How much does SmartSuite cost?
The 2026 plans side by side, who actually needs a paid seat, the costs the pricing page skips, and the real bill for 3, 10 and 25 users.
Short answer: SmartSuite costs $15 per user per month on Team billed annually ($20 month to month), but it bills at least 3 users. The cheapest subscription is therefore $45 a month. Professional is $32 with a 5-user minimum, so $160 a month. Enterprise is quote-only with no minimum. The free plan is gone; a 14-day trial is all that's left.
The part most pricing pages miss: only people who edit data pay. Viewers, commenters and form submitters are free. We compared every plan, the costs the grid doesn't show, and how SmartSuite stacks up against Airtable, monday, ClickUp and Notion on a real team bill.
Some SmartSuite buttons on this page are affiliate links, so a signup may earn us a commission at no extra cost to you. The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.
What each SmartSuite plan includes
SmartSuite is a no-code work management platform: you build databases, project trackers and processes without writing code. Its building blocks are called solutions, each one a set of linked tables, much like an Airtable base. Three meters drive the price: editing users, records per solution, and a monthly pool of runs shared by automations and API calls.
The big number is the annual rate. Month to month, Team costs 33% more ($20 instead of $15) and Professional 12.5% more ($36 instead of $32). Every plan includes SOC 2 Type II and ISO 27001, a choice of US or EU data hosting when you create the workspace, and SmartSuite AI.
US dollars, before tax, per editing user per month on annual billing. Monthly rate under each price.

Why your SmartSuite bill runs higher than $15
The $15 is real. What pushes the bill up is the seat minimum, how SmartSuite counts users, and the jump to Professional. Here are the six things we'd check before entering a card.
Solo or duo, you still pay for three
Team bills a minimum of 3 users. A freelancer pays $45 a month on annual billing, $540 a year, for one login. On Professional the floor is 5: a team of 4 pays $160 a month instead of $128. That floor is the most common surprise for small shops.
Moving to Professional more than doubles the bill
Going from Team to Professional adds $17 per user and raises the minimum from 3 to 5. For a 3-person team, the bill goes from $45 to $160 a month, about 3.5 times more. The usual triggers: a solution passing 5,000 records, a need for two-factor authentication, or hiding a field from some colleagues.
Automations and API calls share one pool
Team's 25,000 runs cover both your internal automations and every API call. A Make, Zapier or n8n sync that polls SmartSuite once a minute burns 60 × 24 × 30 = 43,200 calls over a 30-day month (our math), more than the whole allowance. Past the cap, automations and API calls stop until the next cycle or an upgrade.
Every workspace is billed separately
SmartSuite bills each workspace on its own. Someone who belongs to two workspaces, say your company's and a client's, is billed twice. If you were planning one workspace per client, keep projects in a single workspace and separate them with permissions instead.
Removing a user doesn't refund the seat
A user you add is charged right away, prorated. A user you remove only leaves the invoice at the next billing cycle. On an annual plan, a seat freed in month three stays paid until renewal. The upside: you can hand that seat to someone else at no extra cost.
Enterprise security has no public price
SAML single sign-on, SCIM provisioning, audit logs, IP restrictions and a HIPAA BAA only come with Enterprise, which is quote-only. If your IT or compliance team requires any of them, get the quote before you pilot on Team: it can change the comparison with Airtable.
- Count only the people who need to edit data.
- Check your largest solution: under 5,000 records?
- Estimate monthly API calls before wiring up Make or Zapier.
- Keep one workspace if your teams overlap.
- Remove departing users right before renewal.
How we worked out the real cost
Every amount comes from SmartSuite's official pricing page and help center, nothing else. For each team size we priced both public plans, annual and monthly, with the seat minimum applied. Prices for the other tools come from our full reviews, in the currency each vendor shows US buyers. User feedback from the SmartSuite community and feature request board helped us find the traps; it never set a price.

What a team actually pays for SmartSuite
Six scenarios: three team sizes, each on Team and on Professional. We count people who edit data. If your 25-person team only has 10 people entering or changing records, read the 10-user line: everyone else views and comments for free.

Six ways to cut your SmartSuite bill
What we took away from the pricing page, the help center and what users keep asking for. None of these needs a sales call.
Give edit rights only to people who enter data
This is the biggest lever. A manager who checks progress, a client who comments, a rep who submits a form: none of them pays. On a 25-person team, moving 15 people to view and comment drops the Team bill from $375 to $150 a month.
Swap occasional logins for forms
Contributors who add a row now and then don't need an account. A SmartSuite form creates the record for them, free. Users have been asking for a cheaper "limited editor" seat for a long time; until it exists, forms do the job.
Use the trial to measure your volumes
The trial runs 14 days on Professional, no card, with up to 50 guests. Import your real data and switch on your real automations. At the end, check your largest solution's record count and the runs you used: you'll know whether Team is enough.
Go annual once the team is using it
Annual billing takes 25% off Team but only about 11% off Professional. On Team, that's $180 a year saved from 3 users. Start monthly, then switch: upgrades apply right away, prorated, while downgrades wait for the next cycle.
Spend fewer runs
Trigger automations on events rather than on a five-minute schedule. In Make or n8n, batch your API calls and filter before you write to SmartSuite. Staying under 25,000 runs keeps you off Professional and its 5-seat floor.
Archive before you hit 5,000 records
Team's limit counts per solution, not per workspace. Split a growing base (one solution per year, or an archive solution) and export old records. A 3-person team that stays under the cap keeps paying $45 instead of $160.
- Viewers, commenters and form submitters are free: use them.
- 14-day trial: import your real data.
- Monthly first, annual later (25% off Team).
- Event-based automations over scheduled ones.
- One solution per year if your base grows fast.
SmartSuite pricing vs the alternatives
Per seat, SmartSuite lands in the middle: pricier than ClickUp, monday and Notion, cheaper than Airtable. Two details reshuffle that order. SmartSuite has a 3-seat minimum, and it doesn't charge commenters, which Airtable does on its Team plan. Scores come from our full reviews.

