What is the best returns management software in 2026?

The one that lets shoppers start a return on their own, offers an exchange before a refund, and has a price you can predict return by return. At 100 returns a month, Shopify apps run from $39.59 (Return Prime) to $147 (ReturnGO), and Loop starts at $340.

Returns management software swaps the back-and-forth emails for a branded portal. Your customer types an order number, picks the item and the reason, and gets a label or a QR code to drop off. Behind the portal, rules make the calls for you: approve or reject, offer an exchange, issue store credit, trigger the refund when the parcel lands.

The short answer: ReturnGO is the most complete pick for a store already handling around 100 returns a month. Return Prime is the cheapest way in, free for 5 requests and then $19.99 a month. Loop is still the exchange specialist, and its included labels cover US and Canada returns, but it starts at $340 a month. AfterShip Returns connects to the most platforms, ReturnZap packs exchanges and bonus credit into a $39 plan, and Sendcloud fits stores that also ship across Europe.

We left out Narvar, Happy Returns, Outvio, Retino and parcelLab: none of them shows a readable price on its official site. Redo gets its own section below, because its free model works differently.

The column that matters is the cost at 100 returns a month: that's where "starting at" prices drift apart. Shopify apps bill in US dollars, Sendcloud in euros, so we keep them apart. Prices come from each vendor's official pricing page or its official Shopify App Store listing.

How we compared

How we compared and scored

Most of the top results for this query are written by vendors that rank themselves first, or by directories that list everything and judge nothing. None of them runs the math on per-return fees past the plan quota, and few explain who pays when a returns app is "free".

We read each vendor's official pricing page, or its official Shopify App Store listing when that's where it publishes prices. Then we read merchant reviews on the Shopify App Store and threads on Reddit. A tool only makes the ranking if it has a self-serve return portal, approval rules, an exchange or store credit option, and a readable price.

The five criteria carry equal weight: it's the same grid as our full reviews, so Sendcloud and AfterShip keep the same score across the site. When scores tie, cost at 100 returns a month breaks the tie.

Best overall

ReturnGO

4.0/5

ReturnGO is one of the best-rated returns apps among merchants: 4.9 out of 5 across 400+ Shopify App Store reviews, with only seven one-star reviews. Premium costs $147 a month and covers 110 returns. Past that, each return costs $1.25. Pro, at $297, includes 300 returns and drops the overage to $0.90.

What puts it on top is how deep the rules go. From Premium, shoppers can swap for another size, another color or a different product. Pro adds advanced automation, item inspection on arrival, ERP connections (the system that runs your inventory and accounting) and API and webhook access, so other apps hear about every status change on a return.

The catch: there's no free plan, only a 14-day trial. Instant exchanges (the new item ships before the old one comes back) are a paid add-on. And while ReturnGO says it integrates with any platform, it doesn't publish a list. If you're on WooCommerce or BigCommerce, ask for a demo on your own stack before you sign. One merchant sums it up as a little clunky at times, with no major issues.

Standout features
  • Variant and product exchanges from Premium
  • 110 returns included at $147
  • API and webhooks on Pro
+Pros
  • ✓4.9/5 across 400+ merchant reviews
  • ✓Cheaper overage on Pro ($0.90)
  • ✓Item inspection on Pro
−Cons
  • ✗No free plan
  • ✗Instant exchange is a paid add-on
  • ✗Non-Shopify platforms not listed
Verdict

The best balance of depth and price once your return rules get complicated. At 100 returns, Return Prime costs about a quarter as much ($39.59 vs $147): you pay ReturnGO for its rules, not its price. Past roughly 230 returns a month, Pro comes out cheaper than Premium.

Best to get started

Return Prime

3.9/5

Return Prime has the gentlest on-ramp in this list. The Start plan is free for 5 return requests a month, then $0.49 per request, and it already gives you a branded portal, variant exchanges (size, color) and two carriers. Merchants rate it 4.8 out of 5 across about 780 reviews.

The free plan also includes an EU-compliant withdrawal button, useful if you sell into the EU. Grow, at $19.99 a month, covers 60 requests and unlocks store credit (the shopper keeps the value as a gift card instead of taking a refund), Shop Now exchanges for any product, instant exchanges, API access and 24/7 support. At 100 returns a month you pay $19.99 plus 40 requests at $0.49: $39.59, the lowest cost in our ranking at that volume. Thrive AI, at $79.99, raises the quota to 180, but each extra request jumps to $0.79.

