LumApps alternatives: where to go, and how to get your content out

Nine intranets compared, one per reason to leave, and a seven-step exit plan.

The short answer: if a big share of your people work without a desk, look at Staffbase or Workvivo by Zoom. If you want a like-for-like replacement with migration help in the contract, Simpplr. If you live in Gmail and Drive, Happeo. And if you're a Microsoft shop, check Viva Connections first: it already ships with eligible Microsoft 365 business plans, so you may be paying for LumApps on top of something you own.

The ranking is editorial: a sponsored spot is always flagged on its card, and no affiliate link changes a score.

The real reasons

Why teams leave LumApps, even though users rate it well

LumApps isn't a bad product. Review sites put it between 4.1 and 4.4 out of 5, and its customer success team gets regular praise. In our intranet software ranking it scores 4.3. People leave for other reasons: cost they can't see, weight they don't need, and overlap with the suite they already pay for. Six come up again and again.

Pricing you only see after a demo

LumApps publishes no price list. Its old pricing page is gone, and directories list it as "on request". Value for money is its weakest score on review sites, around 3.8 out of 5. Hard to build a business case on that.

A slow page editor

This is the most specific complaint. Users describe the page builder as sometimes very slow and heavy on memory, and the system overall as sluggish, with too few tutorials. If your comms team ships two stories a day, that friction adds up fast.

Features that move slowly

Several reviews mention minor bugs and features that improve very slowly between releases. One recent 1-star review says the product lags on features and is slow to act on enhancement requests. Others find some features too basic.

A heavy rollout

Reviewers say setup is challenging, and analysts describe deployments that take months and lean on professional services. For a 150-person company, that's more platform than the job needs.

Double spend for Microsoft shops

LumApps sits next to Microsoft 365, not inside SharePoint. Viva Connections, Microsoft's intranet front door in Teams, is included in eligible Microsoft 365 business plans. Sooner or later, IT asks why the company pays twice.

A roadmap in the middle of a merger

In 2025 LumApps agreed to acquire Beekeeper, the Swiss frontline worker app. The combined company claims 2,000+ customers, 7 million+ users and a valuation above $1 billion. That's scale, but also a merger year where product priorities shift. Some customers would rather wait it out somewhere else.

The 9 alternatives

LumApps alternatives, tool by tool

For each option: why switch to it, who it's for, its main limit, how to move your LumApps content over, and its price. Scores come from our rankings of intranet software and internal communication software. The last three cards don't have a Labs score yet. They're here without one, because they belong in your shortlist.

01

Jamespot: the European intranet with a public price

Transparent pricing

Why switch. Jamespot, a French vendor, does what LumApps won't: it publishes prices. Intranet Essential costs €2.90 per user a month plus a €290 monthly subscription; Advanced is €4.90. For 200 users on Essential, that's €870 a month. You can budget before the first sales call.

Who it's for. European companies and public bodies that want to choose where their data lives. You pick the host: OVHcloud, Outscale, Scaleway or Orange. It's ISO 27001 certified and follows the French RGAA 4.1 accessibility standard.

Who it's not for. A US company deep in Google Workspace. Jamespot's pricing page mentions Slack and Teams connectors on higher tiers, not Google. It also prices in euros only.

The catch. The flat €290 a month weighs heavily on small teams: at 30 users it's over three quarters of the bill. Its enterprise social network is sold separately.

How to migrate. There's no published LumApps import. Plan to move recent news and live pages by hand, and ask how they load your directory. Native iOS and Android apps make the mobile switch easy.

02

Staffbase: one channel for desk and frontline staff

Desk + frontline

Why switch. Staffbase sells three setups: frontline, mixed desk and frontline, and multi-brand enterprise. The frontline setup works for people without a corporate email address. It also plugs into both suites: Microsoft 365 (Teams, SharePoint, Outlook, Copilot, Viva Engage) and Google Workspace. That dual support is exactly what made LumApps attractive, and few rivals match it.

Who it's for. Mid-size and large companies with plants, branches or stores that want one channel for everyone.

Who it's not for. A small office team looking for a simple document portal. Staffbase is an employee communications platform first.

The catch. No public pricing. Staffbase says it outright: a published price would be wrong for most organizations. You get a tailored proposal three to five business days after a first call.

How to migrate. If you ran Beekeeper, which now belongs to LumApps, Staffbase is the most direct way to keep a frontline app. Ask how they rebuild your groups and audiences from your directory.

03

Workvivo by Zoom: the intranet built around engagement

Engagement

Why switch. Workvivo, now part of Zoom, works like a company social feed rather than a portal. Frontline staff sign in without an email address, and the vendor lists SOC 2 and ISO 27001.

Who it's for. Companies that want to keep culture alive across sites: recognition, news, video, on mobile as much as on desktop.

Who it's not for. Anyone who wants to try before talking to sales. There's no free trial, only a demo.

