrual rates, carryover and custom leave types are handled well. The payroll side is lighter: expect to export reports for your payroll provider rather than a live sync.

Tip: companies that grant one lump of days every January don't need accruals at all, which means the $2 plan covers them. Rebuild your real policy in the 14-day trial and let it decide the plan for you.

Standout features
  • Requests and approvals inside Slack or Teams
  • 14-day trial with no card
  • Accruals on the Complete plan
+Pros
  • ✓Highest adoption for chat-first teams
  • ✓Fast to roll out
  • ✓Clear published plans
−Cons
  • ✗$50 and $100 monthly minimums
  • ✗Accruals only on the $4 plan
  • ✗Payroll mostly by export
Verdict

A great fit for chat-first teams. Budget for Complete if you accrue PTO monthly, and compare it with Timetastic Pro at your headcount.

Best for one HR quote

Factorial

3.7/5

Factorial is an all-in-one HR platform from Barcelona with a growing US presence. Leave is handled inside the same module as hours and shift planning, so a request, its approval and the remaining balance all show up next to the timesheet, on desktop or in the mobile app. Buyers like having leave and hours in one place instead of two tools.

The pricing is hard to plan around. The page starts at $8 per user a month, but plans are built after a demo and modules are added on top of Core. At 50 employees, that's at least $400 a month before modules; at 150, at least $1,200. The real number only comes with the quote, and buyers report that the entry price rarely matches the final bill once connectors and modules are in.

The most serious complaints are about balances over time: some HR managers report they can't reliably rebuild an exact balance after several years of carryover, and others find policy updates slow to arrive. Support is described as slow when your contact changes.

Tip: bring a real employee file to the demo, someone with old carryover and a recent sick leave, and ask the rep to rebuild that balance live. Then insist on a quote where leave and payroll connectors sit on separate lines.

Standout features
  • Leave, time and scheduling together
  • Mobile app employees use
  • One vendor for HR
+Pros
  • ✓Single platform for a growing team
  • ✓Quick to set up
  • ✓Pleasant interface
−Cons
  • ✗Price only after a demo
  • ✗Multi-year balances reported as unreliable
  • ✗Modules add up on the quote
Verdict

Worth a demo if you want one HR platform. If you carry a lot of leave year to year, check balance history before you sign.

Best free time clock with leave requests

Jibble

3.7/5

Jibble is first a time tracking tool: employees clock in from a phone, tablet or computer, and managers get timesheets. Its free plan is free for good, with unlimited users, which makes it the cheapest way to put a time clock and simple leave requests in one place for an hourly crew.

At 50 or 150 employees, the free plan still costs $0, which no other tool here can say. The catch is on the leave side. Accruals are in Jibble's feature list, but the free plan doesn't clearly say they're included. If balances have to grow on their own each pay period, get the vendor to name the plan that does it, in writing, before you roll out the free tier.

For a team that needs "who's off" visibility and a clean record of requests, the free plan works. For accurate PTO balances with carryover across 100 people, a dedicated tracker is safer.

Tip: a common setup for hourly crews is Jibble free for clocking in plus a paid tracker for balances. It often costs less than a single platform that does both.

Standout features
  • Free plan with unlimited users
  • Time clock on phone and kiosk
  • Leave requests in the same app
+Pros
  • ✓$0 at any headcount
  • ✓Good for hourly crews
  • ✓Easy for employees
−Cons
  • ✗Accruals not clearly in the free plan
  • ✗Leave is secondary to time tracking
  • ✗Weak on complex policies
Verdict

A smart free starting point for hourly teams. Move to a dedicated tool once balances need to accrue automatically.

The real cost

What leave software costs at 50 and 150 employees

"From $2 per user" means little until you know the minimum, the plan you'll actually need and what's sold separately. Here are the same tools worked out for two typical small businesses, per month, in dollars as each vendor displays them.

At 50 employees

Jibble $0 on the free plan. Timetastic $75 on Business, $125 on Pro. Vacation Tracker $100 on Core, $200 on Complete with accruals. Factorial at least $400 before modules. BambooHR Core from about $500, add-ons extra.

At 150 employees

Jibble $0 on the free plan. Timetastic $225 on Business, $375 on Pro. Vacation Tracker $300 on Core, $600 on Complete. Factorial at least $1,200 before modules. BambooHR Core about $1,500 before volume discounts, add-ons extra.

What's not in the price

Monthly minimums at smaller headcounts ($50 and $100 at Vacation Tracker, a flat $250 at BambooHR up to 25 people). Add-ons: payroll and time tracking at BambooHR, modules at Factorial. Your own setup time: policies, holidays and opening balances.
  • Price your current headcount and the one you expect in two years.
  • Ask which plan includes automatic accruals.
  • Check the monthly minimum against your team size.
  • List add-ons you'll need and get them in writing.
  • Ask how payroll gets the data: sync or report.
  • Ask whether inactive users are still billed.

Seven things to check before you commit

A sales demo shows one employee booking a week and one manager approving it. A 60-person company has harder cases: layered approvals, balances to import, part-timers, people in different locations and a payroll run that can't wait. Run these seven with your own data.