The limit is reach. Return Prime is built for Shopify, and its listing doesn't name its carriers. Check inside the app that it can print labels for the carrier your customers actually use. And run your real volume against Grow and Thrive AI: $0.79 per request past 180 adds up fast after Black Friday.

Standout features
  • Free plan with a branded portal and EU withdrawal button
  • Store credit, Shop Now and instant exchanges from $19.99
  • $39.59 at 100 returns, lowest in the ranking
+Pros
  • ✓Variant exchanges on the free plan
  • ✓15-day trial on paid plans
  • ✓4.8/5 across about 780 reviews
−Cons
  • ✗Built for Shopify
  • ✗Carriers not named on the listing
  • ✗$0.79 per request past 180 on Thrive AI
Verdict

The obvious first returns app on Shopify: free under 5 returns, under $40 at 100. Grow already handles exchanges for a different product and instant exchanges. When you want heavier automation rules or item inspection, look at ReturnGO.

Best for exchanges

Loop

3.8/5

Loop built its business on exchanges. The Returns plan, from $340 a month for up to 1,000 returns, bundles three revenue-saving tools. Instant Exchange ships the new item before the old one comes back. Bonus Credit adds a bonus when the shopper picks store credit over a refund. Shop Now lets them swap for anything in your catalog. Fraud prevention is included.

Loop also offers Checkout+, free to the merchant: the shopper pays a fee at checkout, which covers the software and the return label. Not every merchant qualifies, though. Eligibility depends on order and return volume, and the Shopify listing points to brands with 5k+ annual orders. The included labels cover domestic US and Canada returns, which is a real edge if that's your market.

Reviews are split. Loop holds 4.6 out of 5 across about 450 reviews, and one brand calls moving from Narvar to Loop one of its best changes. Others describe a rough onboarding, a monthly commitment they couldn't get out of, and exchanges that create a second order, which skews repeat-customer metrics. On Reddit, merchants call it pricey for a small store and say you pay for features you won't need until you scale with a 3PL.

Standout features
  • Instant Exchange, Bonus Credit and Shop Now in the Returns plan
  • Up to 1,000 returns a month included
  • Fraud prevention included
+Pros
  • ✓Deepest toolkit for keeping the sale
  • ✓Checkout+ free for eligible brands
  • ✓Included labels for US and Canada returns
−Cons
  • ✗$340 a month on the first paid plan
  • ✗Onboarding and lock-in criticized
  • ✗Exchanges create a second order
Verdict

The tool to pick when each saved exchange is worth more than the subscription, and you're past a few hundred returns a month. For a small store, it's overkill: start with Return Prime or ReturnGO.

Most platforms

AfterShip Returns

3.7/5

AfterShip Returns comes from the company best known for parcel tracking. Its help center lists connections to Shopify, BigCommerce, WooCommerce, Squarespace and Magento, and its developer docs cover Salesforce Commerce Cloud and Shopware 6. That's the widest platform list in this ranking. Merchants rate it 4.7 out of 5 across 1,500+ reviews.

Pricing starts low and scales with returns. Essentials costs $19 a month for 20 returns, then $0.50 each: $59 at 100 returns. Premium, at $119, includes 100 returns, then charges $1 each. The first month costs $1, with a 7-day trial. There's also a free plan, paid for another way: the shopper pays for the label, AfterShip handles it and keeps a revenue share it doesn't disclose.

Merchant complaints focus on the bill and the settings. A UK brand questions paying for extra seats on top of the per-return rate. An Australian store can't set the return window from the delivery date. A US retailer calls it bait and switch at every turn.

Standout features
  • Shopify, WooCommerce, BigCommerce, Squarespace, Magento
  • Essentials at $19, first month at $1
  • Free plan when the shopper pays the label
+Pros
  • ✓Widest platform list
  • ✓4.7/5 across 1,500+ reviews
  • ✓Annual billing saves money ($192 vs $228)
−Cons
  • ✗$0.50 to $1 per return past the quota
  • ✗Extra seats billed on top
  • ✗Return window can't start at delivery
Verdict

The right call if your store isn't on Shopify, or if you want one vendor for tracking and returns. On Shopify alone, Return Prime is cheaper at the same volume. Before you sign, count how many teammates need a seat.

Returnless refunds

ReturnZap

3.7/5

ReturnZap is a small, highly rated app (4.9 out of 5 across 110+ reviews) that packs a lot into its price. Pro, at $39 a month for 50 returns, includes exchanges for any product, store credit with a bonus for shoppers who skip the refund, QR code labels and advanced rules.