The catch. Pricing depends on license count, and add-ons cost extra: Workvivo TV, Seer, HQ Agent and Chat. Get every add-on priced in the quote, or the final bill will surprise you.

How to migrate. Start with your most active LumApps communities. They're what makes a social feed feel alive on day one. Static pages can follow.

04

Simpplr: the closest like-for-like swap

Direct rival

Why switch. Simpplr competes head to head with LumApps for mid-size and enterprise intranets. What makes it a good exit: it sells migration services, scoped to your company's size.

Who it's for. Companies above 500 employees, where volume discounts kick in, who want hands-on help with the move.

Who it's not for. Small teams. The quote depends on size, complexity and support level, and it's built for larger rollouts.

The catch. No public pricing. A 14-day trial exists, but spots are limited.

How to migrate. Put the migration service in the quote from day one, with your content inventory attached. Much easier than negotiating it after signing.

05

Happeo: the most at home in Google Workspace

Google Workspace

Why switch. Plenty of LumApps customers picked it for Google integration. Happeo targets exactly that crowd: single sign-on with Google or Microsoft, notifications to Slack and Teams, a mobile app included, and AI in every plan.

Who it's for. Office-based companies that live in Gmail and Drive and want to keep it that way.

Who it's not for. Plants, warehouses and stores. Happeo is built for desk workers first.

The catch. No price on its Starter, Growth or Enterprise plans, and a demo is mandatory. Its LumApps comparison pages are written by Happeo, with review numbers you can't check: read them as marketing.

How to migrate. Your files stay in Drive. Only the links inside pages need redoing, which is a good moment to drop the dead ones.

06

Connecteam: the budget pick for frontline-heavy small teams

Lowest entry price

Why switch. Connecteam is an app for people without a desk, with a communications hub for news, chat, surveys and directory. Its price is public and low: free for up to 10 users, then Basic at $29 a month for the first 30 users (billed annually) plus $0.50 per extra user. Advanced is $49, Expert $99; monthly billing runs $35, $59 and $119.

Who it's for. Small service, construction, cleaning or restaurant businesses where almost everyone is in the field with a phone.

Who it's not for. Anyone replacing LumApps as a content portal. Connecteam has no real content management or rich document tree.

The catch. It's a frontline app, not an intranet. If you have a head office with knowledge pages, you'll need something next to it.

How to migrate. Use it to replace the mobile side only, especially if you were on Beekeeper. Keep news and directory, skip the static pages.

Viva Connections: the intranet you might already own

Already included

Why switch. If you run Microsoft 365, Viva Connections is probably in your subscription already. It's Microsoft's intranet front door, shown inside Teams and built on your SharePoint sites. It's included with eligible Microsoft 365 and Office 365 business plans, with a Teams license.

Who it's for. Microsoft shops that bought LumApps back when SharePoint felt painful, and now want to stop paying twice.

Who it's not for. Google Workspace companies, obviously, and comms teams that want a polished editorial tool without touching SharePoint.

The catch. The extras cost money: Viva Employee Communications and Communities runs $2 per user a month on an annual plan, the full Viva Suite $12. And your intranet is only as good as your SharePoint sites. Our guide to switching from SharePoint covers the other side of that bet.

How to migrate. Rebuild your home pages in SharePoint, then point Viva Connections at them. Your files already sit in OneDrive or SharePoint, so nothing moves.

Unily: enterprise intranet that covers both suites

Enterprise

Why switch. Like LumApps, Unily works with both worlds. Its base package includes Microsoft 365 (SharePoint, Teams, Outlook, OneDrive) and Google (Docs, Drive, Sites), plus an iOS and Android app.

Who it's for. Mid-size to very large companies where subsidiaries run different suites.

Who it's not for. A team that wants to start quickly: there's no trial.

The catch. Everything is quoted: a base package, then add-ons. Unily promises a reply within 24 hours.

Interact: Google and Microsoft, with a frontline app

Both suites

Why switch. Interact integrates with Microsoft 365 and Google Workspace, and adds a Frontline App, with a branded app as an option. It's one of the few rivals that keeps LumApps' two-suite reach and covers deskless staff.

Who it's for. Companies with mixed suites and a real frontline population that don't want two vendors.

Who it's not for. Anyone who wants a published price to compare.

The catch. Pricing is quoted, based on headcount and scope.

The 9 intranets side by side

The criterion that matters when you leave LumApps: your office suite. LumApps covers Google and Microsoft at once. Staffbase, Unily and Interact do too. Happeo leans Google, Viva Connections is pure Microsoft. On the left, what each tool covers; on the right, the entry price.

Exit plan

Leaving LumApps in seven steps

LumApps publishes no exit procedure. Every migration page on its site explains how to move to LumApps, never away from it. There is a way out, though: its API, which enterprise search connectors already use to read pages, news and community posts. Here's the order that avoids surprises.