Is SmartSuite worth the price?
In our full review, SmartSuite scores 3.9 out of 5, with 4.2 for features and 4.3 for support, but 3.7 for value for money and 3.5 for integrations. The 2026 pricing explains that 3.7: the product is deep, but the seat floor punishes small teams.
Yes, for a 3 to 25-person team organizing its data
At $15, Team gives you linked databases, automations, the API and AI for less than Airtable. If part of the team only reads and comments, the gap widens: those people cost nothing on SmartSuite.
Yes, as an Airtable Business replacement
Professional at $32 against Airtable's $45, with 100,000 records per solution and field-level permissions. For 10 users that's $130 a month saved, $1,560 a year. Check our Airtable review for what you'd give up.
- Solo or a pair: a tool without a seat minimum, or a free plan elsewhere.
- 3 to 25 people and under 5,000 records per solution: Team.
- More data, two-factor authentication or field permissions: Professional.
- SSO, audit logs or HIPAA required: Enterprise quote.

Questions we get about SmartSuite pricing
How much does SmartSuite cost per month?
SmartSuite costs $15 per user per month on the Team plan billed annually, or $20 billed monthly, with at least 3 users billed. Professional is $32 annually or $36 monthly, with a 5-user minimum. Enterprise is quote-only with no minimum. So the smallest subscription you can buy is $45 a month, even if you are the only person using it.How much does SmartSuite cost per year?
At least $540 a year on Team (3 users at $15) and $1,920 a year on Professional (5 users at $32), paid upfront. A 10-person team where everyone edits pays $1,800 on Team or $3,840 on Professional. Those totals are our math: SmartSuite only publishes a monthly per-user price. Is there a free version of SmartSuite?
No. SmartSuite dropped its free plan in 2026: new signups can't pick it, and existing free workspaces were locked. What remains is a 14-day Professional trial with no credit card. The part that is still free: read-only users, commenters and form submitters never take a paid seat, on any plan. What happens when the 14-day trial ends?
Nothing gets charged, because the trial never asks for a card. Your workspace is deactivated but your data is kept, and you can subscribe at any point to reopen it. You can also ask support for an extension. The trial always runs on Professional and allows up to 50 invited guests, so bring the whole team in on day one and judge it on real work.Who counts as a paid user in SmartSuite?
Only people who can edit data. Read-only users, commenters and anyone filling in a form are free on every plan. A 25-person team where 10 people edit pays for 10 seats, or $150 a month on Team. One catch: an invited guest becomes billable as soon as they accept the invite and log in with edit rights. Is the API included on the Team plan?
Yes. API access is included from Team up, with 25,000 runs a month shared between your automations and your API calls. Professional raises that to 100,000 and Enterprise to 500,000. The shared pool is what matters: a Make or Zapier sync that polls SmartSuite every minute uses 60 × 24 × 30 = 43,200 calls over a 30-day month (our math) on its own.Is SmartSuite cheaper than Airtable?
Per seat, yes: $15 against $20 on the Team plans, and $32 against $45 between Professional and Business, about 29% less. But Airtable has no seat minimum and its Team plan holds 50,000 records per base, against 5,000 per solution on SmartSuite Team. For 1 or 2 people Airtable is cheaper; from 3 users up, SmartSuite wins on price.Does SmartSuite offer nonprofit or startup discounts?
None are listed on the official pricing page, whether for nonprofits, startups or education. The only public discount is annual billing: 25% off Team and roughly 11% off Professional. Large teams can negotiate on Enterprise. A nonprofit saves more by keeping edit rights to its staff and giving volunteers forms and read-only access. Is SmartSuite HIPAA compliant?
Only on Enterprise and Signature, where SmartSuite signs a Business Associate Agreement (BAA). SOC 2 Type II and ISO 27001 cover every plan, and you can host data in the US or the EU on any plan when you create the workspace. If you handle patient data, budget for an Enterprise quote from the start rather than piloting on Team. How much is SmartSuite Enterprise?
Enterprise is quote-only: SmartSuite publishes no price and no longer sets a seat minimum. The $50 per user and 10-seat minimum you still see on other sites are no longer on the official page. It adds SAML single sign-on, SCIM user provisioning, audit logs, IP restrictions, data loss prevention, 500,000 runs a month and 400,000 records per solution.