01

Manager first, then HR

Approvals

In a growing company, the team lead approves the dates and HR confirms the balance. Ask to see a request go through two approvers, then what happens when the first approver is out: the request should move to a backup, not sit for a week. Check which plan includes this, since multiple approvers are often reserved for higher tiers.

Case to run
Approver on vacation, request pending
02

Importing balances from a spreadsheet

Setup

This step decides your launch date. Ask for the import template, who fills it in, and whether the vendor helps. Import on the first day of a leave year rather than halfway through, so you don't have to rebuild partial accruals. Keep the original spreadsheet signed off by HR: it's your proof of the starting point.

Best moment
First day of a leave year
03

Accruals for part-timers

Policy

Enter your real accrual rule and have the tool calculate a part-timer at 30 hours a week, then compare it with your spreadsheet. If the vendor answers "you can create a custom leave type," it may not actually calculate your accrual. This is where cheap plans most often fall short.

Case to run
Part-timer at 30 hours a week
04

Several locations, several calendars

Multi-site

Two offices often mean two holiday calendars and sometimes two policies. Set up both in the trial and book a week that includes a holiday in one location only. The tool should deduct the right number of days for each person without manual edits.

Case to run
Holiday in one office only
05

Getting leave into payroll

Payroll

Three levels exist: payroll in the same platform, a sync with your payroll provider, or a report someone uploads. Ask your payroll provider what format it needs before the demo, then have the tool produce an end-of-period report with sick leave, unpaid leave and time off spanning two pay periods.

Case to run
Leave spanning two pay periods
06

Sick leave and accrual rules by state

Compliance

Paid sick leave and PTO payout rules aren't the same across the US: several states and cities set their own accrual rates, caps and carryover rules, and they change. If you have people in more than one state, ask the vendor whether a policy can be assigned per location, then set up one employee in each state during the trial and check the balances against the rule your counsel or payroll provider gives you.

Case to run
One employee per state
07

Sick notes and who sees the reason

Data

Who uploads a doctor's note, the employee or HR? Who sees why someone is out? A manager needs to know a person is away, rarely why. Set the visibility of leave reasons by role, and ask where the data is hosted before you load medical leave into the tool.

Key setting
Leave reason hidden from managers

Dedicated tracker or full HR system, and where it tips

The question every growing company hits: keep a dedicated PTO tracker, or move to an HR system that includes leave? It's rarely about headcount alone.

01

When a dedicated tracker is enough

Decision

If leave is your only pain and records, onboarding and reviews live comfortably elsewhere, a tracker wins on price by a wide margin: Timetastic Business at 50 people is $75 a month, against about $500 for BambooHR Core. Spend the difference on clean setup.

Gap at 50 people
$75 against about $500
02

When an HR system pays off

Decision

When you also need onboarding, employee records and tenure-based accruals, the price of a full HR system is spread across several problems. Compare BambooHR or Factorial against the sum of the separate tools you'd otherwise pay for, over three years. Our HR software for small business ranking does that comparison.

Three years
03

When payroll should lead

Decision

If payroll errors from leave are your biggest cost, pick the payroll platform first and use its leave features, or a tracker that syncs to it. Our payroll software for small and midsize businesses page covers that route.

FAQ · 9 questions

Leave software for small business · FAQ

  • How much does leave management software cost for 50 employees?
Between $75 and $200 a month for a dedicated tool: Timetastic is $75 on Business, Vacation Tracker $100 on Core or $200 with accruals. A full HR system like BambooHR Core starts around $500. Jibble's free plan is $0 if simple requests are enough.
  • Is there free PTO tracking software for a small business?
Yes. Jibble's free plan has unlimited users and includes leave requests, but it doesn't clearly include automatic accruals. For a team that accrues PTO every pay period, budget for a paid tracker from about $1.50 per user.
  • Why does a $2 per user tool cost me $50 a month?
Because of monthly minimums. Vacation Tracker Core has a $50 minimum and Complete a $100 minimum, so any team under 25 people pays the floor. BambooHR charges a flat $250 on Core up to 25 employees. Always price your exact headcount.
  • Can leave requests go to a manager and then HR?
Most tools for growing companies support it, but not always on the entry plan. Ask to see a two-step flow in the trial, including what happens when the first approver is out of office.
  • How do I move PTO balances out of a spreadsheet?
With the vendor's import template, one row per employee and leave type, including carryover. Import on the first day of a leave year, and keep the original spreadsheet signed off by HR as proof of the starting balances.
  • Does leave software sync with payroll?
Some do, many export. A full HR system with payroll keeps leave and pay in one place; dedicated trackers usually produce a report. Ask your payroll provider which format it needs before you choose.
  • When should a small business switch from a tracker to an HR system?
When leave stops being your only HR problem. If you also need onboarding, records and tenure-based accruals, compare an HR system against the total of separate tools over three years, not just the leave line.
  • Does leave software handle state sick leave rules?
Only if you can set a separate policy per location. Paid sick leave rules vary by state and sometimes by city, so the software won't know them for you: you enter the rule, it applies it. Ask your payroll provider or counsel for each state's rule before you configure the tool.
  • Can one tool handle different holidays for different offices?
The good ones let you assign a holiday calendar per location. Check it in the trial by booking a week that includes a holiday in one office only, and make sure each person loses the right number of days.