01

Read the contract before you tell anyone

Look for three things: notice period, end date, and a reversibility clause, meaning the vendor's commitment to hand your data back. LumApps publishes none online, so your contract is the only reference. If the clause is missing, negotiate the export now, while you're still a paying customer.

02

List everything that lives in LumApps

News, pages, communities, personalized content, directory, widgets, and every link to Drive or SharePoint. Good news: your files don't live in LumApps. They stay in Google Drive or SharePoint, so only the links need rebuilding.

03

Pull your content through the API

The LumApps API v1 exposes content, users, groups and permissions over OAuth 2.0. Lesson from the third-party connectors that use it: they only see what the authorizing admin can see. Use an account with full visibility, or private communities will go missing. Ask your LumApps customer success manager for an export too.

04

Get migration help in writing

Simpplr sells migration services scoped to your size. For everyone else, ask during the demo and get the answer into the quote. A vendor chasing your signature will often help with the move.

Move only what's alive

A five-year-old intranet holds hundreds of pages nobody opens. Republish recent news and pages people actually visit, and archive the rest read-only. The new intranet starts clean and the migration costs less.

06

Rebuild groups from your directory

Connect the new tool to your Google or Microsoft Entra ID directory with single sign-on, then rebuild audiences from directory groups. Happeo, Staffbase and Unily all support Google and Microsoft sign-in. Never copy groups by hand: they drift with the first new hire.

If you used Beekeeper, it's now part of LumApps: leaving one means leaving both. Move frontline staff to Staffbase, Workvivo, Interact's Frontline App or Connecteam, and keep the old app running for a few weeks while people install the new one.

Migration pitfalls

What makes a LumApps exit go wrong

Failed intranet moves look alike. It's rarely the new tool. It's a step skipped at the start.

Giving notice before you have the export

With no published exit procedure, your leverage is the live contract. Once notice is served, the vendor has less reason to help. Get a full export, check it, then announce you're leaving.

Assuming any intranet will do

LumApps covers Google and Microsoft at once. If your subsidiaries run both suites, most alternatives cover only one. Check that first: it's the filter that removes the most tools.

Forgetting the frontline

A desk intranet never reaches the shop floor. If deskless staff used the LumApps mobile app or Beekeeper, budget their tool separately. Our internal communication software ranking compares the ones that work without email.

Comparing quotes that don't compare

Most tools on this page are quote-only. Ask each vendor for the same scope: user count, add-ons, mobile app, migration, over three years. Otherwise one forgotten add-on makes the wrong vendor look cheap. And if the real issue is your whole suite, our guide to switching from Google Workspace is the bigger conversation.

FAQ · 8 questions

LumApps alternatives: frequently asked questions

  • Is LumApps only for Google Workspace?

No. LumApps works with both Google Workspace and Microsoft 365, which is rare. That's why the replacement you need depends on your suite. Staffbase, Unily and Interact also cover both; Happeo leans Google; Viva Connections is Microsoft only.

  • How much does LumApps cost?

LumApps doesn't publish pricing. Everything goes through a quote after a demo. To compare fairly, ask for a three-year quote that includes the mobile app and add-ons. On review sites, value for money is its lowest score, around 3.8 out of 5.

  • What happened to Beekeeper?

In 2025 LumApps agreed to acquire Beekeeper, the Swiss frontline worker app, and beekeeper.io now redirects to LumApps. Beekeeper keeps its frontline focus. If you want out of both, Staffbase, Workvivo, Interact and Connecteam cover deskless staff.

  • LumApps vs Simpplr: which one should you pick?

They target the same mid-size and enterprise buyers, and neither publishes prices. Simpplr has two practical edges for a switch: migration services sized to your company and a 14-day trial with limited spots. LumApps' edge is its two-suite coverage across Google and Microsoft.

  • Can Viva Connections replace LumApps?

Yes, if you run Microsoft 365 and your SharePoint sites are in good shape. Viva Connections is included with eligible business plans and a Teams license. What it lacks is LumApps' editorial comfort; the $2 Viva Employee Communications and Communities add-on closes part of that gap.

  • What's the best LumApps alternative for frontline workers?

Staffbase for larger companies, since its frontline setup works without corporate email. Workvivo if engagement is the goal. Connecteam if budget is tight: it's free up to 10 users and starts at $29 a month after that.

  • Can you get your content out of LumApps?

Yes, through the API v1, which exposes content, users, groups and permissions. Use an admin account that sees everything, and ask your customer success manager for an export as well. Files stay in Drive or SharePoint, so they don't need moving.

  • Does LumApps connect to Zapier?

Yes, there's a Zapier integration. While both intranets run side by side, an automation can save you from copy-pasting between them. Our page on LumApps and Zapier shows what the integration can do before you rely on it.