Two features stand out. Green returns let you refund or exchange without getting the item back, which makes sense when the label costs more than the product. And for stores selling into the EU, ReturnZap lists compliance with the EU withdrawal button (Return Prime offers it too, on its free plan). Advanced, at $69, adds tracking-based automations, helpdesk, 3PL and WMS integrations, inbound warehouse receiving, an API and international labels.

The limit is volume: both published plans cover 50 returns a month, and the listing mentions higher-volume plans without publishing their price. ReturnZap says it works with 50+ carriers and connects to Sendcloud, Shippo and ShipStation.

Standout features
  • Any-product exchanges and bonus credit from $39
  • Green returns (no item sent back)
  • EU withdrawal button for stores selling into the EU
+Pros
  • ✓4.9/5 across 110+ reviews
  • ✓Shippo, ShipStation and Sendcloud connections
  • ✓14-day free trial
−Cons
  • ✗Plans capped at 50 returns a month
  • ✗Bigger plans on request, no published price
  • ✗Small vendor, smaller review base
Verdict

The best features-per-dollar for a store under 50 returns a month that wants exchanges from day one. Ask for the price above 50 before you grow with it, or move to Return Prime.

Shipping and returns in Europe

Sendcloud

3.7/5

Sendcloud isn't a returns app: it's a European shipping platform that also handles returns. It connects to Shopify, WooCommerce and PrestaShop, and its carrier network is built around European carriers such as Colissimo, Chronopost and Mondial Relay in France. That's why it's on this list for brands selling into Europe.

Watch the plan. The free plan only handles manual returns, with no automation. The branded return portal starts with Growth, at €109 a month on monthly billing, plus €0.11 per label. Advanced returns management sits in Premium, at €219 a month. Annual billing lowers those prices.

Two limits if you want a pure returns tool. The pricing page mentions neither exchanges nor store credit: Sendcloud refunds or takes back, it doesn't steer the shopper toward another size. And support is its weak spot in reviews, hence its 2.7 on that criterion.

Standout features
  • Return portal plus multi-carrier shipping
  • Shopify, WooCommerce and PrestaShop
  • European carrier network
+Pros
  • ✓One tool for labels and returns
  • ✓Annual billing discount
  • ✓Useful even with few returns
−Cons
  • ✗Return portal only from €109 a month
  • ✗Per-label fees on top of the plan
  • ✗No exchange or store credit mentioned
Verdict

The logical pick if you already ship across Europe and most of your returns end in a refund. If you want exchanges, pair it with a returns app (ReturnZap connects to it) or pick another tool.

Real cost

What 100 returns a month really costs

A "starting at" price means nothing until you run it against your volume. We used one scenario for every tool: 100 returns a month. Return shipping stays separate.

Shopify apps, in dollars

Return Prime Grow: $19.99 plus 40 requests at $0.49, so $39.59. AfterShip Essentials: $19 plus 80 returns at $0.50, so $59. AfterShip Premium: $119, returns included. ReturnGO Premium: $147, 110 returns included. Loop Returns: from $340. Shopify bills these apps on your Shopify invoice.

Sendcloud, in euros

The return portal starts on Growth, €109 a month on monthly billing. Add €0.11 per label. If you already ship with Sendcloud, returns blend into your shipping plan.

The overage trap

Each return past your quota costs from $0.49 (Return Prime Grow) to $1.25 (ReturnGO Premium). The next tier up wins sooner than you'd think: around 182 requests a month for Return Prime Thrive AI over Grow, around 230 returns for ReturnGO Pro over Premium. On AfterShip, Essentials stays cheaper at any volume ($0.50 vs $1 per extra return): you pick Premium for its features.
  • Pull your return count for the last six months and use your busiest month, not the average.
  • Price two neighboring plans: subscription plus overage.
  • Ask whether extra user seats are billed separately.
  • Add return shipping, which none of these plans pays for you except Loop Checkout+ and Redo.
"Free" returns

Who pays when returns software is free?

Three vendors offer a returns tool that costs the merchant nothing. In all three, the shopper pays, either at checkout or at return time. That's not a trap, but you should know before you promise "free returns" on your shipping page.

Loop Checkout+

The shopper buys an add-on at checkout, which covers the software and the return label. Loop picks eligible merchants based on order and return volume, and included labels cover domestic US and Canada returns.

AfterShip Free

The shopper pays for the label, AfterShip handles it and keeps a revenue share it doesn't publish. Fine to start, less so for a brand that wants to offer free returns.

Redo

The portal is free for merchants, and Redo covers the cost of return labels. It's funded by coverage that shoppers buy at checkout. Add-ons cost extra, like tracking at $0.08 per order. We didn't rank it because the model is too different to score on price.
  • Make sure the shopper-paid add-on is shown clearly before payment.
  • Check what a shopper pays if they decline the add-on.
  • Merchants on Reddit warn that customers hate seeing shipping cut from their refund: steer toward exchange or credit instead.
Merchant tips

Six settings that cut your refunds

What merchants who've already switched returns tools keep telling each other, whatever the vendor.

01

Start the return window at delivery

Setting

If your window starts at order date, a late delivery eats into the shopper's time. Pick a tool that counts from delivery. One store says AfterShip can't do this: check it during the trial.

Check during
The free trial
02

Put a bonus on store credit

Margin

A shopper who keeps the value as credit comes back to buy. A small bonus is often enough to tip them away from the refund. Loop calls it Bonus Credit, ReturnZap offers it on Pro, Return Prime unlocks credit on Grow.

Store credit from
$19.99 a month (Return Prime Grow)
03

See how exchanges show up in your reports

Trap

Some tools create a new order for each exchange. Your dashboard then counts a "repeat customer" who didn't buy anything new. A merchant flags this on Loop. Ask the vendor how it records an exchange, and filter those orders out of your reports.

Impact
Inflated repeat rate
04

Don't bring back cheap items

Cost

For a low-priced item, the label and the inspection time can cost more than the item itself. A "refund without return" rule under a price threshold saves money. ReturnZap includes it on Pro.

Available on
ReturnZap Pro, $39 a month
05

Count seats before you sign

Trap

A UK brand found it was paying for extra seats on top of the per-return rate on AfterShip. List who needs access (support, warehouse, finance) and ask for the full price with that number.

Ask for
Price with every seat
06

Upgrade before the post-holiday rush

Margin

Returns arrive after the sales do, so plan the busy month before it starts. On Return Prime, Grow costs more than Thrive AI ($79.99) once you pass about 182 requests in a month. Move up a tier for that month, then drop back.

FAQ · 9 questions

Returns management software · FAQ

  • What does returns management software do?
It gives shoppers a self-serve portal to start a return, pick the item and the reason, and get a label or QR code. Rules then approve or reject the request and offer an exchange or store credit. The refund fires automatically when the parcel is received.
  • Is there a free returns management app?
Yes, each with a catch. Return Prime is free for 5 requests a month, then $0.49 per request. AfterShip Free, Loop Checkout+ and Redo cost the merchant nothing because the shopper pays for the label or an add-on at checkout. Sendcloud's free plan only covers manual returns.
  • How much does returns software cost per return?
Past your quota, from $0.49 per request on Return Prime to $1.25 on ReturnGO Premium, with AfterShip in between at $0.50 to $1. That comes on top of return shipping, which the software doesn't pay except with Loop Checkout+ and Redo.
  • Which returns tool works with WooCommerce or BigCommerce?
AfterShip Returns connects to WooCommerce, BigCommerce, Squarespace and Magento as well as Shopify. Sendcloud plugs into WooCommerce and PrestaShop. ReturnGO says it integrates with any platform but publishes no list, so ask for a demo on yours.
  • Are exchanges better than refunds?
An exchange keeps the sale, a refund loses it. Loop, ReturnGO, ReturnZap and Return Prime (from Grow) put exchanges and store credit first in the portal, and a small bonus on credit often tips the shopper. Always keep the refund option visible: shoppers are entitled to it and hiding it backfires.
  • What is the EU withdrawal button, and do I need it?
It's an online withdrawal function that Directive (EU) 2023/2673 requires from stores selling to EU consumers. If you only sell in the US, it doesn't apply. If you ship into the EU, Return Prime includes it on its free plan and ReturnZap lists compliance on its listing.
  • Is Loop worth it for a small Shopify store?
Usually not. The Returns plan starts at $340 a month, and Checkout+ is limited to brands that meet Loop's volume criteria. Below a few hundred returns a month, Return Prime or ReturnGO cover the essentials for a fraction of the price.
  • What's the difference between returns software and a 3PL's returns service?
Returns software runs the shopper-facing portal and the rules. A 3PL physically receives and restocks items. They work together: ReturnZap's Advanced plan and ReturnGO's Pro plan connect to warehouse and ERP systems so the portal knows when an item is back on the shelf.
  • Do I need returns software or shipping software?
If you get few returns and most end in a refund, a shipping platform with a returns module, like Sendcloud, is enough. If returns eat your margin and you want exchanges, add a dedicated returns app. They can run together: ReturnZap connects to Sendcloud and Shippo.
